Dear Wheels in Motion Participant,
Wheels in Motion – Driving Program – NEEDS YOUR ACTION. When we started the Wheels in Motion program 5 years ago we would have never expected it to be the massive success it has been. As part of this success, the work to keep it running in the office has also become huge. Therefore, we are going to trial some changes at the Twelve25 / Salisbury end of the project which will allow you to self-manage and plan your driving experience sessions a lot better and allow us to offer more sessions with more mentors. These changes will commence on Tuesday 18th April 2017. The changes are :
If you are already doing driving sessions with us, Every Tuesday at 10am you will receive an email which will provide a link to an online booking system (Eventbrite). From that link you can select and book a 1 hour session.
Bookings will be ‘first in best dressed’ but we ask that people only book 1 session n a week on Tuesdays. If there are free lessons for the week on Wednesday morning you are welcome to book a second session. We will manually monitor compliance with this. No more than 2 sessions per person per week.
The price for each session will now be $12.00 (we have not raised prices in 5 years).
When you book the session that suits your availability you will now be able to see which Mentor that is with.
When you book online you must now pay at the same time with a Visa, MasterCard or American Express card. This does not need to be a credit card but could be your EFTPOS debit card using your own money –
but you do need to ensure that your card has the VISA or Mastercard symbol on it. If you card does not have this capability – please see your bank for a free upgrade. If you are not sure if your card will work please come and see us at Twelve25 and we can help you to make sure that you can work the new system.
If you can’t book and pay online, you will need to attend Twelve25 on Tuesdays and book and pay over the counter. No phone bookings are allowed.
If you fail to attend your booked (and paid for session) you will loose your payment unless you provide us a full 24 hours notice. If you provide notice we will allocate a replacement session to you and move your payment to that session. The system will then make that available to other people.
We are going to stop the SMS reminders. We need you (when you book) to put it into your diary or phone and set your own reminders.
What hasn’t changed ? The three strikes policy still applies :o Miss one booked session – verbal warning o Miss a second booked session – written warning and your name will be removed from the email list and you need to come and see me before you will be eligible to book a session again o Miss three sessions – you will likely be told that we can no longer assist you.
We will still reserve sessions for ‘practice VORT’ tests where students who are nearly ready to sit their final drive can get a practice experience.
Hopefully these changes will allow us to streamline the access to driving sessions and allow us to take on more mentors and do more sessions each week. Please check the attached table for suggestions on action you may need to take. I have been to the forum, and have already done sessions with Twelve25 but haven’t been offered a session in the last three weeks and I am not receiving the booking emails on Tuesdays at 10am.
Check your email SPAM filter to make sure it’s not blocking emails from us – add us to the safe senders list. Ring Twelve25 on 8406 8555 between 10am – 5pm and ask us to check why you have dropped off the roster (reasons could be – the phone number we have for you has changed, you have more than $20 owing without a payment arrangement, you have missed two sessions and you haven’t come in for an appointment, we are making an administrative error or you have very limited availability and we don’t have sessions available at that time). Make sure you have an EFTPOS card with the Visa or MasterCard symbol to allow online payments (if in doubt come to Twelve25 and we can check)
I have been doing regular sessions with Twelve25.
Make sure you look for the booking email at 10am Tuesdays (starting 18/4/2017) so you can book your preferred session ASAP – Set you mobile to give you an alarm at that time. Make sure you have an EFTPOS card with the Visa or MasterCard symbol to allow online payments (if in doubt come to Twelve25 and we can check)

FREQUENTLY ASKED QUESTIONS Question I am worried about the online booking system and payments ….
Answer If you come into Twelve25 between 10am and 5pm Monday to Friday staff can provide some training on how to use the system
I might miss out because I am at school on Tuesdays at 10am …
We know that the system is not perfect, the booking process only takes a few minutes and can be done on your phone (if you have Wi-Fi or mobile data) at recess.
Alternatively, cash payment and bookings can be done over the counter after 10am Tuesdays. No phone bookings however. No bookings will be done over the counter on Mondays or before 10am on Tuesdays.
We ask everyone to only book 1 session on a Tuesday so everyone has a chance. With this new efficiency we should be able to secure and manage more mentors.
I never check my emails…
We know that young people are using email less ….. However in business and at work email is still the preferred communication strategy – its good practice!
Are there any booking fees in the new system
Yes there are, but they are included in the new $12 per hour session cost.

What if I am sick ….
It is still your responsibility to ring us with 24 hours notice. If this is not possible, and you are sick, please still ring us but then go to a pharmacist or doctor and ask them for a doctor’s certificate. It will not count as a strike if you provide a doctors certificate.
What if I am running late?
If its Monday to Friday – call the centre on 8406 8555. If we haven’t heard from you mentors will only wait 10 minutes. If you are more than 10 minutes late they will be off for a coffee. Remember they are volunteers and are not paid.
What if my mentor fails to turn up?
This is very rare, but if it does happen you will receive a credit for that session.
What if the car is unavailable / out of service?
This is very rare, but if it does happen you will receive a credit for that session.
I have done more than 65 hours and want to do practice VORT or book the VORT test
Ring the centre on a Monday after 10am and we will see when that is possible.

How do I book a VORT test or final drive?
If you wish to use our vehicle – we have an arrangement with an accredited assessor. Generally wherever possible we will do these sessions on a Tuesday. Bookings are made by calling the office.
Why do you normally not have sessions available on Tuesdays?
Tuesdays are reserved for car maintenance, cleaning and VORT or special lessons.
