Minnesota-based Surfacequest has found the ideal solution for updating old and outdated tile and grout shower and bathtub surrounds in multi-family units. Now that you have leased to a new community member, what is next? How does a community keep their residents happy so they renew every year? Creating a comfortable, friendly, caring and responsive community is key – your residents will not want to leave! Even though your community will consist of some transitory/short-term renters who are renting while their house is being remodeled, during an internship, while they house hunt, etc., many of your community members want to be long-term residents. After all, residents will not want to leave a community where they have established lasting bonds they don’t want to break. These bonds are with other residents as well as with all the staff that work there. The on-site management team, including maintenance, housekeeping and concierge, leasing agents and managers and their relationships with the community members will be one of the deciding factors your residents consider when making a renewal decision. HERE ARE A COUPLE IDEAS ON BUILDING COMMUNITY AND ENSURING HIGH RETENTION AT RENEWAL TIME:

KEEP YOUR COMMUNITY CLEAN AND MAINTAINED. At Fine Associates, our communities are cleaned and maintained seven days a week, every day of the year. If your current residents have experienced firsthand how clean their community is kept, they will want to continue living in the community – this raises the likelihood of their renewing.

KEEP YOUR RESIDENTS INFORMED. If there is community maintenance scheduled, new features on site, change of clubroom hours, or anything else involving their community and surrounding area, be sure to communicate by your residents’ preferred method: email, call, text or by posting notices on site. They will be comfortable knowing the management company is keeping them aware so there are no surprises. Temper any inconvenient changes with solutions. For example, if the parking lot is being cleaned or shoveled, be sure to have an alternate plan so your residents have somewhere to park during this time.

TRY TO KEEP CONSISTENT STAFF IF POSSIBLE. The more your residents bond with each other and staff they are familiar with and enjoy, the easier it will be at renewal time to retain them. Too many staff changes may make your residents uneasy or uncomfortable. If there are staff changes, if possible, be sure to communicate with the residents so they have an opportunity to say good bye. BEING RESPONSIVE TO RESIDENT NEEDS. If there is a work order submitted or a resident has concerns about the building, be sure to answer phone calls and messages quickly to take steps to resolve the situation immediately. If it cannot be resolved quickly or is a change the community is not able to make, communicating the resolution or answer assures the resident their concerns were heard.
SCHEDULE COMMUNITY EVENTS. A really good idea that helps the surrounding community and lets your residents know about neighboring businesses, is by scheduling events including those businesses. A craft beer event hosted by a local brewery with a brew master in attendance to answer questions may appeal to your residents. Also schedule annual events such as a community cook out when the weather gets nice, holiday gatherings, contests with pets, on site pop ups, etc.

That’s certainly how I felt when I accepted a job with what was then Sage Company (now The Goodman Group) back in 1998. My new boss told me I needed to get involved in the Multi Housing Association (MHA); he said I needed to network, to make connections and to learn a few things. While he was right about all the above, I had no idea what MHA was, so I just joined a committee that looked fun. Twentyone years later, I’m a firm believer in the power of MHA. Ok, full disclosure, I’ve also been a staff member at MHA for nearly 15 of those years, but I really do believe in the power of this association! MHA was founded in 1967 to promote the highest standards in the development, management and maintenance of rental and owner-occupied multi housing. (Urban legend says our founding members came up with the idea of an association while drinking beer and talking about property taxes in one of their garages. I don’t know how true that is, but we are still talking about property taxes some 52 years later. And I’ve heard that many better beers are now available.) While our members do include the state’s largest apartment management companies, developers, common interest communities, and providers of related products and services, most of our members actually own or manage fewer than 20 units each. MHA is truly the place for any owner or operator of rental housing, even if that’s only a single unit. When I talk about what MHA does for the multi housing industry, I sum it up in three words: Advocacy, Education and Information.
MHA offers dozens of educational opportunities for managers and owners each year. From certification programs to leasing and maintenance classes, to two annual large conventions, the goal of our educational offerings is to provide you the tools you need to be better at your job and to hopefully also keep you out of trouble. Property management is certainly an area that what you don’t know can hurt you, especially when it comes to fair housing and landlord/tenant law. In addition, pro-active management companies will not wait until the 60 day notice period is looming to ask if the resident will be renewing. Generally the resident is contacted by management 75 days prior to lease end; why not contact them three to four months prior to lease end to see what they are thinking? This is the perfect opportunity to address any concerns, answer their questions about if there is a renewal special offered and what the renewing rent amount is.

If your residents have not been happy, they have already reached out to other communities to find out availability and pricing. By waiting until the last minute to ask, their decision has most likely already been made. Think of how much less stress there will be for everyone if renewals are accomplished well in advance of the last day of the renewal period. The residents can sign their renewal lease and be happy they are staying in the community they enjoy.

So much so that a lot of times, owners decide to keep the decision under wraps until an offer is presented. If you’re lucky enough to work for a company that is both transparent from the beginning, and invites you to be a part of the process, you’re already one step ahead in turning this news into a major career win.
“But what about all the ‘what if’ thoughts?” Do not give yourself anxiety over this process. Stay calm, and keep repeating the positives. You’ve already put a ton of work in to get your property running like a well-oiled machine. Break the negative thinking and do not lose momentum. There’s always a chance the property doesn’t sell, and your owner ends up retaining the asset, however you’ll need to dig deep – find your inner push to outperform where you’ve performed in the past. Be open minded and be prepared to impress. Your employer is counting on you to dazzle potential buyers with solid performance, and tons of income opportunities that will make the property appear to be a slam dunk – and if you’re truly putting in the work, it will be!

Asking for the commitment: “Would you like to apply for this home today? You can use our leasing tablet and submit the application and fees online right now.”
Well, think of me standing in that car dealership, looking very confused as the salesperson walked away without asking for my business.
Now is a great time to do a leasing check-up. Are all prospects being asked for their commitment? If there’s no direct question involved, we aren’t asking for the business, and it’s not enough to softball with questions like “What do you think?” or “How are you feeling?” There’s a BIG difference here: these questions take a temperature and set up the direct ask. You’re priming the customer to be asked for their business, but you haven’t actually asked for it. These questions tell you the answer you can likely expect when you DO directly ask for the business, and prepare you for what happens afterwards.
I’m the customer. I’m the one looking to spend money on this product. I’ve made my interest plain. I have done my job. And I don’t feel like my business is wanted.
More than ever, our prospective residents aren’t just looking at product, they’re looking at living experience. Are the people here nice? When I need something, will they take care of me? Do I have confidence that I’m valued as more than a rent check? The direct ask says yes: you’re more than a rent check. We want you to live here. Come be a member of the club. You are invited.

employed at a different location after the sale, that is great – however it’s important that you have these discussions on behalf of your team, as many employees are reluctant to speak up during uncertain times. In the course of ones’ career in Property Management, it’s entirely possible to never experience what I call “Marketable Wins”. Some examples include being part of a lease-up, working in a new construction building or on a major value-add project, or of course, assisting with an asset sale. Anytime we are challenged with tasks outside of normal industry operations, we’re given opportunities to boost our career credibility. Those that have experienced these ‘few-andfar-between’ experiences are significantly more marketable than their peers. The most important thing you can do once you learn your property is going to market is keep your mindset positive. You have the ability to make some major career wins in the process. The boots on the ground have the greatest knowledge of the daily operations and are the most beneficial to have during a listing and transition process. It is in your owners’ best interest that you stay on-board through the entire process – utilize this leverage. You should be compensated for your efforts to seal the deal. Most companies offer a ‘stay bonus’ to employees who commit to staying on-board and engaged through the sale process. Sometimes employers will even pay the stay bonuses if the sale never goes through – compensating for the effort, not the result. Another item to discuss would be severance. Some companies decide to offer employees severance offerings for those who stay committed through the sale, but part ways after closing. If your employer has expressed interest in keeping you
