Briefing Templates

Date, time, location, transportation/parking instructions, purpose, background info, talking points, bios – the list goes on and on! Compiling all of these important details into an easy to read document can sometimes be challenging, but it’s important that our Deans/Directors/VPs and Development Officers can rely on consistent methods of communication when we are preparing them for a visit or event. We hope these templates serve as the road map for your briefings. We begin with these guidelines when working with the President and Vice President, but as we all know, there is always an exception to the rule. If you already have something that works well for your department, we would love to hear from you and see your format.

Thursday, April 16th | Tate Student Center Plaza | 9AM-1PM This year, the Donor Relations and Stewardship team is taking on Thank A Donor Day with updated insights and strategies. This day would not be possible without the volunteers, support, and passion that flows through each school, college, and unit. We are grateful for our Stewies who make student gratitude such a breeze and an enjoyable experience. Our students gain a stronger understanding of philanthropy because of your example and hard work!

From the Ag Dawg Kickoff to the life event mailings, CAES is setting the bar high for stewardship that reflects the personality of an individual college. After remapping their Stewardship Organization Matrix, CAES

projects

now

clearly

align

with

donors’

expectations. The college has also implemented an innovative Student Philanthropy Council, made up of about 14 students, who play a vital role in stewardship and student philanthropy awareness. Laura Wilkerson inspired and encouraged Team Stewardship to make the most of our donors' personalities through laughter and teamwork that is apparent among the CAES team.

TH A NK - EWE- TH O N Each year, CAES Student Philanthropy Council and other student volunteers make stewardship calls to donors who commit to the college through continued support. Students get the opportunity to connect with donors and share stories of their experiences that would not have been possible without private giving. Thank-Ewe-Thon educates students on the importance of philanthropy and gives them an opportunity to express gratitude on behalf of CAES.

HOLIDAY & SPECIAL CARDS CAES lets their personality shine through special stewardship that is beyond "punny" and meaningful! The college takes a personal interest in their donors, and it shows through holiday cards and life event mailings. Each card is thoughtfully crafted to leave a lasting impression, and several are designed by students! The CAES stewardship team sends about 100 different life event cards each year.

P OSTCARD All CAES donors receive a post card at the end of the fiscal year. The card is oversized to stand out in a mailbox, and it usually includes a photo from Thank a Donor day to show gift impact through the happy faces of students and the dean.

This year, College of Engineering stewarded faculty and staff donors with a personally delivered Valentine. The gift included a print of Driftmier Engineering Center that was painted by a student, three customized Georgia-themed sugar cookies, and a hand written letter. The jersey cookie had each donor’s last name on it as a personal touch!

Alumni Association Nyaboke Machini

Alumni Association is stepping into stewardship by thanking 1961 Club. A recipient of the Black Alumni Scholarship Fund thanked donors using ThankView. This video's metrics were so successful that ThankView decided to feature it on their website!

Franklin College of Arts & Sciences Mary Alston Killen

For the past five years, Franklin College of Arts and Sciences has had the pleasure of giving Valentine’s Day gifts to a very special group of donors: faculty and staff! Any UGA faculty or staff member who gives to Franklin College is given a treat hand delivered by their student ambassadors, and this year they decided to give Condor chocolate bars. They worked with the Georgian Press to design a custom wrapper, and were so excited to be able to thank the invaluable faculty and staff who make a difference at Franklin and while supporting two local businesses. They delivered approximately 260 valentines and are already looking forward to next year!

Terry College of Business Tony Stringer

Although our Terry Stewies were unable to attend this past Team Stewardship meeting, we couldn’t let their ‘sweet’ stewardship efforts go unnoticed. Students from Terry College of Business hand delivered a jar of cookies to each faculty and staff donor on Valentine’s day! The jar was decorated with a cute ribbon and a sticker that read, “Thank You for Your Sweet Donation!” Attached to the jar was a thoughtful note from Dean Ayers, thanking donors for their support.

Grady College of Journalism & Mass Communication Kathryn Reeves

The 1915 Society is comprised of a select circle of donors whose significant and sustained support profoundly impacts Grady College. Named for the year of Grady’s founding,

the

society

recognizes

donors

who

have

contributed $25,000 or more in lifetime giving to the college. This is Grady's first donor recognition society. We are proud of Kathryn for kicking this initiative off as it begins its inaugural year!

AWARDING PROCESSES & PROCEDURES Lauren is working with Brett Jackson and Elizabeth Prince on ways we can assist them in the creation of best practices and timelines/procedures for award and scholarship awarding here at UGA. If your School/College/Unit/Department has an awarding procedures document that you would be willing to share, please send to Lauren Schlesinger at lkschlesinger@uga.edu. We will be working with Brett and Elizabeth to create a template for a procedures, timeline, and best practices document. Having examples will help us create these important resources! Brett and Elizabeth will be speaking on this project at the upcoming May Team Stewardship.

ThankView has taken stewardship videos to a level of competition and Donor Relations & Stewardship is determined to be the top video next year! There were multiple categories with videos from universities, humane societies, and other organizations. Unit Gratitude Reports

HUGH HODGSON SCHOOL OF MUSIC Margaret Anderson

The Hugh Hodgson School of Music has over 90 funds, approximately 60 endowed scholarships, and over 250 graduate and undergraduate students. Scholarships are managed internally through Filemaker. Before Donor Relations expanded Gratitude Reports to schools and colleges, the The Hugh Hodgson School of Music did not have an efficient system in place to capture student gratitude. Now, the process is infinitely faster than collecting handwritten thank you notes, and editing involves deleting one or two sentences verses asking a student to rewrite their letter. It is also very convenient and easy to set up and send reminder emails through Qualtirics. Most importantly, the finished product has a clean and professional design that our scholarship donors are going to be thrilled to receive!
