About UPIKE Located in the heart of the Central Appalachian Mountains, Pikeville is a small urban oasis in a landscape that is as breathtaking as it is rural. UPIKE boasts academic and co-curricular opportunities that take full advantage of its idyllic location. Our undergraduate programs are designed to help students understand their calling in life, pursue it with passion and leave with the skills to live well in their chosen profession.

Dear Parents & Families, Want to hear some good news? You don’t have to navigate your student’s first year of college by yourself! I’ll be sharing information to guide you along the way. From sending care packages, to addressing homesickness, to learning the UPIKE lingo, I’ll be your go-to person.

It’s essential for you to be aware of the academic challenges of pursuing higher education and what it takes for students to be successful in college. We understand the transition to college impacts students and their families. UPIKE has established a family program to advise you of the processes in place on campus and provide you with invaluable resources you may lean on during your student’s collegiate experience. I have been affiliated with the university for more than two decades as a student, employee and alumna. During my time on campus, I’ve developed widespread knowledge of the institution, cultivated relationships with faculty and staff across campus and learned about a variety of aspects of higher education. Knowing some of the major differences between high school and college can help you and your student prepare for the transition to campus life.

Partnering With Families UPIKE and families share a common goal in promoting the growth and success of UPIKE students. During this time of transition, you may have questions about the roles that families and universities should play in the lives of students. While each student and each situation is different, the following guidelines may provide some insight to make the most of the college experience.

We strive to support our students and provide them with the resources they need to succeed in all aspects of their lives. UPIKE Family Connections disseminates information and assists with the sometimes challenging role of supporting college students.

At the University of Pikeville, we expect our students to take responsibility for their actions, to put forth their best effort in academic pursuits and to take advantage of the opportunities and resources available to them. We ask our students to be responsible members of the UPIKE community.

THE ROLE OF THE FAMILY Families of today’s college students often underestimate their influence. In order to support your student and encourage collegiate success, the following advice may be helpful: • Maintain a dialogue with your student. Discuss classes, friends, organizations, alcohol and drug use, communication, values and expectations. Be interested, but not intrusive, in their activities. Be open, honest and supportive. • Coach them through difficult situations and decisions, but let your student make decisions and take responsibility for them. Avoid becoming the principal problem-solver in your student’s life. Offer help and encouragement, but remember to say, “And what are you going to do about that?” • Serve as a referral service for your student. Take the information from Family Connections and share it with your student. Encourage them to use the campus resources that are available. • Be patient and realize that your student and your family are going through a transition that can be challenging. • Reassure your student that being homesick and academically overwhelmed are common experiences among college students. Encourage them to seek help from friends and university resources. • Let your student know you are proud and that you are there to support them through triumphs and mistakes. • Encourage your student to connect with faculty and staff who are available to help them throughout their college career. • Don’t be surprised if your student tells you that “UPIKE feels like a family.” Our students and alumni often make lasting connections with faculty and staff. • Learn about common stressors for college students, especially first-year students. UPIKE Family Connections will share information via social media and email to support families throughout their student’s first year on campus. HIGH SCHOOL

COLLEGE Unstructured. Students are personally responsible for getting up, going to class and managing priorities. Students take ownership of time management.

Structured. Typically a daily routine that is stable and predictable. Student schedule is dictated by others.

TIME/SCHEDULE

Significant contact since most classes meet five days a week. Frequent homework reminders.

TEACHER/ STUDENT RELATIONSHIP

Most classes meet one, two, or three days a week. Students are expected to contact faculty during office hours and are responsible for deadlines listed on course syllabus.

PARENT/FAMILY INVOLVEMENT

Students must grant proxy access to academic and financial information. (This does not include grades or attendance.) Professors and advisors cannot talk with family members about student progress or concerns without the student’s consent.

Parents and guardians have access to monitor grades, assignments and attendance. Parents contact teachers or counselors directly with concerns. Communication is open and information is shared freely.

Guidance counselors plot out the fouryear curriculum with the student and parents may also be involved.

Student freedom is usually dictated by scheduled activities and parental guidelines. Students may be able to earn good grades with minimal effort. The classwork is evenly distributed throughout the semester. Students are given detailed instructions and support for major papers and projects. Time is often dedicated to completing tasks inclass and teacher is available to answer questions.

Parents frequently intercede in problematic situations.

Students are usually told what to do and corrected if behaviors are out of line.

COUNSELING/ ADVISING

Students make appointments with academic advisors every semester and should be prepared prior to meeting with the advisor. Depending on declared major, some courses are self-selected based on interests.

FREEDOM

Students make their own choices about how to use their time.

ACADEMICS

Students may find college is more rigorous and expectations are higher. Minimal effort may produce poor grades. Course work tends to be heavier during the second half of the semester. Students must ask for assistance and clarification if they don’t understand major assignments.

ADVOCACY

Students must learn to advocate for themselves by asking for help when needed and taking advantage of UPIKE support services and resources.

RESPONSIBILITY

Students will face moral and ethical decisions they may have never faced before. Students are expected to take responsibility for what they do and don’t do, as well as for the consequences of their choices.


Our Goal:

STUDENT SUCCESS First-Year Experience

The First-Year Experience is a concentrated effort designed to orient new students to college life, help them integrate into an academic and social network of professors and classmates, and provide them with the knowledge and resources necessary to their success throughout their college career. This experience includes GROWL (Gathering for Registration, Orientation, Welcome and Leadership), First-Year Orientation, Welcome Week and First-Year Seminar, a one-semester course. During GROWL, students meet their advisors, plan their first-semester schedules and complete necessary first steps to becoming a UPIKE Bear. Orientation is held during the week prior to the start of the fall semester and begins when first-year students move into their residence halls. This intensive five-day program includes sessions and activities that allow students the opportunity to learn more about what their college experience will entail. Some key events include interacting with classmates and instructors for First-Year Seminar, a first-year welcome ritual called “The Climb,� a day of service and a non-denominational worship service. Events are held each evening during Welcome Week to preview the types of events held throughout the year and allow students to meet new people on campus. The highlight of the week is the Street Fair, which features local businesses and organizations on campus. The First-Year Seminar course is required for all first-year students. Students develop successful study and learning skills specific to college coursework, work on time management skills, learn about various resources on campus and learn about the value of a UPIKE degree.

disability resources UPIKE is committed to providing equal educational opportunities and full participation for persons with disabilities. The Disability Resource Center staff promotes an atmosphere in which all students are afforded equal access and the opportunity to be involved in every activity available at UPIKE. The staff also serves as a liaison for students with the faculty, staff and administration. Our aim is to provide services to students, faculty and staff who encourage UPIKE students with disabilities to become self-sufficient in managing their accommodations.


academic assistance The University of Pikeville is committed to the success of every student and provides academic assistance to everyone enrolled in coursework at the university. The Academic Assistance Center offers academic tutoring, primarily in mathematics, the sciences and writing, and is staffed with current students who have excelled academically. There is no fee for university students who take advantage of this service. The Academic Assistance Center is located on the ground floor of the Allara Library, Room 010, and operates on a drop-in or scheduled basis. The location of the center in the library allows easy access to the extensive support services of the library, as well as individual, personalized assistance. The center is open Monday through Thursday. The schedule each semester is determined by the course schedules of the peer tutors and is posted on campus bulletin boards and in the Center for Student Success. Students can also access this information through faculty and athletic coaches.

ACE PROGRAM ACE is a support program designed to provide academic services, academic counseling and other support to qualified UPIKE students. A federally funded TRiO program, the program’s goal is to improve academic performance and increase retention and graduation rates by motivating students to successfully complete their chosen field of study. The comprehensive services ACE provides on an individual basis promote success on a number of levels for participants. To qualify for the program, participants must meet eligibility requirements, which include income guidelines, firstgeneration status and/or a disability.

Center for Student Success The primary function of the Center for Student Success (CSS) is to provide academic advising to all first-year students. The Student Success team is here to help students, whether it’s navigating the transition from high school to college, learning to live on your own, developing good study habits or managing your time efficiently. On select Wednesday nights, the CSS collaborates with Student Activities to provide comfort food to students in an informal, encouraging environment known as What’s Up Wednesday (WuW). This event helps students feel at ease so they can interact with peers they may not normally have the opportunity to connect with and to discuss problems frequently encountered by college students. The Student Success Learning Lab is a multi-purpose, quiet study space with computers, collaboration spaces and a lounge area located on the second floor of the Administration building. In this space, the CSS hosts a series of workshops called Motivational Mondays, which focus on topics to help students build skills to be successful and learn about opportunities on campus.


Finding Balance The Student Services team strives to make UPIKE a student’s home-away-from-home. While UPIKE students spend a number of hours engaged in academic pursuits each week, they also lead active social lives and take advantage of the services offered by the following offices and organizations. Getting involved in campus activities is a great way to build skills, add experience to a resume, get to know fellow students, faculty and staff and have fun!

athletics Whether students are a varsity student-athlete or just playing for bragging rights in intramural sports, UPIKE offers the chance to compete, be healthy and have fun!

student government association Students have the ability to take a leadership role by joining and participating in SGA events. Each class has three officers who are overseen by the SGA Student Body Executive Board. Freshmen nominations and elections will take place soon after Welcome Week, which is the first full week of classes.

clubs and organizations UPIKE offers a variety of clubs and organizations to provide opportunities for students to become engaged with campus and community.

campus activities Students are encouraged to become actively engaged on campus and in the community by fostering an environment that empowers students to participate in an array of activities and leadership opportunities.

residence life Living on campus provides opportunities for personal growth and development. Residence Life staff work to create an environment encouraging academic excellence, social competence, independence and a sense of community life. Professional staff, known as Area Coordinators, and student staff, known as Resident Assistants, provide programming, guidance and support for residents. The university has a small number of professional and student staff on call 24 hours a day, seven days a week to provide after-hours support for both minor and major student concerns.


When should families contact someone on campus? If there is an emergency involving your student, call Public Safety at (606) 477-0262. If you notice a change in your student’s typical behavior, call Family Connections at (606) 218-5815 or THRIVE Counseling at (606) 218-4357.

SPIRITUAL LIFE SERVING OTHERS The Office of Spiritual Life provides individual spiritual guidance, plans worship services and helps implement Christian mission in classes. Worship opportunities are available on campus. Maintaining its commitment to Christian principles, the university recognizes the infinite worth of each person, respecting and accepting a variety of spiritual expressions. Campus spiritual life activities include convocation series, special services, Bible studies, discussion groups, service learning trips and community service projects. Religious groups such as Athletes in Action, Blessed Union of God (B.U.G.), Church of Jesus Christ of Latter Day Saints and the Roman Catholic Church meet under the sponsorship of Student Services and the Campus Chaplain. A contemporary Thursday night worship service, Transformation, meets weekly in the chapel.

If your student will be off campus for several days for an illness or death in the family, call the Center for Student Success at (606) 218-5966. If there is a drastic change in your family’s financial situation, call Student Financial Services at (606) 218-5253. If there is a change in your student’s communication with you and they are not answering phone calls or messages, call Family Connections at (606) 218-5815 or Public Safety at (606) 477-0262. Campus Resources public safety

health services

Safety and security at UPIKE are a top priority. Public Safety serves the campus community 24 hours a day, seven days a week. In addition to security, policy enforcement and investigation, Public Safety Officers are involved in proactive efforts including crisis planning and ongoing safety training. Any student who would like to have a security escort across campus at any time can contact a Public Safety Officer.

A registered nurse is on duty during working hours for the regular academic semesters. The nurse is available in The Coal Building, Room 515, for consultation, treatment and referral. Students are not required to receive treatment from the university nurse; they are free to seek aid elsewhere at their own expense. Parents or guardians are notified in the event of a major illness or injury. Vaccines are available and are typically considered preventive care and covered by the student’s private medical insurance.

bear alert Students and families are encouraged to sign up for Bear Alert, UPIKE’s emergency notification system, which is capable of sending weather alerts and public safety messages via text, voice and email messages. By utilizing the app, you can directly contact Public Safety via cell phone or report an incident. To sign up, visit www.upike.edu/Student-Services/ publicsafety/bear-alert.

parking Resident student parking is available “on campus” with a valid and correctly displayed parking permit. Complete parking regulations are available on the Public Safety webpage. Commuter student and guest parking is available in the parking garage free of charge.

vehicle registration Parking permits are available in the Public Safety office located in the basement of Condit Hall. Students need to know their UPIKE Studend I.D. number, license plate number and make, model, color and year of vehicle to complete a UPIKE vehicle registration form.

counseling services UPIKE THRIVE Counseling Center provides short-term mental health services including personal counseling, group counseling, consultation and referrals. Services are free and confidential for all currently enrolled UPIKE students.

inclement weather The authority to close the institution or implement the Snow Plan schedule resides with the President or designee. There are instances when the university must cancel or delay classes because of weather-related emergencies. In preparing for such eventualities, the university has three statuses; open (business as usual), closed (classes cancelled and most offices closed) and snow plan (120-minute delayed start). With regard to weather-related emergencies, all faculty, staff and students are expected to use their best judgment when traveling to campus. Sending Mail to Students Families are welcome to send cards, letters and packages to their student on campus. If there are questions about mail, encourage your student to speak to a staff member in the UPIKE Mailroom on the ground floor of Wickham Hall near the Student Lounge. Letters/Cards/Packages send to: Student Name University of Pikeville 147 Sycamore Street Pikeville, KY 41501 The mailroom will email students to let them know they have a package available for pickup. Packages shipped to a student that require a signature will not be delivered to campus. Students must pick up the package at the U.S. Post Office located at Pikeville Commons, 281 Thompson Road, Pikeville, KY 41501 (five miles from campus). Shipping Services are provided by the U.S. Postal Service (flat rate only). Students can use these services with cash or check. Receiving Services All resident students may request a personal campus mailbox to receive both on-campus and off-campus mail. There is no charge for the mailbox. Students can request a mailbox in the UPIKE Mailroom, where they can receive packages of all sizes. The mailroom is open Monday-Friday from 12:30-3 p.m. and closed on Saturday and Sunday.

It won’t be long before your student starts to throw around campus lingo you may have never heard before. Here are a few terms to introduce you to your student’s new language. A complete list can be found on the Family Connections webpage. Canvas - A learning management system (LMS) that connects instructors and students in and out of the classroom and can be used to share documents, submit assignments and assign grades. Bear Bucks - Money placed on a UPIKE student I.D. card that can be used to make purchases in the campus food court and the City View Café. Syllabus - Document describing the objectives, outcomes, assessment activities and structure of a course that is made available to students during the first week of classes. UPIKE Student I.D. - Student’s official university identification card.

CAMPUS VISITS Families are always welcome on our campus. Come for lunch, see the Bears in action on the court or field and enjoy a theatre performance or any of the many academic events hosted on campus each semester. Taking Care of Business Student Financial Services

By interacting with the Office of Student Financial Services, current and prospective students and their families can discover how federal, state, private and institutional aid can combine to make UPIKE an affordable option. This office also facilitates the federal work-study program, as well as the management of Veteran’s Affairs education benefits.

If your student participates in the work-study program, they will need to complete all necessary paperwork and online applications with the Office of Student Financial Services and Human Resources prior to job placement and a paycheck being prepared.

Families often take on the responsibility of completing financial aid forms and paying student balances. We encourage UPIKE students to take an active role in understanding the process of financing their education. By making this a family process, students will be educated about their potential student loan debt and will become a credit-conscious consumer. Student involvement is vital as communication in regards to financial aid and billing will be sent directly in the student’s name since it is their responsibility.

billing information One paper bill will be sent to the address on the student account prior to the start of each semester. After that, information will only be available on your student’s WebAdvisor/Self-Service account. Student accounts are updated on WebAdvisor daily and list all account charges including tuition, room and board, bookstore charges and all aid and payments, including federal and state aid, institutional aid and loans. Financial arrangements for student accounts must be resolved by the beginning of each semester. Students will not be permitted to move into the residence halls until they are registered for classes. The balance must be paid in full before the student will be permitted to register for the next semester. If the student has a balance, payments can be made in thirds (February 1, March 1 and April 1 in spring and September 1, October 1 and November 1 in fall).

bank/ATM Several banks and ATM machines are located in downtown Pikeville and are within walking distance of campus. A Community Trust Bank ATM machine is located on campus in the Coal Building, fifth floor, near the City View Café.

paychecks If a student works on campus, they will be paid on a bi-weekly basis. Paychecks are available for pick up in the Business Office on Friday mornings of the pay week. Pay schedules are available in the Business Office and may vary during holidays/breaks. Direct deposit is available by providing student banking information to Human Resources.

Payment Methods In-person: The Business Office is located on the ground floor of the Administration Building. Cash, checks, money orders and credit/debit cards are accepted. Online: Credit card payments (Visa, MasterCard, Discover, AmEx) -- a processing fee will apply. Payments from checking or savings accounts (no fee will apply). Phone: (606) 218-5200 To receive balance or account activity information on behalf of a student, the student must give you permission by completing a Student Consent for Release of Records form in the Registrar’s Office.

bookstore The UPIKE Bookstore, operated by Barnes & Noble, carries all the textbooks and course materials required for your student’s classes. The bookstore also carries school supplies, dorm accessories, electronics, gifts and UPIKE apparel.


bear bucks To add Bear Bucks to your UPIKE student I.D., contact the Business Office. Bear Bucks can be used as a declining balance card for purchases in the food court at Chick-fil-A, Einstein Bros. Bagels, P.O.D. Market and the City View Café. Bear Bucks will carry over from fall to spring semesters, but will be eliminated at the end of the spring semester. It is much cheaper for a student to use their Bear Bucks at the dining options than to pay cash.

meal plans The “meals” on any meal plan are City View Café visits. Each time the card is swiped, a meal is deducted from the total available. The City View Café, the main dining hall for campus, is located on the fifth floor of the Coal Building. This facility is designed to accommodate students, UPIKE employees and visitors with a salad bar, home food station, sandwiches, pizzas, desserts and other options available for an all-you-can-eat experience. For residential meal plans, the student has unlimited use to this location. For the commuter meal plan, one visit equates to one meal. Other dining options are located on the sixth floor of the Health Professions Education Building. The food court houses Chick-fil-A, Einstein Brothers Bagels and the P.O.D. Market.

FERPA The University of Pikeville’s policy with respect to its student educational records adheres to the requirements and regulations of the Family Educational Rights and Privacy Act (FERPA). FERPA is a federal law that protects the privacy of student education records. FERPA places limitations on the disclosure of personally identifiable information maintained by University of Pikeville with respect to students and limits access to educational records. Students may give consent to release some information protected by FERPA to a specified individual. Release forms are available in the Registrar’s Office.

Tips for keeping student accounts current Students should check their UPIKE email frequently. All offices and departments communicate with students and their families this way. Information sent is important and may require action. Encourage your student to contact UPIKE Information Technology to assist in setting up UPIKE email on their phone. Students should not wait until the last minute to review their account, to pay, or make payment arrangements. Encourage your student to log into their account on WebAdvisor/Self-Service at least once per week to determine if the account is current, especially if changes have been made to courses, housing, etc. Additional fees can be added after the initial billing if any changes have been made. Also, check to see if any “holds” are on the account. A “hold” will prevent students from registering for classes, receiving a transcript, or signing up for housing. Make sure your student has filed a FAFSA as soon as available and that it has been received by the Student Financial Services Office. If you are selected for verification, the Student Financial Services Office will request additional information or documentation. This information is displayed on WebAdvisor/Self-Service under Financial Aid if you have documents pending. Please provide documents as soon as possible. Students’ financial aid cannot be disbursed until all information and signatures have been received. Your student may check their WebAdvisor/SelfService to see what, if anything, is needed. If your student is not planning to return as a UPIKE student, make certain they withdraw fully from their courses in the appropriate office and pays any outstanding balances.


Becoming A Lifelong Learner allara library » Students are introduced to the personal librarian program during their first semester on campus. During their initial appointment, students learn basic library information and important tasks, such as how to access library resources and how to get help. The personal librarian is available as a resource throughout the students’ time as an undergraduate. » Librarians and staff are available to answer questions and assist with research. » Whether students need a quiet place to study or meet classmates to tackle a group project, the library has spaces available. Desktop and laptop computers and free printing are also available. » The library maintains a collection of approximately 70,000 books and 100 journals in print. Electronic resources are accessible to students from anywhere on and off-campus and include more than 200,000 eBooks and 30,000 journals, streaming films and music.

study abroad

The Experiential Learning program at UPIKE provides support to encourage student engagement and learning with short- and long-term international study. UPIKE students have studied around the globe, including Belize, Japan, Ireland, Scotland, Haiti, China, Costa Rica, Italy and Germany.

career and professional development

UPIKE assists students in advancing their career development by connecting the campus experience of classes, coursework, internships, self-exploration, co-curricular work and volunteer activities to create a meaningful life and career satisfaction. Research shows students who connect with career development every semester of their college career, beginning in their first year, are more likely to graduate with multiple job offers and for larger salaries.

honors program

The honors program at the University of Pikeville promotes a culture of learning while providing its participants a variety of co-curricular activities meant to engage bright, promising students. Students admitted to the honors program will progress through their regular curriculum while participating in four of five honors focus areas: experiential learning, leadership, social justice, critical thinking and creativity. Upon successful completion of the program, students will be recognized at graduation with honors medals. UPIKE honors students are provided networking opportunities, leadership opportunities, social events and specialized advising. They are also invited to apply for competitive honors scholarships and live in an honors living-learning community on campus.


Your UPIKE Checklist ATTEND.

Accept our invitations to visit campus for events such as Homecoming/Family Weekend, UPIKE Family Road Shows, concerts, theatre productions, lectures and athletic events. You’ll build relationships with your student’s friends, as well as UPIKE faculty and staff. More importantly, you’ll be spending quality time with your student and will be an active participant in their college experience.

Increase your UPIKE knowledge by reading materials from Family Connections and following official UPIKE Family Connections on social media.

ASK.

Whether it is you or your student needing help, UPIKE has resources available to tackle the problem. You’ll learn more about many of these resources in this guide and in emails from Family Connections throughout the school year.
