Focusing on our mission and change A snapshot of the Students’ Union in 2008/09 is captured within this report and the story of the current year has been one of listening to members which we have responsed to with significant internal change and re-organisation. The priorities in 2008/9 have been to • Develop our 3 year strategic plan and start delivering outcomes • Improve the resource and activity levels within membership services (comprising representation, student activities, advice, welfare and campaigns) • Develop sustainable business models for the Food and Beverage offer of the Students’ Union • Improve and maintain good working relations with the University. To deliver on some of the above goals we have: • Surveyed over 1600 members and garnered their views • Conducted a Welcome Ballot to help establish students’ priorities • Undertaken 2 rounds of staff re-organisation to ensure staffing resources are focused on members priorities • Developed our 3 year strategic plan • Commenced using the Student Union Evaluation Initiative (SUEI) to quality assure our services and ensure we are member focused • Many of the changes made in 2008/09 have been internal and students at the University of Huddersfield will see the positive benefits in the year ahead. Each department and service has member focused key performance indicators that will help us to deliver our vision and mission.

This annual report covers a period of turbulence in the external world, and transition within the Students' Union. The year has seen the credit crunch looming, and increasing signs of a faltering economy – factors that will also have had an impact on the lives of our members Against this backdrop the Students' Union performed well, developed a 3 year strategic plan and departmental operational plans. This more strategic approach reflects the change in, and impact of, the new senior management team. Supported by a strong qualitative framework, and in line with strategic documents, the Students' Union extended its membership services, and re-developed its commercial offer to meet members needs. These are turbulent times but interesting times for the Students' Union. Times that the Students' Union hope will offer great opportunities for its members. Following this year of change the Students' Union is now prepared to meet the challenges ahead and remains committed to ensure provision for its members.

Representation University Representation The key role of the Students’ Union is to represent students to the University; formally this work occurs through student volunteers and elected officers participating in a range of University committees. In the past year Student’ Union sabbaticals have been involved in countless meetings with University staff to secure a better deal for students. Students’ Union officers and staff have ensured that the student voice is heard at the following committees, meetings and reviews: • Senate • Council • Research Committee

Tuition Fees: Students Campaign Choice Our September 08 Welcome Ballot asked members what issues they wanted their Students’ Union to campaign on; over 600 preferences were cast in the ballot. Student hardship and fees were the main areas of concern highlighted in this informal ballot. Breakdown of Welcome Ballot
Course Representatives - Making Change Course Representatives are the unsung heroes who ensure that the Student Voice is heard throughout the University. Course representatives have secured a number of positive changes in 2008/9; for example changes in exam dates at UCB, the Science Foundation year gaining a larger lecture room and the provision of a new printer in Architecture and 3D design. All these examples of small changes improve the overall student experience. This year the VP Education & Welfare has trained over 140 Course Representatives and all who received a certificate of recognition from the Students’ Union and University. In March 2009 a Democratic and Student Representation Co-ordinator was appointed to augment and extend the support we provide to student representatives. Work has commenced to ensure that more representatives are trained and receive ongoing support throughout the year.

Constitutional Changes October 2008 saw the Annual General Meeting debate and pass constitutional changes that prepare the Students’ Union to register as a charity. Significant changes include the formal incorporation of a Board of Trustees made up of elected students and external lay members. As the detailed operational guidance supporting the 2006 Charities Act emerges, more constitutional tweaks may be required.

Online Elections
We had a high turnover of candidates, and voting was increased by around 12%.
The Elections in 2009 were online, with a new image and a new and completely rewritten application pack with the publications being clear and easy to understand.
Feedback from students was good, with many finding the online version much more preferable than paper voting.
The use of the web was an integral part of the whole Elections process from the Students’ Union point of view and candidates, with many using this as an early and proactive method of campaigning.
Tuition fees campaign “The recession and Government’s plan to review tuition fees in 2009/10 means the tuition fees issue has become an issue of great importance for the students as well as for the education establishment. The future of prospective students and universities relies on the outcome of the Government decision and any rise would send big shockwaves through out the system In our welcome ballot in September 2008, Huddersfield students’ ranked tuition fees as top priority for the Students’ Union campaigns. The campaign was delivered at the start of the second term. A week of action entailed various activities on and off the campus. Our

Only slight amends will be made for the 2009 by-elections and the main election in March 2010. wall of debt was built outside the Union and students were asked to put their current amount of debt on the wall. We calculated the average debt of students at over £20000.

The ‘keep the cap’ campaign gained coverage in local newspapers – The Examiner and The Oldham Chronicle. Over 600 students signed a petition which we presented to our local MP Barry Sheerman expressing serious student concerns over a move by the Government to lift the cap on tuition fees. Going forward the executive officers will be running this campaign with more vigour in 2009/10 as the Government has swept this issue under the carpet for now.” Juniad Ejaz, VP Internal Affairs

Improved Assessment and Feedback Case Study… “The National Student Survey and our own Students’ Union case work highlighted that assessment and feedback were rated poorly by our students. We wanted to see an improvement as we know that good feedback helps students to learn and be more successful. As VP Education and Welfare, I co-ordinated the collection of student views, collated and presented them to the University Teaching and Learning Committee. The University has Students will get now made a feedback within 3 commitment within weeks the student partnership agreement that students will get feedback within 3 weeks of submitting their assignments and the University management are committed to making this happen. Pleasingly the overall national student survey rating for assessment and feedback has improved this year. Varsity competition was a draw, but the Varsity Cup was won by Bradford Rugby Union team. Old rivalries die hard and hopefully next year’s squads can build on the success of 2008/09 and bring the trophy back to where it belongs - in Huddersfield!
Sports
Student Activities Volunteering In October 2008, a group of ten student volunteers and sabbatical officers took part in the regeneration of the Willow House nursery garden. The volunteers had a busy day with paintbrushes and spades! Weeds were removed, fences painted, and planters were created to brighten up the garden for the staff and children.
Varsity Huddersfield students were no fools on April 1st this year! The annual Varsity tournament took place against Bradford. Our students performed really well winning men’s 2nd team Squash, Netball, men’s Badminton, women’s Badminton, men’s Hockey and women’s Hockey. Overall, the

We’ve had another good year for UHSU sport with approximately 850 players in 30 clubs. Whilst the BUCS overall results were not as high as hoped there were some good individual successes, with students coming first in the men’s Hammer, and joint fourth in the women’s Badminton Conference Cup. Societies Over 400 students have taken part in more than 20 societies at UHSU this year. The Photographic Society (HUPS), for example, has gone from strength to strength, buying some specialist equipment to take on trips to great picture-taking spots such as Castle Hill for the Guy Fawkes’ Night fireworks, or further afield to Chester Zoo.
Volunteer case study
knowing the difference we make to schools in Tanzania will be more than worth it
Student volunteers this year have worked hard on the READ book project, which collects and ships donated secondary school text books to Tanzania. Volunteers have been busy raising money through cake sales, a battle of the bands and a charity dinner. They then collected books, and arranged for their distribution in Tanzania. Louise Taylor, who participated in the project, is going over to see the books being delivered to schools in Tanzania. She reports “the project has been fantastic for me. I've really enjoyed all the time and effort we've put into it knowing that the difference we make to schools in Tanzania will be more than worth it”.

Advice & Welfare The Students’ Union Advice and Information Centre continued to provide support to University of Huddersfield students on a wide variety of issues during 2008/09. During the year housing enquiries remained a key area for support within the Centre. The number of landlords registering on Huddersfield Studentpad, the online accommodation service managed by the centre, continued to increase. There were 114,788 individual property searches and 14991 hits on the home page between January and the end of June 2009.

Support with academic issues involved providing information on the University regulations, help with preparation of academic appeals, academic misconduct issues and submission of extenuating circumstances.

Student “KP” visited the SAIC during the first few weeks of the academic year as their student funding had been delayed and they had childcare costs to pay. If KP was unable to make a payment they would lose the childcare place and not be able to continue at University. The advisers supported the student to make an application to the Access to Learning Fund for assistance with childcare costs. The application was successful and a childcare grant awarded!

Awareness Weeks. The Student Advice and Information Centre has been involved with various events during the academic year to help raise awareness of key information and services. • International Students Meet & Greet • Student Safety • Sexual Health & Guidence • Housing • Wellbeing
Safety Bus. The Safety Bus is a valuable service providing students with safe transport home from Queensgate campus between the hours of 6pm and 12am, for a small cost.

University Centre Barnsley & University Centre Oldham
The University Centres at Oldham and Barnsley have a small but growing level of participation and activities within them. In April 2009 the existing site committees and admin staff at each site were augmented with a full time outreach and development worker whose role is to focus on supporting and developing students to organise their own activities. The Students’ Union made a distinct financial commitment of £20,728 to Oldham and Barnsley which funds an Outreach Development Worker, Admin staff and Student Activities at these sites. This financial commitment will grow in future years. Additionally the Student Advice and Information Centre provided both face to face and telephone access to their services. 51 students from Oldham and Barnsley had casework enquiries with the Students Advice Centre.
Barnsley Campus This summer’s Graduation day saw the second University Campus Ball. The evening was a huge success with 165 students, family and friends enjoying an evening of celebration. The night kicked of with a stellar performance from Driftrun and continued late into the night with live DJ sets.

Some Barnsley students volunteered with the READ book project, Mencap and as a student tutor. The first year of electronic voting saw 15 votes cast from the campus, from which 3 site committee members were elected. 16 course reps were trained and 8 induction talks were given to new students.

Executive officers have consistently attended site committees and Student Council meetings and undertaken campaign activities at each site.
Graduation day saw the success of the campus’s first Graduation Ball. The night proved itself giving 60 glamorous students the opportunity to celebrate with an evening of fine dining and dancing. A new football club is now up, running and competing in a local league. The Alton Towers trip proved successful giving 20 students the ride of their life! Online elections saw a total of 48 votes were cast at the campus, and 3 members elected to the Site Committee. 11 course reps were trained and 4 induction talks given.
The UCB and UCO Freshers’ Fayres provided an opportunity for students to be introduced to a range of Union and University services.

A Quality Union focused on members The Students’ Union is focused on its members and we have committed to a number of listening exercises to ensure our services and activities are focused on what members want. Additionally we have committed to a number of quality and accreditation schemes that support our internal processes. This also assures members and other stakeholders that their Students’ Union is delivering quality and member focused services.
SUEI May 2008 saw the Students’ Union commence work on the Students’ Union Evaluation Initiative. This is a quality mark designed specifically for Students’ Unions which accredits and checks how well we manage our finances, staff, activity, democracy, governance, community relations and many other aspects of running a good Students’ Union. Most importantly, when assessed, it will test the SUEI ultimate question asking ordinary students “does the Students’ Union make a positive difference to your life whilst at University?”. We will be assessed around May 2010 and in

anticipation of that we are collecting evidence to document the progress and continuous improvement that we are making.
Sound* Impact Sound* Impact Awards are designed to encourage, reward and celebrate best environmental practice, it is an accreditation scheme designed for Students' Unions. There are 22 essential criteria all based around easy-to-implement practical actions that will reduce negative environmental impacts. This years Silver Award gained in, builds on last years Bronze Award. We have widened and improved our recycling provision and are aiming for gold in 2010.
Fairtrade Throughout 2008/2009 the Shop has been pro-actively supporting Fairtrade. Currently for sale is a wide variety of snacks and beverages, such as cookies, chocolate, pop and tea and coffee. For 2009, the Shop introduced a new range of colourful Fairtrade clothing as part of the University memorabilia section. In March of this year, the Shop supported the ‘Go Bananas’ day for Fairtrade Fortnight by decorating the Shop and encouraging our customers to purchase Fairtrade bananas. The Shop often promotes

Fairtrade with various offers on Fairtrade products, which frequently persuades our patrons to choose and support the important Fairtrade cause.
Scores on the Doors Scores on the doors is a national public information service where you can find the official local authority hygiene ratings for food businesses. Assessed in February 2009 we improved our score to 4 out of 5 providing members with confidence in the quality of our food offer and management systems.
Best Bar None The Venue this year has celebrated gaining Best Bar None status both in the Kirklees area and also nationally with NUSSL. These accreditations show our commitment to providing our members with a safe environment in which to socialise.

Strategic Plan The Students’ Union 3 year strategic plan 2008-2011 was developed throughout the summer and approved by the Board of Trustees in December 2008 . It sets out a whole set of detailed actions that aim to improve the student experience at Huddersfield. 5 themes shape the work of the Students’ Union: • Listening to students and representing their views • Increasing participation in Students’ Union activities • Making University life easier • Delivering quality core services that are valued by members • Supporting and providing recreational opportunities for members
The Strategic plan now informs annual departmental plans, staff individual work plans and associated budgets. It is a key focus for all organisational activity.

Commercial Activity The Students’ Union commercial activities aim to provide both value for money and good quality services to students, but also return surpluses to the Students’ Union that can be used to benefit our members. In considering any commercial activity a number of member focused questions are asked: • How will this benefit our members? • Will it be popular with our members? • Will it be sustainable for our members in the long run? Considering these questions the Students’ Union has in the last year reviewed its commercial offer, and returning students in September 2009 will see significant change.

Students’ Union Food Our on campus value for money food offer remains popular with students, the table of figures on page 11 speak for themselves. Budgeted to break even and keenly priced we have provided a range of healthy options amongst our more traditional food. Students have asked for more healthy options, pricing that demonstrates value for money and an improved, less crowded environment, which will be delivered in September 2009.
Students’ Union Shop The Shop is situated at the heart of the university campus, ensuring an easily accessible service to students between lectures in a friendly and welcoming environment. This popular store provides all the everyday essentials - from snacks and stationary to hot drinks and computer equipment. This year, The Shop has introduced a colourful new range of clothing and University memorabilia that has been extremely well received and is always in demand.
James Martin, celebrity chef, came to the Students’ Union in May 2009 to show students how to cook healthy meals that wouldn’t break the bank. The Venue and SIAC staff worked in partnership with Kirklees Primary Care Trust to highlight a healthy eating campaign.
Entertainments Our entertainments programme received a mixed response from members but comedy and karaoke nights were well attended. Events which involved our students organising the entertainment, for example Battle of the Bands, fashion shows and the Music School exhibition nights, had the highest attendance. In the year ahead we will build student involvement into the ents programme in The Graduate, the new Union bar; which will provide a student focused, relaxed environment where students can eat, meet and enjoy.
The Venue The Venue is the Students’ Union bar and event space. The area provides a social space for our members with a mix of day time relaxation including pool tables, Giant Jenga, jukebox and an evening relaxation program including music and events.

Commercial Activity Looking to the Future After a period of four years the performance of the Venue and its’ Food offer has been reviewed. Throughout the year we have listened to our members through our annual survey and as a result of this the Students’ Union has embarked on an exciting refurbishment project to improve our services to members. From September our members will be able to enjoy chilling out, socialising and eating in a contemporary and fresh new space called The Graduate. We have worked to ensure that the social space offers great food at a good price and that we provide a diverse range of entertainment enabling our members to meet others, our sports teams to have match teas and our societies to have space to meet in. Sugar Browns, the evening coffee offer, has now been discontinued due to lack of popularity with students and replaced by Coffee Bean, providing daytime coffee and snacks.

people & money Income Our income continues to be made up of two distinct streams, the block grant from the University and income from trading activities. Recent indications are that the block grant will remain constant for the next financial year 2009/10, although we are anticipating a tight spending round in 2010/11 which may reduce the level of University financial support. We anticipate the changes to the bar and catering services will improve the surpluses returned and ameliorate any potential reduction in funding.
Bars & Catering – Restructures & Refurbishment The Venue has continued to make significant losses and turnover has declined. Catering has made only modest returns in recent years though turnover has remained steady. This has lead to crucial financial decisions having to be made in line with the Unions’ Strategic Plan. The financial and commercial strategy for the period 2008-11 recognises both the reserves held by the Union at the start of 2008 and the

need to invest in the Students’ Union in order to provided high quality services that reflect the needs of the student body and enhances the student experience. Consequently the Students’ Union, with the full approval of the Board of Trustees and University, has embarked on an exciting refurbishment project to improve the service to our members. The direction of this refurbishment has been determined by the successes and failures within Commercial Service areas and the need to invest in key aspects of membership services. This remodelling creates the iZone, the one stop shop for involvement in the Students ‘ Union and a new food and drink offer, split into The Graduate and Coffee Bean. This will better meet members needs and address profitability problems. The change in the food and beverage offer will hopefully fuel an increase in games machine income along with an increase in the usage of the ATM machine, allowing more income to be raised in commission.

The shop continues to trade successfully. This year has seen the shops turnover decrease by 4.16%, but 4.45% of this can be attributed to the weekend closure of the Venue. However, tight cost control and revised opening times have seen an increase in net profitability.

Investing in Membership Services Membership Services include representation, campaigning, advice, welfare, student activities and volunteering. We have undertaking significant work in 2008/09 to restructure staffing and services to increase the resources available to membership services, the following new staff roles have been created to ensure that our membership services are first class. • Student Activities / iZone Manager • Democratic and Student Representation Co-ordinator • Outreach Development Worker, (Oldham and Barnsley) • Web and Multimedia Co-ordinator • Student Receptionist roles ensuring that

Looking to the future we are confident that Huddersfield Students’ Union, with its refurbishment will have a strong financial future. The draft budget for 2009/2010 is showing a loss of £74,500 reflecting the level of investment in the building; however this will lead to forecast profitability of all commercial areas by 2011.
A monthly summary of income and expenditure against budgets is forwarded to the University Director of Finance and individual budget holders, who also have access to detailed departmental reports.

The Students’ Union complies with the provision of the 1994 Education Act and 2006 Charities Act with regard to financial record keeping, systems and reporting.

Regular staff supervisions and annual appraisals have been introduced for all staff that are linked to our strategic plan. A majority of first line and senior managers have completed or are about to commence appropriate personal / professional development programs. All staff personal development is reviewed by their line manager and appropriate courses identified. The Students’ Union Evaluation Intiative (SUEI) quality standards are allied to Investors in People (IiP) and requires a commitment to IiP prior to completion. All Students’ Union staff, full, part time and student staff, were encouraged to complete the first annual staff survey. 30 of 69 staff responded. 16 respondents were student staff and 14 were permanent staff, all varying from many different areas within the Students’ Union, with the majority employed by the Union for between 1 and 3 years. The overall opinion was that the Students’ Union is a good place to work, recognition is given when appropriate and staff are appreciated by their line managers. Working for the Students’ Union and what it represents is important to the majority of staff plus the ability to progress their personal development. The results have given the Union a good insight into employees thoughts and we will continue to carry out the survey annually.

The Future September 2009 will see a number of very visible changes to the Students Union, but in addition to this we will continue to listen to our members and campaign on their behalf to improve the Student Experience at the University of Huddersfield. Sabbatical Officers are planning to campaign on Tuition Fees, Student Housing and Anonymous Marking in the year ahead. We will ensure that we remain true to the values of learning, democratic student leadership, quality, inclusion, diversity and student participation, plus providing a fun safe and productive environment. Our Key Performance indicators in 2009 will see these values embedded within them: • We will increase the number of course reps trained from 140 to 400 • We will have 100% attendance at all University Meetings • We will increase the number of sports clubs from 30 to 40 • We will increase the number of societies from 22 to 30 • We will increase the Advice Centre users to 1800 • We will return an overall surplus across our trading activities.

Communications The digital age is very important and after the success of online campaigns it is essential we ensure website users continue to grow. The design and launch of a new look website plus the expansion of social networking sites such as Facebook, Flickr, Twitter and YouTube, should ensure future sucess in this area.
2009 sees the launch of the iZone, the Union’s one-stop shop for student activities, with dedicated staff support for sports, societies, volunteering, student media and representation. Development areas include enhanced training for student reps, more trips and events, and the establishment of a Student Training and Recognition Scheme (STARS), across all three campuses.
Coffee Bean Great barista coffees, juice and smoothies, plus hot and cold snacks are the order of the day in your new coffee bar. Open Monday to Friday, 9am - 5pm, Coffee Bean will be on hand to ensure you get your daily cappuccino or latte hit and is the perfect space to meet with friends, hold your society meeting or just to sit and read the paper!
The Venue is undergoing major works over the Summer break and, after lots of sweat and sparkle, will reinvent itself as your new cafe bar! The Graduate will be open 7 days a week, serving hot and cold food and drinks, including the essential Sunday roast and mid week bacon butty! There will still be a generous helping of entertainment thrown in - from comedy to a pub quiz and something special for sports and societies each week.

Tim Thornton Pro Vice Chancellor (Teaching and Learning) It has been a pleasure working with the Students' Union this year. I have been hugely impressed by the energy and commitment of the exec and all the others involved in working to improve the student experience in the University of Huddersfield. There is a strong sense of common purpose in working to make the University an even better place to study - and the progress made in the National Student Survey 2009, in which only seven institutions recorded a larger improvement than us, suggests our work together is bearing fruit. And things are looking good for 2009-10, with work on the SU building and on improving services ready to welcome, or welcome back, our students.
