G
reetings!
There is a slight chill in the air as we transition to fall with winter not far behind. This transition reminds me that our world is in a constant cycle of renewal and regeneration. Our campus and our organization are also in a constant cycle of change and growth. In the busyness of that change and growth, it is easy to get caught up in our day to day tasks and priorities. However, we would all be wise to devote time to nurturing the relationships we have with our fellow employees, our customers and our families. It really is “all about the relationships”.

As we approach the Thanksgiving season, it is clear our organization has much to be thankful for and much to celebrate. I commend each of you on the job you are doing. We can rejoice in the successful start of a new academic year, new people hired, promotions and reorganizations, the blessing of a small raise from the State, multiple construction projects, more students on campus than ever, successful special events, another football season, improvements in customer service, and much more.
Many organizations would have trouble handling one or two growth driven initiatives. You are handling a myriad of them superbly. This doesn’t happen without excellent teamwork and dedicated people. Our Team is strong and Facilities Management is truly creating a “campus of distinction” one step at a time! Let’s continue to pull together, build each other up, and cherish our relationships.

Gary Edwards: Facilities Management 201 6 Employee of the Year By Beverly R. Imes, Editor

he Staff Recognition Program Committee reviewed the previous employee of the quarter submissions for fiscal year 2016 and selected Gary Edwards, Grounds construction crew foreman, as Facilities Management’s second employee of the year. Eligibility Criteria: • The winner consistently maintains a high level of work, exhibits outstanding customer service and/ or demonstrates creativity, safety, and noteworthy behavior. • Must be in good standing in accordance with FM Policy Statement #9 - Performance Dependability. • Employees who received the Employee of the Quarter award during the past four quarters (July – June) are eligible. Eligibility Process: Nominations are voted on by the Recognition Program Committee and approved by the Associate Vice Chancellor of Facilities Management. Recognition for fiscal year “Employee of the Year” is announced in the October All Employees Meeting. Employee of the Quarter: Jon Coty By Laurie Manderino, Facilities Planning

C
ongratulations to Jon Coty, systems analyst, who was named Employee of the Quarter for the first quarter in fiscal year 2017! Fred Brillante, director of Facilities Information Systems (FIS), nominated Coty for his outstanding Innovation. Brillante explains how Coty saved the University thousands of dollars with his ingenious way to leverage available technical tools: “Jon’s work on the ARCHIBUS Asbestos Module has been outstanding. The purpose of this project was to migrate from the old program to ARCHIBUS which can be accessed and updated by multiple users across campus. He has worked with others in Facilities Operations and Safety to build a system facilities.uncc.edu
that allows better access to asbestos information. During the process of buildingthe module, Jon realized that we needed a better way to store all the past and future asbestos forms. Jon, on his own, came up with a way to integrate ARCHIBUS with Dropbox. Jon developed a link between ARCHIBUS and Dropbox using the Dropbox API (application programming interface). Jon then collaborated with Benny (Reese) to build functionality to make Dropbox an integrated module in ARCHIBUS. Benny then worked to enhance the integration to make it re-usable for future modules in ARCHIBUS. This link allows users to add documents using ARCHIBUS but stores the documents in Dropbox. Users have the choice to search documents in ARCHIBUS or to log into Dropbox to view data.”
Brillante added, “Such creative ideas are a true asset to Facilities Management and I expect it to be extremely valuable in future projects.” Jon appreciates the acknowledgment and said: “It’s great to be recognized for the work you’ve done when otherwise most people wouldn’t know about it.” When Jon is not working or helping his wife, Jessica, take care of their beautiful nine-month old daughter, he enjoys art, films, video games, and programming. Thank you, Jon, for your innovative idea!

Renovations Staff Earn Team of the Quarter By Ronda Latham, Building Environmental Services

T
he Recycling group desired a waste collection station that was open and secure. A metal building would not suit the current recycling need. An electric vehicle (EV) charging station was considered and concluded that an open frame post and a beam design was best suited to meet the request.
As the project coordinator, Steve chose the “Under $30K Project Management Tool.” This allowed him the opportunity to procure individual material suppliers, as well as a fencing contractor (specialty work), while leaving the building construction itself to the Renovations team assigned for the project.
Steve Terry, Design Services, reached out for JOC (job order contracting) and contractor pricing and the numbers came in more than $80K. After discussion and guidance from Kenny Leazer, Renovations, he reviewed the framing and construction components and completed take-offs for materials. James Williams, Renovations supervisor, was then able to request and determine quotes.
Steve procured all materials, structural and mechanical hardware, secondary tools and part needs, and set deliveries. Kenny oversaw the project and led the team throughout the construction layout and fabrication process. When he was not present, Mark Waters and Michael Rogers expertly continued structural framing, truss installation, and metal roofing - making them key partners in the successful completion of the waste collection station structure.

This project was approved to construct late in the fiscal year of 2016 requiring efficient time management, ordering, and making logistics a high priority. Yet this crew continued on to completion. The finished product exceeded the work on the EV charging station building. Due to Kenny Leazer’s tireless efforts, he and his determined co-professionals saved the Recycling group approximately $40K in costs for completion providing an excellent product. Hats off to them and a huge thank you for a job MORE than well done!

J ames Adams joined Facilities A diti Goel is Facilities Information Linda Haywood joined Facilities Information Systems’ (FIS) on August 15 Systems’ new graduate student employee. Management’s Real Estate Office and as our AutoCAD spatial manager.
Aditi came onboard on October 17.
James’ duties include assisting with surveying, completing space data and drawing changes, and providing support for all other ARCHIBUS AutoCAD projects within our unit.
Aditi will be supporting the Open Options Access Controls (card access) application. Her duties will include access control development and resolving helpdesk support tickets for card access requests and related issues.
James brings with him two years of AutoCAD and surveying experience gained from studying Drafting in high school. James has lived in Charlotte for seven years. His hobbies include locksmithing, security, and DIY (Do It Yourself). We are excited to have James on our team, and we are certain his surveying and AutoCAD skills will be an important support aspect for Facilities Management operations and its continued campus growth. Aditi brings with her two and a half years of application development experience gained from working at Wipro Technologies. Aditi is currently working on her Master of Science degree in Computer Science at UNC Charlotte. She is originally from India and has lived in Charlotte for three months. Her hobbies include playing tennis, swimming, and reading. The team is excited to have Aditi on board and are confident that her knowledge, skills, and support will be a valuable asset to the entire Facilities Management team. Space Management Office on October 3 in the newly created position of administrative assistant with shared responsibilities to both offices. BES Technician Ollabell L. McClure Stafford (Ms. B), recently passed away unexpectedly on Tuesday, October 25, 2016. She joined the Facilities Management family in September 2008. Miss B served as a technician in the Library Zone. Never meeting a stranger, she touched lives with her compassion and perseverance. She was quick to strike up casual conversation and offer words of advice. Miss B was known to fill a room with cheer and her contagious laughter. This page is dedicated to Miss B and filled with the memories of her colleagues and friends.
“Ms. Ollabell Stafford or Ms. B as I called her, was a true social butterfly. She never met a stranger. Before we started working together she stated, she will always be on time and she would never miss a day. She stayed true to her words, and even in a snow storm she was the only one on time for work. At times she could be labeled as the Library Zone counselor or doctor. If you were to ever come to my office and she happened to be there, she would not let you leave without spending at least 10 to 15 minutes OR LONGER talking to you, even if it was just to ask how your day was going. Everybody saw her as their own mother or friend. Students looked up to her as their grandmother away from home. She always had home remedies for things from a cough, toothache or headache, to what to do or say if you’re having a bad day. She always knew what to say. She will be truly missed. The Administrative Assistant Team By Sandy Mullins and Kristi Westphal, Facilities Operations
O
n August 19, 2016 the concept of a Facilities Operations (FO) Administrative Assistant Team was finally realized. The idea was that this team would come together to collectively support the FO Zones (Zones 1, 2, 4, 5 and 6) and the Utilities Group (Fire Systems, High Voltage and Building Automation Systems) by operating from one set of standards. This group concept would not only allow for a more balanced work load but would also ensure that these FO areas would continue to be supported even when an administrative support associate was out or short-handed. “These ladies have a combined knowledge of the University that spans over 10 years and encompasses extensive knowledge of both the Facilities Management side and the Academic side of campus. Their knowledge and input is integral in building the success of this group from the ground up,” states Sandy Mullins who supervises
the Admin Team. Daily operations are overseen by lead admin, Armetta Davis, who joined the team on September 6 and was formerly employed with the College of Arts and Architecture. Currently, Glenda Locklear and Kristi Westphal comprise this team with two vacant positions that are anticipated to be filled in the near future. With the rapid growth of the University and the implementation of the 5-Year Capital Plan, the need for consistent coverage of the Customer Service Line quickly became an area of focus. This team’s commitment to providing excellent customer service partnered with their abundant knowledge made them the obvious choice for covering the Customer Service Line (704) 687-0562. The main functionality of the admin group is to consistently administratively support Zones, 1, 2, 4, 5, 6, Fire Systems, High Voltage and Building Automation Systems.

The Customer Service Line’s hours of operation are Monday through Friday, 7:00 a.m. to 4:00 p.m. with after hour oncall support for emergencies. The goal of this team is to not only continue to flourish, but also to ensure that each zone, shop, and customer will receive real-time customer service during business hours.
Take a 'power trip' with the newest Motor Fleet addition By NiCole Lynch, Facilities Business Office
have premium parking, as well as access to a charging station. The availability of an electrical option is another step toward operating a more sustainable fleet. According to Chris Facente, automotive supervisor, these vehicles “aren’t just ‘green,’ but are reflections the University is embracing the ever-changing demands to offer more economically and environmentally sound transportation.” Pictured above is Chris Facente, automotive supervisor, with the new LEAF vehicle.

he recent acquisition of two new LEAF vehicles provides University customers with ‘power trip’ option to select from among Motor Fleet offerings. The LEAF, an all-electric vehicle manufactured by Nissan, is currently available for daily rental. “Different from the per-mile rate we currently offer for other fleet vehicles, the LEAF can be rented facilities.uncc.edu
for a $20 per day flat rate,” said motor fleet representative, Kathy Fisher. For anyone interested in the ‘power trip’ experience, the LEAF, because of its battery life, will accommodate trips within a 35mile radius to campus and up to 80 miles before needing a charge. The LEAF rental is ideal for prime locations such as UNC Charlotte Center City, where drivers will

Drivers are required to have van certification, which can be obtained through Environmental Health and Safety, as well as become lift certified through Parking and Transportation Services. ACE Award Highlights Air Compliance By NiCole Lynch, Facilities Business Office
with an ACE Award from Mecklenburg County Air Quality (MCAQ). The ACE Awards are designed to highlight local industry’s efforts in achieving compliance with their air quality permits, thereby helping to reduce pollution and improve local air quality.
T
he University of North Carolina at Charlotte has been recognized for its ongoing Air Compliance Excellence (ACE)
Award winners, according to Jason Rayfield, Mecklenburg County air quality program manager, had to meet all terms of their air quality permit for an entire year, including timely submittal of reports, notifications and fee payments; required emissions testing completion; a compliant annual inspection and no recorded notices of violation or nuisance order complaints.
Tom Sparks, facilities mechanical engineer, stated “The University reports on boilers serving campus buildings and emergency generators. Major boilers are located at the steam plant, Regional Utility Plant (RUP) 1, and RUP 2.” He added, “To continue this level of success, work will be continuous to update our air quality permit as new equipment is added.” The University received the inaugural award from MCAQ in 2014.
Free Health Assessments By Kimberly Scales, Community Service Chair Graduate Public Health Association
The Belk Gym is now offering FREE Heath Assessments to all faculty
and staff on the UNC Charlotte Campus. This assessment will test your overall physical health including body fat percentage and lung and cardiovascular health. ARCHIBUS Version 23.1 Goes Live By Pamela Duff, Facilities Information Systems
T
he Facilities Information Systems (FIS) team recently completed its ARCHIBUS system upgrade to Version 23.1. The newest upgrade went live November 2, 2016. Special thanks to our own Facilities Management team and other campus departments that assisted with our Version 23.1 user testing. We couldn’t have done it without you! This upgrade has been slightly different than previous ARCHIBUS system upgrades in that there has been no significant change to the user interface. This time around, the changes that were added with ARCHIBUS 23.1 were backend system updates that will provide a foundation for new application features and future ARCHIBUS improvements. A few of these changes include: • Enhanced security and user role management features. • Improved administrator features. • Ability to capture and store Digital Signatures: i.e.: equipment sign-out process. • Additional Geospatial Extensions for ESRI and mapping controls for improved renderings. • New GIS map controls for the mobile framework. • Interactive drawing controls that incorporate HTML5 and will enable viewing of drawings on mobile devices. We appreciate everyone’s patience as we address system bugs and correct problems resulting from the upgrade. We will continue to troubleshoot and resolve any remaining issues as they are reported. New Facilities Notification Process Goes Live By Pamela Duff, Facilities Information Systems
A new facilities notification process

went live November 10, 2016. Prior to go live, testing and several hands-on training sessions were conducted with Facilities Management and various campus personnel throughout the months of September and October. This new process was a significant team effort between Facilities Information Systems, Facilities Operations, and the Facilities Business Office. The overall project took almost a year from the initial project design through the final phase of training.

The project involved the development and testing of a new Facilities Notification Customer role (picture #1) within ARCHIBUS and a form for the submission of the notification details. The new Facilities Notification Request form (picture #2) provides Facilities Management and campus personnel a more efficient and organized method to submit their notification information since the data entered on the form is auto-formatted for quicker distribution by Facilities Operations in an email format (picture #3). The previous notification process involved information being sent to Facilities Operation personnel through email, usually requiring several follow ups by Facilities Operations for the necessary information. The new ARCHIBUS Facilities Notification process provides a streamlined submission process for the customer and also provides the Facilities Operations team an easier method to preview required notification details and the ability to edit the format, verify and then distribute the information.

Move-In Plastic Collection
As we kicked off the new school year, we also kicked off a new program aimed at tackling the plastic waste that can accumulate during Move-In. Collecting plastic from the numerous bags, wrap, padding, and endless other sources, we were able to divert 71 pounds of plastic from landfills due in large to the tremendous efforts by the Office of Waste Reduction and Recycling, students, and volunteers! We are looking to continue with plastic collection by incorporating it into other aspects of the campus. Plastic takes hundreds of years to break down if disposed of improperly, and by providing an outlet to handle this waste responsibly, we are hoping to limit our impact as a campus community.

In the beginning of October, we launched CAMPUS SUSTAINABILITY WEEK! For three days, many staff, students, and faculty came out to help make a positive impact on campus. Events were held for campus cleanup, a transportation fair, and a student gathering. The events were tied together with a common theme of promoting a positive campus community through responsible actions, educated decisions, and collaboration. One of the many highlights of this week was the unveiling of the new Gotcha Bike bike-sharing program.
Electric Vehicle Charging Arrives on Main Campus!
In some of our parking decks, you may notice 28 new electric vehicle charging stations. The stations in North, South, East, and CRI decks join the two existing charging stations at the Center City Building. Main campus stations were funded by a state grant for a Clean Fuels Advanced Technology project, with signs paid for by the Charlotte Green Initiative student fund, and modifications supported by Parking and Transportation Services. Thanks to Facilities Management staff in Facilities Operations and Design Services for being creative within our budget for installation. The goal for this project is to improve air quality in Charlotte by encouraging the use of cleaner fuels in vehicles driven by commuters and visitors. 14

Energy Summit (AES) in recognition of its commitment and achievement to reduce campus energy consumption by 30 percent. The University was lauded as the largest university in the UNC System to reach this benchmark.

In 2003, state agencies were given an ambitious 30 percent energy reduction mandate to achieve by 2015. Throughout this time, Facilities Management has worked on ways to reduce energy while also meeting the demands of a rapidly expanding campus. New lighting and air conditioning controls contributed greatly to the University’s ability to meet the reduction. Notably among the more significant efforts has been the designed efficiencies built into the renovations and new construction across campus. Tony Schallert, University energy manager, who has lead the charge to assess and
report successes of the energy reduction plan, was presented the award by Len Hoey of the North Carolina Department of Environmental Quality. “Energy conservation is a team effort,” Schallert said. “Everyone from the maintenance crew to capital project designers play an important role to incorporate and maintain energy efficient innovations.” As a result of this team effort, university energy costs have been reduced by $5 million within this past year alone. A goal has been set to achieve an additional 10 percent energy reduction by 2025. Now in its fifth year, the AES is an annual energy leadership gathering presented by Appalachian State University.

he University of North Carolina at Charlotte has joined the Green Sports Alliance, an organization that leverages sports to promote healthy and sustainable communities. According to their website, the Alliance achieves its success by “inspiring sports leagues, teams, venues, their partners and millions of fans to embrace renewable energy, healthy food, recycling, water efficiency, species preservation, safer chemicals and other environmentally preferable practices.” “Sports are engrained in the fabric of many of our lives, and using this existing passion to create positive change in our communities will only serve to strengthen facilities.uncc.edu
UNC Charlotte has focused on developing facilities and practices that meet the needs of the next generation of students and educators while limiting the impact on the resources vital to the communal health of the region. Charlotte 49ers fans began embracing the opportunity to develop a more responsible, socially conscious campus community. The Rose Football Center incorporates Leadership in Energy and Environmental Design (LEED) elements in its design, and a Zero Waste initiative is underway with plans for expansion. During home football games, at the Richardson Stadium, fans contribute to the University’s commitment to reducing waste by, increasing recycling and composting rates, and reducing energy and water consumption. Membership with the Alliance has its benefits. With access to and support
from a broad range of fellow members as well as from the Alliance and its partners, UNC Charlotte will be further equipped to develop and implement sustainable strategies. Through membership affiliation, University sustainability officer, Mike Lizotte stated that “the University will learn about the methods that professional and collegiate teams, leagues, and venues are using to increase fan engagement.” He adds, “Fans, by definition, are people who care deeply; the Green Sports Alliance is proving that adding sustainability to traditional sports culture is interesting to current fans, and a way to draw new fans.” The University looks to expand its Zero-Waste initiative across more campus sports venues, such as Halton Arena. The Green Sports Alliance includes 376 organizations, 177 teams, 184 venues, and 15 sports leagues. Other local members include Davidson College and the Charlotte Hornets/Time Warner Cable Arena.
