What makes Trestle Arts Base unique is not only its beautiful building with its stunning contemporary interior but the history behind the many diverse strands of Trestle Theatre Company itself. We think you’ll agree it is rare for a small touring company with a history in specialising in mask work to experience international success, set up an educational division, continue producing and touring its own shows and set up its own Arts Base. We don’t believe in standing still or relying on a single formula; we believe in constantly evolving which is why Trestle has itself diversified into touring Physical Theatre, and educational work. We still make educational masks and run mask workshops, but now run as many physical theatre workshops and are involved in many collaborative projects with charities, theatre and community groups. In theatre we feel there is room for everyone and that creativity is only limited by our imaginations. The Studio – ideal for dance and movement with mirrored wall and sprung floor. The Apex – a stunning space to hold your read-through, production meetings and rehearsals for small groups. TECHNICAL SPECIFICATIONS Trestle Arts Base is a 100 year old chapel beautifully converted into a unique performing arts centre. It houses a Theatre with a maximum seating capacity of 125 (subject to configuration). Trestle Arts Base is fully accessible. The Theatre has flat access; the Rehearsal Room and Meeting Room are accessible by lift or stairs. Free parking is available, with plenty of space for touring vehicles. Insurance You must be covered by your own public liability insurance for the duration of the whole hire. Please provide us with a copy of your insurance certificate. Front of House/Marketing House /Marketing Please send us posters (4-8) and flyers (100) for display at Trestle Arts Base. All publicity material must state the times, dates and ticket prices and that the performance is to take place at Trestle Arts Base. Base Please ensure the correct the box office telephone number is stated as 01727 850 950 and the website address www.trestle.org.uk . Any other marketing requirements can be discussed with the Marketing Manager and will be recharged in full to the Hirer. On the day of the performance the box office will be run by the Duty Manager. It is a necessity for Trestle’s Front of House Duty Manager to be on duty at all performance times. We require up to 2 stewards to be on duty, depending on ticket sales. These can be Trestle volunteers or provided by you. Stewards must be at the theatre at least 1 hour before the performance to be briefed by the Duty Manager. Please let us know as soon as possible if you wish us to provide stewards for you. You may sell programmes and/or merchandise in the front of house area. This may incur a commission fee. Trestle reserves the right to open its cafÊ to the public during your letting. We sell a variety of hot drinks, soft drinks and snacks. We also hold a licence to sell alcohol. Box Office Information Trestle will sell tickets for you from our Box Office and website. This service incurs an extra fee of 7.5% of your Box Office takings. This fee covers all aspects of ticket sales. Remuneration of ticket sales will be calculated after the performance and sent to you in the form of a cheque. Please provide us with one piece of art work in the form of a .jpg or a .gif (logo, photograph or poster artwork) of at least 1mb in size and 200 words of copy to use on our website. You may send this on a disc or email it to Rhian Desborough, our Marketing & Communications Manager rhian@trestle.org.uk You must not sell any tickets yourselves. Please refer all customers to Trestle Arts Base or our website. Before tickets can go on sale you must indicate how you want the theatre to be set up and what your ticket prices are. Please provide your own posters and flyers for the performance and arrange for them to arrive at Trestle at least 6 weeks before the hire date. You will also be required to supply us with a press release, again at least 6 weeks before your hire date. What happens next? If you are hiring the venue, we will send out a quote to you if this has not already been discussed. Once a quote figure has been decided we will exchange contracts. Please note that on exchange of contracts a deposit of 30% of the total hire fee is required for which you will be invoiced. If you are entering into a box office split/guarantee contract, this will be sent out to you.
Trestle Terms & Conditions of Hire Catering – If you require catering for your event, it must either be provided by Trestle or another professional catering company. If an external catering company is used, Trestle charges a fee of 10% of the total room hire cost. Copies of Food Hygiene and Insurance certificates are required from external caterers. If you have chosen a Trestle catering option, numbers must be confirmed 14 days prior to your hire date. Payment – must be made in full on receipt of an invoice. We accept credit/debit cards and cheques. Cheques should be made payable to: Trestle Theatre Co Ltd. The User agrees to pay Value Added Tax at the current rate. Data Protection – Trestle Theatre Company is registered as a Data Controller with the Data Protection Registrar. Data will be shared with visiting companies if they are registered as a Data Controller with the Data Protection Registrar and handle the data in accordance with the terms of the Data Protection Act (1998). All data supplied to Trestle Arts Base from patrons purchasing tickets to productions will be handled in accordance with the terms of the Data Protection Act (1998). Cancellation Policy – Cancellation of the booking is required in writing. Trestle will retain 30% of the booking fee if the booking is cancelled before 28 days of the date of the hire. If a cancellation is made less than 28 days prior to the hire date there will be no refund. Premises – The User is, during the hire period, responsible for the supervision of the hired space, the fabric and the contents, their care, safety from damage or change, and the behaviour of all people using the premises; including proper supervision of car-parking arrangements to avoid obstruction of the highway. The User must not use the premises for any purpose other than described in this agreement, and must not sub-let or allow the premises to be used in any unlawful practice. Smoking is not permitted anywhere inside Trestle Arts Base. Animals excluding “seeing and hearing” guide dogs are not permitted inside Trestle Arts Base. At the end of the hire period, the User must leave the premises and surrounds in a clean and tidy condition, and replace any contents temporarily removed from their usual position. If any damage to the fabric of the building is sustained, full costs, after investigation, will be re-charged to the hirer as well as any deep cleaning costs in the case of wine spillage on carpets or any excessive dirt left on walls or floors. Opening Hours – The premises cannot be used for public entertainment except between the hours 8.30am to 12.00 midnight 7 days per week. Our normal office hours are 9.30am – 5.30pm.
Regulations and Licences – The User must comply with all conditions and regulations by the Fire Authority, Local Authority, the Local Magistrate’s Court or otherwise. The User must comply with the Health and Safety at Work Act 1974. The User must supply one chaperone for every 10 children under 16, and ensure that any children under eight (8) years of age comply with the provisions of the Children Act 1989 and that only fit and proper persons have access to the children. The User is responsible for any permissions and fees due to the Performing Rights Society, the MCPS or other. The User must not exceed the maximum number of persons agreed for this hire, without prior written permission from Trestle Theatre Company, which may be withheld due to Fire Regulations. The User must keep a register of all their personnel within the building. The User must ensure that all personnel are fully instructed in fire and emergency evacuation procedures. This is in accordance with the Public Entertainments Licence issued under the Local Government (Miscellaneous Provisions) Act 1982/Stage Play Licence under the Theatres Act 1968. Additional Equipment – All electrical equipment to be brought into Trestle Arts Base must be maintained and operated in accordance with the Electricity at Work Regulations 1989, and no equipment must be used without prior agreement by Trestle Theatre Company. All use of set, props, and special effects must be agreed and approved by Trestle Theatre Company’s Technical Manager before the commencement of the hire. Anyone wishing to film or record and event may do so only by prior arrangement with Trestle Theatre Company. Insurance – The User is responsible for the insurance of its own personnel and property against all risks and fully indemnify Trestle Theatre Company against all costs, claims and demands in respect of personal injury or damage to, or loss of, property and any financial or economic loss resulting from anything done or omitted by the User. Neither party must do anything on the premises whereby the insurance policy of the other may be invalidated or which may cause an increased premium to become payable. Force Majeure – If by reason of any strike, lockout, war, fire, epidemic, riot, natural calamity, national mourning, order of government or local authority, act of God, or other cause beyond the control of either party, the hire is cancelled, the agreement will be null and void, and no claim will be made by either party against the other.
