Set-Up Time
Set-up time is between 9:00am - 11:55am on the day of each fair
Delivery access/set down only is through the O’Reilly Hall Carpark Please drive to the end of the carpark and a parking attendant will guide you to the set down area. Please also advise any couriers of these arrangements
Please send all deliveries to the following address: O’Reilly Hall, University College Dublin, Belfield, Dublin 4.
Deliveries should be made on the day of the fair only. If you require other arrangements please email hannah.lamont@ucd.ie.
Event Set-Up
Stand Layout
2 chairs will be supplied for each of the stands and each stand will have a high countertop (Dimensions of the counter are width 1000mm, depth 500mm and height 1000mm).
Each Exhibitor will be provided with a shell stand, 2 chairs, and each stand will have a high countertop. The dimensions of the stands are 2.5m x 1.5m with a height of 2.5m.
A maximum of 4 people per stand is advised and any more may not facilitated due to health and safety regulations. Sockets will be placed at rear of stands for safety reasons - please bring your own extension lead(s) if required.
Additional Stand Requirements: If you need any additional stand requirements, please advise us as soon as possible. Requests on the day cannot be accommodated.
Internet
Wi-fi is available in O’Reilly Hall but as consistent coverage cannot be guaranteed please let us know if you specifically need wired access for the day.

Your key contacts are Hannah and Alessia as detailed above. Student helpers will also be available on the day and can provide assistance where needed.

As this is a student focused event, please ensure you follow us on our social media platforms Instagram (@UCDCareers) and LinkedIn (UCD Careers Network). We will share live updates from the event on our Instagram stories - please tag us in any posts and use our hashtag #UCDCareers throughout the day to encourage cross-promotion.
We will be taking photographs and live Instagram videos throughout the day, if you do not wish to be included, please let us know.
Catering
Bottled water will be provided at each stand and coffee and tea will be served from 10:30am – 11:30am in the conservatory space.

Student Helpers will provide exhibitors with directions to the lunch venues in the University Club and Conservatory on the day.
In the employer pack, each exhibitor will be given a lunch voucher (max 4 per stand) which will entitle you to a hot buffet lunch (vegan & gluten free options available) and tea/coffee
Due to room capacity please ensure you stagger your lunch breaks among your team.
Getting to Campus
We advise that you travel to UCD either by Taxi or Public Transport. Public transport is one of the best ways to get to and from UCD. The campus is well served by bus routes and has links to Dart and Luas services. Download the TFI Live app for real time and route planning information.
Over 20 bus routes serve the Belfield campus, linking UCD to the city centre and suburban areas. The Belfield campus is served by the 39a bus, which runs 24 hours a day, 7 days a week. The 46a, 145 and 155 routes provide great connectivity along the N11 corridor and city centre.

Public Transport Parking
There is no designated car parking available for exhibitors we advise that you do not drive to the event as parking is extremely limited on campus and we are unable to reserve parking for the event.
There is a limited amount of Visitor Pay and Display parking on UCD Campus, and it is subject to availability daily. Note, Visitor Pay and Display parking frequently fills up before 9:00am.
Please note UCD operates private clamping, parking tickets and fines are incurred at owners risk and we do not accept any liability for parking illegally.

Given the limited availability of parking, we highly encourage you to arrive by public transport or taxi Vehicle access for the fair is recommended via the main UCD campus entrance on the Stillorgan Road (N11).

Health and Safety
UCD Careers Network and O’Reilly Hall will take all reasonable safety and security precautions to ensure the efficient functioning of the exhibition. Please note the following health & safety instructions:
Equipment and material must not, in any way, endanger or otherwise inconvenience the exhibition, other exhibitors, visitors, public or UCD personnel.
Any exhibition material, which in the opinion of O’Reilly Hall represents a potential danger, may not be brought into the exhibition area.
No installation will be permitted which will hinder access by UCD personnel to other areas of O’Reilly Hall.
Distribution of promotional material must be confined to your stand area and not in the gangways or elsewhere.
The exhibitor or its contractor must remove any packing material or other litter brought into the site and all debris arising from the construction or dismantling of stand fittings, etc., from the premises. Please do not obstruct exit doors and they must always be kept free of obstructions.
O’Reilly Hall and the Careers Network cannot hold materials in the Hall after the fair, please ensure you advise your courier to collect stands/materials before 6:00 pm on the day of each fair.
Prohibited items
Exhibitor/Sponsor may not display marketing collateral containing the following: illegal subject matter racially or ethnically discourteous content, weapons of any kind (e.g., knives, box-cutters, corkscrews), or depict nudity or sexual conduct of any kind.
If you are offering food please ensure appropriate signage is displayed in line with Food Safety Authority guidelines e.g: clearly label food allergens contained in the food. Exhibitors may not distribute hot food within O’Reilly Hall (e.g., pizza).
Installations
Exhibitors are responsible for ensuring that all construction and installation work complies with relevant Irish/EU Health and Safety Legislation. The installations may be inspected by the relevant Authorities for compliance.
Security will be present but please ensure your belongings and valuables are kept safe. O’Reilly Hall will not be held responsible for damages, loss or theft incurred by the exhibitor, visitors or by any other person. This extends to the use of all College car parking facilities. The exhibitor is responsible for damages to O’Reilly Hall property and individuals.
The exhibitor is required to indemnify UCD, its officers, employees, and agents against all claims, demands or liabilities and costs arising out of any acts or omissions in the part of the exhibitor, its officers, directors, employees, agents and visitors or business guests.
Companies are required to have appropriate levels of insurance in place to cover this liability and to produce proof of such to the conference organisers prior to commencement.

Tips for engaging with recruitment fair attendees
Use Plain English.
Directly facing the person you are talking to can make it easier for a person who is deaf or hard of hearing.
Move to a quieter place to speak with anyone who is deaf or hard of hearing or is feeling overwhelmed.
Provide alternatives for people to ask questions or request further information
e.g. post-it notes to leave queries on, an email address to contact later, etc.
Be mindful that there are a number of pathways to study at third level including access courses, open learning, QQI-FET routes and not everyone completed a Leaving Certificate.
