With the growing popularity of the Internet of Things — everyday objects that are connected to the internet — smart locks are rapidly joining multifamily communities’ list of amenities. Smart locks can be useful, especially if your property is offering self-led tours to encourage social distancing. Smart locks increase security and convenience in many ways, but are they as smart as they seem? Whether you’ve already implemented electronic locks at your property or plan to in the future, follow the best practices below to get the most out of your investment.

Plan for the Additional Workload Part of the appeal of keyless entry systems is the ability to easily access apartments for maintenance requests, assist residents who have been locked out, and grant prospects the ability to tour unoccupied units. The challenge is finding an effective process for reprogramming fobs, cards, and other security tokens whenever a resident moves out, locks themselves out of their home, or loses their security token. If your staff is already stretched thin due to the additional demands of working from home, accommodating requirements for COVID-19, and preparing to reopen, the task of managing security tokens becomes even more cumbersome. In fact, under normal circumstances, programming security tokens can become almost a full-time job, especially for larger properties. To keep smart locks from becoming a burden rather than a benefit, it’s essential that you decide how you’ll manage the additional workload.

Don’t Forget About Your Key Control Policy

Also consider the fact that unless you install the locks on every single door on your property — including common areas, closets, offices, storage sheds, etc. — you’ll still have traditional keys to manage. To protect your community, it’s important to have a written policy detailing your key control procedures, including who’s authorized to program or use keys, how to track key usage, the protocol for rekeying locks, etc.

Does your smart lock system require you to use a physical access token such as a fob or card to unlock a door? If so, be sure to take the same precautions to secure those tokens as you would with metal keys. Without the right processes in place, managing these tokens becomes an administrative and security nightmare. For example, staff at one 348-unit community — we’ll call it Smart Apartments — was spending so much time programming key fobs for their smart lock system that they decided to program fobs to open all apartments. In effect, they were using master keys for everyday tasks like performing maintenance tasks and showing apartments. To track access to each apartment, management would check the electronic lock logs. However, the problem with this method is that the log didn’t show who used the fob to access any given unit. If you’re in the same boat, does that mean smart locks are a bad move? Not necessarily. Smart Apartments found a solution that allowed them to save time while reaping the benefits of the smart lock system. Rather than programming every fob to access every unit, they preprogrammed one fob per unit. They then secured these fobs in an electronic key control system. That way, the electronic key control system would show who removed each fob and when, and the smart lock system would show when someone accessed a specific apartment. If a fob wasn’t returned on time, the electronic key control system would notify a manager. Not only did this method save time, it improved security and employee accountability. To manage security tokens effectively, think through how you’ll address each of the following areas:

By avoiding not-so-smart security mistakes when implementing smart locks, you’ll improve the resident experience, save time, and get the most from your investment.

In many cases, keyless entry can be a bit of a misnomer. While it’s true that smart locks don’t require you to use a traditional metal key, some do use security tokens, which function like keys. Others include a manual key override feature, which allows you to unlock a door using a traditional metal key.

SHEET VINYL OR VINYL PLANK?

Less than a decade ago, sheet vinyl was available in essentially one look – a dated but “good enough” tile or stone look that, well, looked nothing like real tile or stone. Sheet vinyl has since completely changed. Available in wood and tile patterns of all sizes, of all colors, with deep embossing, some sheet vinyl products look even more authentic than vinyl plank. While not as durable as vinyl plank and not well-suited to install throughout the apartment, it’s a far more budget-friendly option that doesn’t sacrifice as much aesthetically as you think.

In short, the answer is usually “no.” Flooring manufacturers call on property management companies in effort to drive specifications for their products by offering rebates and high-dollar setup fees. While an honest effort, consider what you – the property manager, management company employee or owner – are giving up when signing on with a specific product from a specific manufacturer.

PRICE FLEXIBILITY Manufacturers offer end users a rebate, but they build that into the cost they charge your flooring provider. The flooring provider pays a higher price for the product, and subsequently passes the extra cost on to you. Nothing is free. While you may be getting a rebate, there’s a good chance you’re paying too much. If you’re on a product program and want to check on this, ask your flooring provider to show you pricing of a comparable product that isn’t on that program.

Next-Day Service Available PRODUCT FLEXIBILITY The flooring industry changes quickly. One manufacturer may have a great product at a great price, but signing an agreement marrying yourself to that manufacturer for a year or more prevents you from capitalizing when another manufacturer introduces a newer, better product at a more competitive price. If you have a product you like, talk to your flooring provider regularly about other products that fit that same specification, but may have superior performance, stainresistance or pricing.

WHAT ELSE CAN YOUR FLOORING VENDOR DO? Sure, your flooring vendor can sell and install your new flooring. But as the last or next-to-last vendor in a unit as it’s being turned, your flooring vendor is in a unique position to offer extra services. Crime Prevention Through Environmental Design, or CPTED, is a term based on the understanding of how physical surroundings and established norms impact behaviors, such as crime and vandalism or their deterrents.

By utilizing these four principles, the shape of a physical environment can be transformed to promote positive behaviors and discourage negative ones.

Creating ways that make parts of a property more visible deter crime because people committing such behavior do not want an audience. Simply trimming overgrown landscaping or utilizing open stair risers creates more visibility and gives criminals less opportunities to hide. Creating ways to passively increase visibility is a great step, but you can also take a more active role with activity generators. Activity generators are things in your community people utilize, increasing foot traffic, which in turn increases visibility. Amenities such as playgrounds and community mailboxes are excellent examples of ways to increase activity and natural surveillance.

The process of clearly defining the boundary between public and private space. Having ways to reinforce this feeling of territory can give residents a better sense of community and help to quickly identify someone who is an outsider. Strategically placed trees, sidewalks, roads and signage are all great ways to help clearly delineate public and private space.

The oft-referenced “broken windows theory� says that buildings with a few broken windows that are not repaired encourage vandals to break more windows. If nothing is done about this new damage, their behavior escalates. The moral: If you let little things accumulate, before you know it, you have big problems. Implementing these principles might be easier than you think. The simplest thing to start or improve on are daily rounds. Have your team walk the property and its boundaries daily. While on this walk they can ensure gates, locks and other access controls are functioning, perform a landscape audit, inventory high-value assets such as air conditioners and pick up litter on the grounds. Taking steps to achieve these principles of CPTED can possibly reduce the potential for crime and improve the quality of life for residents, and lead to increased occupancy rates.

This involves limiting criminal opportunities by not only restricting access to the property but also by controlling the direction of traffic. Many properties will utilize geography to their advantage. They may have high iron fences along the front, but the sides may purposefully be built into the surrounding woodlands or a lake to limit access. Criminals who are unable to get to their targets easily are less likely to commit crimes.
