1. C O M P U L S O RY F O R M A L I T I E S Welcome to the University of Bergen! As a new international student at UiB, you will need to complete compulsory registrations and other formalities during the first few weeks of the semester. We hope that the provided checklist will make it easier for you to complete all the required formalities on time. During the Introductory Programme, we will give you a personal welcome envelope filled with information that will help guide you through all the necessary formalities. Should you be unable to attend the Introductory Programme, you can collect your personal welcome envelope envelope at the Semester Startup Help Desk for international students at the Student Centre (campus map index no. 14) up to 30 January. If you arrive after this date, please contact us at exchange-students@uib.no / quota@uib.no / master@uib.no to schedule a meeting.

Please note that a national ID card can only replace a passport when including information about gender. When you have received the letter with your Norwegian ID number, you must show the document to UiB as soon as possible to have the new number registered.   TB Testing: Chest X-ray TB-testing is compulsory for citizens from: Europe: Bosnia-Herzegovina, Greenland, Kosovo, Romania and all the countries in the former Soviet Union: Armenia, Azerbaijan, Estonia, Belarus, Georgia, Kazakhstan, Kyrgyzstan, Latvia, Lithuania, Moldova, Russia, Tajikistan, Turkmenistan, Ukraine and Uzbekistan. America: Belize, Bolivia, Brazil, the Dominican Republic, Ecuador, Guatemala, Guyana, Haiti, Honduras and Nicaragua. Oceania: the Marshall Islands, Guam, Kiribati, Micronesia, Palau, Papua New Guinea, the Solomon Islands, Tuvalu and Vanuatu. Asia: Iraq and Yemen. The rest of Asia: all countries except Japan, Singapore and the Maldive Islands. Africa: All countries except Egypt, Tunisia, Mauritius, Comoros and Seychelles. Where: Chest X-ray Unit, Betanien Hospital When: 12 February. Schedule an appointment online at UiB and Me. SiB Student Deposit Account If you have deposited money to the deposit account for foreign students, please contact the Student Welfare Organisation. They will transfer the money to you as soon as you notify them of your Norwegian bank account number. For more information about the deposit account, se Chapter 4.   Norwegian Bank Account Students staying for more than six months have to apply for a Norwegian ID number and need this to open a Norwegian bank account. Students staying for less than six months must apply for a D-number that corresponds to an ID number. UiB has scheduled a meeting with the bank DNB where students who need to order a D-number can attend (relevant for students staying less than six months). For more information about opening a Norwegian bank account, see Chapter 4.   Tandem Language Learning UiB offers a language learning concept called Tandem, which is available for all international students at UiB. This is a good time to find an organisation for you, talk to current members and even sign up!

If you fail to attend you will not be able to take it again. The test is only for students who have received a letter about the placement test in their welcome information envelope.

3. C U LT U R A L A N D S O C I A L A C T I V I T I E S Social Activities In the second week of January, several student organisations will arrange different evening events where you can get to know Bergen and each other. These activities are arranged by The Student Parliament, the highest level in the student democracy (www.spuib.no); ESN Bergen, an international students’ organisation that arranges social events (www.bergen.esn.no); and ISU-UiB, an organisation run for and by international students, committed to improving international students’ stay in Bergen through social and cultural activities. Follow the student organisations on Facebook to find out more about the upcoming activities.

Buddy Bergen Buddy Bergen is organised by students in the Erasmus Student Network (ESN). They cooperate with the National Union of Students in Norway (NSO) and UiB among others. The objective of Buddy Bergen is to provide you with your own ‘buddy’, a friendly Norwegian student who will try

to make your stay easier and more fun. For six weeks, you will have a buddy who will introduce you to the typical Norwegian way of life. For more information, please see: www.bergen.esn.no/buddy-bergen

Study Bergen Study Bergen is a collaboration between eleven organisations, including UiB. During the semester Study Bergen arranges exciting trips including ski days, boat trips, hikes and a number of other events. All the events are subsidised for students attending UiB, and in addition to new experiences, you will meet students from academic fields other than your own. Follow Study Bergen on Facebook or check out studybergen.com to find an overview of student organisations and activities in Bergen.

Tandem Language Learning UiB offers a language exchange programme called Tandem. This is available for international students, Norwegian students who plan an exchange semester abroad, foreign language students, or UiB students who want to improve their language skills. Tandem language learning is based on language exchange through communication and interaction between two students speaking different languages.

The programme is coordinated by UiB, and we will seek Tandem partners that match in their preferred languages. If we find a partner, we will contact you. The deadline for signing up this semester is 1 February 2015! Sign up and read more at uib.no/education.

4. P R A C T I C A L I N F O R M AT I O N Letter of Acceptance

Welcome Letter

Your Letter of Acceptance confirms your admission to the university. You received the letter before arrival in Bergen and this letter states your period of study and the courses or programme, as well as the faculty to which you are admitted.

This letter is included in your welcome information envelope. The letter contains all the registration numbers required to complete your compulsory UiB registrations.

Welcome Information Envelope

UiB Registration number: Required to log on to StudentWeb and to open a user account.

All new students will be given a welcome information envelope on the first day of the Introductory Programme. In addition to this brochure, the envelope contains your welcome letter, and other relevant information and forms.

Note that all the numbers are useful throughout your entire stay at UiB.

Student number: Required to open a user account, and also serves as a candidate number when sitting for examinations. PIN: Required to log on to the StudentWeb and to open a user account.

SiB Student Deposit Account If you have deposited money to the deposit account for foreign students, please contact the Student Welfare Organisation (SiB). Address: Villaveien 10 (Campus Map Index. No. 12) Opening Hours: Monday–Friday 10:00–14:00 E-mail: sib.okonomi@sib.no

As soon as you notify SiB of your Norwegian bank account number, they will transfer the money to your account. If you do not have an account yet, SiB can issue a cash card to cover your living expenses until you have acquired one. The cash card can be ordered by sending an e-mail to SiB with your name and the amount required, or you can visit the office in person. The cash card will be ready to be picked up the following day. Please note: You can get up to NOK 18,000 deposited to the cash card, NOK 9,000 at a time. Make sure that the amount is sufficient to cover your expenses until you get your own bank account.

Norwegian Bank Account International students can apply for a Norwegian bank account by contacting a bank. In order to open a bank account in Norway and receive a Norwegian debit card, you need to have either a Norwegian ID number or a D-number.

Students staying for more than six months Students staying in Norway for more than six months have to apply for a Norwegian ID number. You apply for a Norwegian ID number at the local National Registry (Folkeregisteret/Skattetaten) upon your arrival in Bergen. When a Norwegian ID number has been issued, you can contact a bank and open a bank account. Remember to bring these documents: • passport • residence registration certificate (EU/ EEA/ EFTA citizens) or residence card (non-EU/ EEA/EFTA citizens) • Letter of Acceptance • documentation of your Norwegian ID number For more information see Chapter 7.

UiB has scheduled a meeting with the bank DNB to order a D-number (only relevant for students staying less than six months). See the checklist in the beginning of the brochure for time and place.

Students staying for less than six months Students staying in Norway for less than six months may apply for a D-number. A D-number corresponds to an ID number, but is only used for tax and bank purposes. Please note that it may take 4 weeks to obtain a D-number. To obtain a D-number, please go to a bank and they will assist you with the application to the National Registry. You cannot apply directly on your own. You need to bring the following documentation: • Letter of Acceptance • passport/ID card. When your D-number is ready you can go to the bank and open an account. You must bring your Residence Registration Certificate/Residence Card.

Student Confirmations Learning Agreements Learning Agreements from home universities can be submitted at the information centre at your faculty for signatures. Signed Learning Agreements usually take one week to issue. Confirmation of arrival and departure Arrival and departure forms that need signatures can be handed in at the information centre at your faculty. We can only include our official semester dates and the end date can be no later than 20 December/June. Confirmation of student status All confirmations of student status for renewal of visa applications, home university and home country authorities can be ordered online via the web page UiB and Me ( uib.no/studentinfo ) and will be issued within two weeks or less, depending on your student category.

5. S E M E S T E R R E G I S T R AT I O N StudentWeb StudentWeb is the students’ online registration service. You log on with your UiB registration number (or Norwegian ID number) and your PIN, both found in your Welcome Letter. StudentWeb is available at studentweb.uib.no When your exam results are available on StudentWeb (approx. three weeks after the exam date), you can order an official transcript of records on StudentWeb. Remember to update the semester address if you have left Bergen and want the transcript sent to your home country.

StudentWeb services include: • Semester registration • Updating of your semester address • Semester fee payment information (if applicable) • Registration for classes and exams • Confirmation of your individual education plan, changing or cancelling of exam registrations

• Registration of contact person (emergency contact) • Checking exam results • Ordering transcript of records Extended registration assistance is provided on Tuesday 6 January between 13:00–15:00 at the Social Sciences Library (Campus Map Index No. 18). For more information see the Introductory Programme in chapter 2. Further assistance will also be provided any time after this period during opening hours at the Information Centre at your faculty. All students are expected to complete their registration within the given deadlines in subsequent semesters. You will find more information on the web page UiB and Me at uib.no/studentinfo All students have to complete their semester registration on StudentWeb by 1 September. 8 January is the deadline to register for most classes and exams at the Faculty of Mathematics and Natural Sciences.

Semester Fee

Student ID App

In addition to registering, some of you also have to pay a semester fee, currently NOK 590 per semester, which you can do at any bank or post office. NOK 40 of this amount is a contribution to the student organisation SAIH’s work for education in southern Africa and Latin America. If you for any reason do not wish to support SAIH, you may subtract NOK 40 from the amount and pay NOK 550. If you have to pay the fee, you will find an invoice in your welcome envelope. Please note that banks and post offices require a small fee for payment of invoices.

When you have paid the semester fee (if applicable) and completed the semester registration on StudentWeb, you may download UiB’s new digital student ID app to use as a semester receipt and student ID. This app is currently available for IOS and Android phones and is not yet available for Windows phones.

The app will show the picture you have taken for your student ID card. If you have a Windows phone or do not have a smart phone, you may choose to receive a semester receipt by post instead, with a sticker you can affix to your student ID card. Student ID Card All students at UiB must have a student ID card issued by the Card Centre. The card is multifunctional and serves the following purposes: • ID card • Key card • Library card • Charge card for printing and copying/ PullPrint • Access card to SiB’s sports halls


To obtain a card, you must have completed your semester registration and opened a user account the day before

Opening Hours: Mon–Fri 09:00–14:00 E-mail: kortsenteret@eia.uib.no The day after you have completed your semester registration and opened a user account, you can visit the Card Centre. There you will have your photo taken and receive your Student ID card. Remember to bring a valid ID card or passport. It takes one day for the card to be activated and ready for use.

6. G E T T I N G A RO U N D I N B E RG E N Many students will need to use buses or the Bergen Light Rail (Bybanen) on a daily basis to get around in Bergen. If you live at Fantoft Student Hostel, you can catch Bybanen to the city centre of Bergen, where most of the UiB campus is located. The Faculty of Medicine and Dentistry is located outside of the city centre. To get there you can catch bus no. 2 or 3 from Småstrandgaten in the city centre. These buses also take you to Alrek Student Hostel (get off at the bus stop called Statsarkivet). The stops for Haukeland University Hospital are also available on these bus lines and are next after Alrek Student Hostel. Time tables are available at skyss.no.

Tickets and Travel Cards Single tickets for buses and Bybanen can be purchased beforehand on one of the ticket machines (only coins or credit cards accepted) at many of the bus stops or Bybanen stops. You can also purchase single tickets in certain shops in the city centre (e.g. 7-Eleven, Deli de Luca, Narvesen), or use Skyss’ ticket app or visit one of Skyss’ Customer Centres.

A single ticket costs NOK 35 (from February 2015). It is also possible to buy a single ticket on the bus (not on Bybanen), but that is more expensive with a cost of NOK 41 (as of June 2014). As a student, you will get a 40% discount on the Periodic Travel ticket which entitles you to unlimited travel for 7, 30 or 180 days on city buses and Bergen Light Rail. You can use either the Skyss Travelcard or Skyss Mobile ticket to purchase and use the Periodic Travel ticket for students. The Skyss Travelcard can be ordered on Day 1 of the Introductory Programme at the Skyss stand, or at Skyss’ Customer Centres in the city centre. You may also order one online at skyss.no.

Valid Student ID Always remember to bring valid student ID for inspections if you travel with a student discount card or ticket. Before you have obtained the student ID app or received a semester receipt by post, you can use your Letter of Acceptance to prove that you are a student at UiB.

7. I C T S E RV I C E S User Account As a student at UiB, you need access to computer services in connection with your studies. To make use of these services, you must open a user account at UiB. Your user account will provide you with: • My Space; your personal pages with access to online learning resources and relevant academic information • Your personal e-mail address • Access to computer rooms, printing and photocopying services • Access to UiB’s computer system from your own computer • Access to the Internet at your student hostel Students have a home directory (personal storage) on a server, associated with their user account. Find more information at it.uib.no/en/Support_for_students.

How to Open a User Account Once you have completed your semester registration on StudentWeb, you can open a user account at sebra.uib.no.

To open a user account, you need your UiB registration number, student number and your PIN, all of which you will find in your Welcome Letter. Remember to write down your user name and password when you open your account!

My Space When you log on to myspace.uib.no, your personal pages give access to relevant academic and administrative resources, a calendar with information about your timetable, your reading list, subject information, e-mail services, discussion groups etc. You need a user account to log on to My Space. If you have not completed the semester registration and paid the semester fee (if applicable) by 1 February, your user account will be automatically closed.



Personal E-mail Address When you open a user account, you are assigned your own personal e-mail address: name.familyname@student.uib.no you can read and send e-mails from any browser at webmail.uib.no. webmail.uib.no has good storage capacity as well as spam and anti-virus programmes. Other web-based e-mail systems may not meet UiB’s storage requirements. Some of the e-mails sent to you by UiB will have large attachments containing lecture notes, texts and articles etc. We expect you to read your e-mail and check My Space regularly!

UiB and Me Online A range of services for students are found online. You will find a complete overview on the web page called UiB and Me (go to uib. no/studentinfo  and choose ‘English’). Computer Rooms All faculties have their own computer rooms and designated areas where you can log on using your own laptop. You may also use the services offered by the University Library’s educational centres. Please contact the information centre at your faculty for more information on available facilities.

Internet Access You must have an ICT user account at UiB before you can access computers on campus and wireless Internet at the student hostels. After you have opened your user account, you must allow one day for the Internet access to be activated.

Internet at your student hostel At your SiB student hostel you can use the UiB Internet access on your own laptop: sib.no/en/housing/in-residence/internet. If you have questions about Internet access at your student hostel, you can ask SiB on Facebook: facebook.com/SiB.Bergen

Internet on campus You can also use your own laptop on campus, either in wireless zones or in designated areas. Your laptop must meet

Print and Copy Services

All students are required to pay for their prints and copies through a system called PullPrint.
You can access your prints from any of the student printers with a card reader by swiping your student ID card. For more information on PullPrint, see under ICT Services on UiB and Me (uib.no/studentinfo)

Access Internet before semester startup • UiB is a participating institution in the Eduroam network, which means that if you use Eduroam at your home university, you will also have Internet access through Eduroam when you arrive on campus in Bergen. • If you have your own laptop, you can use the wireless Internet at Club Fantoft, the Bergen Light Rail (Bybanen), or at one of the many cafés in the city centre that offers free wireless Internet. At the public library next to the bus station you can also use one of their stationary computers to access the Internet. • If you have a Norwegian mobile number, you can access the Internet by using “uibguest”. You have to enter your Norwegian mobile number, and a password will be sent to you.

PullPrint

How to Deposit Money to PullPrint: You You may visit payprint.uib.no (available when connected to the campus network or via VPN), and pay by Visa or MasterCard. A second option is to buy a SpendOn card, a type of Visa card that can be used in 25 million locations worldwide - including online stores. It may be purchased at any Narvesen and 7-Eleven. Here you can top it up with any amount between NOK 200,- and NOK 2,000,- (Norwegian kroner). A SpendOn card of values NOK 500,- and NOK 1000,may also be purchased at Kiwi, Joker, Meny, SPAR and COOP stores across the country. Please note that you cannot withdraw unused money from PullPrint, so do not deposit too much at a time. Read more at UiB and Me (uib.no/studentinfo).

Students from Outside EU/EEA/EFTA All international students from outside EU/EEA/EFTA countries must have a valid residence permit and have applied for a residence card. It will take up to 10 working days until you receive the residence card by post. To get your residence card you must book an appointment with the Police online at selfservice.udi.no. If you did not apply before your arrival to Norway, please remember to complete the UDI application form online at selfservice.udi.no before you book the appointment. See ‘Checklist’ for documentation requirements (Chapter 1). The fee is NOK 2,500, and must be paid when you apply online. For more information, see also the information sheet “Residence card” in your welcome envelope.

Part-time Work Permit You are automatically granted a part-time work permit along with your first time residence permit. The permit allows you to work up to 20 hours per week during the semester and full time during semester



breaks. You do not have to pay a separate fee for a work permit, nor do you need an employment contract. When you renew your residence permit, you must also apply for a renewal of your work permit if applicable. Read more about part-time job searching at sib.no/en/karriere. 2. Application for a Norwegian ID number Where: ‘Skatteetaten’/The National Registry Address: Nonnesetergaten 4 (City Map Ref. E4)
It is compulsory for all students staying for more than six months to notify the National Registry about moving to Norway from abroad. You are also required to notify the National Registry again when you leave Norway.

Norwegian ID number When your notification has been registered by the National Registry, you will receive a letter with your Norwegian ID number. The eleven digit number is composed of your date of birth (ddmmyy), a three digit individual number, and two check digits. The last five digits are collectively known as a ‘personnummer’. Please note: It usually takes up to four to six weeks to obtain a Norwegian ID number. The forms for these purposes are found in your welcome envelope if you are staying for longer than six months. See checklist, Chapter 1. When you have received the letter with your Norwegian ID number, please notify UiB of the new number as soon as possible to have it registered. More information about the procedure for notifying UiB can be found online at UiB and Me.


3. TB Testing/Chest X-ray Students from certain countries (see list in Chapter 1) must be tested for tuberculosis by getting a chest X-ray at Betanien Hospital. All students who need a chest X-ray must sign up for an appointment online at UiB and Me. You will then receive a confirmation e-mail. Remember to print the confirmation and bring it with you to your TB-appointment. No fee will be charged when you attend your UiB scheduled appointment. Please note that TB testing is compulsory and is your responsibility as a student in Norway in order to validate your residence permit. If you do not attend your UiB scheduled appointment, you will have to make your own appointment and pay the required consultation fee by contacting the Office of Infection Control (Smittevernkontoret) directly at phone no. 55 56 58 80.

9. W E L FA R E The Student Welfare Organisation (SiB) As a student at UiB you automatically become a member of the Student Welfare Organisation when you pay the obligatory semester fee, which is also required in order to register for exams. Erasmus, Nordplus and bilateral exchange students, are automatically members through their exchange agreement and do not have to pay the fee. SiB’s main task is to contribute to your well-being as a student in Bergen.

SiB Housing SiB have rooms for singles, couples and families with children. At the SiB you will find your home away from home!

SiB Sports SiB run six great sports centres that offers strength, cycle and fitness classes, squash courts, climbing walls and more! The Student Centre also has a swimming pool and for NOK 990 per semester, students have unlimited access to the sports facilities, including the swimming pool. (Note that there is an extra charge for the use of the squash courts and climbing walls). 36

SiB Cafés We have 16 cafés and coffee bars located all over campus. Our cafés offers a variety of food at an affordable cost.

SiB Child Care Safe children equals good students. We run seven great childcare centres all with long-standing pedagogical traditions for approximately 400 children (ages 0 to 6). Prices vary according to the parents’ income.

SiB Health and Counselling Student medical centre: Legene på Høyden The Student Medical Centre Legene på Høyden offers GP and emergency treatment to students who do not have their own family doctor in Bergen. The medical centre is located at Vektertorget in the city centre of Bergen (Campus Map Index No. 35). If you become ill outside the regular office hours, please go to the Accident and Emergency Clinic (Legevakten) located at Vestre Strømkaien 19, close to the main bus station (see Chapter 14).



The National Health Insurance Scheme covers the cost of regular medical consultations, with the exception of a nominal fee which must be paid by the patient. The scheme also covers hospitalisation in Norway. Medicines, dental care and spectacles are not covered by the scheme.

Students from EU/EEA/EFTA Countries Norway is a member of the European Economic Area (EEA). It is important that EEA/EU students and Swiss citizens bring a European Health Insurance Card, valid for the whole study period in Norway. Students must contact the health insurance authorities in their home country before departure in order to receive the insurance card. If the card is not available, you must present alternative documentation to prove that you have adequate medical insurance in your home country. If you are staying in Norway for more than one year, you may need the medical insurance certificate E-106/E-109. Contact your local health insurance office for more information.

Students from NON-EU/EEA/EFTA Countries International students from non-EEA/EU countries who plan to study for a period of 3–12 months may apply for voluntary

membership in the National Health Insurance Scheme. Students staying for more than 12 months are automatically members. The membership entitles you to get health services on an equal basis with other Norwegian residents. The application form is found at nav.no. Membership is of no cost for students, unless you earn more than NOK 29,600 during a year. A valid residence permit for the period in question is required.

The Regular General Practitioner (GP) Scheme If you are staying in Norway for more than 6 months, you must apply for a Norwegian ID number at the National Registry (‘Folkeregisteret’) office in Bergen. When you are issued this number you should log onto https://tjenester.nav.no/minfastlege (the Norwegian Labour and Welfare Administration or NAV) in order to find an available GP. You must contact the doctor in advance to make an appointment for a consultation. If you need help or have any questions regarding the GP, please come and see the Student Counselling Service office, at the Student Centre. Please see sib.no for more information.


Refund of Your Health Expenses

The Student Health Care Centre

You will get part of your health expenses refunded from SiB Health Fund for expenses for your doctor, physiotherapy, dental damage or transportation. You must pay the full fee at the doctor’s office and apply for reimbursement at the end of each semester. Fill in the application form at sib.no

SiB has established a Student Health Care Centre. All services are free of charge. The Health Care Centre offers: • Information about and testing for sexually transmitted diseases • Advice regarding contraception • Prescription of contraceptives • Counselling regarding pregnancy and abortion • Free condoms

Please note that we only cover expenses related to treatment in Norway. SiB Mental Health Care Centre (SPH) SiB’s psychologists at the Mental Health Care Centre (SPH) offer free counselling and therapy. Clinical psychologists, in cooperation with psychiatrists if necessary, provide the SPH counselling service. When you get in touch with the SPH, an initial session is set up within 2–4 weeks. The service is free of charge, and students who contact SPH are protected by the psychologists’ oath of confidentiality. When you contact the psychologists you may call in advance or appear in person. The University of Bergen Library (UB) has a comprehensive collection of more than 1.8 million volumes of books and periodicals as well as newspapers, photographs, maps and other documents. The library subscribes to numerous information databases and nearly 19,000 full-text online journals. Most documents, both printed and digital, can be found via our online catalogue (BIBSYS) or the online library portal (Bibliotekportalen). Each faculty has a list of examination dates and the address of the venue for written examinations. The lists also state the duration of each examination and give a short presentation of the various venues.

Use of Sources in Written Work When you take facts, thinking, ideas, opinions and short or long quotes from one or more sources and use them in your own work, it must be clearly stated which sources you have used. It is your duty as a student to learn the rules that apply to how you should refer to sources of different kinds in written work. This duty is not limited to learning how to include references; it also includes following the rules and referring to sources in a proper and honest manner. Strict procedures are followed when students are caught cheating or if other examination rules are broken.

Home University Examinations at UiB Under strictly regulated conditions, the University of Bergen can arrange written examinations on behalf of your home university. One of these conditions is that all examinations must start at 09:00 local time on weekdays. Please note that this concerns only students with a valid admission and semester registration at UiB. UiB has chosen the Eurasian eagle owl for its logo. The owl is traditionally regarded a symbol for knowledge and wisdom, and thus chimes in well with the stated goals of a higher research institution. The University Museum of Bergen used the eagle owl as a symbol as early as the 1830s. UiB adopted this logo when the university officially opened in 1948.
