Functions Overview. The stock managment system provides several tabs with different functions that will be discussed in this user manual. 1. Product Database: enabling the logging of different products and their characteristics 2. Instore Sales: enabling the day to day logging of individual sales to track how individual items are performing 3. Stock and Sales Management: providing an overall detailed view of the sales that have occured, the stock in the warehouse, the damaged stock and the stock available for sale on the showroom floor
4. Warehouse Stock Management: providing an overview of the movement within the warehouse and the total stock allocated to customer sales 5. Showroom Movement: detailing the stock coming in, out and being sold from the showroom floor week on week 6. Damaged Stock: providing a detailed view of the stock that has been damaged from week to week 7. Stock Search: enabling the search of an individual product with detailed i n f o r m a t i o n o n i t ’s p r i c e , c o l o u r, m a terial and how many are left in the warehouse
Product Database. The product database is a system which allows each product to be logged according to their indivudal characteristics. Star t by selecting the Product Database tab at the bottom of the screen. Then each product will need to be manually logged according to their: category e.g. decoration or furniture; their sub-category e.g. living, dining, study; their sub-sub-category e.g. shelving, desks, sofas, tables; their product name, description and mater i a l , c o l o u r, c o u n t r y o f o r i g i n , t h e u n i t b u y, c o s t p r i c e a n d r e t a i l p r i c e . After this information has been entered by selecting the correct corresponding row and column and typing in the information, the product reference, budget and margin will be gene ra te d a u to m a t i c a l l y.
In Store Sales. The daily in store sales can then be l o g g e d u s i n g t h e I n S t o r e S a l e s Ta b . The month, week, date, product reference and the amount of units sold need to be manually entered in the columns A-E. This you into tion
is done by selecting the cell that would like to enter information followed by typing the informarequired with your keyboard.
After this the product name, retail price and total sales value will be automatically generated. However if the product has received a mark down, the new retail price can be entered manually in column G m a r k e d ‘ R e t a i l ’, t h i s w i l l a l l o w t h e t o tal sales to be calculated accurately in the case of industry or damaged product discounts.
Stock and Sales Managment. The stock and sales management tab allows a total in depth overview of the products and their characteristics in c o l u m n s A - P. A f t e r t h i s , i n c o l u m n s Q - W, a n i n depth look at the current stock levels of the warehouse, the display stock in the showroom, the damaged stock, the total stock sold, the sell through, c u m u l a t i v e s a l e s i n U S D, a n d t h e sales mix. Allowing for a detailed look at the current stock situation. In columns X and onwards, the spreasheet provides a detailed look by week and month at the opening dis
p l a y, w a r e h o u s e a n d d a m a g e d i t e m s , u n i t s a l e s , s a l e s i n U S D, t h e s a l e s m i x , t h e d i s p l a y, w a r e h o u s e a n d d a m ages items remaining at the end of the week, and the cover - or how many weeks that particular product is expected to last if we continue to sell at the given rate. NB: There is no manual input needed for the Stock and SalesManagement tab. All information will update automatically upon entrance in the Product Database, In Store Sales, Damaged Stock and Showroom Movement tabs.
Stock and Sales Managemgment.
Warehouse Stock Management. The warehouse stock management tab shows a detailed look at the stock that has been allocated to customer sales week on week. As per the tab Stock and Sales Management, the first columns from A-P include a detailed look at the product a n d i t ’s i n d i v i d u a l c h a ra c te r i s t i c s . Columns Q-U then provide a quick snapshot of what the current stock levels are in the warehouse, the stock that is currently damaged or in the
showroom, and how much stock in total has been allocated to customer sales. In columns V-AC, there is a week by week overview of the stock allocated to customer sales. NB: Like the Stock and Sales Management tab, this tab is automatically generated and does not need any manual input. It is solely to help to manage the stock movement in and out of the warehouse.
Showroom Movement. The showroom movement tab allows a detailed overview week on week of the stock on display in the showroom.
Of these four weekly columns, only the units in (units added) and units o u t n e e d to b e u p d a te d m a n u a l l y.
C o l u m n s A -T g i v e a n a u t o m a t i c a l ly updated, detailed overview of the current stock situation, much like the stock and sales management tabs, however from column U onwards, the spreasheet gives a detailed look into the movement of the stock on display in the showroom.
This can be done by clicking on the cell that corresponds to the row of the product (see column E for product references to be sure) and the column of the corresponding week and month that you would like to add or remove the product and then typing the number of units you are adding or removing from the showroom.
Each week, separated into four columns, can be found the opening units for that week; the display units in or the display units added; the display units out, or the units that were sent back to the warehouse and the unit sales of the showroom display stock for that week.
NB: No unit sales of floor stock need to be manually entered. These will automatically appear once all the stock in the warehouse has been sold.
Damaged Stock.
The damaged stock tab allows for the management of the stock that has been damaged. The use of this tab is much the same as that of the showroom management tab, through adding the number of u n i t s “ i n ” o r “o u t ” i n t h e c o r re s p o n d ing cell, (week by column, row by reference). This will then automatically update the rest of the pages with the amount of damaged stock currently in the business. NB: Damaged stock only need be transferred out on notification from head office, after the goods have been claimed on insurance (usually once every six months). Please also note that none of the other columns need to have any values entered manu a l l y, a n d w i l l u p d a t e a u t o m a t i c a l l y, depending on the other tabs and the values entered in the weekly ‘in’ and ‘out’ columns.
Stock Search. This tab provides the function search stock by reference.

Information will then be displayed on the product reference, name, des c ro p t i o n , c o l o u r, m a te r i a l , p r i c e a n d current stock level available in the warehouse.
