Reception

This space is not able to be reserved separate from the Viewing Lounge and Catering Bar area (see page 11). This area provides a 10ft long reception desk for event registration or greeters. This space provides a large open entry for guests to mingle before making their way into the Studio B, Viewing Lounge and Catering Bar area. Space features wall mounted dry erase black boards and presentation screen for welcome photos, video or web-page displays. See page 34 for information about renting these areas on a weekend along with The Forum.

VIEWING LOUNGE AND CATERING BAR

Our lounge is designed as a collaborative study and work area as well as a networking, reception and small events space with catering bar. Our adjacent studio space enables streaming presentations, multimedia interviews, panel events, webcasting, broadcasting and podcasting. The brick clad corridor into the open Forum holds a gallery of exhibits from diverse media artists and photographers. Rates include the use of the entire entry area (excluding Blue Sky room), general cleaning fee, tech support, and AV equipment throughout the space including displaying content to the large viewing screen and reception screen. See page 34 for information about renting these areas on a weekend along with The Forum.

The Forum is a highly dynamic multi-use space for workshops, community trainings, cross-disciplinary collaboration and events, such as “hackathons� and industry ideation sessions.

Clad in brick and featuring a glass garage door entry, the Hub establishes itself as an independent building within the center. This space serves as command central for the college’s journalism capstones, houses our Knight-funded Innovator-in-Residence program and hosts journalism experiments with new technology.

This hub functions as an IMC digital agency for strategic communications capstone classes and projects. It also houses the college’s Community Branding Initiative in collaboration with the Claude Worthington Benedum Foundation, West Virginia Community Development Hub and WV Focus - Turn This Town Around effort in support of economic development initiatives.

This space is home to “CodeLab,” a program and for-credit course that teaches students and community members coding fundamentals as well as how to develop mobile applications for Android and Apple devices. As part of our community-based collaborations, this effort can help make technology training available to distressed Appalachian communities in economic transition. Rates listed above are for the HackerSpace area only, and do not include the rest of the Forum. See pages 12-13 for Forum rental information.

Huddle Rooms 1 and 2 The Center has two rooms for small group break-aways, project brainstorming, club meetings and other workgroups. Featuring white boards and colorful, building-block furniture that can be reconfigured for different uses, the huddle rooms express part of the center’s personality of purposeful play. Huddle Rooms are not specifically reservable but are able to be used with the weekend reservation of the entire Center. See page 34 for details.

The Think Tank provides a quiet meeting space that is slightly removed from the centralized event spaces in the Center. Rates listed above are for the use of the Think Tank as a meeting room. See page 30 for information about renting the Think Tank as well as the adjacent Observatory as a user testing facility. Room usage not available on weekends. User testing and focus group rental is available for weekend rental.

Booking Information Since the digital Media Innovation Center is a mixed-use, dynamic open space and our mission is first and foremost to our students and faculty, please understand that faculty, students and other innovators may be working in other areas of the Center during your reservation. We hope that you agree this is part of the dynamic, collaborative energy of the space and is what makes the Media Innovation Center unique to showcase diverse innovation at work.

When planning your event, please remember to calculate time to set up and clean up when determining the amount of time to reserve the space. Full day (8 hours) and half day (4 hours) options are available. Full day rates for weekdays are listed for each space. Half day rates are one half of the rate listed for each space. All events are welcome to bring in outside catering including WVU Culinary Creations or Evansdale Crossing restaurant concepts. If you are hiring a professional event planner, we will be happy to work with them to set up the space for your event. If you are not hiring a professional event planner, you may select one of the prepared options for how to arrange the space. See pages 34-35. 26

Each reservation includes: • A scheduled preplanning walk through and tour of space to visualize flow, furniture arrangement, utilization of technology, and to answer logistical questions. • The use of Audiovisual (AV) equipment in the space is included in the rental. AV and media aids are included with each space rental and are arranged and/or furnished exclusively by the Media Innovation Center. • Set up and tear down of current furniture in space excluding catering materials and additional furniture brought into the space for the event.

Reservations do not include: • Making catering arrangements, setting up catering supplies, or handling catering items throughout the event. • Arranging for additional furniture to be rented, setup or returned. • Development of visual content for screens (e.g. programs, event outlines, photos, presentations, etc). • Laptops for presentations and breakout sessions. • Presentation materials including laser pointers, slide clickers, flipcharts, printouts, etc.

Available Additions to Rooms:

Inquire about pricing and availability for live streaming and multimedia packages to distribute to your audience. • 4 rolling mobile screens +$200 ea. For streaming event in rooms without wall mounted screens, to show additional presentations or for virtual meeting attendees. Renter is responsible for the full replacement value of any stolen, misplaced, or damaged mobile screens. • Laptop cart with 20 Mac computers +$300 Renter is responsible for the full replacement value of any stolen, misplaced, or damaged computers. • Additional Hours +1/8 of space cost


Rental Policies Fees, Deposits and Refunds: DEPOSIT­­ A rental deposit of 30% of the total rental is required at the time of reservation and will be treated as a deposit on your final event bill. In the event you cancel, the deposit is non­refundable. PAYMENTS­­ Event payment is due five (5) days prior to the scheduled facility use. WVU departments may make alternative billing arrangements in advance. FEES­­ An additional fee will be charged after the event for any broken or misplaced equipment or furniture. An additional fee will be applied if furniture requires post­event upholstery cleaning which extends beyond the general cleaning included in the room fee. If your event cleanup extends beyond the allowed time for the event, we are happy to accommodate you if the rooms are available. Additional fees will be applied for any holdover of the room beyond the slated time. (Minimum one hour increments) All food and catering materials must be cleaned up and removed prior to the end of the space reservation. If not, an additional cleaning fee will be applied.

CANCELLATION­­ If User cancels this permit ten (10) business days or more prior to the reservation date, they shall be liable to the Reed College of Media only for direct costs incurred specifically in preparation to fulfill this agreement. Cancellation of this reservation after 10 business days and up to 2 business days (48 hours) prior to the event, the User is obligated for any direct costs incurred, and in addition, shall pay the College as liquidated damages for its lost business opportunity computed as follows­­50% of the anticipated total charges as show on the front of this agreement. Cancellation later than two business days (48 hrs) prior to start of occupancy shall obligate User to full payment of the anticipated charges shown.

Use of the College and Center Name and Logo:

RESCHEDULING In the occurrence your event needs to be rescheduled, the Media Innovation Center must be notified no later than 7 business days before the event. The rescheduled date must occur within 90 days of the original event date and is subject to Center availability. All deposits and payments will be applied to new event date. Event changes that include new rooms or additions to rooms will be subject to additional costs.

Event Insurance:

User will use the appropriate logo and room names for the Reed College of Media Innovation Center in any advertisement, informational material, brochures, mailer or any similar item. Logo and appropriate names will be provided by the Media Innovation Center.

Alcohol Policy: We do permit Users of the Media Innovation Center to provide guests with beer and wine at your event in addition to food. Please identify that you are interested in this opportunity when requesting the reservation. Additional information on requirements and WVU policy will be provided during booking.

Non-WVU groups might be asked to purchase short-term insurance. This is offered through a 3rd party vendor. The base rate is approximately $100 per event. Specific information can be found here: goo.gl/c7Bqoa

THINK TANK AND OBSERVATORY


Think Tank and Observatory

Weekday Evening, 1 Session (60-90 minutes) - approx. $1,500 Weekend, 1 Session - approx. $1,800 The Think Tank has an adjacent observation room and recording technology to enable students, faculty, and industry partners to conduct professional focus groups, media effects research, and consumer behavior and user behavior testing across new technology. Please send a brief description of the user testing or focus group that will be conducted. Also provide the number of 60-90 minute sessions you’re conducting, requested date, and total number of hours the space is needed including set-up and clean-up. An estimate will be provided once specifics are received.

Special Rental Rates Weekend Rentals: The only individual rooms available for rental on the weekends are one of the Hubs. It is possible to rent out single rooms on a weekday evening (pending availability). Please see individual room rates on the preceding pages. Entire Center (pending availability): WVU Weekend: $2,500 Public Weekend: $2,700 The Think Tank, AR/VR Studio and Studio B sound booth are also not included in this cost if used in a specialized capacity. Pending approval and availability, these rooms may be used as a meeting space only. These rates include the use of the entire space (not IMC), general cleaning fee, tech support, and AV equipment throughout all the spaces.

Furniture Options for Forum, Reception and Viewing Lounge: When renting the Forum, Reception and Viewing Lounge areas, renters may choose from the following two options for furniture arrangement. Option 1: This selection provides a unique environment that promotes mingling, networking and collaboration. The Forum provides a mix of lounge furniture and table space. The Entry area provides additional seating for overflow or separate networking.

Start-Up Incubator Rates: A select few start-up companies may be eligible for discounted use of a room within the Media Innovation Center for an extended time during May - August. These companies will also have the opportunity to utilize conference rooms and equipment at the Center. Inquire about this opportunity today!

WVU Alumni Rate: WVU Alumni may inquire about a special rate.

Multi-Day Rate: Ask about our multi-day reservation discount for events reserving the entire Center for 3 or more days.

Option 2: This option provides a more formal presentation environment in the Forum with 80+ event chairs and space at the front for a 6-person panel. All the lounge furniture will be moved to the entry area for maximum seating for networking or overflow viewing of presentations in the Forum.
