Making IT Easier for Schools
Introduction Support Services for Education (SSE) and Somerset County Council (SCC) ICT Support Team are delighted to have been invited to tender for The Redstart Learning Partnership (TRLP) ICT Support Contract. The Redstart Learning Partnership are currently reviewing their existing ICT contract and have asked SSE to provide prices to support their IT needs. Currently, there are ten primary schools within the Trust all various sizes and building types. The schools within the Trust are as follows: Ashill Primary School, Buckland St. Mary C of E Primary School, Castle Primary School, Hatch Beauchamp Church of England Primary School, Holy Trinity Church of England Primary School, Minerva Primary School, Priorswood Primary School, The Redstart Primary School, Stockland C of E Primary School, and Winsham Primary School.
Scope of Requirements Each school will need to receive a scheduled onsite visit during term time (39 weeks) as follows. It is expected that these visits will follow a predictable pattern. Site

The Trust central team is predominantly based at The Redstart Primary School and any ICT support required for central team members is expected to be carried out when visiting the school. The onsite visits must cover all aspects of ICT and comprise of, but are not limited to the following: Dealing with problems and issues from the ICT fault log – problems can also be reported by phone and email between visits. Server health checks including local backups, updates, anti-virus etc. Computer / device health checks including updates, anti-virus etc. Creating new network, email, and other Trust system accounts, resetting passwords, and removing staff. Managing the Trust’s Google Workspace for Education system on a Trust and per school basis. Managing the internet filtering and firewalls in partnership with Smoothwall and RM. Checking internet logs and reporting these to nominated members of staff Liaising with Head Teacher and Office Staff on additional problems not in the ICT fault log and providing any advice as needed. Liaising with Teaching staff to check for other issues not noted in ICT fault log. Working with other suppliers of internet / network connected devices such as photocopiers, door entry systems, CCTV, and phones. Updating the schools ICT Hardware Asset Register. Any other IT related task that time allows for. All schools must also receive unlimited phone, email, and remote support outside of their regular ICT visits to include all aspects of ICT including issues with workstations, servers, password resets, account creations. Where remote support cannot fix the problem, an onsite visit will be arranged. Depending on the urgency this will either be part of the next scheduled visit or as an additional visit where a charge may be incurred.

We work closely with our supported schools to help them get the most from their IT, offering unbiased advice to enable schools to effectively supplement existing equipment and software with the right future technologies for both staff and students. We are a service-led and not profit driven team who always have a school’s best interests at the forefront of our delivery. Our Schools ICT Service work directly with schools and academies to provide a range of support services which are designed to match individual requirements and budgets. We can provide the following services: Commercial Services – Our account management and sales team have a wealth of IT knowledge and solutioning expertise to help you to make and implement the right choice with your IT equipment purchases every time. We can supply a variety of hardware products from desktop computers and laptops to the very latest in Interactive Boards and next level computer technologies and can provide you with access to our E-Portal website for live pricing and stock levels for a variety of IT products. Infrastructure Support – Your IT infrastructure is crucial to your school computers working effectively. We can manage your school network and provide support for the school server and local area network (LAN) to provide peace of mind that you will always be fully supported and where required we will replace the hardware like for like as part of this service in the event of a major failure. Online Data Backup – Backing up your school’s critical data is essential, and we can provide an online backup service to suit your data backup requirements, using UK data centres, ensuring all your critical data is backed up daily and held securely using the latest encryption to protect this. As part of this package, we provide file/folder restoration along with disaster recovery assistance. Onsite ICT Support – A dedicated and experienced ICT engineer will carry out onsite visits either on a regular or more customised basis to suit your school’s needs. As part of this service, we also provide remote support to you (where needed) to ensure your faults and requests are dealt with more efficiently and the impact of any IT issues are minimised.

Education Experience – Our Schools ICT team have a wealth of knowledge and expertise supporting ICT within Education, having managed the ICT Infrastructure for hundreds of schools across Somerset. Our engineers have exceptional knowledge and experience of a breadth of IT technology from iPads and Google Chromebooks to Projectors and Interactive Whiteboards. We can help support all your IT systems and leave you to concentrate on delivering education excellence. ICT Specialists – Our ICT department has several specialists who can assist you with any scale of IT project you may wish to undertake. We can provide the expert advice and support to help those projects run smoothly on time and on budget. Value Added Services – We are always looking at ways to provide value added services which matter to schools and integrating them into our existing service packages with no additional charge. For example, as part of the Infrastructure Support and Onsite Support packages we look to keep your School Server/s and all your Admin and Teacher computers up to date with the latest Microsoft Window and Office updates and patches through our central management system to ensure they all remain fully compliant and secure.

These times may change if required but will NOT exceed the total visit hours.

Costings Continued Checking internet logs and reporting these to nominated members of staff Liaising with Head Teacher and Office Staff on additional problems not in the ICT fault log and providing any advice as needed. Liaising with Teaching staff to check for other issues not noted in ICT fault log. Working with other suppliers of internet / network connected devices such as photocopiers, door entry systems, CCTV, and phones. Updating the schools ICT Hardware Asset Register. Any other IT related task that time allows for. Please note all schools will receive Unlimited Phone, Email and Remote Support outside of their regular ICT visits. However, if remote support is not compatible and an onsite visit is required then charges may apply subject to approval by both parties if you fall over your scheduled onsite hours that allocated month. Also, addition hours can be purchased on request if required.
The total cost for this service is £55,700 per annum. SSE do also offer a Three- year fixed contract rate, the cost for three years based on your current scope of requirements will be £152,100.00. So, a total saving of £15,000 across the three years (£5,000 per year). I appreciate that the partnership may prefer to initially start with one year contract moving to a Three-year contract term after the initially first 12 months.
