As we look ahead to the next year, I challenge each of you to set meaningful and substantive goals for yourself and your team. Goals should align to the department and University mission as well as allow the employee to reach some personal goals. An example of a goal for employees in human resources includes each manager offering a training session quarterly related to their area. For example, if you are responsible for Benefits, you will offer one session each quarter to employees that will explain or inform information related to Benefits. The timeframe would be quarterly, and the measurement/evaluation would be, did the manager offer the training quarterly as stated Chandra Alston, EdD in the goal. A personal goal could be to attain a certification or other development certificate related to an area that will benefit the department and the employee. For human resources, this could be the SHRM-CP or PHR or any of several certifications in the profession. If budgetarily possible, offer to pay for the preparation toward the certification (books, classes, etc.). While UTHSC does not routinely pay for certification examinations, offer employees paid time away to sit for the exam since it is related to the work they are performing and is a part of their goals. Use goals to motivate and challenge employees and to assess progress for you and your team. As you check off the accomplishments, don’t forget to celebrate how far you’ve come!

THE HR REPORTER Q: What are the requirements to receive compensation for the Holidays? A: According to policy HR0350: Employees who work or who are in active pay status all available workdays in their scheduled work week receive compensation for all holidays in the work week. Active status also means use of annual or sick leave. Please refer to the UT Systems Policies for additional information on this and other policies.

RETIREE EMAILS UPDATE!

In the previous HR Reporter, the date listed for the discontinuation of retiree emails was November 30, 2019. The date has been extended to December 31, 2019. The extension will allow additional time for retirees to plan for the transition and create options to continue to receive the Daily Digest and Condolences list.

2020 INSURANCE ENROLLMENTS If you made changes or enrolled in benefits during the Open Enrollment Period in October 2019, you should take a close look at your pay statements in the new year! Reviewing your pay statements will ensure you are enrolled in the plans you selected and that the premiums are correct! If you see any discrepancies or missing enrollments, please contact the Benefits Office as soon as possible. All new Voluntary Term Life insurance premiums may not appear until March 2020.

2020 DEFERRED COMPENSATION LIMITS The deferred compensation limits were recently announced by the IRS. If you wish to increase or contribute the maximum amount in your 401k, 457 or 403b for 2020 the annual limits are:

UNDER AGE 50: $19,500 AGE 50 OR OLDER: $26,000 Contributing to both the 401k and 403 are considered one limit! Employees can make changes to these accounts anytime throughout the year. It is advisable to seek professional advice from a Certified Financial Planner (CFP) prior to selecting funds and contribution amounts. Allan Landstreet is the CFP for Empower Retirement. He is available to assist with your selections or you can log onto your account at Retirereadytn to enroll or update your 401k or 457. To change or enroll in the 403b you must complete the 403b enrollment/change form and forward to HR-Benefits office. New enrollments are also required to contact the company of your choice to open your online account. Please visit the Tax Deferred Annuities webpage for additional information and a listing of the 403b companies.

FAMILY AND MEDICAL LEAVE

Did you know Family and Medical Leave (FML) is job-protected leave available to eligible employees for the care of yourself or a family member? FML provides up to 12-workweeks (480 hours/60 days) of paid or unpaid leave during a 12-month period for a qualifying event.

ELIGIBILITY FOR FML

QUALIFYING FML EVENTS

• Employed by UTHSC for at least 12-months

• Serious personal health condition as certified by a health care provider

• Worked 1,250 hours in the 12-months immediately preceding the commencement of the leave

• Placement with the employee of a child for adoption or foster care

• Birth of a child and time to bond with the newborn child • Care for a child during first year following birth, adoption or foster care placement • Care for an immediate family member (spouse, child, or parent) who has a serious health condition as certified by a health care provider • To handle qualifying exigencies caused by a family member’s military service.

TO FILE FOR FML: STEP 1: Contact your direct supervisor to report your absence. STEP 2: Contact Employee Relations Specialist in Human Resources. STEP 3: Employee Relations Specialist will provide you with documentation; complete and return within 15 calendar days.

PERFORMANCE REVIEW CYCLE It’s that time of year again! The 2019 performance review cycle for the University of Tennessee Health Science Center employees will close on Wednesday, March 31, 2020. Performance evaluations are required for all regular staff exempt and non-exempt employees that have completed probation prior to December 31, 2019. Performance evaluations/reviews are designed to ensure employees receive a fair assessment of their job performance (outcomes and behavior). During the annual performance review, the supervisor and employee should discuss the employee’s performance during the previous calendar year, job duties, performance expectations, any specific objectives to be achieved and professional development goals for the employee. Gabrielle Marshall and Cierra Richmond will now act as Recruiting Assistants within Employment and will be aligned with departments to support and facilitate HR functions. In continual efforts to bring awareness to UTHSC staff positions and secure the best talent, HR attended multiple career fairs this quarter. We spoke with many qualified candidates at the Memphis Chamber of Commerce career fair where there were over 2,000 attendees and we also were represented at Rhodes College and Lemoyne Owen College.
