Introductions
Linda has over 27 years of experience in childcare. She holds an NVQ level 4 in childcare management. Through extensive additional training Linda found her passion in ‘Playwork’, an ethos that is at the core of all our clubs.
Richard has over 20 years experience in ‘Information Technology Management’ and looks after the financial and the administration side of Tic Toc. He is also one of our fantastic mini bus drivers.
Tina has worked her way up through the ranks ever since Tic Toc started. She holds a BA Hons Degree & an NVQ Level 3 in Playwork. She is just as passionate about the company’s ethos of helping the children to play their own natural way.
Bek holds a Level 3 Accountancy qualification and has extensive experience in customer relations. She works with Richard in handling the financial side of Tic Toc Play.

Policies and Procedures We have a large number of policies and procedures in the setting available for parents to read. Everything we do is covered either by a procedure or a policy document. These are extensive, so if you want to find out how we deal with everything from accidents to volunteers, please feel free to browse our policies and procedures documents. We also have a full range of written ‘Risk vs Benefits’ assessment’s available. Complaints Whilst we are committed to providing an excellent service and we try our best to ensure that everything runs smoothly, we are aware that occasionally we may not live up to your expectations. If this happens we want to hear from you. Please contact us and not the school. Let us know either in person, over the telephone, or you can email us at info@tictocplay.com. We will do our best to resolve the issue to your satisfaction. Registration All parents are required to fill in a registration form for each child before attending club. It is essential that we have written information of any child allergies, dietary requirements, illness, medication, emotional, behavioural and learning difficulties. Please ensure that we are notified of any changes to your contact details. Also, you will need to tell us who is picking up your child on a regular basis, and let us know of any changes to this arrangement beforehand (the appropriate forms need to be filled in). The registration fee is a one-off payment per family for registering your child or children with us. This is to cover our administration costs and is non -refundable.
Handover Procedure For After School Clubs Sompting Club: the reception children at Sompting are collected from their classrooms, the older children walk to the community room through the school. North Lancing children are brought to or make their own way to the seating area outside the head teachers office depending on their age. Seaside children are also brought to or make own way to the school office depending on their age and wait in the school corridor outside the main office, with a playworker, until everyone has arrived. Fairfield Club: children are collected from The Gattons school and Southway School. Then they are walked to Fairfield. Manor Field Club: the reception year 1&2 are collected from their classroom by staff (everyone wears high-vis jackets) and are then taken to the Kids Zone. Birchwood Grove children are brought to round table, set off from the reception areas. St Wilfred children are brought to the reception area after all children have gone home. Page 7
Accessibility & Inclusion We are committed to providing a fully accessible and inclusive environment which values and includes all visitors regardless of their education, physical, sensory, social, spiritual, emotional and cultural needs. We are committed to challenging attitudes about disability and accessibility, and committed to developing a culture of awareness & tolerance. We offer additional support (one-to-ones) for those who may require it and we are delighted that we have been awarded a PAT mark for our efforts.
Our Staff We have a full induction for our staff and we ensure that we have suitable references in place before they start. We also ensure that they have a full DBS (CRB) clearance and are registered with Ofsted. Staff members all hold or are working towards a childcare qualification from NVQ level 2, 3, 4 or 5 in playwork or childcare. We send all our staff on First Aid, Health & Safety, Safe Guarding, Inclusion & Food Hygiene courses and they receive regular in-house training sessions.
First Visit This can be very distressing for some children and to help them settle in each new child will be allocated an adult, who will keep an eye on them, and also a buddy if they don’t have a friend at the club. We ask parents to bring their children along and visit us beforehand to experience the club, and parents are more than welcome to stay for a short while to get to know the environment, staff and the other children. We recommend this as we find that the children settle in better this way. Page 8
Late Booking Sessions classed as ‘Late Booking’ are those that have been booked without giving us two weeks notice (these are charged at a different rate). For example, if you phone us halfway through the term and book every Tuesday until the end of term, the first two Tuesdays will be classed as a ‘Late Booking’ but the rest will be at the normal rate. It is the parent’s responsibility to inform the school and teacher their child is coming to Tic Toc Play that day. They will not be able to attend any school ‘after-school’ activities, such as Football, Art club or Chess club as we cannot return at a later time to collect them. Parent’s Notice Board Check out our parents notice board! We keep it updated with club activities, menus, Ofsted and insurance certificates. It also includes information on EYFS, the newsletter, a list of our policies, team information, staff training, our complaints procedure, our play principles, photos of the team, as well as links to our social media sites. Children’s Notice Board The other important notice board is the one where we display the children’s work. We keep it regularly updated with pictures and photos so it’s worth keeping an eye on. Very soon you will be able to search for and purchase photos on our web site.
Trips We offer additional trips to children at the Holiday clubs. If parents do not wish their child to go, the club will continue their usual daily routine. We always welcome parents and carers to help. Parents are requested to sign a trip authorisation form. Photos & Videos We take lots of photos and videos of the children’s play, and the children also take a lot of photos too. We use them for posters, our Facebook & Twitter Pages, on our own website, In-house training sessions, for EYFS Learning Journals, and lots of other ways. Page 9
Club Closures Policy With snow and ice now more frequent between November and April each year, it’s our policy to open a club if the school is open and to close if the school is closed. If this happens then we will credit your account with a refund for half the fees for that day. The Holiday clubs will be open regardless of the weather, as our staff team live locally. We would only close a club in extreme circumstances, and would contact parents to advise them the club was closed. If it snows overnight, as soon as we know whether a school is open or closed we will update our websites’ front page, so keep an eye on www.tictocplay.com, the local radio stations or check our Twitter & Facebook Pages for more details. We will usually know by about 7:15am but please keep checking for up-to-the-minute news. If you want to read a copy of our closure policy, just ask in club.

All our staff undergo extensive in-house training; this covers subjects from our Policies, Procedures, ‘Free Play’, ‘Playwork’, managing behaviour and risker play. Page 10
Security Each club has its own entrance, so please refrain from using the school main entrance. The children will be taught the club safety and security rules. Fluorescent jackets or bands will always be worn by children whenever they are outside of club grounds. When traveling by car or minibus children will be taught the safety guidelines. Seat belts will be worn at all times and not removed until the adult says so. A full policy on security, specific to each club, is available on request.
Dealing With A Case Of Bullying All cases of bullying are taken seriously and will be immediately dealt with. The child or children involved will be asked to apologize without
prompting.
All staff will be informed and the children will be
monitored. All incidents will be recorded. All cases reported will be fully investigated within 48
hours. Parents will be invited into the club to discuss the problem or issue. If the situation requires it, outside professional advice will be consulted. In serious cases, suspension or exclusion from the club will be considered. After the incident has been investigated and resolved, each case will be monitored to ensure that this situation is not repeated. We will review our procedure and make any amendments necessary.

Planning For The Kids
Free play - We encourage children to participate in activities as much as possible, but we operate a freedom of choice policy so please do not be anxious if your child doesn't do the activity as they may have been busy with other physical or imaginative free play ideas. Planning comes from many different areas, such as consultation with the kids, looking at their previous spontaneous play habits, looking at what the younger children need to explore as well as suggestions from the Play Leaders and Playworkers.
Loose parts –a range of everyday objects like boxes, tyres, tubes & pipes, guttering, dustbins, planks of wood, fabric etc, that the children can freely use in their on free play opportunities. We Need Your Help!!! Do you know someone or can you provide us with some loose parts? It can be just about anything you don't need and anything you think the kids could use. We have the use of large outdoor areas, a large selection of sports equipment as well as the use of adventure playgrounds. Children are encouraged to use their imagination and experiences in play as well as having the opportunity for organised, adult-led games. Our Club Routines Breakfast Club Routine Breakfast club start times are different for each club and run until school starts. At the club the children can help themselves to the breakfast bar. We have on offer a variety of cereals, muffins, toast, crumpets and toppings, fresh and dried fruit, milk, fruit juice and water available until 8:20am. We offer a variety of activities, from arts and crafts to games in the hall. After club, Reception & Year 1 children are escorted to their classrooms, the others walk on their own through the school. Kids being taken from one school to another are escorted via the walking bus system by 8.35am.
After School Routine Once the children arrive at the club and they sign our register, they can choose to have a drink, some fruit or a light snack from our snack table, which is available until 4:30pm – the first Home Time. They also have the chance for free play or to choose from the activities on offer. Children staying until 6.00pm have a second snacktime at about 4.45pm, followed by a choice of more free play, the daily activities on offer, or joining in with the adult-led games in the hall or outside, until its home time at 6pm! Holiday Club Routine Sompting & Manor Field Schools - An Example of a Typical Day. Breakfast Club starts at 8am, with a yummy choice of cereals toast, muffins or pancakes, followed by lots of free play and time to see what's on the activity tables. More children arrive from 9am, and it’s time to join in with the first adult-led activity – unless the children want to opt out and do their own thing – before the first snacktime at 10am. After snacktime it’s time for some more free play – den building, bikes, football, etc. – until lunchtime at 12pm. After lunch it’s time for some group games like basket ball, dodge ball etc.— but if you don’t want to play, that’s okay: there are lots of toys to play with in the cupboards. At 2pm it’s time for the second adult lead activity, or time for some more free play time maybe on the Wii, water play, or some splatter painting. At 3pm some of the children go home, while the others get to do some more fun activities! At 4.30pm everyone gets another chance to go on the bouncy castle. It’s now 5pm and time to have something to eat again, after which there’s just enough time to play on the Wii before home time at 6pm. Page 13
Light Bites At snack time children will be provide with a drink and snack. The snacks will vary to ensure a balanced diet, avoiding large quantities of fat, sugar, salt, additives, preservatives and colourings, and take into account any addition dietary requirements. The snacks are provided by the club and are included in fees. After School: from 3pm the 1st light bite Snack time generally consists of fruit, juice, milk or water, toast, crackers, or rice cakes with toppings. At 4:45pm we offer a hot second snack (example: pasta and sauce or cheesy beans on toast) for the children that are staying to 6pm. The second Snack is to curb their hunger while at club and should not be considered a main meal. The weekly menus are displayed on the parent notice board. We also have available a fact and guidance lunchbox sheet, food policies and healthy lunchbox idea sheets if you would like some inspiration. We have many children with different dietary requirements & allergies, so please feel free to discuss with the clubs Play Leader any requirements your child may have.

Behaviour Management We encourage a positive attitude by staff, children and visitors. This helps everybody to develop self-discipline and self-esteem in an environment that has mutual respect. The rules have been made up by the children through discussions and consultations during club. As new children join us they will be guided through them, but it is the responsibility of all to help them understand the rules. All adults will be encouraged to present a positive role model for the children. When a child chooses not to follow the club rules, we use a time out system to discourage further negative behaviours. You are welcome to read more on our behaviour management policy and procedure. Just ask in club!
Incident Forms Incident forms are for when situation in club has reached a point where malicious intent, rude or crude behaviour was seen or described by an affected child or adult. The details of the incident will be written on the form and the staff member dealing with the incident, the Play Leader, and the parents will be asked to read and sign the form. When you sign this form it is only to say you have read it and you understand what has happened. It is in no way an admittance of your child's guilt, or that the matter has been finished with. After all incident forms have been filled out and the parent has been informed, the Playworkers and the Play Leader will discuss how this can be discouraged in the future, as well as any action plans that can be put in place. If your child has an incident form their name will be highlighted in orange on the register. Please discus any concerns you may have with the clubs Play Leader. Page 18
EYFS (Early Years Foundation Stage) Every child under five is required by Ofsted to have a ’learning journal’. This requirement is to make sure the younger children's learning is well balanced and covers the seven learning areas. The seven learning areas consist of three prime areas (Personal, Social and Emotional Development (PSED), Physical Development (PD), Communication and Language (CL) and four specific learning areas (Literacy (Lit), Mathematics (Maths), Understanding the world (UTW) & Expressive Arts and Design (EAD). We do visual observations as well as take photos of the play they undertake. At the end of the term we evaluate their play and plan for any improvements for the following term. This process continues until the month of June past the child's fifth birthday, when parents can take the folders home. When your child starts with us we will require you to fill in our Parents EYFS form to let us undertake this process with your child as we need to communicate with their previous care providers and their teachers. The learning areas will be shown on the planning sheet so you can see which ones are being covered on that day. Messy Play At Afterschool or Holiday Club we have messy activities at Tic Toc. It is our ethos to let the children participate in potentially messy activities, such as digging, water play or painting. As you can imagine not all children stay clean during this process! We recommend the children wear aprons and to get changed but some refuse (which is their right too). So we do recommend that you bring in spare clothes for them to wear while they are at club.

Invoices And Payments Invoices 1) Following term invoices are raised at the end of the previous term. 2) Many of our parents prefer to receive their invoice directly by e-mail. This avoids them being lost in the post, is more environmentally friendly and is our preferred method. 3) We do not issue an invoice for the holiday period as payment in full is required at time of booking, unless a special arrangement has been agreed with Richard. Statements These are records of accounts and show your account balance, including all payments made and invoices owing. You can request a statement at any time. Payment You can pay us by cash, childcare vouchers, direct payment into the bank, standing orders or Credit/Debit card via PayPal (3% fee applies). Monthly payment plans are for Breakfast & Afterschool Club only. Our bank details are: Account Name: Tic Toc Play Clubs Ltd. Barclays Bank: Sort code 20-98-74, Account number 03854809. Please use your child’s name and invoice number as reference. Once sessions have been booked they need to be paid for even if your child cannot attend for any reason including sickness or holidays etc. We will shortly be able to take payment over the phone using a Debit or Credit card. When paying at club please retain your receipt as proof of payment. Please note that your payment may not register on your account until around ten days later. Page 20
Late Payment It is very important for our small company to receive monies quickly, we incur additional charges and administration when that doesn’t happen. All invoices you will receive will have a date when payment is due and any unauthorised late payments will incur a late payment fee, plus interest. If you think that you will have trouble paying an invoice then don’t be afraid to talk to us. Please be aware that interest may be charged on overdue accounts. Childcare Vouchers We also accept childcare vouchers. This is a government initiative to give parents help with childcare costs. They are issued by your employer and are tax and National Insurance free, which can be of great benefit to you and could save you a lot. We accept all of the voucher schemes, but please be aware we cannot issue refunds for voucher payments: if an over-payment has been made you will need to contact the voucher company. Working Family Tax Credit You may be able to reclaim up to 70% of your childcare costs through Working Families Tax Credit. For more information and to apply call 0845 900 3900 or to see if you qualify, check www.taxcredits.inlandrevenue.gov.uk Our Fees All fees must be paid in advance unless special arrangements have been agreed with our accounts department to spread the payments over a period of time. Once booked, sessions cannot be cancelled without 2 weeks notice. Whether used or not, we do not swap or cancel ’Late Bookings’.

Ensuring that children choose to engage in lawabiding and positive behaviour. Achieve Economic Well Being Families are supported in maximizing their economic well-being. Parents support their children 11 – 19 years in preparation for working life. This is a government requirement but we strive for this in the day to day running of our clubs.

Code Of Practice
1) Booking Places We are required to receive a fully completed registration form for each child. This can be paper based or completed on-line but it will need signing by a parent or guardian. We will reserve a place once the registration fee has been paid and only booked days can be guaranteed to be available. ’Late Booking’ days and any emergency cover can only be arranged for registered children only by 12pm that day via a phone call (not via email). 2) Refunds No refunds will be given for any cancelled days, (e.g. sickness, holidays, at a friends house etc.) unless we are given a minimum of two weeks notice. Please only book the days you require, subject to item 6 below. Days cannot be swapped during a week. Your child is booked in for a set day: this ensures our staff-to-child ratio is maintained and that a place is available. If you require an extra session you will need to pay in advance for the extra day. 3) Extra Sessions If you require extra days, then the days must be paid for at the time of booking. 4) Non-Attendance If your child is not attending the club, please contact the Play Leaders directly first or contact the office. Payment is still required if a place has been booked. The club contact numbers are on the back cover. The consequences of not telling us about your child not attending club has repercussions on the whole club, as the Play Leader will need to search the whole school for them (the class rooms, the halls and the whole grounds). This takes them out of club and away from the needs of the parents and children who are at club for an unacceptable amount of time. We will contact you first but if we do not get confirmation the child is safe, we will then follow our missing child policy and will contact social services and the police. 5) Late Pick Ups If a child is not collected by the end of the booked session, then the session will automatically be extended to the end of the next available session on that day and the extended session fee will apply. For example, if the session ends at 4:30pm and you are still on the premises at 4:31pm then the extended session fee will be payable. If a child is collected from us more than 5 minutes after the last session time for that day then a penalty fee will be incurred. An additional fee may be also incurred if a parent is being consistently late or, in extreme circumstances, we may exclude your child form the club. 6) Cancellation Contracted days will continue into the new term & following school year unless cancelled in writing. A minimum of 2 weeks notice is required of all cancellations. Page 23
WE PLAY In our setting we PLAY. Sometimes whilst PLAYING Children will encounter risk. ACCIDENTS may happen. If they do, we have qualified First-Aiders to deal with the accidents. During PLAY, children will get DIRTY. Please do not send them to club in their best clothes. Send them with spare clothes to change into, especially footwear. We use paint and glue and mud. We hunt for twigs and sticks and bugs. We climb trees, we swing in hammocks.

“I not sure I like the thought of my child building a fire in holiday club?” At Tic Toc Play we understand the concerns you might have about your child playing with fire while at club but all of our riskier activities are fully evaluated and within that assessment we have worked out the benefits of this activity to the child's overall development outweigh any risk. This activity would also be fully supervised by trained members of staff.
“I want to cancel my sessions I have just booked with you?”
To cancel any session with us we will require two week’s notice. This still applies even if you booked them and cancelled them in the same day. You will also still be charged for any session whether it was used or not.
“Why is my child’s school uniform dirty?”
At our afterschool clubs we do get messy from time to time. We recommend the children get changed so they can get as messy as they like but we CANNOT force them to do this. We do find children are more willing to get changed into their own spare clothes for messy play and would suggest all children should have spare clothes for them to wear while at club.
“Why am I being charged for my children attending club at the start of term, when I haven’t booked them in?” When a regular booking has been made (for example, every Tuesday until 6pm) this booking will continue to the following term unless you cancel it in writing.
“My daughter is allergic to nuts and plasters, will this be a problem?”
No, this is not a problem but we will require you to fill out the necessary forms to insure your child will have the appropriate care. We will also administer any prescribed drugs needed while in our care by our level 2 paediatric First-Aid trained members of staff. All our clubs are nutfree zones and carry the above poster. However, because other groups use the setting we cannot grantee that the club is completely nut free. Page 25

What do I do if my child needs to have medication whilst at the club? If you wish for our First-Aider to administer medication to your child then you must complete and sign our medical forms giving us permission, stating why the child needs this medication, and sign another form at the end of the session to say that you are aware that it has been given to the child. We can only administer medication prescribed by a doctor, We DO NOT give non-prescribed medication e.g: Calpol or Junior Disprol Etc.
Plasters
We only use Hypo-allergenic plasters on the children to avoid adverse reactions. Please inform the Play Leader if your child is not able to use these.
Accidents
If your child has an accident you will be asked to sign an accident form to show that we have made you aware of it. If your child's name has been highlighted in the register in pink, then there will be a form for you to sign. Please remember, we can only tell you if the child has told us.
Inhalers and Epi Pens
If your child has been prescribed an inhaler or epi pen by the doctor, please make sure the child has one they can use while at club. The school CAN NOT share theirs unless arrangements have been made by you for it to be returned back to the school. Where possible please bring a spare one for club use only.
Sickness & Diarrhoea In the case of you child having sickness or diarrhoea please inform us. Only when they have stopped showing signs and symptoms and a further full 48 hours has passed will they be allowed to return to club. Page 26
Health And Safety We seek to ensure the health, safety, wellbeing and welfare of all staff, children, visitors and all other individuals who may be affected by Tic Toc Play’s activities. The Health and Safety at Work Act 1974 and the Workplace (Health, Safety and Welfare) Regulations 1992 and their associated Approved Code of Practice (ACOP) and guidance will be complied with at all times. The Manager, Play Leader and staff will always strive to go beyond the minimum statutory standards to ensure that health and safety remains our foremost priority. Safe Guarding is of paramount importance and we are committed to the safety and protection of each child attending the club. We provide a safe environment for the children and it is the responsibility of all staff members to maintain this by eliminating any obvious risks and reporting any concerns to the appropriate person (Dynamic Risk Assessments). All potential ‘risks’ at club are covered by extensive risk assessment with a possible ‘benefit’ of letting the children explore this risk. No risky activity is undertaken without a written or a dynamic risk assessment. All staff undertake training in health and safety, be it in-house or out-of-house training. Regular fire drills are done at club with multiple exits routes so all children are aware of what to do in the event of an emergency. We encourage an open and honest relationship with all parents, carers & guardians. This enables us to discuss any concerns that may arise. Page 27
Important Terms And Conditions Payment Of Club Fees Payment of club fees shall be in advance of the session taking place unless a payment plan has been agreed. Invoices will be issued towards the end of one term in readiness for the following term. The invoices will usually be for a 5 to 7 week period. If the payment of fees shall be outstanding for more than 14 days then a late fee will be chargeable and the club may terminate this contract. Upon termination of this contract the child shall cease forthwith to be admitted to the club and the termination shall be regarded as a formal demand for all outstanding monies. If a parent is having difficulty meeting the fees owed, then the club director at their own discretion will endeavour to come to a mutually acceptable arrangement for paying all fees due. The club reserves the right to change the fees and sessions at any time. Cancellation / Termination The parent/guardian may terminate this agreement by the service of two week notice in writing (letter/ email). If a letter; preferably posted to the main office. In the event of the parent/guardian giving notice of their child not attending anymore and immediately withdrawing the child there still will be due the two week fees in lieu of giving us proper notice. If in the reasonable opinion of the company directors or person of similar standing or authority it is considered that the continued presence of the child is detrimental to the health, safety or wellbeing of that child or other children or staff of the club, then the club may serve notice to the parent/guardians for the child to be immediately removed from the club and the provision of two weeks notice shall not apply. Important Terms And Conditions Late Pick Up
The definition of ‘pick up’ or ‘collection’ or ‘collected’ is the time the child leaves the club premises and not the time the parent arrives. If a child is not collected by the end of the booked session time then the session will automatically be extended to the end of the next available session on that day and that session fee will be payable. For example if the session ends at 4:30pm and you are still on the premises at 4:31pm then the session fee to 6pm will be payable. If a child is collected from us more than 5 minutes after the last session time for that day then a penalty fee will be incurred for the first 15 minutes and then an additional cost for every five minutes after that. An excessive continuance to be late may result in your child being excluded from club. Due to the welfare of children in our care any person collecting a child from Tic Toc Play must be over 18years of age. We feel that in today’s world that we need to consider the welfare and safety of the children and we would never allow them to leave the premises to walk home by themselves either.
To All Parents & Guardians: Please take note that this document and accompanying forms are your contract with us. Not following this contract may lead to termination of said contract and exclusion of your child. Please don't ask our Play Leaders to bend the rules for you. There shall be no variation of this agreement unless it is in writing and made between the company directors and the parent/guardian. Page 29
