FACILITIES MANAGEMENT | From the desk of the Associate Vice Chancellor

Greetings! As we head toward the holiday season, I hope you will plan to enjoy time with your family and friends. Thank you for all you do to make UNC Charlotte a special place to work, live, and learn! The campus has never functioned or looked better. We have much to be thankful for as an organization.

Philip M. Jones

MISSION To provide a quality learning, research, and living environment for the benefit of students, faculty, staff, and the community by planning, building, operating, and maintaining the campus of the University of North Carolina at Charlotte.

VISION A leader in Facilities Management distinguished by safety and excellence. A proficient, responsive, and adaptable ‘Team of teams’. Providing high quality services and facilities in an environmentally sustainable manner.

CREATING A CAMPUS OF DISTINCTION

Facilities Management (FM) continues to grow and improve with the University as a whole. During the past three years, we have added 49 new positions and brought 166 new employees on-board. These new employees bring a wealth of knowledge and experience. They bring new ideas and energy as we strive to continuously improve. FM is also going to get some great new facilities in the next year. The new Facilities Operations and Parking Services Complex is taking shape near North Deck. The trees are cleared and the earthwork is underway. By this time next year Facilities Operations (FO), Receiving and Stores, Parking and Transportation Services (PaTS) and SDI will be moving into their new home. It’s an exciting time to be part of our organization. Soon after the move, we will see the demolition of the old FO/PaTS building, the steam plant and the old warehouse start to make way for a new science building. FM’s recent Work Climate Survey showed some very positive trends in many areas. Overall, it showed 89% of our employees are satisfied working in our organization. Fiftyeight percent of them see themselves working in FM in five years or more. An additional eight percent plan to be retired by then; therefore, we need a plan to retain knowledge from individuals soon to walk out the door. In analyzing the results, we found the major area that needs improvement is communication within teams and between units of Facilities Management. In an effort to improve in this area, we gathered specific feedback at the August All Employees

2Website: Facilities Focus | Issue 63 facilities.uncc.edu

Meetings and the Supervisor Forum. The leadership team analyzed this information and conducted two workshops to determine root causes for the communication gaps. We are now in the process of putting together an action plan for improvement. We’ll provide updates on this effort as it takes shape. Finally, I am pleased with how our department worked together to plan and execute a successful SRAPPA (Southeastern Region APPA) Conference in October. Under the leadership of our Facilities Operations Zone 5 Supervisor, David E. Smith, SRAPPA president-elect and the SRAPPA committee, nearly 125 of you volunteered with hosting the largest attended SRAPPA conference to date. I received many compliments from attendees from other universities stating how friendly and helpful our staff members were. We truly have a ‘team of teams.’ Please read more about the conference on page seven. I hope everyone will enjoy the upcoming holidays and spend some well-earned time with family and friends. Thank you for all you do to create a campus of distinction at UNC Charlotte!

FACILITIES MANAGEMENT | From the desk of the Vice Chancellor

A Message from Vice Chancellor Beth Hardin

T

he season of thanksgiving is near. At UNC Charlotte, we have much for which to be thankful. This fall, we became the third largest campus in the University of North Carolina because all of us – faculty and staff – give our best efforts to change our region and state. Our teaching transforms the lives of students, our research expands the boundaries of knowledge, and our service links what we know with what we do. The folks in Facilities Management provide the foundation for UNC Charlotte’s work. From completion of Levine Hall to development of a ten-year capital plan, from awardwinning Holshouser Hall to renovated Craven Croft houses, from Employee of the Year award winners to Six Sigma certificate earners – Facilities Management and its people have made a positive impact. You’ve cleaned, cleared, negotiated, reorganized, streamlined, standardized, upgraded, and managed to make things better. Many thanks for the talents you bring to our mission every day. May your holiday season be filled with joy! Gratefully,

Beth Hardin

ongratulations to Carolyn Lewis, human resources specialist in our Facilities Business Office, for receiving employee of the quarter for the first quarter of fiscal year 2018. Carolyn was nominated by Lee Arnold, recycling supervisor, for assisting them during the hiring process of at least six employees since February of this year. His nomination stated, “Carolyn has been available for counselling and advisement in dealing with NinerTalent concerns as well as devoting a minimum of 52 ½ hours sitting in laborious job interviews and data integration sessions. She helped design our interview questions and graciously answered endless questions about posting positions and the eventual hiring proposal process.” Carolyn does not work exclusively for the recycling unit and managed to fit other interviews and paperwork in from other units within Facilities Management. As a human resources specialist, Carolyn’s responsibilities include providing assistance and support with recruitment and selection processes, serves as a search committee member for Facilities Management recruitment, ensures employee position descriptions are updated and maintained, and provides advice and counsel regarding Facilities Management Human Resources processes and procedures. When asked about receiving this award, Carolyn responded, “I feel very honored to receive this award, and I am glad to learn my efforts devoted to this process are appreciated. The BES & R group are a great team to work with, and we have selected some very qualified candidates to fill their vacant positions. I enjoy having the opportunity to work with all of the different units within FM. The people here are great!” The feeling is mutual. Here is what some of Carolyn’s co-workers had to share. facilities.uncc.edu

Philip Jones presents Carolyn Lewis with the Employee of the Quarter plaque.

“I have had the pleasure of working with Carolyn for the past few months and what I appreciate about her the most is her honesty and willingness to coach and help others. Carolyn is a very dedicated employee who is passionate about her work. In addition to Carolyn’s commitment to FM and the FBO-HR team, she has shown great commitment to the profession of human resources management by taking courses to prepare to sit for her Professional in Human Resources (PHR) certification exam. Between many hours of interviewing, advising hiring managers, and keeping up with her administrative tasks, Carolyn is putting in many hours to study and retain what she is learning from her PHR certification course. I thank Carolyn for making my job easier as I transition into my new role and I want her to know how proud I am that she is on our team.” Charleata R. Neal, human resources manager “Ever since Carolyn started here in the FBO Human Resources office, we have just understood each other. I feel like we are two puzzle pieces that just fit together in our little HR world. We challenge and help each other to do better. No one would believe the amount of time Carolyn spends help-

ing hiring managers on their interview panels to hire new talent for Facilities Management. She is great at finding out exactly what a hiring manager is looking for in a new employee. I am so glad that now all of FM realizes how great of a job Carolyn does and that she has finally been recognized. Carolyn, you are awesome!” Beth Brown, human resources specialist “It is always a pleasure working with Carolyn Lewis. Carolyn’s willingness to help colleagues and customers is further complemented by her HR professionalism and critical thinking skills. She delivers all this and more always with a smile. Put simply... another super star member on the FM-HR team.” Clyde Derberry, learning and development coordinator On a personal note, Carolyn and her husband, Clark, reside in South Charlotte and have one daughter who lives and works in Uptown Charlotte. Carolyn enjoys traveling, visiting the attractions Charlotte has to offer, hanging out with friends, and is the proud dog mom of three retired racing greyhounds. By Beverly R. FACILITIES MANAGEMENT | Team of the Quarter

Singer, Brantley, and Smith earn Team of the Quarter

C ongratuations to our Team of the Quarter: Steve Singer (HVAC

Technician), Barclay Brantley (HVAC Mechanic), and David Smith (Supervisor) in Facilities Operations. During New Graduate Student Orientation on Saturday, August 19, Steve, Barclay, and David, all coordinated to repair a “no air issue” with a HVAC unit. Donna Merck, assistant director of Cone University Center, stated this affected more than 400 people in the building with temperatures approaching 100 degrees. Immediately upon contacting David (at home), he reviewed the BAS system and promptly agreed to call the “on-call” technician rather than have the boiler room person check out the situation, which was much appreciated. This prevented further delays of the urgent repair. Steve Singer completed a diagnosis as an air compressor problem and was able to get it to function. However, the problem resurfaced on Sunday. Steve took the initiative to return to campus to follow-up. He found that the compressor was working intermittently and decided to reach out to Barclay Brantley. As always, Barclay was responsive to a priority situation for Cone Center

Team of the Quarter Pictured left to right are Steve Singer, Barclay Brantley, and David E. Smith

and came out to work with Steve. They discovered several loose wires they were able to repair to provide normal functionality. Steve and Barclay’s initiative, expertise, and priority demonstrated high degree awareness during this situation. Donna received a follow-up email on Monday morning from Barclay providing all the details - including the fact that he would continue to monitor the air compressor that affected air controls to three different air handlers. Great communication as always.

Donna appreciated David’s immediate recognition of the situation and prompt action to insure swift resolution. She greatly appreciated his coordination and communication with everyone, which allowed her the opportunity to communicate to the building managers and customers. Great teamwork and coordination was evident the first weekend of the new fall 2017 semester. By Ronda Latham Building Environmental Services

Focus Feature ~ 2017 SRAPPA Annual Conference: A Huge Success!

Last month, approximately 470 people from 55 institutions of K-12, community colleges, and universities, along with more than 80 business partners convened at The Westin Charlotte Hotel in the beautiful uptown area. Originally, North Carolina State University was scheduled to be the host of the 2017 conference, but due to changes with the leadership at their university they were no longer able to host and UNC Charlotte was given the honor. Usually conference hosts are given two years to plan, but due to the circumstances we had less than 11 months. The conference hosting is cyclical every 11 years between the states in the Southeast Region of the United States. The last time the conference was in North Carolina, it was hosted by Duke University in 2006. The next time the conference will be back in North Carolina will be in 2028. On Tuesday, October 24, the SRAPPA Board had its Annual Fall Board Meeting. As a part of the evening’s agenda, they received a bus tour of the UNC Charlotte campus and commented on how well the grounds and architectural design of the buildings looked throughout campus. Chris Kopach from the University of Arizona and current APPA President as well as Landler Medlin the Executive Vice President of APPA both were extremely complimentary of the

color of the brick used in each of the buildings. Additionally, several board members commented on how well the campus landscape is maintained. The conference kicked off Wednesday morning with a “Rise Against Hunger” service project in which 45 people assembled over 10,000 meals consisting of dried goods. At the same time, 92 people played golf at Olde Sycamore Golf Plantation in the highest ever-attended golf event. The educational portion of the conference started on Thursday morning. During the conference there were 36 educational breakout sessions, six of which were conducted by members of UNC Charlotte. The keynote speaker for the conference was Shannon Rusch, a retired member of SEAL Team 4 who were deployed to South America to promote America’s interest in Anti Narcotic, Anti-Terror, and Foreign Internal Defense Missions. The plenary speaker was Glen Ward, a humorist and impersonator from Columbia, South Carolina. Thanks goes to the planning committee, volunteer coordinators, and ALL the volunteers who made this conference happen. This should go down as one of the best attended SRAPPA Conferences. Next year’s conference will be October 6-9, 2018, in Greenville, South Carolina.

Capital Projects Facilities Operations and Parking Services Complex Site

T he sitework for the new Facilities Operations and Parking Services

You may have noticed that the wildlife at Davis Lake has been moved and the water has been drained. Why you ask? Work is underway to ensure that stormwater runoff flowing into the lake is managed to control flooding, reduce erosion, and improve water quality before it moves downstream into Toby Creek. This stormwater management is accomplished by implementing Best Management Practices (BMPs), which are structural, vegetative, or managerial practices to treat, prevent, or reduce water pollution. When the retrofit is completed, these BMPs will ensure that the University meets State and City stormwater management requirements.

Christine F. Price Center for Counseling and Psychological Services

The student counseling center was completed in September and will provide clinical and wellness services to the students. It was recently named the Christine F. Price Center for Counseling and Psychological Services.

Davis Lake

(FOPS) Complex began in late August. The complex located behind Lot 25 and adjacent the North Deck required the clearing of 13 acres of land to accommodate all Facilities Operations, Parking and Transportation Services and Receiving and Stores facilities placing all of the FM personnel in one central location. Once completed, the existing Facilities Operations and Parking Services facilities will be demolished to make way for the new ience building.

Tom Sparks

Congratulations to Tom Sparks for his 20 years of service with NC government. Tom served three years with NC State University as an energy specialist before transferring to UNC Charlotte as our associate director for facilities engineering.

John’s last day is January 5, 2018 so be sure to stop by room 205 in Facilities Management and wish him well before he, his wife Connie, and Bruno their miniature schnauzer, head off for parts unknown!

Well, it is official. Capital Projects Director John Fessler is retiring. After working here for almost 12 years (started March 2006), John is throwing in the towel for the opportunity to ‘sleep in late’ and fiddle-fart around with whatever suits his fancy – gardening, working out, drinking beer or wine, camping, etc. 10

Prior to coming to UNC Charlotte, John worked as a department manager with Stantec Consulting. He was also a special project manager with Charlotte/Mecklenburg Utility Department, capital projects manager of Pompano Beach, FL and department manager with Larson Design Group. John is also a retired Navy Officer.

Facilities Focus | Issue 63

Everyone is invited to a reception in John’s honor on December 8 from 1:00 p.m. - 3:00 p.m. in Cone Center room 113. Please RSVP to Joyce Clay at ljclay@uncc.edu by December 1. C ongratulations to Michael Peddycord, who began a new position with Undergraduate Admissions as their Assistant Director of Technology on August 31, 2017. The Facilities Information Systems team is saddened to say goodbye to Michael who worked with our team as a GIS Developer for over three years (since March 2014). During that time, Michael’s accomplishments included several mapping projects consisting of the new interative campus map, which was recognized by Chancellor Dubois. He also developed many GIS mapping initiatives such as the CRDM map, a Facilities Notification ARCHIBUS application, and supported numerous space management surveying projects. Michael was a valuable team member for Facilities Management, and we will all miss him very much. However, we are confident he will continue being a great asset to the University in his new role. Please join the Facilities Information Systems team in congratulating Michael and wishing him success as he assumes his new role with the Undergraduate Admissions department.

Kenny Leazer Retires

K

enny Leazer retired October 31. In the 23 collective years he has been with UNC Charlotte, he was a treasured and respected employee. Mr. Leazer was at the University when there was such a thing as “Zone 14”, which included Renovations, General Services, and the Key and Lock Shop all in one! Kenny is a cherished individual all over this campus, especially by Supervisor James Williams, who says, “Everybody loves Kenny, and we hope he knows it.” But really, how could you not love a person whose nicknames include “Esquire” and “Paw-Paw”?

Kenny Leazer

Not only does Kenny rock at renovations, he is quite the right-hand for helping to cut costs in projects as well! In October 2016, Mr. Leazer was recognized along with the Renovations crew as “Team of The Quarter”. In the article, Kenny was highlighted as being part of both the guidance and tireless effort that saved over $40,000 in costs. When Kenny is not tending to cabinet, shelving, or desk needs at the Shop, he can be found toying with one of his favorite hobbies. Kenny is a fan of all things horsepower - hot rods, trucks, and even horses themselves—AND he is quite the prince of poultry. Kenny has a few chickens that he raises and even brings in their eggs to the shop for sharing!

Among the many things people love about Kenny is that he treats everyone fairly. James Williams says Kenny has never had a bad word to say about anyone. When James was asked what he’d like to say to Kenny upon his retirement, he replied, “I hate to see you go. We’re going to miss you a lot. We wish you a great retirement and a happy life. We love you to death!”

It is never easy to bid a farewell, but this is a well-deserved retreat for Kenny, and we all give him our very best. Thank you for all of your hard work and for your years with UNC Charlotte, Kenny.

Action Packed Sustainability Efforts

Tyler Sytsma

A

tradition that has been going on for longer than football has existed on campus…Campus Sustainability Week! This past October, the sustainability office, with help from many units and individuals within Facilities Management, successfully completed another Campus Sustainability Week. Kicking off the week, a tree banding volunteer opportunity was spearheaded by our very own landscape specialist, Bart Davis and his team. After successfully protecting many trees from the cankerworm threat, the focus shifted to the next day’s event…the tenth annual Fall Campus Cleanup. Students were able to spread out across campus and help make our community a more beautiful place thanks in large to the leadership of the entire Office of Waste Reduction 14

and Recycling team. This teamwork between offices lead to significantly higher participation percentages among the students on campus. Rounding out this week was the Transportation Fair, a sustainabilityfocused career speaker, and a student gathering. So once again, thank you to everyone who helped make this week as successful as it was! Some fair warning though, this won’t be the only time you see recycling and waste highlighted on campus this school year. This is only the tip of the iceberg. COMING THIS FEBRUARY… Recyclemania!!! UNC Charlotte will be entering into the nationwide 8-week Recyclemania competition starting the first week of February.

Facilities Focus | Issue 63

With a focus on increasing diversion rates, spreading overall awareness, and challenging ourselves to try some new approaches, the more support we have from within our unit, the more our university will get out of this initiative. Also, not to be forgotten, the month of April will be Earth Month as well! So if you like the planet and reducing the amount of waste we send to landfills, this spring semester is about to be a non-stop, action packed adventure for you and I both. If you have any questions about what we accomplished and what we have on our agenda, please reach out to me at 704-687-0606 or tsytsma@ uncc.edu and I will happily answer any questions you may have. Holiday Tips | FACILITIES MANAGEMENT

T he holidays can be a joyful time, offering a chance to reconnect with friends and family. But they can also be stressful. You may feel pressure to buy and give gifts. Maybe you are worried about money. The holidays can also be hectic. There never seems to be enough time to get things done. Think about the kinds of events that trigger stress for you during the holidays. Then you can focus on one or two things you can do that will help the most to reduce stress. Here are some ideas: Know your spending limit. Lack of money is one of the biggest causes of stress during the holiday season. Set a budget, and don’t spend more than you plan. It’s okay to tell your child that a certain toy costs too much. Don’t buy gifts that you’ll spend the rest of the year trying to pay off. Give something personal. You can show love and caring with any gift that is meaningful and personal. Use words to let people know how important they are to you. Make a phone call or write a note and share your feelings. Get organized. Make lists or use an appointment book to keep track of tasks to do and events to attend. Share the tasks. You don’t have to do everything yourself. Share your “to do” list with others. Spend time with friends and family while you share tasks like decorating, wrapping gifts, and preparing the holiday meal. Learn to say no. It’s okay to say “no” to events that aren’t important to you. This will give you more time to say “yes” to events that you do want to attend. Be realistic. Try not to put pressure on yourself to create the perfect holiday for your family. Focus instead on what makes the holidays special for you. facilities.uncc.edu

Remember, just because it’s a holiday, family problems don’t go away. If you have a hard time being around your relatives, it’s okay to set limits on your time at events and visits. Take breaks from group activities. Pay attention to your own needs and feelings. Spend a little time by yourself if you can. Meditate or do some relaxation breathing. Go for a short walk. Keep a regular sleep, meal, and exercise schedule. Limit your alcohol. Taking care of yourself will help you deal with stressful situations during the holidays. Get support if you need it. Holidays can sometimes trigger depression. They can be especially hard if you are already dealing with the death of a loved one or the breakup of a relationship. You may feel embarrassed to ask for help, or you may think that you’ll get over “the blues” on your own. But most people need treatment to get better. The University of North Carolina at Charlotte has partnered with ComPsych GuidanceResources® Worldwide to provide Employee Assistance Program (EAP) benefits to full time permanent employees at UNC Charlotte. Employees can reach GuidanceResources by: Calling 1- 877-603-8259 TDD: 800-697-0353 Logging on to www.guidanceresources.com (Company Web ID: UNCC) The University recognizes that employees experiencing personal issues (marital or family discord, financial problems, alcohol and/or drug abuse, etc.) or significant life changes, should be encouraged to seek professional assistance since such problems often result in stress and anxiety for employees and their families. In addition, personal problems of this nature impair work performance and often impact fellow workers. The University realizes that with early intervention and proper support, most employees can be effectively assisted and become able to fully function at work and at home, thus improving their well being and work-life balance.
