Open access policies
What is open access? Unrestricted, immediate online access to research publications, together with rights to use those publications, as long as appropriate credit is given to the authors
i.e. a user must be able, free of publisher-imposed charge to: ďƒźsearch for, discover and read publications in an electronic format
ďƒźre-use their content, subject to proper attribution
Self-archiving and Pay to publish Self-archiving * • deposit in a repository for free • sometimes with a temporary embargo on access • no Article Processing Charge (APC)
Pay to publish ** • free immediate access to the published version on the journal’s website
• usually involves the payment to the publisher of an APC • deposit in a repository permitted *

University of Exeter Open Access Research and Research Data Management Policy • The University’s preferred route to OA is self-archiving via the institutional repository, ORE • The policy applies to all research conducted at the University, regardless of funding source • Affirms necessity of compliance with HEFCE and funder policies
• Authors of other publication types, e.g. monographs, ‘are encouraged to pursue open access where possible’
HEFCE Policy for open access in Research Excellence Framework 2021 Eligibility for submission to the next Research Excellence Framework (REF) requires that: - journal articles and conference proceedings with an ISSN - accepted for publication after 1 April 2016 - must be deposited in an institutional or subject repository
Which version of a publication to deposit? Accepted manuscript – also known as the author manuscript, author’s accepted manuscript, final author version, or post-print – content is identical to the published version
– includes all modifications from the peer review process – without the publisher’s layout and formatting (for which the publisher retains copyright)

Where to deposit?
In Open Research Exeter (ORE) The institutional repository of the University of Exeter
How to deposit? Use Symplectic • Check whether a record of the publication is already in Symplectic • If not, create a manual record (a few mandatory fields) • From here, deposit the full-text file into ORE: upload the file and tick the box to agree to the deposit licence • Multiple Symplectic records for a publication? – join them first, then upload to ORE – if they can’t be joined: hide all but one (from which to upload to ORE)
• Library staff check and approve deposits
When to deposit? • As soon as possible after acceptance for publication • No later than three months after this date (as given in the acceptance letter or email to the author)
• HEFCE permits embargo periods: – 12 months for REF main panels A and B (~ STEM disciplines) – 24 months for REF main panels C and D (~ HASS disciplines) – if required by publisher policy, embargoes are applied by the library during approval into ORE
Publisher policies • Many journals permit deposit of accepted version to ORE • The publisher may require that an embargo is applied
