ART REQUIREMENTS
Variable Data printing using barcodes or numbering are just a couple of the options available for use on our Poly Laminate loyalty key tags.
Variable Data is information that changes, or varies, on each unit of a production run. Variable Data encompasses graphics such as text and numbers, images, barcoding or a combination of them all.
Variable data personalization creates a more targeted tool for advertising…think ‘rifle shot’ and not ‘shotgun’ approach…providing the best possible return on your marketing investment.
VDP or variable data printing is a digital, 4-Color Process imprint method utilizing the latest software and digital print presses.
Product Materials
Quikey manufactures a variety of products that are Variable Data friendly. Most products listed in this catalog as digital 4-Color Process printed can be Variable Data printed.

Variable print changes on Quikey event badges can personalize the badge to the recipient with text or numbering and provide group segmentation (staff, security, exhibitor, attendee or VIP) using varied graphic and color schemes.
Variable Data print on Quikey bag tags may incorporate changes to logos, text or numbering on each tag, or set of tags used for corporate, educational or personal travel events.
The first thing that is needed are the art files, preferably Adobe Illustrator or Acrobat, that will be used for the final piece and an example of how you want the final pieces to look. Variable text cannot be reduced or enlarged per entry. So set up the text using the longest variable piece of text in each place it is used. This allows us to make sure the variable text fits in the allotted area. If the text is too long to fit in the area it may be split into two lines, hypenated or dropped completely. It is entirely possible to let longer lines be split into multiple lines but there must be room in the layout to account for the extra lines. Also, variable text cannot change position, formatting or color. If there is an image variable such as a photo or the background changes that will need to be shown/called out on the art file. Letting us know the specific font(s) requested and sizing is helpful as well. If your variable data job contains a variable image, such as a background change or a photo, contact the factory for more detailed instructions.
The second thing needed is an Excel list saved in CSV format. The list should be set up with each variable as a column header, then the variables on down the list (see example). Set the entries in the case you would like the final pieces to be (UPPERCASE, lowercase, Title Case etc.). If you’re opting for special packaging, like in a specific order, the list needs to be in the order requested. If your variable data is consecutive numbers and/or barcodes there is no need to send a list. Give us the range of numbers you’ll need and the barcode format and we’ll set up the list. The most commonly used barcode format for variable data is Code 39.

Simple variable data is defined as variable data on only one side of a product, all text variables the same size, color, format and location, any image variables are readily defined and sized correctly and the list is properly formatted. Complex variable data could have variables on both sides of a product, or have text variables change size, color, format or location and involve special packaging, etc.

Quikey’s 4-Color Process (CMYK) digital printing produces full-color graphics on multiple material platforms. While this method does not allow for exact PMS spot color matches, Quikey will simulate all PMS requests as closely as the process allows. Purchase Orders for the following One or Spot Color imprinted products must include a PMS spot color reference for the order process to commence - One Color Business Card and One Color Calendar Magnet. For these products, please select from the spot-color simulations below.
NOTE: Stock spot-color simulations shown at right may also be requested for use on any digital 4-color process printed item in this catalog. Actual color values may differ slightly from those shown here, depending on product material chosen.

• Clip Position – On key tags, the hole for the clip can interfere with important text or graphics. When creating art for key tags, take note of the clip position on the actual piece and account for the hole in the layout. This also applies to luggage tag straps and any hole punches.
• CMYK vs RGB – Monitors use the light spectrum to create Red Green Blue (RGB) color. Qukey’s 4-color process printing uses Cyan, Magenta, Yellow and Black (CMYK) inks to create color. This color difference will often cause a visual difference between the monitor and what is actually printed. Convert all RGB artwork and images to CMYK to help lessen these color differences. You may need to make changes to the artwork after this conversion. Monitor calibration will also affect the appearance of colors.
• CMYK vs Spot Color (PMS) – Artwork sent in CMYK cannot be color matched. Every printer will interpret and print CMYK colors differently. If color matching is required, set up the art in spot color using the Pantone Matching System (PMS), and use the C (Coated) version of PMS colors. Note: Color match charges may apply.
• Copyright & Permissions – Using artwork and/or photos that you do not own the copyright to, or have permission from the copyright holder to use, is copyright infringement. Be sure you have the rights and/or permission to use all artwork and images in your art files.
• Flatten Transparencies – Postscript printers cannot always interpret transparencies causing them to print incorrectly. Drop shadows, clear areas in placed images and any change in opacity are read as transparencies by the printer. Flattening all transparencies will ensure proper printing.
• Fonts – Convert all text to “paths”, “curves”, “outlines” or “box” which makes them vector art. Or send the font files, making sure to include both screen and printer files.
• Halftones – Quikey’s screen printing process will only allow for a halftone range from 35% to 65%. Any halftone below 35% will burn out of the screen and not print and any halftone above 65% will fill in and print solid. Keep this in mind when designing for our screen printed products. The 4-color printing process is much more forgiving and will hold most halftones, but a recommended range is between 10%-90%.
• Imprint Placement – Keep all important print information 1/8” from edge of item. If imprint allows for bleed, continue art 1/8” past the edge.
• Overprinting & Trapping – Quikey will set all overprinting and trapping when necessary. Please turn off all overprinting in any art files sent to us, otherwise your final product may not print properly.
• QR Codes – Quikey can print QR codes on any product in our assortment. The minimum recommended sizing for a QR code is .75” on spot color printed items and .5” on digital printed items.
• Support Files – Be sure to include all support files for the job, including any linked artwork, images or fonts.
• Type Sizes – Minimum type size using a sans serif font is 6 pt. Minimum type size using a serif font is 8 pt. Thin type may break up when printing at smaller sizes, or in reverse print. Use bold, block type whenever possible for best appearance.

Adjustments: Please review your order upon receipt. If an error is found, please send a sample of the defective merchandise with your written request for return or adjustment. Unauthorized returns will be refused. Claims must be requested within 120 days of ship date or an adjustment may not be honored.
Change of Copy: Applies to orders that have multiple copies. Unless specified on product page:
• All 4-Color Process printed products are $26.25(G) per change, and minimum quantity increments per copy apply.
• All Sof-Touch® Original (soft vinyl – spot color print) products are $15(G) per change, and minimum quantity increments per copy apply. Limit of one imprint color change per copy.
Change of Ink: Available for one color imprints only. Must be on the same order (i.e. black on 250 yellow pieces and white on 250 red pieces) - $10.25(G). Minimum per change of ink is 250 pieces. Note: There is no charge for different color inks used on front and back (i.e. black ink on front and red ink on back).
Change of Product Color: Within the same order, and product minimums apply, changes of product color are available in increments of 100 pieces per color. Must specify product colors desired. Must specify one imprint color only for all product colors.
Co-Op, Program, and Large Quantity Pricing: Contact factory for all program options and quote requests. Free spec samples available.
Distributor Self-Promotion: Most products available at special pricing for this purpose. Contact factory for more details.
Less Than Minimum Quantity: Unless otherwise specified on product page, NO less than minimum option for New Custom Shapes and all 4-Color Process printed products. LTM available only for one color imprint orders on Sof-Touch® Original (soft vinyl – spot color print) products. One side imprints – Add $40(G). Two side imprints – Add $52.50(G). Minimum 150 pieces for Sof-Touch® Original products.
Magnetic Strength: A magnet’s holding power depends on thickness (Mil), size and magnetic charge. We offer three magnet thicknesses, many sizes and the highest quality materials available. Each thickness includes a white laminated surface.
• 30 Mil - Strong enough as 2 x 3” note holder size.
• 20 Mil - Acceptable as note holder 8 sq. inch size.
Material Color Options: For Sof-Touch® Original products only. Available stock product colors are listed on each page where they apply. Select additional colors are available at higher quantities and custom product colors are available at 10,000 piece minimums.
Order Cancellation/Correction: Factory reserves the right to invoice for any incurred cost at time of cancellation and/or correction to order.
Order Confirmations: Factory is not responsible for duplicate orders if confirmation purchase order is not marked as “DO NOT DUPLICATE”.
Order Overruns/Underruns:
Quikey reserves the right to ship and bill up to 5% over and under quantity ordered. All requested quantities will be produced as closely as possible.
• Exact Quantity requests on purchase orders – Add $26.25(G) for all Sof-Touch® Original products with spot color imprinting, and $49(G) for all 4-Color Process printed products.
• Order Overruns for Distributor Distributor overruns requested on purchase orders are subject to the following charges:
• Quantity 5 or less – No Charge and includes US Mail delivery.
• Quantities over 5 pieces – Shipping account number must be provided on PO for UPS or FedEx shipping.
Price Adjustments - 2025 Catalog: While 2025 catalog prices are intended to remain in effect thru 12.31.25, Quikey reserves the right to change prices at any time based on unexpected and substantial changes in raw material and operating costs.

Production Order Proof Options: Require a purchase order to be placed before a proof can be produced. If no PO exists, you may order a spec sample. Production Order Proofs are available in the following formats:
Note: Artwork changes to proofs will be subject to artwork charges of $77.50(G) per hour and a minimum charge of $38.75(G) will apply.
• Email Color Proofs - $7.25(G). For all products.
• Product Proofs - Include a pre-production sample of the actual product. Custom shape product proofs will include a printed die line. Note: One ground service delivery location is included in proof charge. Additional proof shipments, via ground service, are billed at $14.50(G).
• Sof-Touch®Original Products - $26.25(G) per color.
•All Other Products - $40(G) each.
Production Order Proof Revisions: If original art instructions were followed and a proof revision is requested, additional incurred costs will be charged.
Unless otherwise noted, the following production time guidelines will apply.
• Working Days* start the day after receipt of complete purchase order and useable artworksee ARTWORK REQUIREMENTS on page 74 and PURCHASE ORDER REQUIREMENTS on page ii.
• Orders Received after 5 PM E.S.T. will not be considered as “received” until the following working day.
• In-Hands Date information must be specified on purchase order and supported by expedited production and shipment instructions.
9 DAY* STANDARD SERVICE
• 9 Working Day clock begins the day after purchase order is received at factory and only if all PURCHASE ORDER REQUIREMENTS have been met.
• Orders that do not meet all purchase order requirements will not be placed on a production schedule until those P.O. requirements are met.
• Email Proofs will extend production schedule by 2 working days. Prompt approval is required to maintain scheduled ship date.
• Standard service time will be extended by order or artwork changes, proof response delays or credit issues.
• Applicable ONLY for catalog quantity orders and stock shape products.
• Orders for New Custom Shape products will ship 9 - Working Days after final product proof approval.
5 DAY* RUSH SERVICE
• Orders of 2,500 pieces or more subject to quote.
• Add $70(K) for quantities of 1,000 pieces or less.
• Add $.07(K) per piece for orders of 1,000 - 2,500.
• Not available for New Custom Shapes or Variable Data applications.

Ring Attachments: Quikey offers two split ring options for key tag products. Sizes are approximate.
• Standard Split Ring – Silver tone 28mm outside diameter split ring. Default ring for all soft vinyl key tags.
• Small Split Ring – Silver tone 24mm outside diameter split ring. Available as a substitute for Standard split ring for an additional $.05(G) per piece.
Spec Samples: Available on most products for a nominal charge and free for co-op and catalog programs. Call for more information.
Sports Schedule Layout Charges:
(Not included in product price and sports schedules can be added to any product.) All products with a sports schedule, excluding the products featured on page 64, will require a sports schedule charge of $33 (G) for typesetting up to 25 games, anything over 25 games will require a $1.40 (G) per line typesetting charge.
Trademark Usage: Products and logos shown in this catalog appear only to illustrate the basic product and ability to include messages and art on them, but are never intended to suggest that the imprints were designed by this company, or that the products with these specific imprints are readily available to any purchaser without the expressed written permission of the owners of the trademark or copyrighted art or copy.
All copy and material submitted by the customer for use by Quikey in producing the items ordered will be accepted by us as being submitted in full compliance with all applicable laws regarding copyright, patent, right of privacy, service mark and trademark, or like protection.
Write-On Panels: Stock second side “write-on” panels are no charge (included in the product pricing) on most bag tag products. And they are available on most other products, charged as an additional color or second side run charge, in most cases. For best results, we recommend using FINE POINT PERMANENT MARKERS for all writing on these panels.
• For Soft Vinyl - Spot Color print products, stock write-on panel colors are gray on white material, and white on all colored material. Custom colors available - contact factory.
• For Full Color print products, stock write-on panel graphics follow the above guidelines, unless otherwise specified on order or designated in artwork. Full color print bag tags include second side write-on panels and may be configured within a custom art layout for the space on second side of the bag tag. Contact factory with any questions.
Drop Shipments: If order calls for shipments to more than one address, add $9.25(K) for each additional “ship to” location. Product minimum quantities apply for each drop ship location. Additional charges apply for less than minimum quantities – must contact factory for a quote.

International Shipping: Shipping account number and carrier must be provided for freight and customs charges on all international shipments. For orders shipping to Canada, Quikey can ship via UPS and invoice for those transportation charges, however, all brokerage, duties and taxes will be charged to the receiver, by UPS.
Shipping Weights: Shipping Weights vary by product and quantity selected. Please contact factory for shipping weight quotes.
Split Shipment Dates: If order calls for more than one shipping date, add $34.25K) for each additional date. The entire order must be completed within six months. Minimum quantities apply to each split shipment based on product and imprint minimums.
