Want your business to stand out ?

Meet the

Director

Director

Accountants, Taxation & Business Advisors All businesses that have people working for them must open a PAYE scheme with HMRC, including all companies since directors are classed as employees of the company.

We offer to all our clients a full payroll package, operating the payroll, producing payslips and filing the required forms by the required deadlines. If your business does not require a fully operated payroll system during the year, we will still be able to file the end of year forms by the appropriate deadline. This is a service used by a majority of our limited company clients who operate on an annual basis. As with the majority of taxes PAYE needs to be reported to HMRC online and payments need to be paid by their approved methods which are generally debit/ credit card, direct debit, BACS payment or internet transfer. If you require us to operate the payroll on your behalf we will require the following information about each employee including directors for limited companies: • Name • Address • Date of Birth • National Insurance Number • P45 from previous employment or • P46 if no P45 available (we will provide this form) • Rate of Pay • Frequency of Pay

As well as the above information we will also need to know of any taxable benefits each employee may have including directors of the company.

If you are unsure if an item is a taxable benefit please contact the office and we will advise appropriately. Also if you are planning to purchase a motor vehicle then we can advise on the taxable amount of each vehicle before you make a final decision in addition to assessing the implications for your tax situation overall. We are here to advise and assist all our clients with all their payroll requirements from operating a full system to answering queries regarding all aspects of the PAYE legislation including taxable benefits and PAYE coding notices.

David Clarke

This welcome pack has been put together to provide you with useful information that was shared with you at your initial meeting with one of our advisors and provides an aide memoire of what you can expect from us and what we expect to receive from you. If you have any queries at all then please do not hesitate to contact us since our next meeting may not be until after the end of your next financial year. In the meantime, we wish you every success with your business whether you be a new or existing trader. You might also refer to our website at www.grineaux.co.uk for more useful information.

The CT41G will generally have been completed by ourselves at the initial interview along with 64-8’s for the company and the directors (all directors need to complete a personal tax return - see personal tax page) which allow us to Communicate with HMRC on your behalf. Your Corporation Tax must be paid by the normal due date which is nine months after the year end of your Corporation Tax accounting period. For example, if your company’s accounting period ends on 31st May’ your Corporation Tax payment is due on or before 1st March the following year. From 1st April 2011 all companies must pay their Corporation Tax electronically. We must file your Company Tax Return within 12 months of the end of your company’s accounting period. If you file your return late your company will be charged an automatic penalty, even if it does not owe any Corporation Tax. It is beneficial to complete these forms in a timely manner in order that any discrepancy or queries can be rectified and in order to avoid any fiscal penalties which start at £100 for a late return rising to £500 plus interest of up to 100% of the tax due depending on the circumstances. In order for us to ensure these deadlines are adhered to it is important we receive the company’s books in good time. We will remind you of the company obligations as necessary and can assist you with you books and bookkeeping should it be required. Once the accounts are completed we will invite you into the office for a meeting to discuss the company’s figures and the tax situation and to explain any liability or refund arising. We will then finalise the return and accounts and send them to the directors for signing before submitting both the accounts and Corporation Tax Return on the company’s behalf. We will also advise you of the final tax position of the company and the due dates for any due payments if applicable.

Companies House. All companies, both private and public, must keep accounting records and both limited companies and limited liability partnerships must send a copy of their annual accounts to Companies House each year. If you produce and file accounts on behalf of a company, you must ensure they are signed or authenticated by the accountants (if appropriate) and the company’s directors. All limited companies - public and private - and limited liability partnerships (LLPs) must file their annual accounts and reports on time. If they fail to do so, they face an automatic fine. The time allowed for filing depends on whether the accounts are the first or subsequent accounts and whether it is a private limited or public limited company. For private companies and LLPs, if the first accounts cover more than 12 months they must be delivered to Companies House within 21 months of the date of incorporation, or three months from the end of the accounting period, whichever comes later. If the accounts are for 12 months or less they must be delivered within nine months of the end of the accounting period. Thereafter accounts must be delivered within 9 months of the company’s year end. Failure to file accounts in the correct legal format within the filing deadline results in the following late filing penalties which are for private limited companies:

Not more than one month

£150

More than one month but less than three months

£375

More than three months but less than six months

£750

More than six months

£1,500

In addition to this every company must also send an annual return to Companies House each year. It provides important company information, in a prescribed format, which is then made available to the public. Annual returns must be sent to Companies House by a specific ‘made up’ date - usually the anniversary of the company’s date of incorporation or the anniversary of the last annual return filed at Companies House. Please note that this return is not a financial return, rather it is merely to keep Companies House updated with details of any changes in the company’s officers or shareholding. At Grineaux Accountants we keep close observation on all company filing dates and endeavour to ensure no deadlines are ever breached. We will of course also file all accounts and returns on your behalf. This is of course dependent on receiving the company’s base records in good time but of course we do regularly remind our clients of any upcoming filing dates.

VAT.

Personal Tax.

Accounting Records Checklist.

The VAT registration threshold is currently £73,000 and you must register for VAT if any of the following applies:

In order for us to keep a close eye on your personal tax affairs we rely not only on the information we receive from HM Revenue & Customs but also the information we receive from yourselves since, you will not be surprised to hear, we do not always receive our agent’s copies of information from HMRC.

• Cash Book (record of receipts and payments)

Obviously the more up to date the information we receive, the quicker we can check it and then if necessary instruct HMRC to correct it, therefore we suggest that if you receive such items as tax demands, tax calculations, PAYE code numbers, tax forms or anything you do not understand or were not expecting then please send us a copy at your earliest convenience.

• Sales, Purchases and Expenses Invoices

• Your VAT taxable turnover was more than £73,000 in the previous twelve months • If you take over a VAT registered business as a going concern • If you think your VAT taxable turnover may exceed the threshold in the next 30 days You may also voluntary register for VAT if circumstances require you to do so, such as your customer will only deal with VAT registered businesses or if all of your sales are zero rated but your purchases are standard rated. The VAT registration threshold changes usually once a year which is announced in the budget. If any of the above situations apply to your business please do not hesitate to contact us and we will be able to advise you on any issues including which VAT scheme is best suited to your business needs. There are currently a number VAT schemes operated by HMRC which include industry specific schemes. However, the most common general schemes are as follows: • Invoice Basis – VAT is calculated using the date of the invoice. • Cash Accounting – VAT is calculated on payments made and receipts received, rather than using the invoice date • Flat Rate – VAT is calculated as a percentage of VAT inclusive turnover with no adjustment for VAT on purchases. The percentage is industry related

VAT is now reported to HMRC using their online service and payment of any liability needs to be paid using one of their approved methods, which is generally debit/ credit card, internet transfer, BACS payment or direct debit. We offer all our clients a full VAT service from applying VAT registration to compiling VAT returns and submitting them HMRC. We are also able to give advice on any VAT issues you may have, for example if a transaction is subject to VAT or what rate of VAT to charge.

The main information we require is that in order complete your personal Self Assessment Tax Return, which we usually first request in the May following the 5th April tax year end. The deadline for filing your return might be the following 31st January but we must stress that the later the return is left to be completed the bigger the effect of any mistake or oversight made. This can lead to substantial underpayments of tax therefore the sooner we complete your return the better it is for all concerned. Not only that, but if you are due a refund then late submission simply delays your receipt of any monies owed to you. When we write to you we will request the information we would normally expect someone in your situation and type of business to have available but if you are in any doubt please contact the office either by phone or email and we will only be too glad to advise you as to what we need to meet HMRC’s disclosure requirements.

Manual Records • Bank Statements • Cheque Book Stubs & Paying-in Books

• VAT Records • Payroll Records • Hire Purchase/Lease Agreements • Loan Agreements and details of Loans • Notes re Car changes and sales/purchases of other assets • Any other information that is relevant

We file all of our returns electronically as this is by far the quickest and easiest method although we are aware that, in some special circumstances, this is not always possible. In this case the filing deadline is 31st October.

Computerised Records

Once we have prepared your self employed, partnership or company accounts we will invite you to our premises for a meeting to discuss the tax situation and to explain the origins of any liabilities or refunds due. We will then complete the tax returns and send them to you for a final check and your signature before we submit them to HMRC. We will at this time also advise you of the final tax position and, if any payments are due when they are to be made. Also, if you prefer, we can email your tax return to a secure email address in the form of a pdf file as well as or instead of a paper copy.

• Cheque Book Stubs & Paying-in Books

We aim to ensure that your return is completed accurately, submitted on time and maximises the claims and reliefs you are entitled to as a tax payer and with HMRC becoming stricter in their application of fines and penalties this has never been more important.

• Payroll Records

The above is a brief summary of how our personal tax department operates and if you should have any queries please do not hesitate to contact us. We look forward to helping you. The Personal Tax Department

Jodie’s Flying High after losing excess baggage! Jodie, a born and raised Leamingtonian, aged 29, has transformed her life from a size 20 to a 10/12 by losing an amazing 9 and half stone! Through the UK’s largest leading slimming world group she is now on her mission to help other local people as she opens Leamington Spa’s 1st Friday morning group! “Like a lot of people I had tried all the diets out there! To counting calories, liquidising, not eating at all! They may work for a week but then all the weight comes back as they are not fun or sustainable and I ended up feeling worse then when I started. Slimming World is not just about a new healthy life style and losing weight, it is also a great place to meet new friends socialise and have some time for you.

Before

I love seeing people look nervous when I tuck into my huge pasta salad as they are are convinced that a carb free diet is the way to go if only they knew!

I had always been the larger of my friends in schools and college and told throughout my childhood that the puppy fat would disappear. But with the lifestyle I had fallen into and the little treats, it just didn’t. The dress sizes just kept going up and my self confidence going down. I felt uncomfortable in social environments as would look around the room and always be the larger one. I felt embarrassed and uncomfortable in the summer in the heat, trying to cover over as much as me as possible. I learnt to use humour to cover up how I felt and was always the one with the quick one liner as I prefered to take the mick out of myself rather than others doing it for me. The final straw for me was getting a new job in a clothes store in Leamington. At the age of 18 we were allowed to choose some clothes for free and I took the jeans I wanted into the dressing room. I couldn’t get them on and I looked in the mirror feeling terrible as it was the largest size they stocked! I knew then that only I could make a change. I wanted to be able to look in the mirror and be happy with who was looking back at me.

After

When I went to my first slimming world group I felt nervous that everyone would need to know how much I weighed and would judge me - I also so felt embarrassed that I had let myself go. However what I found was a lovely warm welcome, buzzing, friendly, relaxed and there was definitely

love

no judgement! In my 1st week I lost an whopping 5lbs! I love seeing people look nervous when I tuck into my huge pasta salad as they are are convinced that a carb free diet is the way to go if only they knew! Still being able to eat out and socialise is amazing as it is a key part to our family life. Food shopping is cheaper now as I make a list of all of the meals before I shop instead of picking up all the temptations around the supermarkets. The food is fab and so much choice. There is no need to cook separate meals like I have had to do in other weight loss groups and we all eat the same gorgeous meals form 9mths to 60! Never being hungry, a great variety of food on the Slimming World food optimising plan is the best part of losing weight (and looking great of course!).

Losing my weight enabled me to go after my dream job of cabin crew for Emirates Airline. As I walked into my interview, for once I felt confident, I was so happy when they called I could believe it out of all of the people there, they had chosen me - I felt so proud! One of the best feeling was when I had my leaving party to head to Dubai and 3 of my family members I had not seen for a few years walked right past me!!!! The thought of running in the past would have out me in a cold sweat but now I now have taken part in numerous 5 and 10k races for charity and spend hours playing with my little boy. Being a mum, I know how hard it is to take care of yourself when you dedicate all of your day to your baby, however, Slimming World is great as I plan all my meals and have a cooking day so I can reach in the freezer and select great meals after a hard day of nappies and dribble!” After a loss of 8 and a half stone Jodie has now turned her life around from chubbie teen to yummie mummy! “I have been through my own journey, and as they say, ‘been there, seen it got the t-shirt” just a smaller one!!!!!!!”. Whether you are looking to lose several stones or just a few pounds Slimming World is the way to go. Jodie’s group is on Friday mornings at 9.30am Leamington Rugby Football Club, Kenilworth Road. Beautiful Artificial Lawns

without the upkeep!

Clean and safe ■ No mowing ■ No weeds No more muddy patches Hard wearing ■ Unaffected by weather/uv stabilized Green and usable all year round ■ Perfect for pets

Finding an artificial grass product that has the look of natural grass was never an option until recently. But with developments in the last 2-3 years we can now offer you a choice of looks that will give you the dream lawn all year round. We can even fit a carpet that will look like a freshly mowed lawn in the middle of summer with a mixture of green fibres and beige to give that thatched look. We use a new monofilament fibre so the feel of the carpet is soft to the touch and friendlier to animals.

Paella is the classic dish of Spain.

Its name is taken from the two handled pan it is cooked in, know as a paellera, however, a heavy based large frying pan makes an excellent substitute. It is delicious, simple to cook and extremely nutritious and can be made with a variety of ingredients to suit an individual’s taste Although this is a dish that is traditionally eaten in the open air (and cooked of course), it is just as good if you are taking refuge indoors as August has been historically mixed over recent years.

SANGRIA & PAELLA

The taste of Spain

Paella for 6

Method

Preparation time 25 minutes Cooking time 1 –1¼ hours

1 Fill the largest bowl you have with cold water and pour in mussels and clams. Discard those that float to the surface, those with broken shells and those with open shells that do not close when tapped with a knife. Hold the mussels and clams under the cold water tap one by one and, with a stiff brush, scrub to detach any hairy beards and scrape off barnacles. Place in a bowl of cold water and refrigerate until needed.

Ingredients 12 large or 24 small mussels 12 large clams (optional) 1lb of fresh or frozen peeled prawns or for quickness and ease use 1 pack of seafood medley 3 tbsp of olive oil 480g (1lb) boneless chicken thighs or breasts, cut into 5 x 2.5cm strips 1 green pepper, chopped 1 red pepper, chopped 2 Spanish onions, medium, chopped 4 large garlic cloves, crushed 3/4lb of long grain rice 400g tin of chopped tomatoes 2 chicken stock 1 fish stock (optional) 1 ½ tbsp of salt 3 tbs of frozen peas 1 packet of fresh fine beans, chopped 1 bay leaf Paella seasoning (a mixture of saffron, paprika and other spices available from supermarkets or online)

2 Heat the oil in a large, deep frying pan and fry the chopped onions on a medium to low heat, to soften but not brown for 5 minutes. Add the red and green peppers – cook for a further 5 minutes and add the garlic. 3 Add the chicken and cook for a further 7 minutes. 4 Add the rice, without the water, and the paella spice packet. Mix in to colour the rice and gently fry for a minute or so while boiling the kettle for the stock. 5 In a jug dissolve the stock cubes in a litre of water and add to the pan. 6 Add the chopped fine beans. 7 Add the tin of chopped tomatoes, the bay leaf and salt. 8 Simmer for 20 minutes keeping a close eye on the water levels – add more water if the dish is looking dry. In order for the rice to swell and cook plenty of water is required. Although the Spanish do not tend to stir their paella masterpieces, they do like a burnt crust at the bottom of the pan. In my experience, it is preferable to stir to minimise the amount of ‘crust’ at the bottom. 9 Add the shellfish and prawns (or the cheat’s packet of seafood medley) when the rise is almost cooked. 10 Add the frozen peas and simmer until the rice is tender and plump. 11 When the rice is swollen and soft and the shellfish warm through... enjoy! Serve with lemon wedges and chunky French bread stick and a glass of Sangria. Heaven!

Sangria is Spain and Portugal’s

equivalent to our Pimms! Great as a long cocktail for lazy afternoons in the garden, or ‘spice’ it up for a night time cocktail, by adding Brandy and Vodka to taste - be sensible! The latter is mixed by the younger set, I have it on good authority!

Ingredients 3 parts red wine 1 part orange juice 2 parts lemonade Ice Fresh mint - optional Sliced fruit of your choice such as oranges and lemons

Bring a touch of E D’ ‘ THE M

to your er! Summ

Method Mix all the ingredients together in a large jug and add more red wine, orange juice or lemonade according to taste and desired strength. Pour into glasses, garnish with mint sprigs and fruit.

GARDENING ADVICE

www.express-press.co.uk t:01926 815935

for September

Pansies look wonderful in containers and pots, especially outside your front door. Plant in the winter flowering variety in September and give yourself a cheery welcome when returning home this Autumn.

The days are become shorter, the temperatures (quite a bit) cooler and the garden gradually takes on the mantle of autumn. Historically, we are lucky enough to experience some warm days in September, so there’s probably time to grab one last meal in the garden, (have you seen our paella recipe?) One area of abundance will be the fruit and vegetable garden which, hopefully, is keeping you occupied with harvesting and plenty of goodies for the table. If you have an excess of produce think about how to keep some for leaner winter times. Root crops generally keep well in the soil. Carrots, celeriac, parsnips, turnips can all be left in the ground but it will make digging up easier if you cover the crop with straw or fleece to prevent the soil going rock hard in the frost. If you do want to store lifted root crops make sure they are in perfect condition, wipe off excess soil and discard leaf growth. Then layer in boxes with moist sand or compost and keep in cool frost free dark conditions.

Freezing is a great way to preserve colour and nutritional content. Blanch prepared beans and peas and freeze in bags. Soft fruits should be frozen raw, spaced out on a tray and then tipped into a bag. And of course, jams pickles and chutneys lined up in the cupboard give a great sense of achievement and contentment.

To Sow Now

• As the temperatures fall keep an eye on the weather forecast and protect any tender plants from potential frost damage. • Hanging baskets will benefit from deadheading feeding and watering but once the frosts have knocked them back then replant with winter flowering pansies, violas and ivy. Little miniature daffodils make a nice addition too.

Sweet peas can be started now under cover for early blooms next summer. Hardy annuals such as poppies, calendula, Californian poppy, gypsophilla, hellebore.

• Most perennial weeds are vulnerable

To Plant Now
