CLUB WEBSITE Welcome to the Sportal Web Management System (SWMS). This manual provides detailed instructions on how to use the SWMS to manage your website. To begin managing the website, the first step is to login to the SWMS.
Logging In Enter the URL of the SWMS into the address field of your internet browser. 1. Enter your username and password 2. Select Submit
If you are unsure of the URL, your username or password, contact Sportal. The SWMS menu provides access to the various areas of the shop that you are able to manage.
CONTENT This section provides access to the creation, editing/updating, publishing and general management of different types of website content.
Advertising Sites in the NRL Club Website Network use the Advertisement functionality as follows: 1. The leaderboard ads appearing below the footer links are for paid advertising and these will be maintained by Sportal. 2. The island ads appearing within pages (right column) are for paid advertising and these will be maintained by Sportal. 3. Three ad positions in the masthead are controlled via keywords, two of which can be updated by clubs (the third is for NRL advertising/promotions). These can be used for internal or external advertising/promotions. 4. Several ad positions have been provided throughout each section of the site for internal or external non-paid advertising/promotions. Ads are generally displayed as a complete image however the SWMS also has the capacity to offer a 'promotion' version, which adds a linked heading and text under the image (if this content is added). Note that more than one ad can be allocated to the same predefined placement. Multiple ads will appear in rotation on each page view, based on the Display Ratios designated. Refer to the Appendix for a list of Advertising Keywords and their location on the website. Publishing Advertisements: 1. Select Content > select Advertisements 2. Click on Add New at the top of the screen to generate a new blank 'template' 3. Click on Add New at the bottom of the template screen to create that 'record' (Step 3. will save time by allowing you to add keywords and images in sequence) 4. Click on the key icon to open the Keyword selector pop-up; click on the website to be updated; tick the box next to the keyword(s) allocated to the predefined placement; click on Choose; click on Save. Refer to the Appendix for a list of Advertising Keywords. Tick this box if the advertisement is to be inserted into an article, otherwise leave blank. Enter a unique name to identify the ad in the SWMS. Enter the alternate text for the advertisement. This also appears on the website as the link in the 'promotion' version. Enter the web address that the advertisement will link to. This will link from the ad image and from the Title text in the 'promotion' version. Optional field. Make sure to include http:// at the start of the address. Not in use Enter the text to be displayed beneath the image in the 'promotion' version. For other ad types leave blank. Upload an image in jpg or gif format: Click Upload; click Browse to locate the image on your computer; highlight the image; click OK; click Upload. This refers to how often this advertisement should display in this position in relation to other ads assigned to the same position. It is a ratio, therefore if you have three ads to 'rotate' through the same

position you can assign them any numeric values: if they are identical (e.g. - 10, 10, 10 or 33, 33, 33) they will appear with equal frequency, once every third page impression each; if they are different, the ratio between the values will determine the frequency (e.g. - 10, 10, 20 would have the third ad appearing twice as often as each of the others). While it is not a percentage, it is easier to understand if you give a single ad a value of 100 and multiple ads proportional values such as 50 and 50 or 25, 25 and 50. NB: It must be a value of greater than 0 for the ad to appear. A flash file should be self-contained, that is it should include the URL (if there is one) for the users to be sent to when they click on the ad. The URL field does not work with a flash file. NB: Not everyone can see flash images in their browsers so always upload a corresponding gif or jpg file in the image field. Insert the width, in pixels, of the flash file Insert the height, in pixels, of the flash file Tick to display the advertisement on the website - therefore only tick this box when all other fields have been completed and the ad is ready to 'go live'. Tick this box to make the link open in a new browser window (should always be used for external links but not for links to other pages within the same website). This functionality has not been enabled
5. When you have finished creating or updating, click the Update & Return button
Article Articles are used in two ways: 1. As dynamic, regularly published content, such as news and match reports (activated and designated to particular pages via Keywords - see appendix for a list of keywords) 2. To update the content displaying in full on a single page (using Page Tags to connect the article with the corresponding page - see appendix for a list of 'default' page tags) Articles can consist of the following: Text Images Audio attachments Video attachments Document attachments Links to other articles Links to other web pages Creating and publishing dynamic content: Dynamic content includes news and match reports. These different categories are designated by the keyword allocated to the article. The home page displays the top 9 articles with the keywords Homepage Rotator or News.
A lead article (displaying in the main position of the news rotator with full-sized image and designated by the keyword ‘Homepage Rotator’) Articles appearing in 2nd, 3rd and 4th positions (displaying with thumbnail images in the news rotator and designated by the keyword ‘Homepage Rotator’) Articles in the More Headlines list (5 items and designated by the keyword ‘News’)
When multiple articles have been created and keyworded to appear on a page, they will be listed in date and time descending order, by default (most recent at the top of the list). Publishing Keyword Articles: 1. Select Content > select Article. 2. Click on Add New at the top of the screen to generate a new blank 'template'. 3. Click on Add New at the bottom of the template screen to create that 'record'. (Step 3. will save time by allowing you to add keywords and images in sequence) 4. Select the Keyword icon ; click on the website to be updated; tick the box next to the relevant keyword(s); click on Choose; click on Save. More than one keyword can be assigned to an article to display the article on multiple pages of the website. See Appendix for list of keywords Leave blank Refers to the date the article was entered into the SWMS. Select the Current Date and Time Icon to enter today’s date Enter the date and time the article is to appear on the website. This field is only required if you wish to 'embargo' an article – i.e. enter it into the SWMS but not have it appear on the site until a later time, the time entered here. Optional field Enter the date and time the article is to no longer appear on the website. This is useful for preview content and other articles which look out of date if displayed after an event. Optional field and if used the article will still be available in the SWMS but no longer visible on the website past the expiry date. Enter the article headline A sentence/paragraph of text that acts as a 'teaser' to give an indication of what the full article is about. Pull quotes generally appear on pages with links to multiple articles, such as archive pages. The amount of text should ideally be limited to 300 characters.

Once the image has been located select the Add button for this record. OR 2. Select New Image to upload an image that is not already in the SWMS. Select Add New. Select the Current Date & Time icon. Enter a unique name to identify the image in the SWMS. Enter a description of the image, which will appear as a 'caption' below the image within the article (optional) Select the Upload icon, click Browse to locate the image on your computer, highlight the image select OK then click Upload. 3. Select Done. 4. Once the image is attached to the article, you can create the image reference code by placing your cursor within the story field, clicking on the icon immediately above the story field, and then changing the x to the number corresponding with image. If the article is leading the site it must have an image with the correct dimensions (360x360) as the number 1 image.

Document
These are attached documents underneath an article with the heading ‘Related Documents’. There are two ways of uploading documents. 1. Select a document already in the SWMS via the Select Document Icon. Search for the document using the name field or the Prev/ Next icons in the right hand corner. Once the document has been located select the Add icon next to this record. OR 2. Select New Document to upload a document that is not already in the SWMS. Select Add New. Complete the New Document fields as described below. Document Date Name

Select the Current Date & Time icon. Enter a unique name to identify the document in the SWMS. This will appear on the website. Enter the size of the document file (you can determine this when you hover over the file once you have located it on your computer). Click upload, click Browse to locate the document on your computer, highlight the document select OK then click Upload.

This field displays links to other articles below the main story. NB: the article display page must be set up to display this information, if required Select the Select Article Icon.
Customlink Advertising Allow Comments Published Version This Version Version Comments
Search for the Article using the name field or the Prev/ Next icons in the right hand corner. Once the Article has been located select the Add icon for this record. Then select Done. Leave blank Leave blank Checking this box will allow users to add comments to an article (i.e. blog). The comments can then be reviewed through the SWMS (refer Comments section) for publishing to the site Refers to the version of this article that is currently displayed on the website. This will be blank if this is the initial article. Refers to the version of the article that is currently being edited. Enter any comments that may be relevant to the publishing of this article. This is an internal reference only and will not appear on the website.
5. When you are satisfied that the article is complete and ready to be published, select Update and then Publish. Publishing Page Tagged Articles: The standard article template can also be used to create and allow easy updating of 'static' content pages. Static content pages are those website pages that display core information and which generally remain unchanged for long periods of time. For example a Privacy Policy, seasonally-
updated information and background information about the club are typical 'static' content pages. This category includes any content other than regularly updated articles such as news, match reports, media releases, features, blogs, and so on. To update a page-tagged article follow the same steps as outlined in Publishing Keyword Articles. The only difference is that the Page Tag field is used to link the article with the page it is to appear on. Refer to the Appendix for a list of default page tags and their corresponding page location. You can find all of your page-tagged articles by selecting the Keyword icon immediately below the column heading Keyword and select the keyword ‘Pagetag’ for your site. This will return a list of only articles with that keyword. 1. 2. 3. 4.

Formatting Text Text within an article can be formatted with bolding, italics, underlining or headline-replicating HTML code. The formatting buttons appear above the pull quote and story fields when adding an article, and render the HTML code needed to create the corresponding font formatting. If you are preparing your text in Microsoft Word, as Sportal recommends, you may wish to type the necessary HTML code into the document prior to copying and pasting into the Story field of the article template. If you wish to add font formatting to content already in the Story field: 1. Select Content, select Articles 2. Locate the article to be formatted and select Upd on the left hand side of the article record. 3. Scroll down to the pull quote or story fields. 4. Place the cursor in the section of text where the formatting is to appear. 5. Click the Bold/Italic/Underline icon. 6. Insert the text to be formatted between the html tabs.

Adding images and links to an article Images and links can be inserted within the body of an article using the formatting icons that appear above the pull quote and story fields. If you wish to add an image within the Story field: 1. Select Content, select Articles 2. Locate the article to be formatted and select Upd on the left hand side of the article record. 3. Audio Audio may be published as individual items or attached to an article. The homepage of the Club website displays links to this content under the Audio- Video tab. Publishing Audio: 1. Comment The Comment admin section relates to the use of articles as Blogs and is where you can approve user comments submitted on Blog articles. Once approved and published these comments appear at the bottom of the Blog article. Approving and Publishing Comments: 1. Select Content > select Comment. 2. Click on Upd for a comment received. 3. Confirm comment submitted by user is appropriate for publishing on the website (All fields can be amended through the SWMS). 4. Select the Visible checkbox to approve. 5. Click on Update & Return to publish the comment.
Document Archive
The Document Archive is a collection of all documents loaded to the SWMS â&#x20AC;&#x201C; whether directly through this section of the admin or as an attachment to an article. Adding Documents: 1. Select Content > select Document Archive. 2. Click on Add New at the top of the screen to generate a new blank 'template'. 3. Click on Add New at the bottom of the template screen to create that 'record'. (Step 3. will save time by allowing you to add keywords and images in sequence) 4. Event & Event Type
Adding an Event Type: 1. Select Content, select Event Type. 2. Select Add New at the top of the screen. 3. Select Add New from below the displayed fields. Image Archive
The Image Archive is a collection of images loaded to the SWMS â&#x20AC;&#x201C; whether directly through this section of the admin or through another section, such as Article. Adding Images: 1. Click on Add New at the bottom of the template screen to create that 'record'. (Step 3. will save time by allowing you to add keywords and images in sequence) 4. Links to other websites of interest, for example, can be displayed in the Links section of the website. Adding Links: 1. Select Content > select Links. 2. Click on Add New at the top of the screen to generate a new blank 'template'. 3. Click on Add New at the bottom of the template screen to create that 'record'. Match Info Match Info is the additional information that displays with the draw/results – i.e. on the Next Match/Last Match element and on the Draw/Results page. This can include information relating to ticketing, transport, venues, audio, video, live scores, etc Publishing Match Info: 1. Select Content > select Match Info. 2. Click on Add New at the top of the screen to generate a new blank 'template'. 3. From the Championship-Match drop down select the match you wish to add information to – all details are added to the one Match Info record per match 4. Click on Add New at the bottom of the template screen to create that 'record'. (Step 4. will save time by allowing you to add audio/articles in sequence) 5. Complete the fields as described below: Pre-Match Info – this information appears on the Next Match element and/or Draw/Results page prior to a match being played Ticket URL Enter the web address of the Ticket link. This will display the ‘Ticket Link Text‘ as a clickable link Make sure to include http:// at the start of the address Ticket Link Text Link text to appear on element Ticket New Tick this box to make the link open in a new browser window (should Window always be used for external links but not for links to other pages within the same website) Transport URL Enter the web address of the Transport link. Photo Gallery & Photo Gallery Item Photo Galleries are collections of images that can be accessed via the home page of the Club website and/or via the menu. They appear in date order so the most recently added image will appear on the home page with subsequent images appearing on the main photo gallery page. Creating a Photo Gallery: 1. Select Content, select Photo Gallery. 2. Select Add New at the top of the screen. 3. Select Add New from below the displayed fields. (Step 3 will save time by allowing you to add keywords and images in sequence) 4. Complete the Photo Gallery fields as described below: Keyword
Click on the Keyword icon to open the Keyword selector pop-up; click on the website to be updated; tick the appropriate keyword to allocate to your site ; click on Choose; click on Save. Gallery Date Select the current date and time icon for today or enter another date and time. Gallery Name Enter a unique name to identify this gallery in the SWMS. Gallery Title Enter a gallery title to appear on the website. Description Enter a short description of the photo gallery. This will appear under the title on the website. Gallery Enter any copyright details to display under all images in the gallery Copyright (optional). Thumbnail Select the upload icon to attach a thumbnail image to be displayed with the gallery title and description. See Appendix for correct image dimensions. Select a gallery from the dropdown list to attach an image to. The photo gallery name entered in step 4 will appear in this list. Enter a name for the image this will appear on the website. Optional field Enter a description for the image this will appear on the website. Optional field Select the Upload icon to attach an image to this gallery. See Appendix for correct image dimensions. Enter the order in which you would like this image to appear in the gallery.

Poll & Poll Item Polls are designed to capture the audienceâ&#x20AC;&#x2122;s opinions and views on specific topics. The poll with the most recent date appears on the homepage as well as some of the internal pages of the website. Creating a Poll: 1. Select Content, select Poll. 2. Select the Website icon tick the relevant website check box. Enter the date the poll is created or select the Current Date and Time icon. Enter a unique name to identify the poll in the SWMS. Enter the poll question. Tick the checkbox to display the poll question on the website. Recommend not displaying until all poll answers are attached.
Select a poll question from the dropdown menu. The question entered under step 3 will appear in this list. Enter a single poll answer. Enter a number to indicate in what order this poll answer should be listed. This field will display the number of people who selected this poll answer.
Select Update & Return. Repeat steps 6,7 & 8 until all poll answers have been entered. To publish, reselect Poll. Click on the 'Upd' button alongside the poll question you have just created and added answer options to. 12. Tick the Visible checkbox. 13. Click on Update & Return.
Profile Profiles refer to detailed information about an individual â&#x20AC;&#x201C; player, coach, cheerleader or staff for example. Updating a Profile: 1. Select Content, select Profile 2. Select the Profile Type from the drop down, then select Next. 3. Select Update at the bottom of the screen. (Step 3 will save time by allowing you to add images in sequence) 4. Complete the fields with the appropriate information, select Update & Return Note: Only profiles with the Featured checkbox ticked will appear on the Home page. Blurb text appears on the home page beneath the player image. Description text appears in the Biography section of the player profile display page.

Publishing Screensavers: 1. Select Content, select Screensaver. 2. Select Add New at the top of the screen. 3. Select Add New from below the displayed fields. Select the Website icon tick the relevant website check box. Enter a unique name to identify the screensaver in the SWMS. Enter a short description of the screensaver. This will appear as the title on the website. Enter the order in which you would like this screensaver to appear on the website in relation to the other screensavers added to this section of the SWMS. A thumbnail is displayed next to the screensaver description text. To add a thumbnail, click Upload; click Browse to locate the image on your computer; highlight the image; click OK; click Upload. Refer to the appendix for the correct image dimensions. To add the PC version of the screensaver file, click Upload; click Browse to locate the file on your computer; highlight the file; click OK; click Upload. To add the MAC version of the screensaver file, click Upload; click Browse to locate the file on your computer; highlight the file; click OK; click Upload. Tick the checkbox to display the screensaver on the website.

Sponsor & Sponsor Type The sponsors section of the SWMS manages the images displayed on the Partners web page, and in the footer. To add a new sponsor to the sponsor page you need to select the keyword Directory and attach the full image. To have this sponsor appear in the footer you need to also select the keyword Sponsor Footer and attach a thumbnail image. Adding New Sponsors: 1. Select Content, select Sponsor 2. Select Add New from the top left hand corner of the screen. 3. Select Add New from below the displayed fields. (Step 3 will save time by allowing you to add keywords and images in sequence) 4. Click on the Keyword icon to open the Keyword selector pop-up; click on the website to be updated; tick the appropriate keyword to allocate to your site ; click on Choose; click on Save. Select the sponsor type from the dropdown list. Enter the sponsor name to appear on the website. Enter a description about the sponsor. This will appear next to the sponsor logo on the Sponsors/Partners page. Enter a number to indicate the order in which this Sponsor should be displayed (this will be the same on the Sponsors/Partners page and in the footer). Enter the web address of the sponsorâ&#x20AC;&#x2122;s website. Make sure to include http:// at the start of the address. To add the thumbnail image, click Upload; click Browse to locate the image on your computer; highlight the image; click OK; click Upload. (Refer to the appendix for the correct image dimensions) To add the main image, click Upload; click Browse to locate the image on your computer; highlight the image; click OK; click Upload. Video Video may be published as individual items or attached to an article. The homepage of the Club website displays links to this content under the Audio- Video tab. Publishing Video: 1. Select Content, select Video. 2. Click on Add New at the top of the screen to generate a new blank 'template' 3. Click on Add New at the bottom of the template screen to create that 'record' (Step 3. will save time by allowing you to add keywords and images in sequence) 4.
