Facing The Facts
Plan Overview Strategically the demographic and geographic landscape of our organization’s operations provided some unique challenges as we began assembling a plan to re-open our office. Note that we have been careful to not refer to this plan as a ‘return to work’ as our employees have been successfully operating remotely for several weeks and the reopening would not include all employees’ return to the office. With six offices spanning from Fresno to Newport Beach, each county has put into place different protocols and community requirements for both business operations and personal interactions. Our 350+ employees range from field installers and drivers, warehouse workers, project managers, designers, customer service representatives, salespeople and the various additional forms of administrative workers. Each brings different needs and requirements for our showrooms. For example, a warehouse worker cannot perform their duties without coming to a physical location, while a designer functions more efficiently at their workstation due to dual monitors and faster network access points.
The first step we took was the implementation of a tiered employee system which helped us gauge how often an employee needs to be on-site. Tier 1 being 100% of the time, Tier 4 being 0-5%. Next, we surveyed our employees to better understand their current physical and emotional state and how working from home was going. What we found was very encouraging. While most employees were cautiously excited about returning to the office, the majority had found ways to operate successfully at home and felt that they could maintain their cadence for a while longer.

Plan Overview Next, we began to study our employees’ behaviors when using our spaces. Which entrances were used most? Which areas would pose the greatest challenge in adhering to our new social distancing guidelines? As part of our new partnership with Servpro, we were able to have our headquarters professionally sanitized and tested, which exposed some interesting findings. While we expected to have high bacteria levels in our work café and restrooms, our copy/print room actually posed the greatest threat as it was self-contained and had minimal air turnover. While many of our workstations already allowed for six feet of separation, some of our benches dedicated to more nomadic workers (project managers + salespeople) were spaced too close together to comply. Additionally, we would need to modify our traditional walking paths around

No matter how many signs, protocols and checkpoints we could install, if we didn’t trust our employees to protect one another, none of this would work. That is when we started to adopt the phrase second safest place. Your workplace is your home away from home — our culture has always felt like a family and we’ve worked hard to create that. It is time for us to trust that they will do the necessary things to keep us all safe.

Workplace COVID-19 Protocol
On-site Employee General Protocol Tangram is taking a proactive approach to prevent the spread of COVID-19 in the workplace and to protect our clients’ employees, our employees and their families against this virus. Since the situation is changing constantly, Tangram strongly urges that you and your employees go to the Federal Government websites for the most up-todate information. The Tangram Safety Team is also monitoring these websites on a daily basis to re-evaluate and update this document if necessary. The following websites are considered the most up-to-date and relevant for accurate and current information relating to COVID-19. www.coronavirus.com www.cdc.gov
PPE (Personal Protective Equipment) Good hygiene practices (especially regular hand washing) are the most important habits for minimizing exposure to the virus and Tangram has communicated to its employees the recommended personal protective equipment (PPE) to include (but not limited to) the following items:
Hand Sanitizer
Disinfecting Wipes + Gel
For use when proper handwashing facilities are not available. Sanitizer has been selected for its effectiveness against a broad range of viruses, including influenza, Hepatitis A, B, and C, and other viruses and bacteria.
Used to disinfect surfaces you may touch when gloves are not available (pens, handrails, telephone handsets, etc.). It must be used so that the surface remains wet for a minimum of 60 seconds and not wiped dry.
Social Distancing
Face Masks
All Tangram employees must adhere to all “social distancing� policies as issued by local and federal authorities. As part of social distancing, employees should maintain at least 6 feet of distance between themselves and coworkers and anyone in the workspace. If occupying a workstation on a bench, employees will be required to leave every other space empty. Employees will also be asked to refrain from cutting through workstations when traveling around the office and only use the designated walkways.
Fabric masks will be required in all common areas. Employees will be able to remove masks once established at a workstation. However, if employees are to get up for any reason, a mask must be reapplied.

Hygiene 1. Any employee found with a cough or fever will be sent home and not allowed to enter any facility of Tangram or any client supplier/warehouse or company vehicle. 2. Tangram will provide a place for all employees to wash their hands. Where this is not possible, an alcohol-based hand sanitizer that contains a minimum of 60% alcohol will be provided. 3. We will actively discourage workers from using other workers’ tools, phones, or other work equipment.
4. Tangram does not want workers to shake hands or engage in any unnecessary physical contact of any kind. 5. If employees have allergies / common colds, these individuals are expected to sneeze and cough into a cloth, tissue, or into their elbow and wash hands on a frequent basis. 6. We have instructed our employees to not share lunches or any utensils and there will be no shared food in common areas.

Workplace COVID-19 Protocol
Symptomatic Only A symptom check shall be self-conducted by each employee or guest entering a Tangram office location. If employees or guests leave during the day, the individuals shall be re-screened prior to re-entry into the workplace. These symptoms checks are not a medical screening but a best practice recommendation from the CDC and OSHA and comply with the Shelter in Place Order dated March 31st, 2020, and associated directives. All individuals entering a Tangram office location will be required to wearing a mask and will keep it on during their duration in the office space. If an individual does not have a mask, one will be available at the entrance.

Positive Symptoms If any of the above symptoms are positive, the individual will not be permitted past the lobby area and will be asked to distance themselves at least 6 feet from all high traffic areas in the lobby.

The individual will be asked a few questions by a Human Resources Representative to further understand the nature of these symptoms and secure contact tracing information from the individual. The questions will comply with the latest guidance from the EEOC (EEOC-NVTA-2009-3).
•
After the interview with the HR Rep, the individual will be instructed to leave the workplace and advised to seek medical evaluation from a health provider.
•
Any individual that has experienced any of the conditions below will be required to provide a medical release and return to work authorization from a medical professional before they are allowed to return to the office location if diagnosed with COVID-19, the flu, or other highly contagious illness.
•
Concerning people that are ill for a reason not related to COVID-19 or the flu, they will not be allowed on-site until all symptoms have subsided, including being fever-free for 72 hours without the use of medication and supplying a return to work document from a medical provider.

Jobsite Employee Protocols 1. The Tangram team will abide by all client PPE requirements (masks, gloves, eyewear, etc‌) 2. The Tangram safety team will continually assess the hazards to which workers and our clients may be exposed and make appropriate changes as and when needed. 3. Project meetings and site meetings will be discussed in advance with the teams over the phone / via email / text to minimize time in the workspace and ensuring clear understanding prior to entering the client’s premises. 4. Maximize communication technology to minimize the need for on-site gatherings of both clients and employees. 5. Limit worksite access to only essential employees directly involved with purpose on the job site. 6. Maintain social distancing as dictated by government recommendations, currently a six-foot distance from each other. 7. Tangram will ensure regular and thorough cleaning and disinfection of surfaces, equipment, tools and other elements of the work environment, using cleaning solutions with proven sanitizing properties. 8. Tangram will train and follow the manufacturer’s instructions for use of all cleaning and disinfection products. 9. Tangram will ensure that anyone visiting site, such as delivery people who share vehicles, will wipe down any frequently touched surfaces, like steering wheels, gear shifts, arm rests and door handles. 10. We actively encourage workers to report any safety and health concerns.

Perception vs Reality

Workspace Transformation There were three major projects to tackle as we looked at the physical technology stack in our offices to ensure the safety and productivity of our employees.

New ID Badge, Thermal Check + COVID-19 Survey System
a. Needed at every entrance and exit. We have partnered with CheckMarket, Aurora Multimedia + Easy Clocking to develop a system that allows an employee to enter a building using their ID badge which triggers a survey sent to their mobile device automatically. This then requires them to answer a few questions and take their temperature before gaining access to the rest of the building. If an employee or guest fails the check-in, our HR team is immediately notified via email + text and our symptoms protocols begin. b. While there is speculation on the reliability of thermal cameras to detect fever, we felt that deploying the Tauri systems was a more sanitary way of detecting temperature symptoms than having employees undergo self-checks with handheld devices. The check-in/check-out functionality also provides us with an up-to-the-minute contact tracing database that allows us to communicate using multiple platforms if a site were to become contaminated.

Workplace Occupancy + Reservation Systems
a. While we have been actively utilizing Steelcase’s Workplace Analytics platform to track collaborative space usage, we needed to expand that offering to allow our employees to quickly see how many people were currently in the space and where they could comfortably work while maintaining social distancing. As an organization, we also needed to understand the daily usage of each of the spaces to ensure that we were providing the right level of cleaning and sanitization.

Increased Accessibility to Video Conferencing
a. As we have all experienced with the safer at home orders, we are using video conferencing more and more to communicate with our coworkers and clients. As we anticipated, that that will remain somewhat constant for the foreseeable future, so we needed to make sure that our current conferencing systems were compatible to the new Microsoft Teams + Zoom platforms. We also needed to introduce more mobile and light scale options for office workers to connect with remote employees.

To prepare for the day of the move, our Move Team begins the seamless task of carefully boxing, labeling and identifying items to move in sequential order for each employee, so they minimally impact productivity. Due to our precise advanced planning process, Tangram clients rarely experience ‘surprises’ on the day of their move. Once

Let’s face it. Our hands are germ-spreading machines. We’ve heard over and over again since the onset of the coronavirus that the best way to stop the transmission is to wash our hands. We’ve been told to stop touching our face and avoid shaking hands. So, as some organizations begin to return to the workplace, there’s a logical focus on changing behaviors to avoid unnecessary contact. The good news is — technology already exists to create a more hands-free workplace.

People need to be safe and feel safe. That means not only putting infection control measures in place, but also reinforcing new protocols and processes with better tools and persistent visual cues. These are areas where technology is already ahead of us. Here’s how:
Touchless Reservations Reserving a space in the office can mean walking around until you find what’s available and then touching an on-demand device to secure the room’s use. There’s two problems with this in a post-COVID world. We no longer want to be wandering around aimlessly searching for space and passing lots of other people while we do it, and we don’t want to touch devices others have used unless they’ve been cleaned first. Engineers and designers were thinking about ease of use when they designed Auto Book and Auto Release. These features integrate Workplace Advisor Subscription sensor data with RoomWizard, a room reservation system. Now, Auto Book and Auto Release are in place to add more safety to the office environment by automating the booking experience when someone walks into a space or doesn’t show up at all.
