It really goes without saying that our world has changed since the last letter from the publisher was written a few short months ago. It is said that the only true constant in life is change - seems accurate these days. Our news feeds and our conversations are chocked full of information about current events that are truly life altering. It is challenging for many of us to stay focused on our business right now. The struggle to find normalcy is real. The need to be heard is real. Our ability and willingness to listen is at an absolute premium. This moment in time is forcing us to accept that nothing is the same...and that is okay. It is okay so long as we can find some common ground - a good starting point. At Vendor Guide we believe that it is vital to continue to focus on business, yours and ours, even with all of the challenges we face. Our industry provides a vital element for living. Shelter is the second most important thing every person needs beyond food and water. We should be proud to serve such an important role. The Coronavirus Pandemic has certainly impacted every US industry in some way – Many in a negative manner. The Multi-Family industry however, will persevere. The apartment industry as a whole contributes more than $1.3 trillion to the U.S. economy, and supports more than 12.3 million jobs across the country. Since the very first apartment building was built in 1830, the multi-family industry has encountered recessions, natural disasters, prior pandemics, and we’ve persevered every time – Becoming slightly ‘better’ overall with each experience. Though the impact of the Covid-19 pandemic has been severe, memorable, and definitely challenging to multifamily operators across the country, there are many silver linings that we cannot ignore. Many operators are now better positioned, and prepared for a change in the landscape of Property Management operations. Operating in a newly virtual world. Site unseen leasing: Something that many on-site teams have always dabbled in, however has never quite called for an entire shift in the way we do business. Not only has Covid-19 prompted us to seek and utilize many technological platforms and features that were always within our reach (many left under-utilized), we’ve now become

lean, mean, site unseen leasing machines! Our leasing teams are able to hone in on performance metrics and fine-tune their leasing skills at a deeper level. This insight prompts a constant improvement of the sales process. “Pandemic leasing” has also provided deeper diving tools that key leadership in to previously unnoticed, problematic employees. Using technology to track leasing and performance metrics leads to a clear path of expectations for employees, provides clear performance management tools for supervisors, and assists many companies with maintaining compliance with Federal Fair Housing laws – All while offering our customers the convenience of apartment shopping without changing out of their pajamas. Leasing drives our business, and our customers crave convenience. It’s no longer a matter of ‘if’ companies will get on board with virtual leasing. It’s now become a matter of when. Virtual leasing is here to stay! Along with the enhanced leasing tools, there are a wide variety of other benefits to transitioning to a virtual world. Pre-pandemic, many operators offered online payment options, resident portals with access to electronic work order submissions, and other ‘handsoff’ tools for residents and prospects alike to utilize. Those that did not, quickly adapted in preparation for remaining competitive through the challenging time. Those who have been in the industry for some time can relate to the saying, “Training our customers is half the battle”. These tools have expedited this training process, and pushed our teams to motivate residents to start paying on-line when they were previously


or very important to ones’ overall job satisfaction. The coronavirus pandemic has offered our industry the ability to connect on levels many of us weren’t previously accustomed to. Through the ever-changing landscape of the virus, teams were forced to connect virtually – and often! It wasn’t unusual to connect daily to confirm all team members were aligned, and to ensure the business continued smooth operations. In many cases, team member became temporary-remote workers – New territory for many whom had traditionally always been in an on-site environment.

paying via check and to submit their service requests electronically when many offices were closed to visitors. It pushed our teams to require detailed information from our residents so we could better diagnose service repairs, have a first-hand written account of customer concerns, and has provided us opportunities to ‘train’ our customers on the differences between a true emergency, and standard service calls. Some companies have utilized this to push their service into the next level as well by creating minor DIY service videos for small, frequently occurring maintenance issues within the apartment homes – Which are now built into a library for future use to address these items moving forward. In a world where more and more residents prefer DIY and “Do not disturb”, these tools will be essential to the future of maintenance operations – With added cost saving benefits to operators. Offering an omni-channeled approach to apartment searchers and renters is a fantastic way to capture through the various generational preferences.

Amazing things were happening in terms of employee growth and development, and persons who worked remotely pre-pandemic were now more connected than ever. A whole new level of trust (and the importance of it) in the workplace has evolved. Supervisors were forced to put an emphasis on the employee experience. Added appreciation, empathy, transparency, and gratefulness during an ever-changing time was more present than ever in many companies. Communication as a whole was on over-drive. We’ve tried for years to obtain this level of connectivity, and accountability within our workforce. We have a real opportunity to embrace this accomplishment and instill it into our post pandemic operations. The impact on employees during those first few months - Whether good or bad, will certainly be one we will all carry in our minds and hearts for the rest of their lives. As always, the multi-family industry perseveres. The challenges large, the learning opportunities larger. When we’re challenged, we grow. With technology in our toolbelt and amalgamation of our teams, we have a great opportunity to come back stronger, more cohesive, and better operating than we were pre-pandemic. There’s always a silver lining.

The challenge of creating a cohesive work environment alongside a range of different personalities has been a longstanding obstacle for many HR departments and leadership teams – Multifamily companies are not excluded from these difficulties. According to Statista’s survey on teamwork, 89% of U.S. employees describe teamwork between departments and other business units as important,

This new level of communication showed us first hand it’s importance in our business operations. Maintenance was on the same page as the office team and sisterproperties were operating in unison. Supervisors had a chance to get to know their employees on a personal basis - catching glimpses into each other’s’ home lives, meeting kids whom were home studying while on Zoom calls, and virtual happy hours were on the rise. Teams were pulled together as one solid unit to do their part in defeating a common enemy. Job satisfaction for many was restored, people were re-engaged, teams were performing on levels they’ve never reached before. Team members were being challenged, and were growing right in front of our eyes! Through the shared changes in ‘life as we knew it’, we had opportunities to connect deeply with those in the trenches of our business.

With new products, new processes and new services evolving regularly, here are some of the hottest points you should consider when it when it comes to your property, your flooring and your flooring vendor.

SHEET VINYL OR VINYL PLANK?

Vinyl plank is all the rage. More durable than sheet vinyl, more repairable than sheet vinyl and more trendy than sheet vinyl, it’s also significantly more expensive. Is your property in a position to invest in not just the quality, but the longevity of its floorcovering? And are you looking to install hard surface throughout the unit? Consider vinyl plank.

Less than a decade ago, sheet vinyl was available in essentially one look – a dated but “good enough” tile or stone look that, well, looked nothing like real tile or stone. Sheet vinyl has since completely changed. Available in wood and tile patterns of all sizes, of all colors, with deep embossing, some sheet vinyl products look even more authentic than vinyl plank. While not as durable as vinyl plank and not well-suited to install throughout the apartment, it’s a far more budget-friendly option that doesn’t sacrifice as much aesthetically as you think.

IS IT WORTHWHILE TO GO ON A PRODUCT PROGRAM WITH A PARTICULAR MANUFACTURER? In short, the answer is usually “no.” Flooring manufacturers call on property management companies in effort to drive specifications for their products by offering rebates and high-dollar setup fees. While an honest effort, consider what you – the property manager, management company employee or owner – are giving up when signing on with a specific product from a specific manufacturer.

PRICE FLEXIBILITY Manufacturers offer end users a rebate, but they build that into the cost they charge your flooring provider. The flooring provider pays a higher price for the product, and subsequently passes the extra cost on to you. Nothing is free. While you may be getting a rebate, there’s a good chance you’re paying too much. If you’re on a product program and want to check on this, ask your flooring provider to show you pricing of a comparable product that isn’t on that program.

Many properties will utilize geography to their advantage. They may have high iron fences along the front, but the sides may purposefully be built into the surrounding woodlands or a lake to limit access.
