A beautiful spring greets us daily! The campus looks great and wears

its spring colors well. Thank you for making UNC Charlotte a special place to live and work. We are at the end of another successful academic year. The construction of the Football Stadium is complete and had its inaugural Green and White Spring Football scrimmage with 14,000 fans in attendance. UNC Charlotte won and remains undefeated since 1946 Thanks to everyone in FM who participated in the design, construction, start-up, and game day work that made this dream a reality. The campus really looked fantastic! I look forward to the first “real” game on August 31 against Campbell University.

This fall will bring the opening of two new student residence halls, a parking deck, and Regional Utility Plant #4 in South Village. We will also complete realignment of High Rise Road to tie into a signalized intersection at Toby Creek Road near Harris Alumni House. The new combined road will be renamed “Alumni Way” from the front entrance traffic circle all the way to W.T. Harris Boulevard. As our campus continues to grow, so do the demands on Facilities Management employees. We will face challenges during the coming year, but I am confident that we will overcome any challenges working as a Team!

As we approach the close of another semester, I hope you can look

back proudly and recognize how you have been at the very heart of so much positive movement and growth over the academic year. I consider myself quite fortunate to be able to work in such beautiful surroundings with such amazing people. You contribute greatly to the lives of so many at the University, and your efforts do not go unnoticed. What could we do without you? You are important to us and instrumental to our daily experiences here. So, on behalf of your staff colleagues Thank you for making this campus beautiful. Thank you for making this campus comfortable. Thank you for making this campus safe. Thank you for making this campus efficient. Pursuing Excellence Update | FACILITIES MANAGEMENT

Update on FM's “ Journey To Excellence ” What is it?

Led by Phil Jones, our “Journey To Excellence” is similar to an external professional review of leadership

and facilities best practices, except… we are doing it ourselves! The project will provide specific information to help strengthen the Facilities Management department on an ongoing basis. What does FM hope to accomplish? 1) Increased business/working efficiency 2) Goals for future improvements 3) Collect support documentation that can be used to apply for APPA’s respected Award for Excellence in 2014 Are there examples of other schools that have done this? Yes! The 2010 APPA Award Winners were Arkansas State University and the University of Nevada – Las Vegas. What are the key areas we are reviewing? • Leadership • Strategic and operational planning • Customer service • Information analysis • Development and management of human resources (employees) • Process management • Performance results Directors will share more information soon and are happy to answer questions at any time! You may also contact any of the “Journey To Excellence” committee members: Casi Shepardson, Chip Yensan, Melanie Witherspoon and Shelly Theriault. Shelly Theriault, Facilities Business Office A huge “thank you” to everyone who participated in the Facilities Focus survey in February. We had a total of 224 respondents: 69 from the online Survey Monkey and 155 from hardcopies. That makes up approximately 52% of the entire department. Overall, each section of Facilities Focus received an “Excellent” or “Good” rating by the majority of the responses. Based on the findings, Facilities Focus’ preferred length is an average of 16 pages, distributed on a quarterly basis. We also received helpful feedback from the written comments. The Facilities Focus staff and contributors met to discuss the survey results and how to integrate your input into future issues. Facilities Focus is a communication tool for the benefit of all Facilities Management employees to develop a more informed workforce, foster a greater sense of community, and build morale. Therefore, ideas for content and improvement are always welcome. Survey results can be found in their entirety on FM’s Intranet. Employee of the Quarter: Sonia Perez (Faci lities Business Office)

On February 14, 2013, Sonia Perez went out of her

way to assist Building Environmental Services (BES) with a sensitive communication issue. One of the Building Environmental Services Technicians (BEST) had been given an official document and was unable to fully understand the meaning of it due to a language barrier. At about 7:15 a.m., this technician arrived at my office requesting a review of the document in the presence Phil Jones presents EOQ Award to Sonia Perez The Employee of the Quarter award is presented to an individual who goes beyond expected duties, consistently maintains a high level of work, exhibits outstanding customer service and/or demonstrates creativity, safety, and noteworthy behavior over the course of the quarter.

Job Title: Accounting Technician with FBO since February 2008 Responsibilities include: • Prepares Facilities Management Work Order Bill in Archibus for campus-wide customers. • Enters receiving for all purchase orders in 49er Mart • Reviews and reconciles financial data, identifying variances, and developing corrective actions. • Maintains budget records and produces expenditure reports on demand. Analyzes account codes for accuracy. • Makes journal entries to transfer charges as needed. • Maintenance of reports and forms such as Direct Pay Requests, travel requests, and safety shoes. A native of the Dominican Republic, Sonia volunteers to translate for other employees in Facilities Management as needed. This year she has done this four times.

of an English/Spanish interpreter. When Ms. Perez arrived at work about 8:00 a.m., I interrupted the beginning of her day and asked her to interpret for us. Ms. Perez accepted my request without hesitation and did a phenomenal job using patience, concern, and professionalism to review the entire document and respond to numerous concerns over the exact meaning of several phrases that were not easily translated from one language to another. She kept interpreting for well over an hour even though she had a significant amount of her own work waiting for her in her office. After this initial meeting, Ms. Perez went on to show even greater concern for our fellow worker by answering further questions and setting up a follow up meeting with key Facilities Business Office and BES staff to fully address the concerns of our fellow FM worker. Due to Ms. Perez’s concern for her fellow worker, all issues were addressed in the most professional and compassionate manner possible. This is a great example of doing things better, doing better things, and doing the right thing. Ms. Perez is most certainly deserving of an award for excellence for handling this situation in such an exemplary manner. The nomination submission: “Zone 2 was over budget by $8,584.33. I suspected it was due to the many projects in EPIC that Zone 2 was working on at the same time. I met with the group who helped me and Kathy Brown, Administrative Assistant in Zone 2, decipher the banner codes, due to the number of projects going on at the same time in the new EPIC Building. This was an excellent team effort with positive results, as the $8584.33 was put back in Zone 2 budget. This was one area that needed to be addressed prior to years end which is rapidly approaching. I sincerely appreciate the efforts of all involved in solving this problem, and I believe they should be awarded an Award of Excellence.”

Submitted by Bob Smith, Interim Area A Manager Shalisha Kennedy is our Procurement Specialist. She

has worked in Facilities Management since October 2011. She reviewed purchase orders (PO’s) with the team that Bob thought should be removed from his budget, completed and submitted the journal voucher to General Accounting office to move the purchase orders to the correct fund. She then updated the Purchasing Report to reflect the money added back into Bob’s budget. Shalisha stated, “Everyone did their part so everything worked out with positive results in the end. Bob and Kathy were very willing to go through and define which PO’s should be investigated. That made things easier for FBO! They were a pleasure to work with.”

(pun intended). “On the Summary Report, I realized that Zone 2 was over budget and requested a meeting with Bob Smith to go over all his purchase orders and work requests in Archibus. Once we figured all purchase orders were tied to the wrong account codes or tied to the project, we met with Noella and Shalisha. We reviewed PO’s with the team, and submitted a few changes order in 49er Mart to move the PO’s to correct fund. Shalisha updated the purchasing report to reflect the money added back into Bob’s budget. Noella did all Journal Vouchers. Thanks to Bob and Kathy who made things easier for us. Bob took his time to have the meeting with me with a greatfacilities.uncc.edu attitude.”

Kathy Brown, Administrative Support Associate for Zones

2 and 3, began employment in a temporary positions for the Key Shop in August 2006, then became full time in Zone 2 in December 2006. She describes, “We had placed some large orders for filters and suspected that the wrong account was accidentally charged. Bob Smith and I met with Sonia Perez and Noella Paquette to sort through the purchases. Sonia and Noella were extremely helpful, as always.”

Noella Paquette, Accounting Technichian, has been with

us since November 1996. Noella came across a PO that was tied to a project for billing back the customer and noticed the fund number was incorrect for a project. This lead to further investigation. “While working on what I discovered I found out that Bob Smith was also working with Shalisha and Sonia on his budget which was overspent and he felt it should not be. The three of us then proceeded to work with Bob and Kathy on reviewing their PO and SDI charges to ensure funding was correct and if not correct we then proceeded with journal vouchers to update them in Banner. Bob and Kathy were great to work with which made our jobs easier and expedited the results!” *NOTE * Each of these ladies submitted their comments without knowing what the others said. The common theme here is Issue 45 | Facilities Focus 5 definitely TEAMWORK!

Collaborative efforts undertaken by Purchasing, Design Services and Capital Projects teams have resulted in a number of initiatives to increase minority participation in construction projects. UNC Charlotte has obtained the highest participation percentage among the 17 campus UNC system for two consecutive years and had the third highest African American participation, exceeded only by Fayetteville State University and North Carolina Central University, both of which are Historically Black Colleges and Universities.

Over the last year, FIS personnel worked extensively with ITS in planning, coordinating and cleaning up files in preparation to migrate all of FM’s workstations and share drive files. The actual workstation and files migration began on February 15 with the final scheduled group migrated to the UNC Charlotte server in April 2013.

As of April 9, all Facilities Management user workstations (approximately 390 users) and our share drive files (approximately 1,153 GB of data) have been successfully migrated with minimal issues. Your patience and assistance with files cleanup and workstation shut downs helped lessen the work load and enable a timely, smooth and overall successful transition for all of Facilities Management. Building Environmental Services (BES) & Recycling

cares for UNC Charlotte’s built environment to provide a safe and healthy campus. We achieve this by routinely cleaning, recycling, and conserving University resources. BES works as a team of teams, maintaining and exceeding cleaning standards to create a campus of distinction. As UNC Charlotte continues to expand, the number of buildings, staff, and customers increase. To more effectively address the growing needs of the University, BES is conducting a zone study that will result in a recommendation focused on improving work flow and communication between BES zones, supervisors, techs, and customers, as well as other intricate logistics. In addition, BES will expand internal opportunities for staff

development and team building. A key deliverable from conducting the BES Zone Study is the formation of the BES Advisory Board. The BES Advisory Board consists of BES technicians representing each zone. They are dedicated to establishing new standards of unity, transparency, communication and accountability for BES. The BES Advisory Board routinely meets to assist with communication and consensus building concerning phases of the BES Zone Study. The BES Advisory Board also addresses pertinent issues that will enhance the BES unit. The photos of the BES Advisory Board Members are shown below. Benny Reese is the newest member of the Facilities Information Systems

team as a Systems Analyst. Benny’s responsibilities include assisting with all ARCHIBUS Web Central Systems project developments, creating database applications utilizing JAVA and Oracle and supporting current ARCHIBUS functionality. In addition to system and application support, he will also be assisting with Building Automations System developments. Benny brings with him over six years of database and software development experience. He previously worked at Capgemini where he was an Android applications developer. Benny received his Bachelor of Science degree in Computer Science from Western Carolina University in Cullowhee, NC. Benny has lived in the Charlotte area for 1 year. His hobbies include video games and reading.

Ben Schneider. Ben came on board Friday, April 19, as our Architectural Design Technician. Ben was born and raised in Traverse City, Michigan, where he graduated with a Bachelor in Architecture degree from Lawrence Technological University in 2002. Upon graduating, he worked for nine years with Rossetti Architects. He started as an Intern and worked his way up to Senior Technical Designer. Ben Schneider His projects ranged from small interior upfits all the way up through multimillion dollar projects that included stadium projects. To name a few, Domino’s Pizza and the USTA tennis center. His wife’s company relocated to Concord about four years ago so they decide to make the move with them. Prior to joining our team, he worked with Gensler and most recently for Yates Chreitzberg Hughes (YCH) Architects. Ben is married to Nicole for almost 17 years and they have one son, Garion, who is 14 years old. They live in Harrisburg with two dogs and two cats. In his spare time, Ben enjoys being a Scout Master for his son’s Boy Scout Troop. An Eagle Scout himself, he is now helping his son Garion work toward the same. Ben loves anything outdoors including camping, hiking, and bicycling in the mountains. He is preparing for a 50 mile bike trip this month. Please join us in welcoming Ben to our team. Kim Sowa relocated to become a member of the Facilities Operations (FO)

team as an Administrative Associate for Zone 5. Before she moved, she worked in the Facilities Management / Police and Public Safety Building for Facilities Business Office. She has been a great part of UNC Charlotte and FO is pleased to have her skills here as an Administrative Associate. Kim’s job duties include working with daily timesheets for her zone. She Kim Sowa will assist the supervisor of Zone 5, whose buildings include Cato, Fretwell, Colvard, Cone, and a few others. Originally from Cleveland, Ohio, she moved to Savannah, Georgia for more job opportunities. She obtained her Bachelors degree in Business Management from Georgia Southern. Kim also works at Macy’s in Carolina Mall. Kim is a fun, easy-going person, and will be certain to give you a laugh, so be sure to help welcome her by stopping by to say hello! Foley, Maintenance Mechanic 3 in Zone 2, finished second in the state of North Carolina in the Skills/USA State HVAC/Appliance competition and may be eligible for the USA finals in Kansas City in July. I hope he is one of the chosen who goes to Kansas City to compete, as he certainly deserves it. This is an honor that reflects well on Patrick, as well as UNC Charlotte. I had the honor to serve as a judge at the SkillsUSA finals recently in Concord, NC.

Patrick did not have to compete there due to his high scores on previous test. Patrick attends Rowan Cabarrus Community College studying in HVAC/ Appliance Repair. Many of Area A employees have taken the HVAC course at Rowan Cabarrus. However, this is the first time that I am aware of that we have had an employee who may have the opportunity to compete on the national level. Congratulations Patrick!

After a long planning process, football

is finally getting underway at UNC Charlotte. Pressed by students to begin the sport, we are embarking on a new era of screaming fans and ESPN highlights. Beyond the obvious news though, another program will be making its debut… Zero Waste.

@unccrecycles of waste coming from the thousands of fans showing up at the games, all materials needed to be sourced that would fall into one of two categories…recycling or composting. Getting the right materials for this is not an easy task. Compost Garden behind CAB

An idea that incubated three years ago during a “Charlotte Green Initiative” meeting involving committee members and staff advisors, Zero Waste is a concept meant to utilize every resource often discarded as “trash,” to instead create a pathway for further re-use in the form of recycling or composting.

To accomplish this, many things had to happen. First, a vote on the measure was required from Student Government. Cooperation from Athletics, Auxiliary Services, UNC Charlotte Recycles, Chartwells™, and a local composting company (Earth Farms, which will collect the food and paper waste after each game) were also needed to implement the Zero Waste plan. In order to reduce the amount

Composting is a mixture that consists largely of decayed organic matter such as food waste and paper, which in the end will be used for fertilizing and conditioning land. In other words, these resources will not lie unabated in a local municipal landfill for decades. This will lead to less waste, more cost savings, and create an important product needed at our local farms and gardens. So, even before we played a game, a plan has been has been put into effect that will set a benchmark for universities around the country. Now that’s green! It is evident activities like the Safety Fair and other safety initiatives (Safety Slogan Contest, Supervisor Safety Talks, etc.) have had a positive effect on the downward trend in accidents for Facilities Management. For example, there was only one accident reported for the first quarter of 2013 compared to five for the same period in 2012. Developing a successful well rounded safety culture is critical to maintaining the safest workplace possible. A s the academic school year begins to come to a close,

the Charlotte 49ers hit the field on March 18 for their first spring practice in preparation for their first ever spring football game, which was held on April 20. The game was treated as a dry-run operationally for Charlotte’s opener on August 31 against Campbell. The stadium’s scoreboard, incidentally, was installed in early April. The team will play in a $45 million, 15,300 seat stadium.

Charlotte still needs to sell about 250 of 5,000 seat licenses between now and the beginning of the season. The 49ers begin play in 2013 as a Football Championship Subdivision (FCS) independent and will move to the Football Bowl Subdivision’s (FBS) Conference USA in 2015. The 49ers will also become a full FBS member with bowl eligibility in 2016. Let’s see how the football team will ‘Stake their Claim’!

A nnual evaluations for SPA employees were due on April 30, 2013. To learn

more about the annual evaluation process in our new HRMS system please refer to: http://hr.uncc.edu/classification-and-compensation/performance-management Many people dread the annual evaluation period. Supervisors find it difficult to provide constructive feedback to their staff. Although these conversations can sometimes be difficult to facilitate, this is a skill that every supervisor should have. Providing constructive feedback is much easier when you are involved in the day-to-day activities of your staff. If you are aware of the challenges they face when doing their jobs, it is much easier to help them overcome those challenges as they occur. Please know it is very demotivating and discouraging to employees when providing constructive feedback and/or low ratings on their evaluations, without providing any feedback on these issues throughout the evaluation period. Feedback should be given to employees on a regular basis, throughout the year. Additionally, if a supervisor has not brought an issue or concern to an employee prior to their annual evaluation discussion, it should not be included in that evaluation. The best way to avoid awkward situations and create a constructive evaluation is to communicate on a regular basis. Facilities Business Office - Human Resources
