2 Hello Vendor Guide Readers! Welcome to the second issue of the Multi-Family Vendor Guide. I have received a lot of positive comments from owners and managers about the usefulness of the publication. It is always great to know that there are vendors who want to work with you and are familiar with the multi-family industry. No emergency in recent history presented a greater challenge to business than Covid-19, yet Louisville’s property managers and contractors did not simply endure they are succeeding! I have been proud to see how our multi-family community has come together and adapted to all the changes. Pandemic In light of the coronavirus pandemic, the Multi-Housing industry has reinvented itself and pivoted to some very unique ways to continue helping people find their new homes and retain current community members. At the same time, owners and managers have leasing goals they must meet. Prospects who were previously interested in the community may no longer be able to move forward with leasing due to: job loss; being placed on furlough; or, helping family members with finances. If they were relocating from out of state, the States’ Stay at Home orders may hinder their being able to move or the position they were relocating for may no longer be offered. Also, community members who submitted their sixty day Notice to Vacate may rescind their notices so they can stay in place. They may find it difficult to hire moving companies and other people that would have helped them are not able to do so during this time. Here are some solutions and new processes the Multi-Housing industry is implementing: Virtual Leasing During this coronavirus pandemic, most Multi-Housing community leasing offices are closed so there are no on site/in person tours being conducted. Going fully virtual had been gaining momentum in the Multi-Housing industry; the coronavirus pandemic has effectuated a quicker transition.

Platforms being used include: leasing over the phone; FaceTime tours; Zoom; sharing 3D virtual tours/ renderings, property videos and sending virtual tours of exact apartments. In order to be successful, it is important to keep in mind the comfort level of the person you are communicating with as some may not be as knowledgeable about technology. Being able to customize your approach with prospects that want more one on-one-discussion vs. information in emails or videos online will result in more leases. The goal is to have enough information available via phone calls, online and videos so the future community member will have full confidence to move forward with applying and moving in to the community without an in person tour of the community or the apartment. Self-Guided Tour The self-guided tour has gained popularity and during this pandemic, a prospect can visit the community without leasing staff and have access to pre-determined apartments that have hardware installed for entry. There are systems usually in place where the prospect has to scan the front and back of their ID and take a selfie before the door access code will work. Either during the tour or after the tour, any questions can be answered by the leasing professional so the lease may be closed.

Coronavirus Occupied Apartments on Notice For the communities that have apartments with scheduled move outs, being able to enter someone’s home to tour may not be possible. A creative way to resolve that is to ask the current community member to send photos and videos of their view(s) of their apartment so the leasing agent can re-lease the apartment. Maintenance Requests During the pandemic, unless a request is an emergency, the maintenance staff is usually not entering occupied apartments. If they do have to enter for an emergency, there are processes in place which include wearing protective gear.
businesses; and place a “Care Package” outside the apartment doors with new/originally wrapped toilet paper, hand sanitizer, candy, Lysol® wipes, or anything else that may needed in a large quantity but possibly not on hand. And don’t forget about the pets! Make sure your community members continually feel a part of your community with consistent engagement. Through social media, emailing and your website, you can keep them well-informed on what is happening. It would be beneficial to schedule a regular “Check In” so they know their thoughts and concerns are being heard. After all, we want our community members to feel at home.
This is an example of a circumstance that presents an opportunity for posting/sharing videos of how to complete basic maintenance requests for your community members to learn. Community Member Retention Since resident retention is more important than ever, be sure to communicate with your current and future community members to let them know how they can accomplish everything they need online. Since the majority of the community members may be staying in their apartments, now is a great time to interact, including the following ideas: Zoom Happy Hours; Virtual Bingo; Electronic Gift Cards to a delivery service and/or to a local restaurant so they can help the neighborhood

Virtual Leasing: Tips for Product Excellence Prior to recent events, most of us would likely have said we knew the ins and outs of product excellence. The “sparkle bucket” has been a part of our vocabulary for years (decades?), and the use of cleaning wipes and handheld vacuums is second nature. We’re savvy in the use of the Internet for an ever-growing list of odor remedies, and we haunt Pinterest for ideas for WOW fridges. It’s a new, virtual world, and product excellence has taken on a different form. How do we appeal to all of the senses, long considered critical, when the prospect cannot smell or touch? We can’t put them at ease and begin building rapport over refreshments. How, then, do we achieve an excellent product? Tip #1: Unpack Your Adjectives A core principle of leasing is to sell benefits, not features. A feature is boring, and something a prospect can see themselves: a stainless-steel fridge, or new carpet. Benefits tell a prospect how their life will be better as a result of the feature. With virtual touring, we’re often in the position of having to do both. The prospect might not be able to see how deep the fridge is; they can’t feel how plush the new carpet is. Achieving virtual product excellence starts with making sure the prospect understands what the product is in the first place. Use descriptive words, so that if video isn’t available or isn’t good quality, the prospect still sees the picture you’re painting. Tip #2: Test Your Technology A virtual community tour means that we’re relying on what the prospect can see and hear, so a strong, high-quality connection is critical. Test the devices you plan to use: if you have a choice, which device gives you the best connection?
Most of us are used to low-quality audio from cell phones. If you must choose between good audio or good video, choose the device with the best video. The prospect is going to shop with their eyes first, so as long as the video works well, the audio can be less important. That being said, you should still test your connections, and change devices if an audio connection experiences feedback or other significant issues. Tip #3: Practice Makes Perfect Virtual touring has been used before in multifamily, but never as widely as it is today. All of us are learning a new skill, and as with anything new, it takes practice. Each person on the leasing team should take turns giving virtual tours to others. Provide constructive feedback: • Could you hear and see well? • Did the leasing professional use descriptive terms? • Was the leasing professional prepared and organized? • Did the tour flow naturally? • How did the community appear? Was the apartment show-ready? Did anything catch your attention that needs to be remedied before showing this unit again? Tip #4: Product Starts with People One aspect of product excellence hasn’t changed: the need for an equally-excellent professional to present it. First impressions still matter, and now the first impression of the community may very well be a video call with a leasing agent. Curb appeal still applies: Leasing team members need to follow dress codes and appear polished and work-appropriate on any video calls and tours.

by Chrys Vanderkamp Establish clear standards for acceptable clothing and overall appearance. Team members should not be chewing gum or eating while conducting tours, as the noise can carry. If team members are working remotely, and conducting tours using photographs or prerecorded video, discuss individual circumstances with each team member to minimize distractions and create the touring environment. Tip #5: Walk Units Virtually If tours are being conducted virtually, then unit walks should be as well. Punch list items which may not catch the eye in person - paint touch ups, carpet stains - might pop on video, depending on camera quality. Use a device to conduct the daily unit walks and watch the video for what your prospect sees. Creative thinking has a place in our new virtual world. Instead of offering coffee at the start of the tour, consider alternatives. Are there services in your area where a coffee or snack could be delivered at the start of the appointment? Can you send an e-gift card? Even after the current crisis abates, many of the changes we’re experiencing in the way we do business and lease our communities may be permanent. Our “new normal” will almost certainly be more virtual that it was, so it’s important for us to adapt: not just for now, but for the longterm. Attention to virtual product excellence will ensure that your leads keep coming in and your community stays leased in this new online world.
