How to pick your dinner music for a great reception + playlist! Music, believe it or not, is one of the most often overlooked aspects of planning a wedding reception. Most couples spend months planning the perfect meal, flower arrangements, lighting, even invitations - then leave it up the band or DJ to play whatever playlist they feel like when it comes time for cocktail hour and dinner.
The choice of music also plays a huge part in subconsciously tying in the ambience, meal choices, floral decorations - even your choice in dresses - into the overall vibe you’re going for. You wouldn’t want slow jams playing during dinner at a Bohothemed wedding, just like you wouldn’t want the Lumineers at a reception with a nightclub vibe.
Background music plays a huge part in setting the scene for your perfect reception. Don’t believe me? Imagine cutting the music off at a restaurant or gathering. Dead air. You’ll probably remember shopping at Target when they tried doing away with the overhead music - it was like shopping in a hospital.
And yet, a background dinner playlist is something likely to not even make an appearance on your to-do list. Here are four tips for enhancing your vibe by taking some time to consider what’s playing during dinner.

#1. Consider the vibe you’re going for You probably have a mood board or Pinterest folder with pictures of your perfect wedding. Is it Boho? Romantic? Minimalist? Glam? Whatever vibe you’re going for, you’ll want to align your background music with it. Start by using Spotify to find curated playlists - chances are someone has already created something to fit your vibe. Here is a Boho Wedding playlist we found.
#2. Respect the volume Remember that regardless of the wedding vibe, cocktail hour and dinner is the first opportunity for people to talk to each other. Some guests likely haven’t seen each other in years or maybe are just being introduced. Keep the music at a volume that encourages conversation and be sure to communicate that to the band or DJ. Tip: Tell them to look around - if people are having conversations without having to “lean in,” then the music’s at a good volume.
#3. Don’t go for the bangers... yet While it’s tempting to try to get the party hoppin right away, don’t put loud, fast bangers on the dinner playlist. Subconsciously, we as humans get fatigued listening to upbeat music for hours on end. (Imagine spending 5 hours in an Abercrombie store!) Create a build up to your band or DJ. Tip: If the song is something you’d want to dance to at the end of the night, it shouldn’t go on the reception list. The Kentucky Wedding Collective// Fall | Winter 2021

#4. Communicate with your band or DJ Be sure to tell your band or DJ way in advance what your vibe is so they can be prepared. We often have couples curate and share a Spotify playlist with us that they picked out together. Or they will let us know the style of the wedding and then maybe name 3 artists they like. A good band or DJ will be able to take your suggestion, read the room and choose appropriate music. The key is making sure they know ahead of time. Tip: If you don’t bring it up, they will play whatever they want, and it might be what you want!

Private Property weddings have been around since the very beginning! Since the recent COVID-19 pandemic, these types of weddings have made a huge spike in popularity. Private property weddings are a wonderful way to add personalization, family history, and charm to a wedding day. Weddings on private estates do require more planning and organization compared to a traditional wedding venue that already has basic things included for larger crowds. Depending on the location, the needs for the wedding setup will vary. Such as a wedding held inside a private home versus in a large field will require different needs and things to think about. I have compiled everything you will need to think about in order to have a private property wedding, so you can be sure you won’t run into any surprises for your big day at your beautiful location! Legal Documents and Information: The first thing to think about is legal documents. Depending on your location, these documents may take a while to acquire so it’s best if you tackle this one first because, without these, you can’t have a party. As with all weddings, it’s important to get a wedding insurance policy to cover unexpected situations that could arise. But with a wedding on private property, it is even more important to be sure to get all of the proper insurance policies prior to the big day. In addition to a standard wedding insurance policy, you’ll want to make sure that you also get a policy that includes liquor liability. This gives you the proper coverage to ensure that you’re covered if serving alcoholic beverages at your wedding. But above all else, it’s important to consult an insurance professional to be sure that you have all the coverage needed. It’s also important to be familiar with the liquor laws in your state so you know what you can and can’t legally do if you’re serving alcoholic beverages at your wedding.

I also suggest familiarizing yourself with the noise ordinance for your area. You will want to make sure you end any loud or amplified music prior to the noise ordinance. If you have neighbors who are close by where you’re having your celebration, I also suggest going around the neighborhood taking a flyer and maybe even a sweet treat to let your neighbors know that you’re going to be having a wedding so they know to expect some noise and more traffic/parked cars. If you also let them know the ceremony time, this might keep anyone from deciding to mow their lawn in the middle of your “I do’s”. Maintenance: If you are having an outdoor celebration, don’t forget to plan for things like mowing and bugs. You will want to make sure the grass in the area is mowed close to the wedding day so it’s not too tall, but also several days prior to allow the loose grass to blow out of the way. Typically, I’m not an advocate for checking the weather forecast too far in advance, but with outdoor, private estate weddings, it’s important to have several different plans depending on when you might have rain on wedding week. If you have rain in the forecast the entire week prior, don’t forget to think about things like low or slow draining spots.

Weather Back-Up: When planning for a mostly (or all) outdoor event, the weather really has to be considered. When planning your mowing schedule, your tent, and rental installation, and that’s just what comes in advance of your big day. If you’re seeing rain in your forecast, make sure to get one last grass mow in before any rain, and you might also want to consider getting your tent installed prior to the rain as well to make sure the area under the tent stays dry (this is something to talk to your tent company about.) You will also want to make sure the ground isn’t too wet for any delivery drivers to drive on. The last thing you want are giant, muddy ruts in the grass for your guests to navigate around. Event Layout: One of the biggest perks is that with a private property wedding, the sky is truly the limit when it comes to designing your big day. There are so many great options for tents, tables, chairs, dance floors, lighting, draping, furniture, etc. There are also a lot of details there that are often handled by a venue coordinator when getting married at a more traditional wedding venue. So I suggest really

thinking through all of the aspects of your day to ensure you’ve thought of everything you’ll need to have in the layout and your rental order. Such as a plan for trash, or a small table to place the unity candles on, are often overlooked. Parking: Don’t forget to consider parking when planning for your big day. Where are your guests going to park when they arrive? I suggest assuming that there will be one car for every two guests that are attending. If you don’t have a room close to your home or non-traditional venue for all of your guests to park, you may want to consider busing your guests in from a hotel where most are staying, or a close parking lot (don’t forget to get permission and to cover any public parking areas where your guests are congregating under your insurance policy for the day.) If you’re busing your guests, you will also want to make sure that any large buses have an area to turn around when picking up and dropping off guests. If it’s too tight for comfort, consider getting smaller shuttle buses.

Power and Electrical: If you’re getting married in a more remote location or far enough away from power, you will want to make sure you plan to have enough electricity for all of your wedding needs. Don’t forget about things like: A catering tent will need lights and might have equipment that requires power. Your band and/or DJ will definitely need electricity. Especially if you’re having a band, make sure you check their power requirements and plan to have more than enough. Lighting up the reception tent will need plenty of power. If you’re having a restroom trailer, it will also need electricity. When in doubt, I always suggest adding on an extra generator. Because power is definitely not something you want to run out of in the middle of a great party. (And don’t forget extra gas to power any generators.) Restrooms: Definitely not the most glamorous part of throwing a wedding at a non-traditional venue, but something that should not be forgotten! I suggest making sure there’s a minimum of one restroom per 50 people. There are vendors who rent really nice restroom trailers that include lighting, music, air conditioning/heat, and will give your guests a much more positive experience than your standard portable restroom. These trailers do need access to water and electricity, although most can be filled up with water in a different area so if you don’t have water readily available be sure to let them know and explore your options. Trash and Garbage: Another not-soglamorous part of planning a wedding on personal property is figuring out a plan for trash. Events can, unfortunately, produce a large amount of trash, so I encourage you to talk to your catering and bar team to make sure everyone is on the same page with what to do with trash as it needs to be taken care of throughout the event. And don’t forget the trash bags and containers to put it in. Vendors:
Crafting your dream team of wedding vendors is always important to the flow of a wedding day, but when you’re planning a wedding at a non-traditional venue, it’s more important than ever that you have a team of individuals who will provide you with the peace of mind to truly enjoy your big day. Catering: I suggest working with a fullservice caterer who will not only provide great food to your guests but will also take care of all of the behind the scenes items such as, setting your tables, clearing tables, getting rental china back to the way it needs to be when it’s picked up, taking care of any trash, and possibly even helping with clean up at the end of the night. Bar: One of the great perks (and budget-saving items) of having your wedding on your private property is that you can supply your own alcohol if you choose to. But, with doing that, it’s important to still have licensed professionals mixing up drinks and serving them. This guarantees that your guests are being served responsibility (especially important since the liability falls back on you with it being on your personal property.) Entertainment: You will definitely need to be aware of what kind of power needs are needed when booking your entertainment (especially for the reception). If you are somewhere that generators are needed, this can get a little tricky to guarantee that you will be able to supply a band or DJ with enough power while still being able to power your lights and any other needs. Rentals: Typically non-traditional venues require a lot more rentals than your average wedding. Things like catering ovens and heaters, generators, lights, trash cans, all of your tables, chairs, linens, a catering tent, coolers, bars, etc. Make sure you talk through your event with your rental company to make sure you aren’t missing anything.

Ready Rooms or Vendor Green Room: It’s important to have conversations on the front end with any vendors or bands who typically require a green room or a room to get ready in. Many bands set up and then need to get ready to provide your reception entertainment, so if there is somewhere on the property that is not being used and you’re willing to allow them to use that space, that’s great, but if not, make sure you let them know before signing any contracts so they can make other arrangements and let you know if that changes any fees.
ensure that all of that is done in time. Host and Hostess: One additional thing I always like to consider when hosting an event at a non-traditional venue is who is the “host” or “hostess”. Typically when we see these types of events, they are on a family member’s property. That person pours so much into that wedding day, well in advance of the wedding, from landscaping and preparations, to sometimes even having the house painted or doing home renovations, it can become a lot for the person who is hosting the event.
Set Up and Clean Up: Often for couples getting married on personal property, it ends up being more work leading up to and following the wedding day, especially when it comes to set up and clean up. So make sure to have a plan for anything you need help with. Take a look at everything going into the day and make notes on who is responsible for the setup of each item. Hopefully, a lot of it will end up being covered by your vendor team, but for any of the items that you are ultimately responsible for setting up, create a game plan. If these are items that can’t be set up until wedding day, designate someone else to do that setup since you’ll likely be tied up with all the happenings of your wedding day. Do the same thing when it comes to clean up. *Hint, keep in mind that everything will need to be cleared off and ready for your rental company to pick up. So you’ll need to time clean up to
So it’s important to consider them when planning the day. How can you make sure that they are not going to be completely tied up on the wedding day, ensuring everything goes smoothly and everyone is taken care of? Maybe it’s hiring a coordinator so that person can provide peace of mind or take off some of the weight, or designating others to help with certain things along the way. These are all the glamorous and not so glamorous realities of planning a wedding on a private estate. This list may seem overwhelming, but it is all very doable, just make sure to give yourself enough time to prepare. You can also hand everything off to an experienced wedding planner to truly give you peace of mind for a beautiful wedding day at your special location. No matter what, remember to embrace and enjoy this season of your life as you get ready to marry the love of your life!
