How to apply appropriately! Online or Conventional? 40 percent of all companies now prefer an online application via e-mail. This information arises out of a Bitkom survey. Despite the digital form several essential classical components of an application can’t be missing and should be especially optimized for e-mail delivery. Take advantage of the opportunity of the fast and convenient online application, if the company provides this option. The advantage for the company is that they will receive your application in a wellstructured way which is easily to process. Send your online application from a private or anonymous account! The address should be kept neutral and serious, eg: firstname.lastname @ provider.de. Of course you should not send your online application from the company server of your current employer! Generally the e-mail address specifically supplied in your e-mail is sufficient as a sender address. However it is recommended to include the complete address and telephone number (s) (and possibly fax number) in least two different places of your application: the letterhead of the cover letter in the "Personal data" in your curriculum vitae Concerning the recipient of your e-mail: you should never send your resume to an anonymous company address (such as info@musterfirma.de). You will risk that your mail will arrive late or not at the desired target. In doubt, call the company prior to your application to send your e-mail to a specific person. The cover letter - style and content Your cover letter will be read first, it’s the flagship of your application. Often it is already decided at this point how the reader will evaluate and treat your application- to the "interesting applicants" or to the cancellations. Also remember that your application mostly will be printed out by the personnel director and transmitted to the relevant authority. Write therefore factually, concise and polite. Distance yourself from longwinded and complicated sentences. Try to represent yourself, your skills and your concern perfectly. Present yourself confidently and with determination. Consider reflecting the job description of the advertisement, you hereby signalize that you have dealt extensively with the content and that you know exactly what you are applying for. Tip: Use the PDF format Anyone can read PDFs. PDFs are not subject to viruses and significantly shrink the size of your files usually. If you create your attachments in PDF format, you can also summarize your entire application (cover letter w. photo, curriculum vitae, and selected evidence) in one single document. This way, you present yourself professionally and you don’t create any effort for the recruiter. If you do not have a license Adobe Acrobat for creating PDF files, there are numerous free PDF programs on the internet that allow you to quickly and easily combine all your documents in one file.
How to react to an invitation to the interview You receive a notification in your mail or e-mail in box with the invitation to a job interview? In this case your potential employer is under the impression that you could be a candidate for the open position. If you will receive a phone call instead of a letter or e-mail, you should be prepared for a short phone interview. You’ll find more information on the next page.
How to proceed best Confirm the suggested appointment with the contact person by phone. This will give you a personal contact and you can inquire information about your interlocutor and their function in the company. This will give you the possibility to prepare yourself very well for your interview. After the phone conversation you send a confirmation of the appointment once more via e-mail. You can keep the main brief and you don’t need to mention any contents of the job or your application.
How to behave during a phone interview The mostly unannounced call of the employer unsettles many applicants. "The phone interview is not about making life difficult for the candidate," so please don’t panic. To avoid unpleasant surprises you should make time to get familiar with the company's profile in order to be prepared for the telephone interview. If you are a promising candidate you will have already done so prior to your application. If you send out applications and you wait with the research till you get an invitation for the interview, you can be could be caught on the wrong foot with a telephone interview. Be prepared and expect a call from HR - make sure that you are always reachable for the phone interview. Tip: If you expect a phone interview, you should also check the text on your answering machine and your mailbox. The original announcement that guarantees a good laugh in your private environment might leave a rather unprofessional impression with the employer. Best is not to delay the phone interview. Your competitors may be already better prepared already and were very convincing in the phone interview. Provide a quiet environment for the telephone interview and relax as much as possible. If you can’t talk at this point for any reason, suggest an alternative appointment to the recruiter. He will understand. So many times applicants seem to take the telephone conversation with the recruiter lightly. This phone call is often an important part of the selection process! The phone call will clarify open questions and whoever makes a good impression increases the chances for a job interview. Basically this phone call can be a little pre-interview. It is primarily used to eliminate any ambiguities which could arise from the application documents. For example a gap in the curriculum vitae, this could leave a suspicion with the employer. Quite often there are good reasons for a professional time-out. The phone interview is an uncomplicated way to address these uncertainties, because: "Recruiters only dig deeper with interesting candidates”. Interview subjects include lack of information: for example, the application contains no information on the desired salary or it is not exactly clear which professional and personal skills the candidate really has. The most important argument for the call with the recruiter is more of practical nature: both candidates and employers can save time and money when it appears that the candidates don’t meet the expectations during the interview. Example: foreign language skills. With phrases such as "very good" or "fluent English" are often handled too generous. Whether a candidate will actually meet the language requirements, can be figured out in the conversation very quickly. The interview is generally the second selection step in the application process. If the interviewer will suggest an appointment for a personal interview, you have presented yourself properly on the phone. The interviewer ended the conversation without an invitation; you probably need to look further for a job. In this case don’t be too disappointed, just take the experience, learn from the mistakes and be better prepared for the next conversation.
How to prepare for the interview Research all the important information about activities, success and corporate culture of your desired employer. Many companies present themselves on the Internet. Other sufficient sources are: the commercial register, business associations, and newspaper archives. Some banks have accessible public archives of press and annual reports of their customers. Pay special attention to current issues and projects of the targeted employer, which could be discussed in the interview. If you want to work in a bank, once you enter the main hall quietly as an alleged client. Practice "Method acting" on the phone: the press department of large companies will send you information material, if you behave important enough. Carefully review all your documents and think about the information your future employer could be interested in or things that might be a little unclear and prepare answers. Don’t only think about bad grades or gaps in your CV. How to dress for the interview Plan the matter of clothing ahead of time! A uniform dress code does not exist, anything goes as long as it provides a well-groomed appearance. In the banking, insurance and consulting business, the conventional appearance is still appropriate where on the other hand the creative and innovative businesses consider this look outdated. If you are buying a new outfit for your interview, wear it at least once before. This way it appears less stiff and you'll know if you feel comfortable with it for a longer period of time. To realize on the way to the interview that the skirt is too short, that the pants are twitching would be an additional factor that could cause unnecessary nervousness. Stay discreet as possible. Your personal appearance contributes to the information provided in your curriculum vitae, your certifications, recommendations, and your cover letter. The employer wants to convince himself in the interview of your personality, character, motivation, competence or the adaptability to his future team. Other important aspects of the interview could be your overall appearance, your demeanor, your comments or language skills. Regardless of whether you have been invited to an individual or a group interview, the interview is for you a test situation, similar to your interim or final exams. If this is sometimes compared with a theater performance, it’s basically correct. However, some actors convince in their role and some lack credibility. Our tip: Consider these issues listed here but on the other side and stay the person you are and be authentic. Just remain calm and natural in the interview and focus on the topics that are discussed with you! Professional interviewers conduct structured interviews and want precise, clear and honest answers. You can also earn points with smart questions. You should avoid "Why" – questions; they sound somewhat like critique. Much better are open questions starting with “Who”, ”What” and “How” - they mostly require a longer information. You can and should ask questions that are important to your decision and have not been clarified in the course of the conversation. However, don’t ask right away about holiday pay and holiday entitlement, or comp time. For example, ask, with whom you would work together. Interest in business strategies, development opportunities, classify the site in the organization is also welcome and helps you score points with the interviewer. It is helpful to create a list of questions before the interview because it is easily forgotten when you are nervous in the conversation. Incidentally, to have your documents at hand doesn’t appear insecure but rather professional! You might also play only a minor role. Many HR managers are more looking for an audience then an actual dialog partner. About one-third of all applicants will be rejected due to high salary expectations. Find out in advance the industry standard salaries for the position you want to obtain. If you are being offered a little less, you negotiate but in doubt don’t insist on the additional amount. It will be better to use the difference of salary as a topic in your first wage negotiation with your new boss after you get the job.
