Hello.

Letter From Leadership Over the past few weeks, we have seen new research, documents and reports come out from nearly every major brokerage, architecture firm + furniture manufacturer on how to respond to our ongoing pandemic. However, I feel that most of them are missing one key dynamic. Empathy.

During this time, I have been able to gain a unique perspective on how our current challenges affect

Ultimately it boils down to how can we make the office the second safest place. Like all of our homes, not everything is perfect. But the cumulation of protcols, physical and technological changes and working together. We believe we can return to a

Facing The Facts

Plan Overview Strategically the demographic and geographic landscape of our organization’s operations provided some unique challenges as we began assembling a plan to re-open our office. Note that we have been careful to not refer to this plan as a ‘return to work’ as our employees have been successfully operating remotely for several weeks and the reopening would not include all employees’ return to the office. With six offices spanning from Fresno to Newport Beach, each county has put into place different protocols and community requirements for both business operations and personal interactions. Our 350+ employees range from field installers and drivers, warehouse workers, project managers, designers, customer service representatives, salespeople and the various additional forms of administrative workers. Each brings different needs and requirements for our showrooms. For example, a warehouse worker cannot perform their duties without coming to a physical location, while a designer functions more efficiently at their workstation due to dual monitors and faster network access points.

The first step we took was the implementation of a tiered employee system which helped us gauge how often an employee needs to be on-site. Tier 1 being 100% of the time, Tier 4 being 0-5%. Next, we surveyed our employees to better understand their current physical and emotional state and how working from home was going. What we found was very encouraging. While most employees were cautiously excited about returning to the office, the majority had found ways to operate successfully at home and felt that they could maintain their cadence for a while longer.

Plan Overview Next, we began to study our employees’ behaviors when using our spaces. Which entrances were used most? Which areas would pose the greatest challenge in adhering to our new social distancing guidelines? As part of our new partnership with Servpro, we were able to have our headquarters professionally sanitized and tested, which exposed some interesting findings. While we expected to have high bacteria levels in our work café and restrooms, our copy/print room actually posed the greatest threat as it was self-contained and had minimal air turnover. While many of our workstations already allowed for six feet of separation, some of our benches dedicated to more nomadic workers (project managers + salespeople) were spaced too close together to comply. Additionally, we would need to modify our traditional walking paths around

Finally, and probably most importantly, it came down to trusting our employees to display empathy and compassion for their fellow co-workers during this time of uncertainty. No matter how many signs, protocols and checkpoints we could install, if we didn’t trust our employees to protect one another, none of this would work. That is when we started to adopt the phrase second safest place. Your workplace is your home away from home — our culture has always felt like a family and we’ve worked hard to create that. It is time for us to trust that they will do the necessary things to keep us all safe.

the office to keep our distancing consistent. This standard of empathy also needed to be shown Due to the nature of our business, our spaces see a high level of personnel turnover over the course of the day as employees go to meetings offsite or host guests and vendors on-site. While the variability and accuracy of thermal checkpoints and symptom surveys is still hotly debated, we knew it was important to establish entrance and exit guidelines to ensure our ability to maintain office wellbeing and morale, as well as develop a system for contact tracing and protocols if someone was confirmed to have contracted the virus.

by all our managers as they worked with their staffs to create a plan moving forward. External challenges like childcare or family members with compromised immune systems needed to be handled with special care. While we want people to come back and work together once again, forcing or having employees take unnecessary risks during this time is not wise. Without establishing companywide standards, we worked on an individual level to make sure our people were well taken care of.

Our plan is built to be fluid. We know that as things progress and change, we will need to adapt. Our organization assembled a group of strategic leaders to monitor, collaborate and debate these challenges to help our organization move forward.

Workplace COVID-19 Protocol

On-site Employee General Protocol Tangram is taking a proactive approach to prevent the spread of COVID-19 in the workplace and to protect our clients’ employees, our employees and their families against this virus. Since the situation is changing constantly, Tangram strongly urges that you and your employees go to the Federal Government websites for the most up-todate information. The Tangram Safety Team is also monitoring these websites on a daily basis to re-evaluate and update this document if necessary. The following websites are considered the most up-to-date and relevant for accurate and current information relating to COVID-19. www.coronavirus.com www.cdc.gov

PPE (Personal Protective Equipment) Good hygiene practices (especially regular hand washing) are the most important habits for minimizing exposure to the virus and Tangram has communicated to its employees the recommended personal protective equipment (PPE) to include (but not limited to) the following items:

Hand Sanitizer

Disinfecting Wipes + Gel

For use when proper handwashing facilities are not available. Sanitizer has been selected for its effectiveness against a broad range of viruses, including influenza, Hepatitis A, B, and C, and other viruses and bacteria.

Used to disinfect surfaces you may touch when gloves are not available (pens, handrails, telephone handsets, etc.). It must be used so that the surface remains wet for a minimum of 60 seconds and not wiped dry.

Social Distancing

Face Masks

All Tangram employees must adhere to all “social distancing policies as issued by local and federal authorities. As part of social distancing, employees should maintain at least 6 feet of distance between themselves and coworkers and anyone in the workspace. If occupying a workstation on a bench, employees will be required to leave every other space empty. Employees will also be asked to refrain from cutting through workstations when traveling around the office and only use the designated walkways.

Fabric masks will be required in all common areas. Employees will be able to remove masks once established at a workstation. However, if employees are to get up for any reason, a mask must be reapplied.

Hygiene 1. Any employee found with a cough or fever will be sent home and not allowed to enter any facility of Tangram or any client supplier/warehouse or company vehicle. 2. Tangram will provide a place for all employees to wash their hands. Where this is not possible, an alcohol-based hand sanitizer that contains a minimum of 60% alcohol will be provided. 3. We will actively discourage workers from using other workers’ tools, phones, or other work equipment.

4. Tangram does not want workers to shake hands or engage in any unnecessary physical contact of any kind. 5. If employees have allergies / common colds, these individuals are expected to sneeze and cough into a cloth, tissue, or into their elbow and wash hands on a frequent basis. 6. We have instructed our employees to not share lunches or any utensils and there will be no shared food in common areas.

Workplace COVID-19 Protocol

Symptomatic Only A symptom check shall be self-conducted by each employee or guest entering a Tangram office location. If employees or guests leave during the day, the individuals shall be re-screened prior to re-entry into the workplace. These symptoms checks are not a medical screening but a best practice recommendation from the CDC and OSHA and comply with the Shelter in Place Order dated March 31st, 2020, and associated directives. All individuals entering a Tangram office location will be required to wearing a mask and will keep it on during their duration in the office space. If an individual does not have a mask, one will be available at the entrance.

Symptom checks are to include the following: •

Persistent coughing

Difficulty breathing or shortness of breath

• • •

Fever: 38C or 100.4F or higher Sore throat

Loss of sense of smell and / or taste

Two-Step Process Symptom check process at office points of entry: Employees + Guests • •

Complete symptom survey

Self-administer temperature check

*Non-Exempt (hourly) employees temp testing is “on company time,” therefore, testing time is reflected on the Non-Exempt employee’s timesheet.

Positive Symptoms If any of the above symptoms are positive, the individual will not be permitted past the lobby area and will be asked to distance themselves at least 6 feet from all high traffic areas in the lobby.

The individual will be asked a few questions by a Human Resources Representative to further understand the nature of these symptoms and secure contact tracing information from the individual. The questions will comply with the latest guidance from the EEOC (EEOC-NVTA-2009-3).

After the interview with the HR Rep, the individual will be instructed to leave the workplace and advised to seek medical evaluation from a health provider.

Any individual that has experienced any of the conditions below will be required to provide a medical release and return to work authorization from a medical professional before they are allowed to return to the office location if diagnosed with COVID-19, the flu, or other highly contagious illness.

Concerning people that are ill for a reason not related to COVID-19 or the flu, they will not be allowed on-site until all symptoms have subsided, including being fever-free for 72 hours without the use of medication and supplying a return to work document from a medical provider.

Human Resources Actions •

HR to advise employee of Emergency-PSL benefits

HR to update employee’s manager of symptom check results and actions taken.

Employee’s manager to discuss work-from-home opportunities

Perception vs Reality

Workspace Transformation While planning for our return to the office, we based our decisions on three foundational questions. 1. Is the office safe to return to work? 2. What’s the safest way to reconfigure the office? 3. How do we prepare for now with the future in mind?

To answer question #1, we first have to define safety. Is safety a perception or is it a reality? Through the process of solidifying protocols, we’ve come to the realization that it is equal parts perception and practice. Our goal is that through a combination of the two, there is an

That leaves us with the big question of how do we prepare for now with the future in mind? When it comes to our organization, we are defining the measures put into place as temporary to allow a natural return to our original open and collaborative culture, behavior and

improved outcome over if we were to do nothing.

environment when it’s safe to do so.

That being said, what’s the safest way to reconfigure

That being said, employee feedback has never been more valuable than now, because by generating feedback, you create engagement. If you have people who are fearful, disengaged or have unresolved feelings over how they’re being asked to go back to work, they are not going to be productive. While you likely can’t act on every piece of feedback provided, it shows concern and empathy that you are listening.

the office? Simply put, distance matters. With six feet deemed as the minimum distance acceptable between people, we’re taking measures in all five of our offices to ensure that, from decreasing chairs around tables to moving meetings to partially virtual to adding screens and dividers at workstations. This is where perception and best practice really intersect again. While these measures ideally prevent the spread of virus, it is impossible to 100% prove the effectiveness at this point. Yet, things like the above give peace of mind, and the best work happens when people aren’t distracted by concerns for their wellbeing.

Technology Changes

Workspace Transformation There were three major projects to tackle as we looked at the physical technology stack in our offices to ensure the safety and productivity of our employees.

01

New ID Badge, Thermal Check + COVID-19 Survey System

a. Needed at every entrance and exit. We have partnered with CheckMarket, Aurora Multimedia + Easy Clocking to develop a system that allows an employee to enter a building using their ID badge which triggers a survey sent to their mobile device automatically. This then requires them to answer a few questions and take their temperature before gaining access to the rest of the building. If an employee or guest fails the check-in, our HR team is immediately notified via email + text and our symptoms protocols begin. b. While there is speculation on the reliability of thermal cameras to detect fever, we felt that deploying the Tauri systems was a more sanitary way of detecting temperature symptoms than having employees undergo self-checks with handheld devices. The check-in/check-out functionality also provides us with an up-to-the-minute contact tracing database that allows us to communicate using multiple platforms if a site were to become contaminated.

02

Workplace Occupancy + Reservation Systems

a. While we have been actively utilizing Steelcase’s Workplace Analytics platform to track collaborative space usage, we needed to expand that offering to allow our employees to quickly see how many people were currently in the space and where they could comfortably work while maintaining social distancing. As an organization, we also needed to understand the daily usage of each of the spaces to ensure that we were providing the right level of cleaning and sanitization.

tangraminteriors.com

03

Increased Accessibility to Video Conferencing

a. As we have all experienced with the safer at home orders, we are using video conferencing more and more to communicate with our coworkers and clients. As we anticipated, that that will remain somewhat constant for the foreseeable future, so we needed to make sure that our current conferencing systems were compatible to the new Microsoft Teams + Zoom platforms. We also needed to introduce more mobile and light scale options for office workers to connect with remote employees.

Tangram Service Offering

Move + Asset Management Whether you require a simple box move, a phased relocation involving hundreds of employees, or a sophisticated asset management program. We can do it. Our Move + Asset Management divisions take pride in providing the highest quality office relocation and storage services to commercial, hospitality, medical and technical industries. Move Management

Asset Management

Moving from one location to another can be very stressful with the interruption of work that packing and moving entails. However, with a Tangram project manager onsite to oversee the planning and implementation of your move, you can rest assured that your move will be easier than ever before. To prepare for the day of the move, our Move Team begins the seamless task of carefully boxing, labeling and identifying items to move in sequential order for each employee, so they minimally impact productivity. Due to our precise advanced planning process, Tangram clients rarely experience ‘surprises’ on the day of their move. Once

Tangram is located in the city of Santa Fe Springs (for our operations, this is a perfect central point at the LA/OC County Line) and has a fully-manned 210,000 square foot warehouse and headquarters building. We currently maintain over 675,000 cu/ft of bar coded asset management for over 100 clients. The inventory we keep is primarily furniture, though many clients store non-furniture goods and equipment’s with us as well. The backbone of our Asset Management program is a proprietary software called SnapTracker. SnapTracker is a multi-functional, web-based database tool, and it allows our asset managers to manage and maximize our clients’ inventory. Importantly, we can utilize SnapTracker for inventory in Tangram’s warehouse as

well as in other locations. If you wished to bar-code the entirety of your furniture assets after installation, our system can provide a comprehensive database by location.

Steelcase Workplace Advisor

Creating a More HandsFree Workplace How a suite of data-driven tools can help make the post-COVID workplace safer.

Let’s face it. Our hands are germ-spreading machines. We’ve heard over and over again since the onset of the coronavirus that the best way to stop the transmission is to wash our hands. We’ve been told to stop touching our face and avoid shaking hands. So, as some organizations begin to return to the workplace, there’s a logical focus on changing behaviors to avoid unnecessary contact. The good news is — technology already exists to create a more hands-free workplace.

The good news is — technology already exists to create a more hands-free workplace. Careful and responsible choices about returning to the office make employee safety paramount. People need to be safe and feel safe. That means not only putting infection control measures in place, but also reinforcing new protocols and processes with better tools and persistent visual cues. These are areas where technology is already ahead of us. Here’s how:

Touchless Reservations Reserving a space in the office can mean walking around until you find what’s available and then touching an on-demand device to secure the room’s use. There’s two problems with this in a post-COVID world. We no longer want to be wandering around aimlessly searching for space and passing lots of other people while we do it, and we don’t want to touch devices others have used unless they’ve been cleaned first. Engineers and designers were thinking about ease of use when they designed Auto Book and Auto Release. These features integrate Workplace Advisor Subscription sensor data with RoomWizard, a room reservation system. Now, Auto Book and Auto Release are in place to add more safety to the office environment by automating the booking experience when someone walks into a space or doesn’t show up at all. The room knows when it’s occupied and when it’s empty and can automatically book the space or release it without anyone having to touch a thing. critical meeting information that’s easy to read at a distance. Clear, simplified digital signage can help avoid unnecessary hovering outside of a room and prevent people from having to traipse across the office floor just to see how long a space will be in use. In addition, these visual reinforcements can help accelerate behavior changes. For example, use RoomWizard to book spaces twice a day for cleaning and reinforce the need to clean between uses.

Book Space With Your Phone

Workplace Advisor Subscription sensors know if someone has entered a room and can automatically book it through the calendering system which triggers the RoomWizard lights to turn red and display the new reservation. Reversely, if no one shows up to a scheduled meeting, it can automatically release the space.

Visible From a Distance Many organizations are considering adopting new circulation patterns upon a return to the workplace. They’ll be asking people to walk their space in one direction to avoid bumping into others and eliminate close encounters in hallways. So while it used to simply be an annoyance when room signage was hard-to-see, now being able to see at a distance if a room is occupied can help create a safer environment. Designers who created the recentlyreleased next generation RoomWizard equipped its digital signage with a bold interface that displays For more information, https://www.steelcase.com/products/scheduling-systems/ roomwizard/

Before the coronavirus, most of us didn’t think twice about using the on-demand reservation feature on our room reservation system. But now, touching a device so many others have touched doesn’t sound very appealing. No need to worry — there’s an app for that. Steelcase Find connects to Workplace Advisor and Microsoft Office 365 to let employees use their smartphone to select space requirements, see what’s available, reserve a room and share it with colleagues. Those reservations are reflected in Office 365 and on RoomWizard digital displays. For more information, https://www.steelcase.com/products/scheduling-systems/ steelcase-find/

Visual Cues About Density Many organizations are planning a phased approach as they seek to return people safely to the workplace. They may start with 50% occupancy and increase that over time. Yet, regardless of how many people are in the office, there’s a tremendous benefit to understanding which areas are “hot spots” for activity and helping people find less-populated spaces to work each day. Steelcase Live Map lets people easily check a userfriendly display as soon as they enter the office. Like the Find app, it pulls scheduling data from Microsoft Office 365 and occupancy data from Workplace Advisor sensors to show real-time availability of rooms, desks and workspaces. Employees can see density at-a-glance and head to a space that’s occupied by fewer people. For more information, https://www.steelcase.com/products/scheduling-systems/ steelcase-live-map/
