Upon providing written notice, an Exhibitor may cancel or downsize from the Exhibit subject to the following conditions and restrictions: A. If a written cancellation or downsize notification is received at VAR or Network Media Partners, Inc on or before October 19, 2012, 100% of the amount of payment received will be refunded and space will be canceled. B. If a written cancellation or downsize notification is received at Network Media Partners, Inc. on October 20, 2012 – May 10, 2013, exhibitor is liable 50% of the total agreement and space will be canceled. C. If a written cancellation or downsize notification is received at Network Media Partners, Inc. after May 10, 2013, no refunds will be issued and exhibitor is liable for 100% of the total agreement price. In the event of cancellation or downsizing, VAR reserves the right to use the cancelled/downsized space, including the sale of space to another Exhibitor without any rebate or allowances to the cancelled/downsized Exhibitor. Terms and Conditions • Exhibits must be manned at all times during exhibit hours as outlined in this contract. Booths will tentatively be 10’ x 10’ (size may be subject to change based on Convention Center placement) and include the following: 8 ft. high pipe and flame resistant fabric backdrops; 3 ft. high pipe and flame resistant fabric siderails; 1 6-foot draped table; 2 chairs; a 1-line booth identification sign showing name of exhibitor. If you have questions, please contact Katie Lindner at klindner@networkmediapartners.com. • The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the Convention Center’s premises, covenants not to sue and agrees to indemnify, defend, and hold harmless the Convention Center, and its parent corporation, as well as their respective trustees, directors, officers, agents, servants, and employees from any and all such losses, damages and claims. • Only products manufactured or distributed by the exhibitor under contract for space may be displayed or used in the exhibit area. • Exhibitors may not sublet or assign any portion of their booth(s) to others. • Advertising or canvassing outside the exhibitors own space is not permitted. • All displays and decorative material must be flameproof. • Display materials may not be screwed or nailed to the floors or walls of the exhibit area. • The Virginia Association of REALTORS® reserves the right to approve the character of any exhibit and to prohibit any display which is the cause of noise or other objectionable features that may distract from the general character of the show. This applies to displays, literature, advertising, novelties, souvenirs, conduct of persons, etc. • E xhibitors shall assume all responsibility for any loss, damage or claims arriving out of injury or damage to exhibitors’ displays, equipment, and other property brought upon the hotel premises and shall indemnify and hold harmless the Virginia Association of REALTORS®, the Convention Center, agents, servants, and employees from any and all liability which may ensue, from whatever cause, loss, damage or claim. • E arly breakdown is strictly prohibited. Program Guide Advertising Electronic File Requirements • A printed proof must accompany all submitted artwork. • Do NOT include printer’s marks (crop marks, registration marks, etc) in the file submission. If you are concerned that we will not know where your ad should be cropped, include crop marks on the printed proof and we will ensure that your ad is placed properly. • Do NOT include a bleed with fractional ads (anything smaller than a full page). • Please supply only PDF print-ready files (see requirements below). We do NOT accept film or any native application file formats (please, NO Quark, MS Word, InDesign, PageMaker, etc). • PDF file requirements: Must be hi-res, print-ready PDF. All images must be 300 dpi or better. All fonts must be embedded. • Color: Color ads must use CMYK color only. RGB color or spot colors (such as Pantone colors) are NOT acceptable.
