Welcome to the 37th Annual Performing Arts Exchange! Dear Friends and Colleagues, On behalf of the staff and board of South Arts, welcome to Music City for the 2013 Performing Arts Exchange! This year we are pleased to offer a special preconference—Presenting 101—free for full-conference registrants. Presenters new to the field will learn the essentials of programming and artistic planning, contracts and negotiations, production logistics, marketing and promotion. In addition, we’ll also bring you new opportunities for networking, business and professional development, showcasing and more. We have developed an exciting program of events featuring inspirational artists and speakers, and workshops that address your priority issues. You’ll also have plenty of time to connect with your peers to share solutions, innovations, and your vision of the future of the performing arts. From the opening reception at the historic Ryman Auditorium to the Thursday brunch in the Marketplace, PAE is packed with value. PAE on your smartphone: The PAE mobile app allows you to create your own personalized schedule, to-do list, and more. Every time you open it, the app will automatically update with the most recent conference info. The app is compatible with iPhone, iPad, iPod Touch and Android devices. Windows Phone 7 and Blackberry users can access the same information via our mobile site at m.guidebook.com. To get the PAE guide: Download “Guidebook” from the Apple App Store or the Android Marketplace. Visit http://guidebook.com/getit from your phone’s browser. The guide will be listed under the “Download Guides” section of the application. Accessibility: All conference venues are compliant with ADA regulations. For further assistance, please see a PAE associate at Registration. Bulletin Boards: Bulletin Boards are located near Registration in the convention center. South Arts cannot review content of material for age appropriateness nor guarantee the safety of children at the conference venues. First Aid: For non-emergencies, a first aid kit is located at Registration. In case of an emergency, please call 911. Internet & Business Services: The Renaissance Business Center is open Monday-Friday from 7:00 a.m. – 6:00 p.m., and on Saturday from 8:00 a.m. – 3:00 p.m. Complimentary wireless access is available in the hotel lobby and public areas. Liability: South Arts is not responsible for property that is lost, stolen, or damaged in the Marketplace or at any time during the Performing Arts Exchange. South Arts provides security in the Marketplace but encourages exhibitors to be responsible for their property and secure valuable items at the close of each day. Things To Know‌ Marketplace Open & Accessible Hours: Exhibitors are required to be at their booths during Open Hours and will be allowed into the Marketplace up to 30 minutes prior to opening. Exhibitors are not required to be present during Accessible Hours (noon – 1:30 p.m. on Wed.) but the Marketplace will be open to those who wish to use it. Mobile Phones & Devices: During workshops, showcases, and the keynote address, all mobile and electronic devices should be in silent mode. Name Badges & Guest Passes: Name badges are required for entrance into all conference events. Lost badges can be replaced at Registration for $20. Guest passes are available for all of our hospitality events and may be purchased at Registration. Photography, Video & Audio Recording: Personal digital cameras are permitted at PAE events, provided photography is not disruptive. For showcases and PD@PAE workshops, registrants may take photos from their seats, as long as they are silent, not obstructing views, and are not using a flash. No professional photography or videography is permitted at PAE without press credentials. (Photography policies from artists producing Independent Showcases may vary from the South Arts policy.) Your attendance indicates your consent to be photographed, video, or audio recorded by South Arts for publicity or educational purposes. Social Media: Photography and videography for social media purposes, such as Twitter, Instagram, and Facebook are encouraged provided that course or showcase material is not shared in full, and the artist or speaker is referenced. Social media using the hashtag #PAE2013 is encouraged. Refunds: South Arts refunds 50% of registration fees (exhibitor, presenter or supporter) through August 23, 2013. Juried Showcase fees, Booth Lottery fees, and Independent Showcase listing fees are non-refundable. Please refer to the policies at pae.southarts.org for more information. Standards of Behavior: PAE attendees are expected to be aware of and adhere to the NAPAMA Guidelines for Ethical Behavior (www.napama.org). Performances outside of showcase venues are not allowed. Conducting business without representation in the Marketplace is not allowed. Please bring infractions to the attention of Leland McKeithan, PAE Director. Vegetarian Meals: If you have requested vegetarian meals for the plated luncheon, you should receive a meal coupon with your name badge. Presenting 101: The Fundamentals of Presenting

What does it mean to be a good presenter? Presenting 101 answers that question and serves as an introduction for those new to the field or a refresher for those who wish to review and update their skills. This pre-conference workshop will cover the essential elements of programming and artistic planning, contracts and negotiations, production logistics, marketing and promotion. In one afternoon, you’ll get the broad overview of the work of presenting. Presenting 101 is a standardized professional development curriculum offered by the Network of Regional Performing Arts Conferences – the Performing Arts Exchange, Arts Midwest Conference and Western Arts Alliance Conference. Nashville is Music City USA, but did you know it’s also a great city for visual art? Enjoy a selection of Nashville’s public art collection while getting a behind-the-scenes look at the city from the comfort of a shuttle bus. We’ll stop along the way to interact with several pieces, such as innovative artist-designed bike racks, large-scale and award-winning sculptures by Alice Aycock and Lawrence Argent, art in transit, and more! If space is available, tickets ($25) may be purchased on-site at the PAE registration desk after 11:00 a.m. on Monday.

Mid Atlantic Arts Foundation Funding: Southern Exposure: Performing Arts of Latin America – Room 208 Join Mid Atlantic Arts Foundation (MAAF) to learn more about one of our national funding programs, Southern Exposure: Performing Arts of Latin America. Southern Exposure provides funding support to presenters across the United States who desire to bring exemplary contemporary and traditional performing artists from Latin America to their audiences and communities. After a two-year pilot and an extensive evaluation process, the program’s guidelines and online application have been revised and streamlined. Women of Color in the Arts – Room 110 Women of Color in the Arts (WOCA) is dedicated to promoting diversity in the performing arts field, by creating professional opportunities for arts administrators and providing a platform to give voice and visibility to women of color. WOCA welcomes administrators at all stages of their career in an effort to create a multidimensional network of professionals. By working to

“I Don’t Know if I Can Sell That” – Building Relationships to Put Great Performances in Front of Young People – Room 107

Do you see work you love and know would be wellreceived if you could just get the audience in the door? Do you create or represent work and are tired of hearing presenters say “I don’t know if I can sell that”? Getting around this obstacle requires a partnership among artists, agents and presenters, plus further relationships between presenters and communities to build an appetite for the work. Join us to discuss strategies to engage and build our young audiences. Faculty: Sherri Leathers, Simon Shaw, Paige Hernandez, Kyle Arnett

Engagement Strategy Through Social Media: Finding the Stories that Need Telling – Room 102

Implementing a proactive plan for audience engagement via social media is an essential part of any successful communications strategy. In this session we will identify the promises we’ve made to our audiences and learn how to form the essential engagement strategy to deliver on those promises. The new Return on Investment (ROI) will be a Realization of Influence. Influence is measured in actions - subscriptions, donations and other affirming actions. We’ll start the session with our own stories, the ones worth telling. Attendees will identify their audience types based on engagement rather than demographics and walk away with a tool to help identify the stories these audiences want to hear and to tell. Discounting Strategies That Influence Behavior and the Bottom Line – Room 104

Is your discount ticketing strategy training your patrons to wait for a deal? Are you using third party discount ticketing services in a way that will bring you future rewards and not eat into your bottom line? In this session, we will explore a variety of case studies and best practices for arts and cultural organizations interested in smart and effective discounting strategies. Faculty: Ron Evans

Moving your work beyond its local community and audience is both a creative and business prospect. This workshop demystifies the touring process and is designed to convey basic information for artists who are at a beginning point of touring regionally and nationally – beyond 100 miles from their home. The session will cover a variety of topics including using promotional tools effectively; learning how to cultivate relationships with prospective presenters and the benefits of building strategic partnerships; as well as what happens after an artist is booked, with a discussion on the responsibilities of the artist and presenter. Making Artistic ¢ents IV: Nuts and Bolts of Contracts and Riders – Room 104

Everyone in this industry deals with contracts and riders, some more complex than others. This session will examine best practices of agents, managers and presenters who use proprietary documents, and how these various viewpoints come together to form a final agreement between parties. We will examine several documents and gain insight as to how riders are constructed and conflicts are resolved. This will be a continuation of NAPAMA’s very popular and successful “Making Artistic Cents” workshops, a hands-on session dealing with everyday industry issues. Arts & Artists, Ideas & Education: A Roundtable with Paul Kwami & Barry Scott – Room 102

Music and heritage, current issues and powerful performances - these two Nashville leaders are engaging both public and educational audiences through a variety of innovative means. In this lively discussion, you’ll hear how the Fisk Jubilee Singers are combining intensive workshops with high schools and public performances that connect a wide range of participants to each other and a distinctive musical tradition. Right Sizing the Arts: Understanding the Human Dimensions of 21st Century Markets

For most of the past century, arts enterprises have pursued a strategy of growth. In this, the arts have embraced new technologies, diversified their missions, and responded to market demands. But today markets are no longer discrete segments defined by demographics and tastes. Instead, markets are conversations. New technologies have allowed people to connect through and communicate about the arts on a human scale where individuals seek authenticity and conversation above all else. The music industry has been on the front lines of this transformation with many older institutions and organizations struggling to stay relevant. Their stories will animate this opening plenary session of PAE which includes a Q&A with Dr. Tepper. Dr. Tepper is associate director of the Curb Center for Art, Enterprise, and Public Policy, and associate professor in the department of sociology at Vanderbilt University.

Hailed for its “precision, assertiveness and vigor” (The New York Times), the Amphion String Quartet is a winner of the 2011 Concert Artists Guild Victor Elmaleh Competition. The Mary Beth Treen Award is presented annually during the Performing Arts Exchange to a respected member of the performing arts presenting and touring community. Ivan has been a director at Pentacle since 1976 and is planning to retire this year. He conceived and directed many of Pentacle’s artist-centered mentoring programs. Annie Sellick and The Hot Club Of Nashville

Annie and the Hot Club in homage to the Hot Club genre (Django-Reinhardt gypsy-swing) bring fiery guitar and violin soloing on repertoire from the 1930s and 40’s. Hard-swinging singer Annie Sellick was voted Best Jazz Artist by readers of the Nashville Scene five years in a row, and performed with Tommy Emmanuel and Bela Fleck. The Hot Club of Nashville is lead by Britain-born Richard Smith and includes rhythm guitarist Pat Bergeson (expect Howard Levy-like harmonica solos too) who moved to Nashville at the request of Chet Atkins to record and join his band, where he remained several years.

Firefall
