UWCSEA Nominee Programme (UNP) Administration guide

This guide has been prepared to assist corporations manage the UNP process. It contains:

• how to subscribe and register a potential Nominee for admission

• how to pay the subscription

• glossary of UNP terms

• age-grade placement chart for admissions

• UNP Admissions process flowchart

• UNP contacts

1. To subscribe:

a. complete and submit the UNP Subscription Agreement Application form

b. complete and submit a UNP Nominee Registration form for each UNP Place being requested

c. the College will review all UNP Subscription Applications within 48 hours

d. once approved, pay the S$10,000 Subscription Deposit per UNP Place on receipt of invoice

e. the College will confirm receipt of the Subscription Deposit to the Corporate Subscriber

2. Once the UNP Subscription Deposit has been received by the College, and the UNP Nominee Registration Form has been submitted to the College, the parents of the Nominee should begin the Admissions application process, by completing the online Admissions application form. The application is subject to the same admissions policies and practices as all other applicants to the College and the potential Nominee may be required to attend an interview or participate in an assessment. See Glossary for Admissions documentation required from parents as part of the application. Please note the following:

• student applications to the College on either campus will only be accepted via the UNP or via the normal admissions process, but not both, in any given school year

• the grades offered for entry are K1–Grade 11 on either campus, excluding K2 on Dover Campus

• UNP places are for day student nominees only

• to determine the grade placement of a potential Nominee refer to the ‘Age-Grade Placement Chart ’ in this guide

3. The Admissions Department will review the potential Nominee’s application to ensure they meet the College’s Admissions Policy (including but not limited to entrance criteria applicable at the time of nominating) following payment of the UNP Subscription Deposit and the submission of a fully completed Admission application, which includes payment of the non-refundable Admission application fee. Potential subscribers are not obligated to commit to a UNP subscription if the potential Nominee does not meet the entry criteria of the College.

How to subscribe to the UNP and register a potential Nominee for admission to UWCSEA

4. If the Nominee meets the entry criteria of the College, we will notify you and UWCSEA’s Finance Department will then issue an invoice for the balance of the UNP subscription.

5. Where the Director of Admissions determines that the entrance criteria will not be met by the potential Nominee, we will notify you that the nomination is unsuccessful.

If the potential Nominee does not meet the entry criteria of the College, the prospective Corporate Subscriber: a. is not obliged to take up the subscription and may request a refund of the UNP Subscription Deposit; or b. may put forward another potential Nominee for pre-screening by the nomination deadline (K1–Grade 8: 1 April 2023; Grades 9-11: 31 January 2023) for admission in August 2023. After the nomination deadlines, Qualified Children will be placed at the top of the application roll for their relevant grade, as enrolment may be full. Offers may be made to Qualified Nominees as and when a place becomes available up to the start of school for all Qualified Nominees. If the Nominee will be entering K1 to Grade 8, placement may be offered up to January 2024. Note that the Admissions Application Fee is nonrefundable and non-transferable.

6. Once the UNP subscription has been paid in full for Qualifying Nominees

a. the UNP Agreement is binding b. a Certificate of Holding is issued c. the Corporation will be advised when an offer of a place has been made to the parents of the Qualifying Child

Withdrawing a Nominee

If a corporation wishes to withdraw a Nominee, a. parents of the Nominee must advise the College in writing of the withdrawal of the Nominee

b. the Corporation then completes the UNP Nominee Withdrawal Form,which also requires the signature of the Nominees parents

For new Nominees, a nomination may not be withdrawn by the Corporate Subscriber after an offer of a place has been made, until the offer has been declined in writing by a parent of the Nominee.

UNP subscription payment

1. For the 2023/2024 school year, a single UNP subscription is S$225,000 (plus GST), for either East or Dover Campus.

2. GST applies to all transactions at the prevailing rate.

3. UWCSEA Finance Department will issue invoices and receipts to the person specified in the corporation’s UNP Agreement Form, unless instructed otherwise.

Payment details

4. Admission Application fees, enrolment fees, first term’s in advance fees (tuition fees, development levy and any other costs in relation to the education of the Nominee) are payable in addition to the cost of a UNP subscription and remain payable by the corporation or employee.

Payments can be made by cheque, bank draft or telegraphic transfer to the bank account of the relevant campus for which the UNP place is being purchased:

Glossary

UWCSEA Nominee Programme (UNP)

Means a programme whereby a Corporation subscribes for one or more UNP Places at UWCSEA ‘the College’ for a period of up to 12 years, from the date of subscription, for a fixed number of Qualified Children (defined below) of the employee of the Corporate Subscriber (defined below).

A Corporation

Means any body corporate formed or incorporated in Singapore and includes companies, limited liability partnerships, and any trusts or partnerships deemed to be a body corporate.

Corporate Subscriber

Means a company which has been accepted by UWCSEA as a UNP Subscriber and that has paid the prescribed subscription fee in full.

Nominee

Means the Qualified Children of the authorised representative of the Corporate Subscriber. Authorised representatives include employees of the Corporate Subscriber.

Qualifying Children

Means the children of an authorised representative of the Corporate Subscriber who have met the College’s entrance criteria.

A UNP Place

A UNP Place is a place made available to a Corporate Subscriber to enable it to put forward a potential Nominee for pre-screening.

Subscription Deposit

S$10,000 (plus GST) deposit per place payable to set up a UNP subscription and proceed with pre-screening of the nominated child(ren).

Application documentation

In addition to payment of the non-refundable Admission Application fee, the following documents will need to be uploaded in order for the online Admission Application to be successfully submitted:

a. copy of birth certificate

b. copy of potential Nominee’s passport

c. copy of documents indicating potential Nominee’s immigration status in Singapore (e.g., copy of Dependent Pass)

d. an official copy of the last two reports (which must include the latest end of year report) and any standardised test results or grades

e. copies of any specialist reports relating to learning abilities, such as an educational psychologist’s report f. a Student Statement, completed and signed by the potential Nominee (this form is available on the College website)

g. passport-style photograph of potential Nominee

* There is no direct entry into Grade 12. This is the second of a two-year examination course.

UNP and admissions process

The following diagram shows the steps that take place in setting up a UNP subscription and nominating an authorised representative’s child. The steps have been colour coded for easy reference. Corporations are required to complete the steps in black with input from their authorised representative. UWCSEA is responsible for completing the steps marked in orange.

1. Read UWCSEA Nominee Programme Terms and Conditions

2. Determine campus and grade of entry

• request school visit for authorised representative’s family to relevant campus(es)

• request date of birth of authorised representative’s child (refer to age boundary guidelines on page 6)

3. To set up a UNP subscription and nominate an authorised representative’s child, complete

• UNP Agreement Form, and

• Nominee Registration Form

• UWCSEA will create an invoice for Subscription Deposit once the UNP Agreement Form and Nominee Registration have been received and approved by the College

• pay Subscription Deposit on receipt of invoice

4. Make an application for admission

• parent of potential Nominee completes online Admission Application including submitting all application documents and payment of the non-refundable Admission Application fee

• UWCSEA confirms when online Admission Application is complete

5. Pre-screening of the potential Nominee’s application by the Admissions Department

This will result in the one of three below outcomes:

6a. If potential Nominee does not meet entry criteria

• UWCSEA will notify the parent of potential Nominee and the corporation in writing of the outcome.

6b. Assessment of potential Nominee

• all Grade 9, 10 and 11 applicants are required to participate in a Virtual Immersion Programme (VIP); some may be asked to complete other assessments.

6c. If potential Nominee meets entry criteria

• Corporation will be invoiced for balance of UNP subscription

7. Withdraw UNP application or nominate another child

Corporations can either withdraw the UNP application or nominate another child for pre-screening.

OR OR

• all K1 and K2 applicants are asked to attend a Meet and Play session if possible; other arrangements will be made if the nominee is not yet in Singapore.

• Admissions Department will contact potential Nominee’s parents to arrange required interviews and/ or assessments and will notify the Corporation

• assessment date will be set in consultation with parent of potential Nominee and corporation

7. Once the UNP subscription is confirmed

• once payment is received, UWCSEA will issue a Certificate of Holding to corporation

• the parent of Qualifying Child and Corporation will be advised when a place becomes available

• the Admissions Department will send the parent of the Qualifying Child a Letter of Offer

• parent of Nominee must return a signed Letter of Acceptance, and pay the Term and Enrolment Fees to the Admissions Department by a specified deadline (generally 14 days) in order to secure the place. Note that these fees are non-refundable if acceptance is later cancelled

• Corporation is advised once Nominee’s place is confirmed. The UNP Subscription will be considered redeemed once it is successfully filled by a Qualifying Child
