NEWS FROM VFC Annual General Meeting Who is Eligible to Vote Scheduled for March 7 at the AGM? The Victoria Flying Club Annual General Meeting has been scheduled for Thursday March 7 in the VFC pilot’s lounge. The meeting will begin, as it always does, at 6:00pm with wine and cheese. The business portion of the evening gets under way at 7:00pm.
What Happens at the AGM? The purpose of the Annual General Meeting is to provide an opportunity for discussion and decision making amongst club members. As a non-profit organization, we are governed by an elected volunteer Board of Directors. Three of the main functions of the AGM are to review prior year results, discuss plans for the current year, and also to elect new directors to the board.
While attendance at the AGM is open to all members, voting priviliges are extended to those with Sustaining Memberships and Life Memberships only. If you have been a member in good standing of the Victoria Flying Club for 24 consecutive months, then you are eligible to become a Sustaining Member. Sustaining Members pay slightly higher membership fees, but also receive a discount on aircraft rentals, fuel, etc. If you have been a member for 24 consecutive months, please pick up a Sustaining Member application from the VFC office, and plan to attend the AGM.
How Can You Get Involved? The Board of Directors consists of a group of Victoria Flying Club members who use their

Sustaining and Life Members are eligible to be nominated for a director position. Nomination forms are available at the VFC office and nominations will also be accepted from the floor at the AGM. Directors must be nominated by two other Sustaining or Life Members. Being involved with the VFC Board of Directors is a great opportunity to contribute to the future of the Victoria Flying Club, and to the local aviation community. Recently, the Victoria Flying Club took over hosting the live feed of ATC communicaiton online, thought the LiveATC. net website. The LiveATC feed required VFC to buy a dedicated VHF radio scanner and a PC with an audio subsystem on which we could install some files from LiveATC. VFC Board President Lloyd Toope undertook the challenge of getting the feed established, and said that the toughest part about setting up the LiveATC audio feed was trying to figure out how to limit what frequencies the scanner would monitor. It was not obvious in the user guide. Technical glitches aside, Lloyd was successful, and the feed is
now live. Anyone with an internet connection now has access to the CYYJ frequencies for Clearance and Ground, as well as Inner and Outer Tower. Aside from the fun factor of listening in to what is happening in our local airspace, there are flight training benefits in having access to this information. For new PPL students, the radio and communication can be one of the most challening aspects of flight training. Being able to listen in to local flights provides an opportunity to become familiar with the local language, as well as standard aviation language. Additionally, LiveATC.net provides access to archived files. To review a flight, pilots can select the appropriate date and
time of a prevous flight and can use that as a learning tool. When you visit the CYYJ page on LiveATC.net, you’ll also find quick links to CYYJ Flight Activity on Flight Aware, and CYYJ Airport info on AirNav and iFlightPlanner, as well as CYYJ METAR Weather. LiveATC.net is also available as an app for iPhone or Android. Dave Pascoe, owner of LiveATC, has put the Victoria Flying Club logo on the page and gave VFC credit for the feed. UPDATES from your VFC president By: Lloyd Toope
2012 was a busy year for the Victoria Flying Club.
In compliance with regulations requiring above ground fuel tanks, the club started planning in 2008 for the replacement of the underground tanks. Tenders to build the new fuel facility were issued in December 2011. Construction was delayed until May, 2012 because of costly engineering changes required by our landlord and our decision to include a 24 hour Point of Sale system to sell fuel to non-mem-

bers. Our 50,000 liter Avgas facility went live in mid-January 2013 at a final cost of approximately $300,000. NOTE: All VFC members who purchase fuel from the club must pick up their new VFC POS fuel card from dispatch. In an effort to harmonize and focus the activities of the members, the Board and the management team, the Board introduced the first ever VFC Strategic Framework in the September 2012 Patrician. The full text is available as a download on the VFC website. If you have not read it yet, please take a look. The VFC Strategic Framework has four Plans: (1) Member Plan – how we ob-

tain and retain members (2) Product Plan – what we offer members, in terms of scale, scope and quality (3) Asset Plan – what we invest our capital in to generate revenue to sustain us (4) Organization Plan – what staff do Examining the product and asset plans, it became apparent that, to remain a sustainable organization in the long term, the club needed to upgrade our aging and maintenance-intensive fleet. We analyzed the results of a member survey taken last summer, and in October the board passed a motion to upgrade our fleet with low time used 172SP aircraft,

In the 60 days to February 1, 2013, VFC purchased five 172SP aircraft with a sixth to follow shortly. You will see them on the line in early spring.
with airplanes, ensuring that more pilots fly. With a standardized fleet, it will not matter which aircraft is allocated to a booking, so the next available aircraft of that type will be released as soon as possible to pilots ready to go.

In September the Board implemented the first staff reorganization in over 10 years, introducing the new position of Operations Manager. Marcel Poland, previously Assistant CFI, is now the manager responsible for implementing operational efficiencies and managing the club’s Safety Management System. Speaking of efficiencies, in the busy days of summer did you ever wonder why there seemed to be so many club aircraft tied down on the tarmac when the online booking system was full? So did we. Investigation showed that, on average, a standard 2 hour booking generated a 1.2 hour invoice, meaning the plane was on the tarmac the other 50 minutes. Reducing the ramp time to just 24 minutes means in a six hour period an aircraft can fly four average flights instead of three. We plan to do better than that. Fly-Out News Family Day Fly-Out Just a short note to invite you to participate - whether by air or by foot (for those in the CYNJ area) - in our February Fly-Out to Langley and the Canadian Museum of Flight. This was a trip which we attempted in November but were weathered out, and it is time to give it another attempt. The backup plan (in case weather over George Straight is less than cooperative), is to fly to Nanaimo & Gilles Bay instead. This back-up plan of course is subject to change too based on the weather on the day! If you live in the lower mainland please consider coming out to meet and tour with us even if you don't fly yourself. Larger groups are always much more fun for everyone!

Despite some less than inviting clouds viewed from the ground in Victoria, 2 aircraft (4 people), made the trip out to Long Beach on January 1st, and were we ever rewarded! The intimidating cloud bank, by the way, which we ducked under / flew over, was only a mile or two thick and after that it was blue skies the whole trip.

Victoria Flying Club 2012 Income Tax Procedure Please Note: Canada Customs and Revenue Agency (CCRA) has recently been requiring proof of enrollment in the Commercial Pilot Program before allowing a deduction for the hours under the Private Pilot Licence. A letter from the Club confirming enrollment in the CPL is available to students actively pursuing a CPL (i.e, a Category 1 Medical, enrollment in Commercial Ground school, working towards a Night Rating or actively completing the dual requirements of the CPL). Members are reminded that all deductions taken are the responsibility of the person claiming the deduction on their tax return. Instructions: Complete all areas of this form. There is no need to complete the form if you reached the maximum hours per course in 2011. Mail/fax/or drop off this form to Dispatch. Allowable deductions:
