NCECDTL PHASE I: PD MENU PLANNING (JANUARY – JUNE 2018) Integrated Service Team (IST) Role (Director of Coordination and Collaboration) Lead the development of NCECDTL’s PD Menu • Incorporates IST vision and planning conversations into the PD Menu to ensure consistency across the National Centers (NCs) • Brings a team of NCECDTL staff (trainers, content developers, data team, and Regional Field Specialists (RFS)) together to inform the development of the Regional PD menu • Prepares and submits draft PD Menu for Federal Project Officer (FPO) approval • Finalizes NCECDTL PD Menu per FPO feedback and approval process • Provides support to assigned regions (6, 7, 8) during the Regional PD Plan development process

Regional Field Specialist (RFS) Provide critical perspective and data-informed approaches to provide focused input to our PD Menu based on their work with regional Program Specialists, the Federal Contracting Officer’s Representative (COR), and with support from the T/ TA leadership R FSs design and deliver data consultation to RO staff on regional level trends in grantee data and this informs regional PD planning and ongoing continuous improvement (e.g. CLASS, PIR, School Readiness Program Planning and Grant Applications).

Senior Manager Training/Technical Assistance (T/TA) Participates in the team developing Regional PD Menu Brings information from T/TA delivery experiences and feedback from all trainers to the discussion Shares final NCECDTL PD menu with training team for discussion and planning Develops process for creating and delivering T/TA offerings in NCECDTL PD Menu with NCECDTL Subject Matter Experts (SMEs) and Trainers

PD Coordinator Gathers all pertinent information needed for PD Menu Planning group related to T/TA requests and delivery in prior year Participates in the team developing Regional PD Menu Posts final NCECDTL Regional Menu on SharePoint PHASE II: NEGOTIATIONS AND CALLS WITH REGIONAL STAFF, THE REGION’S IST AND NCS (JUNE - SEPTEMBER 2018) NOTE: OHS plans and leadst series of calls with the regions to initiate this phase.

Senior Manager T/TA A fter initial call with OHS and regions, reaches out to the regions, plans, and leads calls to negotiate DTL PD response for all regions; Completes all follow up from calls related to DTL Regional PD Operationalizes NCECDTL T/TA delivery based on negotiations and calls with regions Pulls down information for all DTL events from the OHS Data Management Tracker (DMT- an application providing project management, collaboration and document tracking services for the IST team members and for OHS to track regional requests and to track regional T/TA submissions); does check against PD tracker to ensure up to date PD tracker (QC check with PD Coordinator)

IST Role (Director of Coordination and Collaboration) Participates in calls and brokers NC PD for regions 6,7 & 8 Once Regions enter their PD plans into the OHS DMT, monitors and updates (when changes occur) Regional PD plans in the DMT for Regions 6, 7, & 8

PD Coordinator Works with Senior Manager T/TA to set up calls with regions and prepares agenda with Senior Manager T/TA Participates in all calls, takes summary notes, and ensures follow up to action items identified in the calls Enters PD events into the DTL PD Tracker; Pulls down information for all DTL events from the DMT


NCECDTL PHASE III: NC’S CONTINUE TO PLAN WITH REGIONS AND DELIVER REGIONAL PD (JULY 2018 – JULY 2019) Senior Manager T/TA Works with Director of Resource and Training Development and the PD Coordinator to identify and contact trainers for all Regional PD Serves as liaison with regions & ISTs in order to address any discrepancies between NC and region Participates in all planning meetings for delivery of regional T/TA events at the invitation of the IST for regions including regions 6,7, & 8 Ensures delivery of all T/TA within DTL and OHS protocols and processes Complete a twice weekly review of Sr. Managers and Director folder, confirm status of all materials to timeline Create PD chart for weekly report for Sr. T/TA Manager/Dir, Resource and Training

IST Role Participates in planning calls for T/TA delivery for regions 6,7, and 8 that include all NCs involved in the regional PD delivery/event; invites Senior Manager T/TA to calls for PD planning in regions 6,7, and 8 when DTL content is requested Provide T/TA to regional staff in DTL IST Regions (Regions 6,7,8) to build their capacity in content areas specific to NC, or as requested by the region Provide T/TA to regional staff (not DTL’s assigned Regions 6, 7, 8) when invited by other IST members Keep RFS team abreast of IST T/TA to regional staff

Regional Field Specialist (RFS) Provide on-going supports to federal staff across the PD planning and delivery life cycle to support the regional priorities linked to DTL strategies and share the latest resources and materials from other National Centers

PD Coordinator Tracks requests from regions and any follow up to include the following: • Logistics (dates, times, session descriptions, marketing materials for webinars, registration, and hotel details) • Material submissions for vetting, handout and supply requests • Evaluation requests for sessions & follow-up from trainers

Set up follow-up calls with region and among DTL Staff Ensure PD listed in the DTL PD tracker and PD listed in the DMT match on a weekly basis; works to resolve inconsistencies with the Senior Manager of T/TA and the IST as appropriate Completes the “Completed Regional PD Chart” in the weekly report for OHS by 3 PM EST each Monday. Meet weekly to review printing/resource/exhibit needs of trainers with Production Manager, Sr Manager T/TA, Sr. Manager Meeting/Logistics inform trainers of decisions
