Introduction Thank you for booking a space at the 2012 TNT Travel Show, which takes place at Earls Court 2, on Saturday, March 3. This year’s show is set to be the biggest yet. With more than 90 exhibitors on board and an expected 12000 visitors through the door, the show stands in a league of its own. The information contained in this pack will provide you with everything you need to prepare for a successful event. Please take the time to read the manual, ensuring that the necessary order forms are completed by the deadline dates. This will save you any last-minute inconvenience and expense. This year’s annual Travel Show, TNT have appointed Managed Perceptions to plan and project manage the show. Earls Court Two Earls Court Two was opened by Diana, Princess of Wales on 17 October 1991 for the Motorfair. Earls Court Two is situated on part of the former Lillie Bridge. The venue is still one of the most popular arenas to play in the UK, with a capacity of around 19,000, including standing room. There are various prominent hotels near Earls Court that are easily accessible and offer impeccable comfort combined with convenience of their location. It’s a short walk to Earls Court’s West Brompton entrance. Postcode: SW6 1RX Red Car Park (P2) A multi-storey car park located on site, next to Earls Court Two. Delivery informtion

Delivery and collection of exhibits Deliveries Delivery of goods should be made to Earls Court only on and not before Friday 2 March, between 9 & 6pm via L GATE. No packages will be accepted or signed by Earls Court 2 outside these times. It would be advisable to let TNT know in advance if you would like to courier items which require signature. Once exhibitors arrive at Earls Court Friday, March 2, between 4pm & 8pm it is their responsibility to collect any pre delivered materials from the TNT office at Earls Court 2 and to take to their stands. All packages must be clearly labelled, with the heading: FOR ATTENTION: Richard Collins, ‘TNT Magazine Travel Show’, followed by the exhibitor’s name, stand number and number of boxes. A courier label has been attached to this manual to photocopy as many times as necessary. It is very important that these labels are used to ensure a smooth delivery system. However to save much time, money and planning we recommend you contact our trusted event management partner Managed Perceptions, who can provide all the delivery and set-up services for you. ( See Page 18)

Loading/unloading All vehicles used to deliver and collect goods to/from your stand must display a vehicle pass in the windscreen. Please follow the advice of the traffic marshalls, who are there to ensure that everyone can load and unload as quickly as possible. Once you have loaded/unloaded your vehicle, it must be removed from the loading areas, in order to make room for others. On arrival at the venue, please report to Seagrave Road Car Park, where you will enter the marshalling zone before being called forward to the hall for loading/unloading. Waiting in the marshalling zone is free of charge; however, parking on returning to the car park once unloaded is charged. However to save much time, money and planning we recommend you contact our trusted event management partner Managed Perceptions, who can provide all the delivery and set-up services for you. Collections If you are arranging for goods to be collected after the exhibition closes, we strongly advise you not to leave goods unattended at any time before they are collected. Exhibitors are reminded that goods must be collected on Saturday, march 3, before 8pm. TNT Magazine and staff of the TNT Travel Show cannot accept responsibility for any goods at the venue. However to save much time, money and planning we recommend you contact our trusted event management partner Managed Perceptions, who can provide all the pick-up and delivery services for you. General information

General information Logos and company profile Every exhibitor will have a profile and their logo in the official TNT Magazine Travel Show programme and website. Please note you will be sent an email containing a link to your webpage to enter these company details online. The new TNT Travel Show website will be launched on January 16, 2012. You are strongly recommended to complete this as soon as possible for maximum exposure on the website before the event.

Public broadcast and noise levels Please remember if you wish to use audio-visual equipment for the purposes of playing sound recordings, showing films, and receiving visual images or sounds conveyed by electronic means or live performances, it is your responsibility to obtain a license. Please contact the TNT Travel Show organisers if you wish to play recorded music at your stand. TNT reserves the right to stop music playing from your stand should you not have informed the organisers.

Promotional activity at the show We remind exhibitors that only the confines of your stand may be used for advertising purposes. The use of persons for publicity as well as the distribution of leaflets, posters or similar will not be allowed outside the boundary of your stand or around the venue. Also under no circumstances may any material be attached to the venue walls or doors

Food and Beverages Food and Drink will be made available to the exhibitors and the public on the show day. Earls Court 2 will provide a variety of sandwiches and confectionary at reasonable prices. However there is a wide selection of bars and restaurants in close proximity of Earls Court.

Sale or supply of food/alcohol from stands In order for the venue to ensure that these activities comply with the Licensing Act 2003 and their own Premises Licence conditions, you are required to provide full details of any sampling or selling for off-site consumption If you are proposing to sell or supply alcohol (except that obtained from Leith’s), you must complete and return the form at the back of the manual no later than 31st January 2012. Shell scheme upgrade and optional extras A comprehensive list of items may be hired from Europa International at an additional cost. To order any of these items, please fill out the Europa order form at the back of this manual or see www.europainternational.com. Europa will deliver directly to Earl’s Court on the morning of Friday, March 2, and remove items once the show has finished. You will be supplied with a booth which is measured to your stand allocation in metres, 1 x 2amp socket and two spotlights. You must contact the show organiser if you are organising a custom-built stand in replacement of the shell scheme.

Storage Please note each stand comes with a table and two chairs or a lockable cupboard as basic. Please complete the form at the back of the manual to confirm which you would like and return to TNT before Friday, February 25.

Please note that there is limited to no storage space other than the space on your stand Additional furniture, counters and built in stores are available from Europa International and can be ordered online on www.europainternational.com. If lockable, built-in stores are required, please contact Europa International and complete the shell extras order form at the back of this manual

Signage Signage is a vital component for any exhibitor, and for that reason the stands have been designed in a user-friendly manner. The entire system is velcro compatible. You can simply use ‘hook velcro’ (velcro MS28), adhering your promotional material directly on to the panels. If you have any material larger then poster size or need advice in developing your stand, please contact Europa International or the TNT Magazine Travel Show organisers.

Electrical and safety requirements Each shell scheme stand will be fitted with two amps of power and two adjustable spotlights. If you require any additional electrical items or have any questions, please contact Stephen Murphy Jnr from Europa International. Please be aware that additional items will be charged to the exhibitor. Exhibitors are permitted to employ their own technicians to install exhibits, but connection to the hall supply must be carried out by Europa. If you have booked a space only stand please contact Stephen Murphy Jnr to arrange electrical appliances and power supply.

Power Each shell scheme stand will have a fuse board and breaker assigned in blocks of six controlling the stand’s lighting and electrical exhibits. All power supplies will be switched off when the halls are not in use, except by prior arrangement. If you have booked a space only stand please contact Stephen Murphy Jnr to arrange electrical appliances and power supply.

Appliances Any electrical appliance connected to a socket must be tested before it is plugged in and switched on. The responsibility for ensuring this test is carried out is that of the person or persons bringing the equipment into the exhibition hall. If you have booked a space only stand please contact Stephen Murphy Jnr to arrange electrical appliances and power supply.

Special lighting All low-voltage transformers shall be fused on both and secondary sides. The client’s equipment must comply with all regulations and is subject to testing and spot checks. If you have booked a space only stand please contact Stephen Murphy Jnr to arrange electrical appliances and power supply.

Plugs Multiple connections: no more than one flexible cord shall be connected to one plug. Fuses: the rating of fuses in fused plugs shall be appropriate for both the equipment and flexible cord connected. Nonflexible cords shall not be connected to plugs.

security & safety

SECURITY and SAFETY Security TNT Magazine will employ a team of security personnel sufficient for day-to-day security purposes. While every precaution will be taken to protect your property during the event, we are not responsible for any loss or damage and we recommend you take out insurance cover.

Security passes Deadline February 3 Please complete and return the exhibitor security pass reply sheet at the back of this manual, providing us with the names of staff and outside contractors who will be involved in setting up and breaking down your stand at the show, so we can prepare the correct number of passes. These can be picked up from the welcome desk during set-up times.

Fire safety Gangways must be kept clear of exhibits, stand dressings, tables and chairs. Offending items are liable to be removed without warning. Please keep all your exhibits inside your stand area at all times and check your stand area daily for anything suspicious. There are emergency exits in all corners of the exhibition room and fire extinguishers on hand.

Cleanliness Your stand will be vacuumed each day and rubbish will be removed, but exhibits will not be cleaned. Please leave bags of rubbish in the gangway after the show has closed each day for collection. If food waste is produced, this must be disposed of separately. Please discuss with your event manager. All waste, except small quantities of litter, produced by your stand must be removed from the venue at the end of the end of the event. A charge will be made for disposal of any large items, such as boxes of literature, carpet (except scraps) and stand fitting materials.

Hazardous and Excessive Waste Exhibitors and their contractors must remove excessive or hazardous waste at the end of the show, otherwise charges will be incurred. Excessive waste is defined as: more than 2 boxes of literature, stand fitting material, pallets, material packaging and quantities of unsold stock or ‘give-aways’. Hazardous waste is classified by the 2005 Hazardous Waste Regulations as: light bulbs and fluorescent tubes, electrical equipment and fittings, gloss and emulsion paint and their containers, cooking oils and their containers, aerosols both full or empty, oils and lubricants and oily rags.

Disabled access Please ensure that you consider accessibility to your products and services for disabled people when designing your stand. This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage. First aid The venue has a medical centre staffed by qualified nurses. If you believe an ambulance needs to be called, please ensure that this request is directed to the venue’s control room on 020 7370 8888 (Earls Court). The staff’s knowledge of the venue and where to direct the ambulance could save vital time.

Health and safety Under the Health and Safety at Work Act 1974, event organisers, exhibitors, contractors and agents have a duty to ensure that all personnel contracted by you have a responsibility, so far as is reasonably practicable, for health, safety and welfare of all employees, and that any plant or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. This means that all employees should be provided with information, instruction, training and supervision to ensure not only their health and safety but also that of others working or attending the vicinity.

WORKING AT HEIGHT ‘The working at height regulations 2005 has now come into force. These regulations place a duty of care on every employer to ensure that all reasonable measures are taken to ensure that a risk assessment is carried out for any activity where ‘a fall involving a distance liable to cause injury could occur’

RISK ASSESSMENTS / METHOD STATEMENTS Each exhibitor MUST submit a risk assessment to cover their activities. It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards. Free build/space only exhibitors MUST also complete and submit a method statement to cover all phases of the stand build activities during the build-up, exhibition and breakdown phases. Insurance While we take every precaution to protect your property during the event we are not responsible for any loss or damage. TERMS and CONDITIONS Patents and copyrights By entering into an agreement to attend this exhibition, you warrant the TNT Magazine Travel Show 2012 that all designs and artwork on or relating to your stand and any items displayed on your stand shall not infringe any trade, copyright, patents or other intellectual property rights of any third party in any way. In the event that the TNT Magazine Travel Show is under any legal obligation (whether by virtue of court injunction, order, judgement, recommendation or decision of a Trading Standards Officer or otherwise) to remove any stand or part of a stand (without prejudice to any other rights which TNT Magazine Travel Show may have), then the TNT Magazine Travel Show reserves the right to have that item or items removed from your stand or to close your stand at the exhibition. No compensation or damages will be payable as a result of such removal or closure by the TNT Magazine Travel Show. Shell scheme regulations a) The choice of stand fitting contractor is at the discretion of the exhibitor. The organisers must be notified of any such contractors. b) Partitions: on dividing sites, exhibitors must supply, erect and decorate walls facing their stand areas and gangways up to a height of 2.5m. Walls above this height must be finished to an acceptable standard on both sides by the exhibitor who had them erected. In addition, any construction which backs onto a gangway must be dressed to the full height of any construction or display. c) All stand structures, signs, exhibits etc must be confined within the area allotted and may not project into or over the public gangway. d) It is the responsibility of the exhibitors to examine the allotted stand in order to avoid costly adjustments to stand structures such as minor obstructions for which the organisers cannot accept responsibility. e) All work must be carried out using non-flammable material. f) The design of the stand must be such that it can be erected and dismantled within the time available. g) If an exhibitor causes a stand to be erected which does not conform fully and in all aspects to the requirements of the organisers and local authorities, the organiser shall be at liberty to enter the exhibitor’s stand and alter, demolish and/or reconstruct the said stand so as to make it conform to the regulations and requirements. The exhibitor shall, on demand, repay the organisers all expenses incurred by them in respect of such alterations, demolition and reconstruction. h) Advertising refers to all company names, logos or any other lettering. On dividing sites under no circumstances will exhibitors be permitted to display company names, logos or lettering on the rear of party walls overlooking neighbouring stands. i) It is the responsibility of the exhibitor to ensure the stand is being built to the correct mark. If there is any doubt regarding the allocated floor space, please check with the organisers before commencing building work.

Emergency procedures

Exhibitors’ & Contractors’ Emergency Procedures There are four emergency procedures at Earls Court, of which exhibitors and contractors should be aware. You are asked to check for suspect packages/vehicles both morning and evening and to ensure that briefcases and bags are kept safely locked away at all times to prevent causing unnecessary concern. Please be aware of the location of the nearest fire extinguisher and nearest emergency exit. Please brief all your staff on these procedures. -ALL EMERGENCY TANNOY MESSAGES ARE PRECEDED BY CHIMES-

1. FIRE If you discover a fire, or a fire is reported to you, operate the nearest fire alarm call point FIRST, then inform Control on 020 7370 8888 (internal 8888).

SEARCH (“Staff Call 100”)

In the event of a bomb threat, you will hear the announcement (or receive the telephone call) as follows: ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100 Do not leave the building. Inform your colleagues, and then assist in searching for suspect packages/vehicles in your work area. If you find a suspect package/vehicle, do NOT touch or move it. Clear the area of people calmly. Report to Control on 020 7370 8888 (internal 8888) giving the exact location of the object. Please do not cause undue concern to visitors at this stage. If you receive a bomb threat directly on the stand, please obtain as many details as possible and then inform Control on 020 7370 8888 (internal 8888).

3. EVACUATION If evacuation is necessary, you will hear the following announcement: ATTENTION PLEASE. ATTENTION PLEASE. HERE IS AN IMPORTANT ANNOUNCEMENT. IT IS NECESSARY TO ASK EVERYONE TO LEAVE THE BUILDING. PLEASE MAKE YOU WAY CALMLY TO THE NEAREST EXIT. EVERYONE WILL BE RE-ADMITTED AS SOON AS POSSIBLE Please leave the building by the nearest exit and assemble on the Warwick Road Forecourt, or in the event of a wider cordon, on Olympia Way outside Olympia Exhibition Centre. Exhibitors and contractors should account for all their staff and report to Control on 020 7370 8888 (internal 8888).

STAND DOWN

The signal for a return to work is made by the cancellation of emergency procedures. The fire procedure is cancelled by the announcement: ATTENTION PLEASE. ATTENTION PLEASE. MR GOODFELLOW IS CANCELLED

Telephoned Bomb Warning Checklist Obtain as much information as you can. Try to keep the caller talking (apologise for bad line, ask him/ her to speak up, etc.) Complete this form as you go along. THE MORE INFORMATION YOU GET, THE EASIER IT WILL BE TO DECIDE WHETHER THE WARNING WAS GENUINE OR NOT.
