My journey into the Multi-Family industry began 25 years ago. Short version...I was selling vitamins and the local Apartment Guide publisher approached me about coming to work for her selling advertising. The rest, as they say, is history. Some will recall those publications actually were done in black in white. Much has changed since then. One thing that remains unchanged is the need for connections. When it Comes to Customer Mail Direct mail makes us feel special. That stat comes from research from Royal Mail that shows 70% of consumers feel more valued by a brand when they receive direct mail instead of email. (Don’t believe it? Just look at what happened when Nordstrom cut direct mail from their customer loyalty program.) But why? What is it about direct mail that makes us feel this way? “A direct mail takes time to design, consideration over the print and feels a lot more personal like it’s intended for the customer and that’s why it’s fallen through their letterbox,” explains this article in Cuckoo. “An email on the other hand, while it should still be designed well, falls into an inbox with hundreds if not thousands of others, plus it’s harder for those not in the industry to know how much work it took to produce. A creative, captivating and inspiring direct mail oozes time, effort and can be personalized to add that extra touch.”

It’s seen, it’s sticky … and consumers report that it really does work to drive the purchase – especially in the lucrative millennial market. It’s essentially Marketing 101, and it works – really well – in an age where we are all inundated with digital distractions. Some digital marketing techniques work, to be sure, but direct mail gets its value from its staying power. “Direct mail, if done well, is 5 times more likely to be remembered than a digital ad,” the article continues. “While this could be because there is much less noise to cut through, 70% of people Royal Mail surveyed said that receiving a direct mail gave them a better impression of the brand.” So direct mail makes our customers feel more valued, and helps them see us as a better brand. That sounds like a perfect outcome to marketing with a heart.

A written notice of inspection must specify a reasonable date and time for the inspection to occur and must be delivered to the tenant’s last known address within a reasonable time prior to the inspection. Landlords may 1
simply include a notice of inspection as part of standard move-out procedures and paperwork. If the lease expires and the tenant still has not moved out, contact an attorney in our office before taking any action. A tenant has a right to be present during the inspection, but their presence is not required. Additionally, after the inspection takes place, landlords must provide the tenant a written itemized statement for damage beyond normal wear and tear for which the deposit is being withheld. This statement must be sent within thirty days to the tenant’s last known address, even if that is the vacant unit. Despite best efforts to adhere to the statutory requirements, landlords inevitably find themselves summoned to court by former tenants. Within thirty days after the date of termination of the tenancy, the landlord shall: (1) Return the full amount of the security deposit; or (2) Furnish to the tenant a written itemized list of the damages for which the security deposit or any portion thereof is withheld, along with the balance of the security deposit. The landlord shall have complied with this subsection by mailing such statement and any payment to the last known address of the tenant. … 5. The landlord shall give the tenant or his representative reasonable notice in writing at his last known address or in person of the date and time when the landlord will inspect the dwelling unit following the termination of the rental agreement to determine the amount of the security deposit to be withheld, and the inspection shall be held at a reasonable time. The tenant shall have the right to be present at the inspection of the dwelling unit at the time and date scheduled by the landlord.

It is also one of the top reasons a landlord will find themselves summoned to small claims court by a former tenant. Missouri Revised Statute section 535.300 governs landlordtenant transactions involving security deposits. Compliance with this statute requires minimal time and effort relative to the potential protections that it affords landlords. The two most important provisions in the statute—and the most frequently ignored—concern inspections of vacated units.

WHAT’S THE BIG DEAL?

Those first impressions. We always hear how important they are, and the age-old phrase, “You only get to make a great first impression once!”. ‘Sure, but I walk through the front door of my leasing office every day and I don’t even notice those cob webs near the ceiling!’ you might say… Or ‘What’s the big deal? It’s out of season – that’s why there aren’t any flowers in the flower beds. People understand those things’.
A first impression is when someone gets the very first opportunity to form a mental image of a situation, place, or another person. It’s true what they say – you really do get just one shot at ensuring it’s a positive one. Studies have taught us that just a tiny fraction of a second is all the time necessary to create this image. This means it takes less than a second for your prospective residents to form their opinion of your property. But it doesn’t stop there – not only do they form their own interpretation of the physical place they’re standing, they also form their interpretation of the service they’ll soon receive. Once a mental image is made, your customers subconsciously lay out what they can expect from you if they decide to take the relationship further than the front door of the leasing office. Because so much of what we do impacts the physical dayto-day lives of others, the leasing process is a very intimate one. Our customers are not searching for a new coffee mug that may or may not wind up lost in the trunk of the car, or the bottom of a random desk drawer in a few weeks – they’re seeking a home. The word ‘home’ itself extracts emotion amongst people because of the immense pressure we as a society put on the importance of having a safe and welcoming space to call our own. Negative first impressions can really have an impact on the ability to close a sale on a product that people hold so near to their hearts.

Sadly, the effects of a negative first impression can portray just that: lack of competence. Those dying flowers and cobwebs are now giving the impression of lazy grounds and custodial staff. The opinion of that messy leasing desk turns from “this place is so popular! Everyone is always busy!” to “Wow, these people are so unorganized”. That ‘casual dress code’ has now become, “unprofessional appearance of staff” … You get the jist. Knowing the importance of first impressions is crucial when it comes to being a ‘dealer of intimate products’, such as apartment homes. SIX QUESTIONS TO ASK BEFORE INSTALLING CAMERAS
There are many factors to consider when thinking about adding security cameras to a multi-family community. The process is not as cut and dry as purchasing the equipment and installing it. Few people understand or are aware of, what it takes to not only maintain a camera system but to ensure that it is a functioning asset that will assist in making the community thrive.

The following are six questions to consider before committing to installing a camera system. Without being able to answer these questions, it would be wise to reconsider what is expected from the cameras in the first place.
Is there a defined need or purpose for the camera system?

There must be a clear objective for adding cameras, not because the property down the street did. Cameras can assist with multiple issues many property owners face, such as an abundance of criminal and nuisance activity, vendor or employee oversight, asset protection, evidence for lease violations or prosecution, or finally, as a simple deterrent. If any of these are not an issue for a given property, maybe cameras are not needed. It could be a better decision to improve other areas within the community.

Cameras are not the magic bullet answer to all issues a property may face. It is best to have realistic expectations of what the cameras can and will do. The property may only need general oversight. In some instances, this is enough. However, some properties with higher rates of criminal activity will benefit from the addition of cameras that can gather identification shots of vehicles or persons. In the end, a property has to decide what is sufficient for its operational needs.

What are the ideal locations for the cameras?

In a perfect world, a property could install enough cameras to cover the entire community. Of course, many factors make this impossible, so a decision needs to be made as to what the areas of concern are. The most typical camera locations include parking lots, entry/exit points, common areas (playgrounds, pools, laundry facilities, and community rooms), or choke points. Chokepoints are created by a property design that forces vehicle or pedestrian traffic to flow through a certain area. Cameras in these areas are very helpful in gathering identification shots.
What is the budget?

Money drives all business decisions, so this is probably the most important question to answer. Owners need to know that they will get what they pay for. Purchasing cheap equipment means spending more money on the back end. Camera systems are not a one-time initial investment. There are warranty issues, funds for ongoing maintenance and repair, degradation of image quality, and recording costs associated with DVRs and licensing. Finally, a camera system should be thought of like a 5-year capital expense. Many people do not think about this, but there is a shelf life for electronic equipment. Be aware that it will need to be replaced at some point and time.
Is the property conducive to a camera system?

A property needs to have clear sightlines for surveillance to be effective. Building architecture and layout has to be considered. Landscaping can present issues. Trees need to be trimmed yearly to ensure lines of sight. Good lighting is a must. The best camera in the world is not going to be effective if it is only capturing a pitch-black parking lot. Finally, do all the buildings needing cameras to have house power? If not, expect a significant bill to install it. Cameras do not work without power. It is not advised to use power from individual units, as the camera system is now at the mercy of a resident paying their bill.
Is there anyone on site, or within the company, that can manage and administer the system?

One thing many do not consider is “total cost of ownership”. Does the property have someone who can perform daily health, focus, and recording checks? What happens when the equipment fails? Can the property staff correct it? Is someone available to work with the police when a video event occurs? Who will perform the video reviews? The time cost of reviewing footage is significant. When a property manager has to use half of their day reviewing hours of footage, who is leasing apartments? This assumes that they have the ability and know-how to operate the equipment.
Answering these six questions can help a property decide if a camera system will be beneficial, as well as prepare them for what to expect after it is installed.
