VIRGINIA ASSOCIATION FOR HEALTH, PHYSICAL EDUCATION, RECREATION AND DANCE
2011 CONVENTION NOVEMBER 11-13
Hyatt Regency Reston
`
President Charlotte Kelso
November 11, 2011
Dear Friends and Colleagues: On behalf of the Executive Committee and the Board of Directors of the Virginia Association for Health, Physical Education, Recreation, and Dance, I extend greetings and welcome you to Reston, Virginia, and the seventy-fourth annual convention. Our theme for this year, The Best of Times, is very appropriate for where we are now. It is time for our association to grow in membership, provide opportunities for members to serve as leaders, and offer assistance through grants and other educational opportunities. Past President Vicki Miller, Executive Director Henry Castelvecchi, Exhibits Manager Donna Wilbur and the Division Officers have joined with Convention Manager Judy Johnson to provide the largest offering of programs in recent years. With the opportunity to visit exhibitors, attend a variety of presentations and enjoy networking and socializing with colleagues, I’m sure your attendance will be memorable and professionally rewarding. Enjoy the convention and as you return home, I challenge you to recruit at least one new member from your district, consider a leadership position, and apply for a grant. Please share your renewed excitement and enthusiasm for VAHPERD. Sincerely, Charlotte Kelso President

Exceptions to this policy may be made for colleagues in allied fields who would not normally belong to VAHPERD, and who are invited to speak and share specific expertise with VAHPERD members. Written request for an exemption must be submitted with the program proposal (use Exemption Form). Notification of approval of exemption will be sent to the speaker when the program acceptance letter is sent.
2.
No honorarium shall be paid to any VAHPERD member for any presentation.
3.
An honorarium may be recommended by a vice president but must be approved by the Executive Committee.
4.
Association policy forbids smoking during all meetings.
5.
It is assumed that the Association has the opportunity to make the initial request for use of the speaker’s presentation materials for possible publication.
6.
Due to the expense of renting audiovisual equipment and the number of requests received, the Convention Committee cannot satisfy everyone’s AV needs. It is requested, therefore, that you bring any necessary AV equipment. Limited AV equipment may be available for emergency needs.
7. Presenters involved in business ventures are not to overly promote and may not sell products during a presentation. Sales may be made only from the commercial exhibit area.
