MISSION To provide a quality learning, research, and living environment for the benefit of students, faculty, staff, and the community by planning, building, operating, and maintaining the campus of the University of North Carolina at Charlotte.

VISION A leader in Facilities Management distinguished by safety and excellence. A proficient, responsive, and adaptable ‘Team of teams’. Providing high quality services and facilities in an environmentally sustainable manner.

e have many reasons to Cheer! Our department continues to excel in numerous areas. The condition and cleanliness of our buildings and our beautiful grounds continue to get compliments from faculty, staff, and visitors. Thank you for your hard work to make UNC Charlotte a special place. We closed out the calendar year with a low accident rate of 12. That tells me you are paying attention to safety as our number one value! As examples of the excellence our organization produces on a regular basis, I wanted to let you know about three “Homeruns” we hit recently: New Interactive Campus Map Fred Brillante, Director of Facilities Information Systems (FIS), and the FIS team led a campus-wide task force to develop this product. I believe this will be one of the best campus maps anywhere in higher education! We have received positive reviews from the Chancellor on down. Look for the launch of the map in the near future. First Ever University Sustainability Report “Thrive Magazine” Dr. Mike Lizotte, university sustainability officer, and Shelly Theriault, Facilities Management communications officer, led a campus-wide effort to produce this product. The final draft received rave reviews from the Vice Chancellor for Business Affairs and the Provost. It is an exceptional product that will make the entire University proud. Look for the roll out in the near future.

CREATING A CAMPUS OF DISTINCTION

National Health and Nutrition Examination Survey (NHANES) project – Facilities Planning, Chris Gilbert and Nick Patel, led a campus effort to provide a location for the National Center for Health Statistics (NCHS) to conduct this survey between April and June 2015. This fast paced effort required them to pull together stakeholders (Parking and Transportation Services, Police and Public Safety, College of Health and Human Services, and Facilities Management) to develop a plan. We received compliments on this effort from the Chancellor, Vice Chancellor for Business Affairs, Provost, and Dean of College of Health and Human Services. Richard LaLiberte’, university real estate officer, was able to complete a number of strategic real estate actions which will make UNC Charlotte and the surrounding community better. These include purchase of properties in the Craven Croft subdivision, purchase of condos and land adjacent to the Foundation Building, and sale of the Ben Craig Center. Indeed, we have good reasons to standup and CHEER! I hope everyone enjoyed the winter holiday and got some much needed rest and relaxation. As we are a 24/7 operation, many of our team had to work some over the holiday break while the rest of us enjoyed the time off. I want to especially thank those who where willing and able to keep the business of the University going. As we move foward into this new year, we expect more successes as well as challenges that come with growth and change within the organization and university-wide. Keep up the good work!! It is by your efforts that we continue to create a campus of distinction.

Philip M. Jones Associate Vice Chancellor for Facilities Management

FACILITIES MANAGEMENT | Chancellor

A M e s s a g e fro m C ha ncellor D ubois Dear Colleagues, I heard a quote recently that I’d like to share with you: “The strength of the team is each individual member. The strength of each member is the team.” That statement by retired NBA coach Phil Jackson is true in pretty much any team sport, and it’s also true for large and complex organizations like UNC Charlotte. And that’s what I’m thinking about today as I contemplate a new year and reflect on the one that just ended. UNC Charlotte has a great reputation for its beautiful campus, facilities, and grounds. That fact was acknowledged in a BIG way in 2014 with the receipt of the APPA Award for Excellence. As a member of our Facilities Management team, you should feel a tremendous sense of pride and satisfaction in a job very well done! I consider myself very fortunate to be a part of the amazing team that has been assembled here. None of us could do what we do without support from countless others across campus. So today, I’d like to take a moment to say THANK YOU for your contribution of the team effort at UNC Charlotte. Your work matters. It’s noticed. And it’s appreciated. Chancellor Philip L. Dubois

2014 was a great year, and I look forward to working together with you to accomplish even more amazing things in 2015. Go Niners!

FACILITIES MANAGEMENT | Employee of the Quarter

Employee of the Quarter: Tony Williams By Beverly Imes, AVC Office

C

ongratulations to David Anthony “Tony” Williams, Facilities Operations Zone 6, for receiving the Employee of the Quarter award. Tony was nominated by Debbie Rose, Budget Services Office Manager in the University Career Center. She stated the following in her submission, “Tony Williams has been taking care of us with several departmental upgrades. Recently, we requested the hallways to be painted. Once we saw the color we realized we made a mistake. He contacted the painter to see if the paint we had could be remixed to what we chose the second time. The vendor said it would be close but not a perfect match. Tony made the extra trip to the paint store just to have one can remixed so we could see the altered color on the wall to help us decide if we wanted to have the other seven cans remixed. That helped us immensely and he will now have the other cans remixed – requiring Tony to make another trip. Tony took our indecision and dealt with this situation with the same smile and helpful attitude he has toward everything. He is a gem and a pleasure to work with.” Although this may sound like another day at work, Joe Loder, Zone 6 Supervisor, states Tony’s actions were above and beyond normal customer service expectations. “Tony is a perfectionist and is always dedicated to ensuring the customers get the best customer service around.” Joe has supervised Tony for a little over two years now. Joe added, “He was a huge contributor to the remodeling project completed within our shop. I rely on his expertise with our buildings and personnel to assign work orders to fit the staffs skill sets and abilities. His extra effort on every job, not just this one, is a great reflection on all of Facilities Management.”

4

Phil Jones presents the Employee of the Quarter plaque to Tony Williams

A little about Tony: He was a licensed general contractor for nearly 40 years before coming to work for UNC Charlotte on April 23, 2007. He began working in Facilities Operations, General Services shop before the reorganization. He stated his job is to “make sure the customers are happy when the job is done.” That is evident as he has received several accolades in our employee recognition program including being a member of previous teams of the quarter. After receiving this award, he stated, “it’s nice to be recognized for doing a good job.” He enjoys coming to work and the people with whom he works. Pictured below Tony is flanked by the men he is usually partnered with, Ron Hobson (left) and Bob Fitzgerald (right).

Facilities Focus | Issue 52

Sandy Mullins, Zone 6 Administrative Support Associate, shared these comments about Tony, “There are some people that fit into your life like a piece of the puzzle that you didn’t realize was missing. They are so easy going, helpful and positive that it feels like you have always known them. Tony Williams is one of those people.” Tony gets along with everyone within his own team and is well liked and respected by other zones as well. Based on feedback Sandy receives from customers, they really love the service he provides. Some customers have built such a good rapport with Tony that they bypass calling her or Joe when they want a quote or have a question. They just call Tony directly. On a personal note, Tony once lived in the Florida Keys for 10 years. Ahhh, the life – beautiful weather, quiet, and peaceful. So, why did he move back here? Because, it became too crowded and he wanted to be close to his family. Tony is married and enjoys spending time with his wife, his dogs, and fishing. He also loves to grill (charcoal). He and his wife have season tickets to the Old Courthouse Theater in Concord and enjoy watching the plays.

Team of the Quarter: The Lock Shop By Ronda Latham, BES & Recycling

C O N G R AT U L AT I O N S : Pictured left to right are: Tim McHam, Ronnie Bell, Andy Lavoie, Steve Conder, Rob Herrington, Jacob Atkinson, and John Heck

T

he Lock Shop was recognized by Gail Keene, Financial and Administrative Operations Manager for Research and Economic Development, for their outstanding customer service.

Gail and her team expressed appreciation of the partnership received during this time to help maintain the all-important customer service to PORTAL tenants.

Gail has had many occasions to work closely with Rob Herrington, Lock Shop and Access Control Supervisor, and his team. This past fall, Gail was out of the office unexpectedly for approximately two weeks. During this absence, PORTAL building opened with over 25 tenants causing a great need for customer service management of keys and card access, which is often and ever-changing.

When asked how this job was above and beyond the Lock Shop’s regular customer service duties, Rob responded, “Gail’s customers are not UNC Charlotte faculty or staff and have specific needs.

Not only did Rob and his team work closely with Gail and her team on all routine and non-routine needs during the several months following PORTAL’s opening, but during Gail’s absence, they assisted with daily customer service needs as well. Gail stated, “This assistance was clearly above their regular duties.”

facilities.uncc.edu

Rob closed by saying, “While we are thankful for this recognition, we hope to continue as best as we can to meet the needs of all of our customers, even the specialized ones. It is important to treat every interaction just as you would if you were running a business and relying on paying customers.”

With PORTAL, it is similar to dealing with the needs small businesses and their employees than like dealing with a campus student or employee. In addition to creating a key system flexible enough for the changing business needs of the building, we also had to devise a special key distribution procedure for this site, because where campus employees get keys as part of (or after) onboarding, the PORTAL clients have to have everything ready as soon as the papers are signed and the hands shaken.”

ecently I was honored with an award that meant so much to me… I actually cried when it was presented to me (silly, huh?). My reaction got me thinking about how I could never have accomplished what I do without the support from these ladies: Kathy Brown, Jessica Deal, Kathy Fisher, Helen Giroux, Glenda Locklear, Melissa McLaughlin, Sandy Mullins, Karen Richardson, and Kristi Westphal.

Not only are they very knowledgeable about the areas they work in every day, they are also fun to be with and very hardworking women. I am so proud to know them. Their combined years of service is nearly fifty-five years and that aquired wisdom is apparent in their areas, just visit them in their zones sometime. I am certainly not implying that the value of these ladies to our organization goes unrecognized and I do have others who assist me, but the efforts of this group of women are truly appreciated.

I only wish to take advantage of an opportunity as Facilities Operations’ Facilities Focus representative and contributor to personally thank them and let them know that I believe they are ‘The Glue’ that holds all of our pieces (Shops/Zones) together. Thank you Ladies!!

They really are superwomen!

M

embers of Facilities Management put together a wily group of veterans (that’s what you call old guys trying to compete with college guys half their age) to play in the intramural flag football league. Our team name was ’Over the Hill’ and believe me, we lived up to that name. While the college students were warming up before the game, we learned the hard way that while warming up, you can pull muscles (especially those that haven’t been used for a while). All kidding (and pain) aside, this group had a great time and were a competitive force for a few of the games. Hey, we made the playoffs; okay, so every team makes the playoffs. We will be fielding a team for softball in the spring. Hope to see you there! Special Announcement Jennifer Evans, Capital Projects Construction Manager, became Mrs. Ryan Price December 31, 2014 Ryan is a project manager for a construction company and was recently commissioned as a Second Lieutenant in the Air National Guard serving with the 245th Civil Engineering Unit. It seems that Jen and Ryan were both attending NC State University at the same time but their paths never crossed. The happy couple resides in Pageland, SC and in their spare time they enjoy hiking with their three dogs, attending Bluegrass festivals and of course NC State football games. BES Continuous Improvement | FACILITIES MANAGEMENT

Co nt i n u o us I mprovement M easures Pa pe r Towe l Tran sit io n Pro jec t Randy Tillery, BES & Recycling Logistics Supervisor, led the Paper Towel dispenser transition in which over 950 paper towel dispensers were switched from Georgia Pacific to von Drehle in the academic and administrative buildings for the entire campus of UNC Charlotte. The size and scope of the campus and buildings provided a unique challenge for this project. First, Randy had to determine an accurate count of how many dispensers needed to be changed. Many members of the BES staff provided Randy with a count in each building to start with and added extra dispensers for contingency. The decision had been made not to replace the existing units with battery driven units with exception to the areas designated handicap accessible, which accounted for about 150 battery operated dispensers. This saved the replacement of around 4000 battery’s a year not including recycling costs. The dispensers were delivered and distributed to each building for the installers to install the next day. Installation began in the Colvard building and finished at Portal. The team did go back and replace some dispensers that were missed in the initial count or were defective. Overall, it took about 14 days to change out the dispensers. This project was completed successfully and could not have been achieved without the help and assistance of all members of the BES staff.

(O S 1) Pi lot BES & Recycling is conducting an (OS1) Pilot in the Friday building beginning in March 2015. (OS1) is a standardized, scientifically validated comprehensive cleaning system that includes site evaluations, technical training, learnings aides, managemente training, and operation guides focused on improving an organization process in cleaning for health. Mr. Tim Poskin, a consultant with ManageMen, Inc. recently met with members of the BES & Recycling (OS1) Pilot team to work out final details of the project before the (OS1) Pilot begins. The (OS1) Pilot will include a 2-day Bootcamp, a 90-day Basic Training period and a Progress Audit as well as a Decision to Proceed Meeting at the end of the Pilot. This (OS1) Pilot is an integral phase of the continuous improvement measures for the BES unit.

BES R e - o rg U p d ate BES is in the Implementation Planning Phase of the Re-org BES is in the process of reorganizing its organizational structure, zones and shift schedules. The re-org was cost neutral to execute and will allow the unit to flatten its organizational structure, simplify the shift and zone structure, increase productivity by minimizing travel time, facilitates effective communication with customers and streamline processes. One key deliverable in the re-org was to adjust the zone structure where each zone is comprised of a Supervisor that will be accessible during business hours, and two lead technicians - a weekend lead and an evening lead. The BES Zone Supervisor will be reponsible for all cleaning needs within a zone. They will work with the Floor crew to address any floor care needs in the buildings. Over a 10-week period, schools report recycling and trash data which are then ranked according to who collects the largest amount of recyclables per capita and various other categories.

Currently, over 275 colleges are registered nationally with nine colleges participating from North Carolina. The competition began on Sunday, February 1 and ends on Saturday, April 4. Materials are weighed on a weekly basis and submitted online to Recyclemania™ for reporting. Results will be posted at recyclemaniacs.org. For information on what you can recycle, visit uncc.edu/recycling

Re-Use Recycling Made Easy

L

ast year, the University’s waste diversion rate was approximately 40 percent... that’s over 2.3 million pounds of recycling collected! As a large university and community leader, it is important we re-use and recycle to keep waste out of area landfills. The number above demonstrates our strong commitment to controlling our ecological footprint. Imagine how many more tons will be diverted if we can improve our efforts by just a little bit? The Office of Waste Reduction and Recycling at UNC Charlotte has you covered. For starters, bins and collection areas are provided throughout campus. If you don’t see a recycling bin within your area and would like to request one, please contact Kelly Freshcorn at 7-0607.

Posters:

Do you have a recycling poster in your area? If not, visit this link to download: http://facilities.uncc.edu/sites/facilities.uncc.edu/files/media/Recycling/Paper%20poster%203.pdf Re-Use: If you are moving or cleaning out your office, contact Recycling at 7-0607 and we will provide you with a large bin to collect any recyclable materials that you have and then take it away upon request. If you have books, binders or office supplies (that wouldn’t be taken by surplus) you no longer need, we will store them for our “Take it or Leave it” tour. We collect these things throughout the year and then give them back to the campus community periodically. Recycling in your office: Each employee should have a mini trash bin that fits inside the desk side recycling bin. It is your responsibility to empty your personal bins into the larger bins located nearby. Our staff will collect them from there. If you are missing the mini trash can, please contact Ronda Latham at 7-0603 or rlatham1@uncc.edu . If you need a blue desk side recycling bin, please contact Kelly Freshcorn at 7-0607

Facilities Planning | FACILITIES MANAGEMENT

Facilities Planning: Making Things Happen By Chris Gilbert, Facilities Planning

T

he Facilities Planning (Planning) section had a busy year in 2014 and has effected many positive actions on campus. The five person section has different levels of responsibilities and regularly works with other units within Facilities Management (FM) and the University at large. Planning has several major responsibilities. We track and update university projects using the Capital Renewal Deferred Maintenance (CRDM) program. This “Master List” of all projects is intended to limit redundancy, increase efficiency, and coordinate work across FM Departments. Planning also updates documents that guide construction projects including the Master Plan, Design Manual, sustainability plans, coordination documents to synchronize multiple projects, and estimates of probable costs. We also draft recommendations and reports to prioritize projects proposed to our Board of Trustees and the UNC Board of Governors. This past year, Planning worked through procedures and plan updates with other units. A major effort was to coordinate the ARCHIBUS Real Estate module, the CRDM Master List, and the Facilities Condition Assessment Program. These tools are maintained and used by many parts of FM including Planning, Capital Projects, Design Services, and Facilities Operations with support from Information Services. We also worked with the Grounds unit on a new

Landscape Master Plan and worked with Capital Projects to develop a Storm Water Management Plan. Planning staff doesn’t just think big, we also have our share of detail work. We work with campus customers and the Administration to determine needs and produce the first descriptions of new and repurposed facilities. We quantify the needs, construction budget, and operating costs associated with new buildings and renovations. In 2014, we contributed to design projects involving Colvard, the Charlotte Engineering Early College High School, the Music Annex, a Counseling Center, event pavilion, women’s sports facilities, expanding Wi-Fi coverage, and a new residence hall that will also house the Levine Scholars offices. We facilitated studies on a Health and Wellness Center, renovating and repurposing multiple existing buildings, and road and park upgrades near the Center City Building. We worked with Academic Affairs to improve space utilization reports. We also worked on moves and space reallocations for the Veteran’s Center, Belk Gym, FM Annex buildings, Medical Office Building, Denny, Colvard, University College, and the Advising Center. This work facilitated the Space Management Advisory Committee, the Repurposing Committee, and other committees of decision makers on campus. Planning also conducted several After Action Reviews for Capital Projects

Appalachian Energy Summit The 2015 Mid-Year Meeting will take place Thursday, February 12, 2015 from 10:00 a.m. until 3:30 p.m. in Charlotte, NC. The meeting will be hosted by UNC Charlotte at our LEED Gold Center City Building. Highlights include: updates on the UNC Energy Leadership Challenge, UNC General Administration perspectives, and NC DENR analyses of energy usage; trends in Industry presentations from the Center for Sustainably Integrated Buildings and Sites, and Envision Charlotte; Student Poster session; and working Group Breakout sessions. http://sustain.appstate.edu/energy-summit intended to develop “Lessons Learned” throughout the design and construction process. Planning provides the home for campuswide sustainability efforts. The staff contributed to a major review following the Association for the Advancement of Sustainability in Higher Education’s (AASHE) Sustainability Tracking, Assessment, and Rating System (STARS), helped develop a first annual sustainability report, and developed a best practices strategy for implementing the Campus Sustainability Plan and the Climate Action Plan. Our sustainability effort includes working with students, faculty, staff, and an Executive Committee of campus leaders. In 2014, we also worked on grant proposals, coordinated with campus research centers, supported student efforts like the Charlotte Green Initiative and a new garden club, helped bring new green products to campus, and are hosting the Appalachian Energy Summit on February 12, 2015.

FACILITIES MANAGEMENT | Capital Projects

Cone Plaza, the Lake Sculpture, and SoVi By Dorothy Vick, Capital Projects

Cone University Center Plaza

It was to be a simple repair project, but after a long year of unforeseen problems, reparations to the Cone Plaza are finished. The improved space accommodates anyone seeking to “catch some rays,” grab a bite to eat, or get some fresh air! Quiet time, however, cannot be guaranteed due to construction underway within close proximity. Go check it out for yourself!

Hechenbleikner Lake Sculpture

If you happen to be driving into campus through the main entrance or walking near Hechenbleikner Lake, look across the water toward Rowe and Robinson Hall to admire the new sculpture. The generous donations from Ike Belk commissioned the piece by artist and metalsmith John Medwedeff. The sculpture’s original theme was lines sweeping up from water, but as with most art, interpretation is in the eye of the beholder.

16

John Medwedeff has been producing site-specific public sculpture, sculptural fountains, architectural ironwork, and furniture for over 25 years. His work is represented in private and public collections including the John Deere Collection, the Metal Museum, the Illinois State Museum, the University School of Nashville, SAS Inc, and the Minneapolis Institute of Arts. For more information visit www.johnmedwedeff.com.

Capital Projects | FACILITIES MANAGEMENT South Village Crossing’s dining hall is now open, and if you haven’t gone over to see the facility yet, you should make a point to do so, soon. The building is beautiful and it provides exceptional views from expansive terraces as well as cozy lounge areas with fireplaces. What makes SoVi (as it is quickly being dubbed) different from other dining halls on campus? The primary difference is that meals are made in smaller batches and served tapas (a-la carte) style on small plates affording the benefits of: conscious eating, portion awareness, bright flavor, appealing presentation, and waste reduction.

South Village Crossing (SoVi)

The cooking is performed at various stations designed for small batch and healthy cooking methods which allows chefs the flexibility to interact with patrons and customize dishes to diner preferences.

South Village Crossing (SoVi)

Conscious Eating Large servings on nine-inch dinner plates often leads to overeating because people tend to eat the food that’s in front of them, even after they feel full. Portion Awareness Realistic, single portions provide a consistent reference point. It’s easier to shape a balanced meal with individually portioned plates as units, opposed to a plate piled with randomly measured food. Waste Reduction Smaller portions lead diners to throw away less.

FACILITIES MANAGEMENT | Facilities Information Systems

FM Printer Transition By Pamela Duff, Facilities Information Systems

F

acilities Information Systems (FIS) has been working with Technical Operations and Planning (TOP) and Information Technology Services (ITS) personnel to complete a migration of all our Facilities Management printers to the ITS print server. All Facilities Management department printers will be migrated over to the ITS print server by the end of March 2015. Each unit within the department will be informed prior to the transition of area printer(s). We anticipate it will take approximately three to four weeks for all printers to be migrated over once we begin.

What to expect with our printers being moved to the ITS print server: • Access to printer(s) will be assigned according to department/ printer groups. This means your specific printer(s) will be assigned automatically to your user profile and be available when you log into your computer instead of having to download the print driver. • Each user will be required to restart their workstation for their assigned printer(s) to display. • No downtime will occur while the printers are transitioned over for each group to ITS print server. • Once all printers have migrated to the ITS network, the Facilities Intranet printer list will no longer be needed.

If you have any questions concerning the printers transitioning to the ITS server, please feel free to contact Facilities Information Systems at 7-0552.

FM Computer Transition

F

acilities Information Systems (FIS) worked collaboratively with Main IT to get necessary Facilities Management computers upgraded. Pamela Duff (FIS) and Keith Jung (IT) led the effort, communicated the logistics, set the schedule and worked with installers to complete this task. Join me in congratulating them on a job well done.
