Greetings from the Associate Vice Chancellor of Facilities Management
W
hat great fall weather we are having. I hope you are all enjoying it. Thank you for all you do to make UNC Charlotte a special place to work, live, and learn! The campus has never functioned or looked better. I think we are all aware of the tremendous growth that has taken place at the University and in our organization over the past decade. In the past five years alone, UNC Charlotte has accounted for 48% of the student population growth for the entire UNC System of 17 campuses. This growth is expected to continue and we anticipate exceeding 28,000 students next fall.
The first two major renovation projects are underway – Holshouser Hall and Belk Gym. Both are on track to complete next summer, providing fully refurbished facilities for our students, faculty, and staff. Modernizations of Burson, Colvard, and the Academic (Denny) Complex are in the works. Challenges presented by these major renovations will include noise, construction traffic in the center of campus, the need to find swing space so occupants can be moved out temporarily, temporary HVAC solutions, and a myriad of other issues.

In development of the campus, our focus has been on construction of new buildings. This is changing. Because of the great recession, the State has been unable to fund new academic buildings for several years and we are nearing the end of new construction programs in Student Housing, Dining, and Parking. Our focus is now largely on repairing, maintaining, and modernizing existing facilities. This focus is going to bring some new and different challenges to our organization over the next few years.
It will take all of us, working together, to successfully complete these projects. There will be bumps in the road. Tighten your seat belts and enjoy the ride. As always, I am confident we will succeed and thrive. As we head toward the holiday season, we look forward to getting together at our Holiday Party on December 2. Also be sure to take time to relax and enjoy time with your family and friends during the holiday season. The year 2015 is going to be an exciting year at UNC Charlotte. Thanks for all you do to make this a special place.

hanksgiving is in the air. The mornings are crisp and the skies are clear. Pumpkins are everywhere, tasty dishes, holiday decorations, and savory smells. It is a wonderful time to be thankful for our Facilities Management organization at UNC Charlotte. This year, Facilities Management was recognized at a national level for excellence in all that you do. The APPA Award for Excellence is something that you can celebrate, because every person contributes his or her talent to the wide array of performance required for this recognition. The award is a reflection of the sustained quality of service that Facilities Management brings to UNC Charlotte every day. As we see our well-maintained and renovated spaces, appreciate our well-heated and cooled buildings, plan for our new construction, revel in our manicured grounds, and lead in sustainability, we grow in appreciations for Facilities Management. n behalf of the Awards Steering Committee, I am happy to announce a new recognition opportunity - The Director’s Coin! This coin may be presented to any Facilities Management or University employee, or any external service provider, sponsor, supporter, who exemplifies Facilities Management’s SHARE values: Safety, Honesty and Integrity, Accountability, Respect for Others, and Excellence. Facilities Management employees must be in good standing in accordance with Facilities Management Policy Statement #9 (Performance Dependability) and can be awarded the coin more than once a year. I along with the directors will receive an annual allocation and will award coins.

F
all is quickly approaching and the leaves and temperatures will soon begin to fall! This means a lot of cleanup work for the Grounds crew and, of course, bringing all of our heating systems up and making sure they are operational. The past several months have been very busy and full of challenges. Many thanks to all of the Facilities Operations staff for meeting these challenges head on and for being prepared to take on whatever comes next. We couldn’t do what we do without some assistance from outside contractors. These companies simply add another level of expertise and make our team even more prepared to serve our customer. A recent example of this teamwork involved Larry Copeland and his team from Carolina Air Solutions. They provided critical resources that augmented our HVAC trouble shooting of

repair, maintenance, and equipment replacement needs throughout campus. On September 10, 2014 at approximately 1:00 pm the Facilities Management and Police building suffered a catastrophic loss of the chiller. We have had challenges over the past several years with this unit and knew that replacement was necessary and planned to do it this winter (December 2014). Fortunately, Capital Projects had already started the replacement project with the State Construction Office review completed and the project being advertised. Zone 6 Supervisor, Joe Loder, had met with Carolina Air Solutions and discussed the potential need for a temporary unit. Prior to the loss of power, Carolina Air Solutions proactively came out and reviewed the situation.

The biggest challenge now was to get a temporary chiller to campus as quickly as possible. Joe Loder notified Carolina Air Solutions of our urgent need at 1:15 pm and they had a temporary chiller on location and operational by 8:30 pm. Just to make things a little more challenging, from 6:30 pm until 8:00 pm the University got hammered by a rain storm (over three inches of rain) and Larry and his crew worked through the weather. For their extraordinary efforts, Carolina Air Solutions received the distinguished Facilities Management Director’s Coin. This coin may be presented to those who go above and beyond the call of duty.

Employee of the Quarter: Elias Mahfoud By Laurie Manderino, Facilities Planning
Elias Mahfoud’s innovative thinking has earned him the Employee of the Quarter Award
C
ongratulations to Elias Mahfoud for being awarded “Employee of the Quarter” at the Facilities Management first quarterly meeting of the 2015. Mr. Mahfoud became a member of the Facilities Information Systems (FIS) team in July of 2013. His first assignment was a space management project.
a day rather than the three days it was taking before. This time savings frees up Facilities Information Systems to focus more on projects and therefore is a significant cost savings for the University.
Fred Brillante, Director of FIS, stated, “Elias has done an excellent job pioneering a new process management system. He consistently goes above and beyond to ensure that Facilities Information Systems produces the highest quality product with great efficiency. Users ask for something incredible and voilà it is completed. Customers have come to rely on Elias due to his phenomenal solutions.”
While working on space approvals, he realized that the lack of a unified approval system made implementing new approval processes difficult and hard to troubleshoot. Subsequently, he came up with the idea of designing a process management system within ARCHIBUS to streamline processes and approvals. Earlier this year, he started working on the new process management system as part of the campus key management project. This new system enabled his colleague’s project to more easily finalize. Because of Mahfoud’s innovative thinking, approval processes can be implemented in half

Additionally, the new process management system allows Facilities Management to build approvals and workflows in a structured way using a self-documenting code. This makes it easier for FIS to detect errors and restructure processes in the future; consequently, improving efficiency.

T
hese individuals led our yearlong self-assessment which included gathering a multitude of information and data, assessing the data, identifying gaps, and writing an extensive report. The work required interfaced with every part of Facilities Management and each individual rose to the challenge, meeting difficult deadlines on time, often requiring extra work after normal duty hours, which was accomplished in addition to their normal duties. Some of the duties
included: cover design, compiling the report, research, meeting scheduling, gathering, resizing and inserting photos, meeting and escorting the APPA judges. The end result of their work was a 44 page Award for Excellence submission to APPA. As a result of their efforts, Facilities Management received APPA’s prestigious 2014 Award for Excellence which is bringing national recognition and praise to our department and the University. The committee expressed their feelings as, “It was an honor to be selected as Team of the Quarter. However, the award was only possible with the help of all of you at UNC Charlotte who contributed information to the report. By Shelly Theriault, Facilities Business Office If you haven’t already been greeted by her warm smile or quickly helped with a request or issue, be sure to stop by and meet Jennah, FBO’s new Administrative Assistant! Jennah comes to us with a wealth of experience. At Brown Mackie College, she served as front desk Receptionist, Inquiry Processor, and Administrative Assistant to the Senior Director of Admissions. Here’s a little bit about her personally:

She recently moved to Charlotte from Greenville, SC. She thinks Charlotte is a “beautiful city with so much to do,” especially since it’s located not too far from the beach or mountains.
She sees Facilities Management a “really great place to work, filled with invaluable opportunity for learning and growth, and the people I work with are wonderful. I feel truly blessed to be part of such an awesome team!” She’s been married for 24 years to her husband, Bill. They have two children. Her son is a senior at Winthrop University and her daughter is a freshman right here at UNC Charlotte! She adds, “I truly appreciate the warm welcome I have received here as a new employee. My co-workers have been very patient and kind, and more than willing to help out as I learn the lay of the land. I want to thank you all for your kindness, I already feel right at home. I look forward to working and growing with you all.”

B e s t Wi s h e s Dio nte ! By Pamela Duff, Facilities Information Systems Facilities Information Systems recently said goodbye to Dionte Sims, our Facilities Mobile Technology Specialist. We were all sad to say goodbye to Dionte, but wish him the best in his future endeavors at Microsoft. Dionte accepted a position as an O365 Onboarding Manager where he oversees Office 365 Suite deployments using Cloud Technology. Dionte had been with the Facilities Management Information Systems team since August 2005. He was an exceptional asset and integral part of the team during his tenure. In 2005, he was hired as our CAFM Administrator where he surveyed buildings and maintained the CAFM system drawings and building floor plans. Based upon unit needs, he also began supporting software, hardware, maintaining inventory, and troubleshooting issues for our Facilities Management team.

During his tenure, Dionte was honored with multiple awards for excellence. In January 2007 he was presented with the Employee of the Quarter Award for his hard work during the implementation of the new ARCHIBUS system. ARCHIBUS was implemented right before the winter holiday break in December 2006. While others in his unit were on vacation, he was here every day trying to clean up any issues staff had with the new program including arranging for conferencing with the FIS senior systems administrator and the vendor, AOS, to resolve problems. Over the last few years, Dionte was promoted to Facilities Mobile Technology Specialist and began working extensively in the field with our Facilities staff implementing and supporting our mobile technology framework.

Learning & Development Updates: Computer Training: Much thanks to Jennifer Toth with ITS for developing and delivering two computer training sessions for our Recycling members. Topics covered were: Windows 7 overview, Microsoft Office and Outlook, and the Internet – navigating the UNC Charlotte website, 49er Express, Banner, etc. Communication Workshop: Two small group sessions for Facilities Management leaders were completed on October 1 and November 17. This one-day workshop addresses key communication skills such as: Listening, Non-Verbal Communication, Maintaining Emotional Control, Tailoring a Message to Fit the Audience, Writing with Impact & Clarity, and Framing your Message in the Positive. Twenty-seven directors and managers, including Mr. Phil Jones, attended.

Targeted Selection Training: In collaboration with Jules Keith-Le, Human Resources Learning and Development Specialist, two training sessions are scheduled in December for FM members involved in the hiring process. Targeted Selection facilitators for these sessions are Joanna Roop and Solomon T. Franklin. The Targeted Selection tool is a critical part of the hiring process where behavioral aptitudes are equally measured and evaluated. Seventeen FM members are scheduled to attend.

I n t h e n ic k of t i m e ! Thanks again to everyone involved in helping get Residence Hall Phase XII (now called Martin Hall) through state inspection in time to receive the first occupants on August 13. Even though we were literally moving appliances in while the students were moving in, all has ended well and the residents have no complaints. This 408 bed residence hall is comprised of 4 bedroom, 2 bath apartments. I think all will agree that Martin Hall enhances the east (village) side of campus and is a definite improvement over Smurf Village. The Cone Plaza renovation is almost finished! If not completed by the time this article is published, expect it to be shortly thereafter!

Final inspection for South Village Dining Facility is expected to be held in early December. It will be officially called South Village Crossing when opened. Below are photos of interior work as they were finishing up. What an upgrade from the previous residence dining hall. Students, faculty, and staff will love dining here!
It is with much regret that we announce the retirement of Tom Stutts at the end of the year. Tom, who graduated from UNC Charlotte in 1979, joined the University staff in 2003 after working as a project manager with a private firm. While we have been unable to confirm his last day, we know it will be sometime within the second week of December 2014. While he is looking forward to spending his time with the grandchildren, Tom said “it was not an easy decision to make, because I enjoy my job and the people I work with, but at some point, we all have to go”! I suspect he’ll find time to meet the other TSs (Tom Sparks and Tony Schallert) for an occasional lunch at Showmars! Please stop by FM Room 241 to say goodbye before Mr. Stutts leaves the building!

Capital Projects Update | FACILITIES MANAGEMENT
The Blue Line is Coming to This Side of Town By Dorothy Vick, Capital Projects I’m sure most everyone has noticed the significant clearing of trees (approximately 8.14 acres total when completed) along Cameron Blvd adjacent Parking Lot 25 and across the street from Wallis Hall. What’s happening you ask? The Blue Line Extension is coming! Construction has finally begun on campus for the extension which is scheduled for completion sometime in 2017. Charlotte Area Transit System (CATS) is installing the line between 9th Street and UNC Charlotte along North Tryon at street level. The track will bridge over Harris Blvd. and then tunnel under Tryon - just south of the Hight Veterinary hospital - to enter campus to the last stop which will be across from Wallis Hall where site work is currently underway. The extension of the Blue Line will not only move Charlotte forward but also make travel to and from Uptown Charlotte an enjoyable change, particularly on game days!

NC Smart Fleet Awards By Christopher Facente, Facilities Operations UNC Charlotte achieved Smart Fleet Champion status from the NC Clean Energy Technology Center based at NC State. The center provides companies with information, infrastructure assistance, and grants for clean energy projects. In keeping with states such as Kentucky and Colorado, NC Clean Technology wanted to recognize clean fleets throughout the state. The inaugural event held on October 24 at the Raleigh Convention Center.

Eighteen awards were distributed at with only four Champion level fleets. UNC Charlotte was the only champion level winner in the Charlotte Area. UNC Charlotte was recognized for providing 45% of the growth of the UNC System and continued to grow the alternate fuels portion of the fleet. The other Champions were EPES Transport, Town of Chapel Hill, and the Town of Cary. There are three Smart Fleet designation levels (see the diagram above) and the difference between the levels is the availability of your fleet’s historical data as well as other activities related to outreach and education.
GEM Vehicle Program
Joey stated, “Steve Terry, along with support from Phil Jones and Charles Puckett, laid the groundwork for the alternate fuels vehicles programs still in place today. Larry Lane, former Automotive Supervisor and I implemented the program for many years. Larry spent countless hours working to promote this program. Chris Facente, our new Automotive Supervisor, and I are committed to continuing this program. Without everyone’s support of the alternative fuels program we would not have earned this award. Kathy Fisher, Motor Fleet Administrator, also compiled the information from Fuel Master.”
By Steve Terry, Design Services The GEM vehicle program started in early 2004 when I approached Charlie Puckett, Director of Facilities Operations, about vehicles for construction operations. We discussed vehicle types and I inquired about electrics. At the time, there was one old golf cart and a 2002 GEM (Global Electric Motorcar) owned by another department on campus. During that interim, Phil Jones asked me to fill in a seat as a stakeholder representative for UNC Charlotte Facilities Management at the Clean Cities Coalition session that summer. I met Anne Tazewell of the UNC State Solar Center program as well as others interested in electric vehicles. During discussion, I learned of the State requirements for fleet upgrades

to meet emissions standards as well as the State Energy Commissions matching grant program. With help from many, I wrote a grant that provided matching costs for electric vehicle procurement. With Phil Jones’ blessing (and funding!), the GEM fleet was born. FM1 and FM2 are pictured on page 13. Working with then John Carpino, Preventative Maintenance Supervisor, I acquired two basic GEMS so supervisors and office staff could move across campus quickly and quietly to expedite work and other important business. Mr. Jones took a shine to FM1 and its performance and authorized four more

for operations. Two for Renovations and two were modified to function as construction vehicles for informal project assignments. Before year’s end, we procured four more that were used in the electrical and HVAC) shops; thus the beginning of the electric vehicle (Low Speed) fleet for Facilities Management. Over the next three years, I worked with the other shops to procure vehicles and soon campus clients (COE, Athletics, Cone Center etc.) were calling and asking for information, specifications, and finally, best product selection for electric vehicle products. Lizotte Presents at International Conference By Laurie Manderino, Facilities Planning On October 28, 2014, Michael Lizotte, PhD, UNC Charlotte Sustainability Officer, was a presentor at the Association for the Advancement of Sustainability in Higher Education (AASHE) Conference and Expo in Portland, Oregon. AASHE is made up of colleges and universities, businesses, and nonprofits working together to spearhead the sustainability transformation. Dr. Lizotte’s topic, “Sustainability Committee Structures”, explored effectiveness of committees as a common organizational tool for sustainability on campuses, communities, and businesses. Leaders and sustainability staff use committees to provide expertise, stakeholder representation, coordination, institutional memory, and fresh perspectives. He reviewed some common campus committee structures used for sustainability initiatives and how they evolve as the initiative matures.
Dr. Lizotte also took advantage of two full-day professional development workshops, one titled, Developing a Campus Living Lab, and the other A, Sustainability Officers Workshop on Essential Facilitation Tools & Technology to Advance Communication Skills, Leadership, and Project Management on Campus. This year’s conference had more than 1,800 participants in attendance and is, “the largest stage in North America for sharing effective models, policies, research, collaborations, and transformative actions” in sustainability.”

NEW BES MONEY SAVING INITIATIVE Building Environmental Services (BES) will soon implement another innovative solution to their operations; thus, saving the University tens of thousands of dollars per year. After an in-depth analysis of paper towel dispenser and paper towel vendors, BES has selected a new vendor. Approximately 2,000 new VonDrehle dispensers will be installed through the assistance of several BES technicians, managers, and supervisors during the week of December 15-19, 2014. This time frame takes advantage of the “low volume of students, faculty, and staff on campus,” said Brian Guns, Director of BES & Recycling. “The switch from Georgia Pacific to VonDrehle represents a $57,563.60 per year savings on paper towel purchases,” said Guns. After identifying VonDrehle as the most attractive offering from the University’s perspective, BES conducted a pilot test of the VonDrehle dispensers and paper. In February 2014, 60 VonDrehle paper towel dispensers were installed in three campus buildings (PORTAL, Robinson Hall, and Rowe Building). These dispensers are performing extremely well and the paper quality is equal to or better than the quality of the Georgia Pacific paper towels. Guns also recognized the work done by Rob Arthur, SDI Warehouse Manager, for compiling and analyzing the large amount of potential vendor information that was pivotal for decision making.

filling stations. This year, at the other two locations, we again replaced two of the three drinking fountains with bottle filling stations. Each pair of bottle filling stations is served from a single remote chiller (cooling unit). Since their installation, the bottle filling stations have been popularly used as evidenced by their long lines. The stations installed this year have a larger chiller with the hope to provide cool water to a greater number of fans using the stations.
The bottle filling stations support the zero waste initiative at the football stadium and were purchased with funds provided by CGI. Last year, four out of six had bottle filling stations installed. At each location, two of the three drinking fountains were replaced with bottle
The initial installation last year was performed by the original contractors due to warranty issues. The most recent phase was installed by Zone 1 personnel who specialize in plumbing and electrical services. The plumbers removed existing drinking fountains and installed the new stations, including the remote chiller and piping
between the chiller and the station. The electricians supplied electrical power to the chillers, which completed the new bottle filling stations install.

As you may have heard, the University has embarked on a campaign to make Jerry Richardson Football Stadium a zero waste stadium. Zero waste is typically defined as an effort to reach a 90% diversion rate, meaning that 90% of the waste stream coming from the stadium is either recycled or collected for composting. After game one, we are able to report that we reached an 87% diversion rate, which is still outstanding in itself. Zero waste is not easy and requires a commitment from the University, Athletics, volunteers, managing departments, food service, students, stadium management, and fans. Just like football, winning requires everyone to be on the same page, pulling in the same direction, and working toward the same goal. Like Charles M. Schwab said, “a person can succeed at anything in which there is enthusiasm.”

In October 2014, members of the BES team attended Janitor University. This team was comprised of Joe Scollo (BES Night Manager), Vanessa Dodd (BES North Area Manager), Althea Cook (EPIC Zone Supervisor), and Katherine Humphries-Jenkins (North Zone Supervisor). Janitor University is a comprehensive five-day (36 hours total) leadership and professional development course designed for cleaning organization executives. Students at Janitor University are immersed in learning the elements of a successful (OS1) operation based on the ManageMen, Inc. Philosophy of Cleaning. The Janitor University Philosophy of Cleaning: 1. Clean for Health first then for appearance 2. Treat cleaning workers as first class citizens 3. Simplify, Simplify 4. Utilize the ‘Clean Syndrome’ 5. Go beyond compliance on safety regulations 6. Minimize environmental harm 7. Exceed expectations In this course participants were introduced to the following topics: Janitor University’s Philosophy of Cleaning; Cleaning Health and Science; Reducing Waste and Simplification; Functional Management; Data Tracking and Logistical Planning; Going ‘Beyond Compliance’ in Safety Regulations; Minimizing Environmental Harm; Treating Cleaning Workers as First Class Citizens; and Tailoring Your Current Cleaning Operation to (OS1). Having BES leadership attend Janitor University was a key action step in implementing an (OS1) Pilot at UNC Charlotte. Earlier this year the BES team worked with ManageMen, Inc. to have an (OS1) Baseline Audit conducted by Mr. Ben Walker (Director of Business Relations at ManageMen, Inc.), an APPA Audit conducted by M. Alan Bigger (APPA Fellow and former APPA President), and three buildings work loaded by Mr. Tim Poskin (Chairman of the Cleaning Industry Think-Tank). These actions have led to approval for an (OS1) Pilot to be conducted in Spring 2015.

BES is in the process of reorganizing its organizational structure, zone assignments, and shift structure. Each BES Zone Supervisor will have two Advanced Lead Technicians to serve in their Zone (Weekend Lead Technician / Evening Lead Technician). Each Floor Crew Supervisor will have one Advance Floor Crew Lead Technician to serve in their Area (North Area Floor Crew Lead / South Area Floor Crew Lead). Interviews for Lead Technicians were conducted throughout the month of October 2014 using the Targeted Selection Process. The Interviews for Lead Technicians were conducted by three Hiring Committees comprised of BES Managers and Supervisors. The Hiring Committees reflect the Areas and Zones that the BES Supervisors will transition into in March 2015: North Area Hiring Committee - Vanessa Dodd, North Area Manager - Althea Cook, EPIC Zone Supervisor - Debra Mayfield, CHHS Zone Supervisor - Subhash Pandya, Woodward Zone Supervisor South Area Hiring Committee - Greg Kish, South Area Manager - Katherine Humphries-Jenkins, McEniry Zone Supervisor - Candis Robinson, Library Zone Supervisor - Bonnie Peoples, Kennedy Zone Supervisor - Kenneth Foster, Colvard Zone Supervisor Floor Crew Hiring Committee - Joe Scollo, Night Manager - Rob Ervin, North Area Floor Crew Supervisor - Bill Costello, South Area Floor Crew Supervisor Solomon T. Franklin, Program Development and Education Coordinator, served as the Targeted Selection Coordinator for each of the Lead Technician Hiring Committees. Once the Lead Technicians are selected, the BES leadership will determine the zone assignments for the remaining BES Technicians. BES Technicians will be placed in the new Zones according to the best fit that will address the business need of the unit. All BES Technicians will receive an official letter from Brian Guns, BES & Recycling Director, on December 16, 2014. The start effective date for the BES Technicians to report to their new Zone Assignments will be during March 2015 (Week of Spring Break).
