Club Captain’s Midseason Update

Dear friends, Thank you all for your continued support during the 2013 and 2014 season. I am writing to you all to highlight some of our obligations as being members of our club with the aim of improving the standard of our operations. I want to remind all members that we are a surf lifesaving club and that our lifesaving operations on the beach is EVERY member of Wanda SLSC’s responsibility to ensure our beach is a safe environment for the thousands of people who visit our shores. Lifesaving (Patrolling the beach) is our core business. Our Obligations 1. Active members must attend their rostered patrol. If they cannot attend their rostered patrol, then it is the member’s responsibility to organise a substitute. If a substitute cannot be found then you must notify the surf club prior to your patrol. If something unexpected arises such as work, family emergencies, sickness, injury, etc, the member must write to the club within three (3) business days outlining the reason for not attending their rostered patrol. This will be considered by the Club Captain (myself) and the Director of Lifesaving (Matt Waugh). Subject to the explanation another patrol in lieu of the patrol you missed will be allocated. If no explanation is provided then disciplinary action may be taken which could include penalty patrols. It should also be noted that according to our club constitution if a member is in deficit on their patrols (rostered and penalty) by 14 hours or more, they may be suspended from the club. Each member is now on notice and patrol attendance will be enforced. 2. Active members must attend their patrol on-time. If they cannot do so then they must again organise a substitute. The same process applies to this instance as Item 1 above. 3. We are on the beach to provide a safe area for people to swim. I do not expect any member to spend an entire 6 hours by the shoreline observing the beach. You can take breaks. I would encourage every member to take the opportunity to take a swim, or a board out in the surf provided they notify their Patrol Captain and it is safe to do so. Our first responsibility is always to ensure that the beach and water is being observed by experienced competent proficient members at all times while on patrol. Anything less than this is not good enough. 4. It is important that we do wear our uniform, for a number of reasons which includes: a. It distinguishes us from the general public to allow people who need help to identify us so that we can prevent a minor incident developing into major incident such as drowning or a serious injury, b. It makes the management of patrol members easier for the patrol captain during major incidents as he or she can quickly identify the patrol members and coordinate operations effectively, c. The patrol cap is easily spotted from the Tower, Helicopter, IRB or Beach if you require assistance particularly if you sustain a head injury during a rescue. d. If you do not have a uniform please email lifesaving@wandasurfclub.com and we will provide with a uniform at your next patrol subject to availability of the size.

5. Patrol logs must be completed correctly and all the information must be provided. It is a legal document and needs to be respected as such. Remember that the patrol log may be used in a Coroner’s inquest. Treat it with respect and complete it correctly. If you need assistance or training on how to complete the patrol log correctly, please email lifesaving@wandasurfclub.com and we will arrange for some mentoring. 6. When a member is looking for a substitute and you are available and you have not planned anything for your day, why not come to the club and help out. 7. Our Director of Education, Brett Furniss does a wonderful job and offers more proficiency dates than any other club on Bate Bay. It is each member’s responsibility to maintain and be responsible for their proficiency. If you have been overseas for an extended period and were not available to attend the allocated proficiency dates, please email the club on lifesaving@wandasurfclub.com to arrange for an alternate date. 8. If you have not paid your fees you are not covered by insurance and you cannot attend patrols or participate in club events. If you are experiencing financial difficulties, please email us and let us know. 9. Members who breach the SLSA Code of Conduct could be subject to disciplinary action. If you don’t like someone please respect the fact that they are at Wanda to participate and to help our club. We are a family club and members should be able to attend our club in a safe environment. If you feel you cannot embrace this culture you are not welcome at Wanda. The message I want each member to take from this is we can improve this by just taking personal responsibility for our actions or inactions. We need the culture of our club to strive to improve our lifesaving operations and aspire to do it well and professionally. Consequences If we do not continue to remain vigilant with respect to our lifesaving objective there a number of serious consequences could come to fruition. The first and most serious can be the loss of life or serious injury to a member of the public or our own members. The next is impacting our reputation as a proud club which provides a professional service for our community. Finally, we may face sanctions from Surf Life Saving which could include suspension from competition which does also include the Junior Activities Group or more commonly known as the Nippers. The message is clear. We as members of Wanda SLSC are all in this together and we must cooperate to ensure that a situation of this nature does not arise. New Patrol Members We are always on the hunt for new patrol members. If anybody knows of people who would like to become a lifesaver, please encourage them to join our club. We will welcome all new members with open arms. Nipper Parents I would also like to extend an invitation to any nipper parents who are able to help out on patrols we would gladly include you into our patrols. Please contact me if you are available to assist us. Any contribution would be warmly welcomed. To finalise this letter I would like to thank every member for their efforts. I would also like to encourage each and every member to come forward and provide constructive feedback. Wanda Intercities Carnival on Saturday 11 January 2014. No official results are available as yet but will be published as soon as we receive them. Thank you to everyone who helped out setting up, packing down, water safety, officials, bbq helpers, our Ladies Committee and anyone else who assisted on the day. A big congratulations to our member, Kara Durante, who competed in the Australian Board Riders Battle on the Australia Day weekend. Kara was awarded four days of coaching under Australian and World Champion, Lane Beachley and National Coach Andy King. Kara put in an impressive performance as a rookie at this inaugural event. Congratulations Kara!

Also, Blake McCrindle has been selected into the Australian Royal Lifesaving Team ( Opens ) and also has been selected as Coach for the U19 Team. Blake is now off to Thailand for a training camp. Maddy Haywood got a Silver and a Bronze at the National Royal Championships. Well done to you both!

LIFESAVING MEETING Thank you to all who attended our recent lifesaving/patrol meeting run by Matt Waugh (Director of Lifesaving) and Ben Harris (Club Captain). This was an important meeting to discuss issues with our patrols and the things we need to do on the beach as volunteer lifesavers. It was great to see so many of the younger members at the meeting. If you ever need any advice or information please do not hesitate to contact Matt or Ben. Wanda is a great club with a great tradition and we want to make sure we keep it that way. When you are on patrol, make sure you are; .

And stay vigilant at all times.

Congratulations to one of our fabulous Patrol Captains and member, Kathleen Fox (patrol 2). Kathleen has recently become engaged. Congratulations to you Kathleen and your partner, Shaun. Also another member, Angus Martin, our esteemed IRB driver on patrol 2 has welcomed baby Ryan into the world with his partner, Leanne, on 25 September 2013. Congratulants to you both.

JOCK ATHLETIC AUSTRALIA DAY RUNNING FESTIVAL 26TH JANUARY 2014 A Massive Day once again - it was awesome! Can't thank you all enough for coming down, in the rain, and making it such a great day. So great to have Glenn with his children James and Holly there running in the Jane McGrath Classic. Special thanks to our Volunteers and Major Sponsors, Crust Gourmet Pizza bar -Cronulla,Splash Tapas Bar, BDO Accountants, T-Bone Media and Hydr8 Performance Water for the continual support. Special mention to Runnulla - Performance Footwear and Clothing Cronulla, Adidas Eyewear, SKINS Australia and SunSense for their awesome prizes and giveaways. Finally, give it up for Maddie Taper, Rosie and Stephen Waugh, our official course photographers + Kurtis Smith, our MC on the day. We are so proud to raise money for the McGrath Foundation. And this year, we were able to raise approximately $2000 for Wanda Surf Club from proceeds from the Corporate Dash. Amazing effort from our sponsors and supporters. 2.5km Men's winner - Mitch Palmer (Wanda) 6km event - Michael Fox (1), Ali Najem (2) 6km event - Ciaran Williams (2) Corporate Dash Men - Jock Athletic won the event, with all Wanda members - Jock Campbell, Michael Fox, Ali Najem and Mitch Palmer Corporate Dash Women - Jock Athletic won again, with Laura Bolton, Ciaran Williams, Elly O'Donoghue and Chloe Gentle And Kurtis Smith was our MC - last minute call up. He was great.

SPONSORSHIP POLICY AND PROCEDURES Dear Wanda Members RE: Wanda SLSC Sponsorship Policy and Procedures Update Wanda SLSC has had a Sponsorship Policy document for a number of years. Each year it is circulated to Wanda members to ensure everyone is aware of the sponsorship policy and procedures. It is important that Wanda SLSC continues to develop and maintain a professional and equitable approach to managing the Wanda SLSC sponsorship program. This letter is a summary of the Sponsorship Policy and Procedures document: 1.

The Wanda SLSC Sponsorship Policy and Procedures:

1.1

Acts as a guide to assist the Club, when negotiating with sponsors, the types of benefits available to them.

1.2

Endeavours to ensure that Wanda SLSC is consistent in its approach in dealing with all sponsors.

1.3

Highlights that certain Wanda SLSC approvals must be sought before a sponsorship is pursued.

1.4

Stresses the importance of no conflict of interest with sponsors within the same industry.

1.5

Endeavours to ensure that Wanda SLSC does not enter into a sponsorship agreement where an organisations’ objectives do not match Wanda SLSC.

Finance and Sponsorship Committee

2.1

The Finance and Sponsorship Committee is the responsible entity for managing the sponsorship program for the Wanda SLSC. The Assistant Finance Director is the Chair of this Committee.

2.2

The Wanda SLSC Sponsorship Manager is also a member of the Finance and Sponsorship Committee. The Sponsorship Manager’s role and responsibilities involves seeking, securing and maintaining sponsorship for the clubs’ activities as agreed by Wanda SLSC.

Sponsorship Approval Process 3.1

While most of the sponsorships are negotiated and developed by the Wanda SLSC Sponsorship Manager, there are times when Wanda SLSC members may be in a position to pursue various contacts and networks for sponsorship opportunities. When Wanda SLSC members pursue sponsorships it must be undertaken in a professional manner and approved first by the Finance and Sponsorship Committee.

3.2

Any Wanda SLSC member wishing to seek and approach a potential sponsor must submit a request for approval via the Finance and Sponsorship Committee. This is important so that the Committee can assess and scrutinize the potential sponsor to ensure there is no conflict of interest with current sponsors and/or Wanda SLSC objectives. IMPORTANT: The current sponsors are attached FYI. Members or sub-committees must NOT approach current sponsors on this list unless you have approval from the Finance & Committee.

3.3

To ensure that sponsorship opportunities are not missed in between Finance & Sponsorship Committee meeting schedules, Wanda SLSC members can contact the Assistant Finance Director. The matter can be dealt with via email with the Committee (provided the proposal is not too complex that it requires detailed face-to face discussion - a special meeting may be deemed necessary in this instance).

3.4

Any Wanda SLSC member who discusses a sponsorship and associated benefits with a potential sponsor must not make any commitments until they have talked through their ideas with the Wanda Sponsorship Manager who will keep the Sponsorship and Finance Committee informed. Wanda SLSC has developed Sponsorship Benefit Levels so it is important that we provide benefits in a consistent and equitable manner.

Managing Sponsorships

All sponsorships will be clarified in writing through a letter of agreement or the standard Wanda SLSC Sponsorship Memorandum of Understanding. In some cases the sponsor’s sponsorship agreement contract will be used and the sponsor may insist on it for legal reasons especially for sponsorships worth $5500 or more. Wanda SLSC members who are responsible for a sponsorship eg surf life saving equipment for their section or an activity such as a carnival, must get sponsor approval in writing every time you use the sponsor’s logo. It’s a legal requirement. Ongoing communication with Wanda SLSC sponsors is very important. It makes or breaks the success of the sponsorship and whether it will continue. Just because Wanda SLSC has received sponsorship funds it does not end there. Wanda SLSC believes in maintaining long term relationships and loyalty with supporters. That is why the Sponsorship Manager’s role is valuable when they manage the sponsorship for Wanda SLSC they ensure this communication happens. The types of communication important to the success of a sponsorship include: Thank you letter personally signed by the Wanda SLSC President Christmas card Letter/acknowledgement in times of achievement/ congratulations Flowers/card of condolence in times of need Telephone calls to touch base and get feedback (including a debrief after the sponsorship is complete) Invitations to key Wanda events/informal drinks at the club Photos provided (informal/fun) of the equipment/carnival sponsored Supporting the sponsors products and services – let them know that you do! VERY IMPORTANT. Over the years Wanda SLSC has established and maintained a number of long term relationships with sponsors eg Caltex, Brooks, Tradies, Fitness First. Sutherland United Services Club, Purnell Motors, Cronulla RSL, Rockdale RSL and Southside Runners, just to name a few. Many of these sponsors have financially supported the Club for well over ten years and our partnerships are still going strong. We rely of these funds and it is very important that we protect these relationships. Wanda has built a reputation for being professional, reliable, consistent and considerate of our sponsors. As we have legal sponsorship agreements with our sponsors I cannot stress enough how important it is that all members follow the policy and guidelines, especially the Sponsorship Approval process at point 3. Thank you for you support on this matter. If you have any queries please refer these to the Finance & Sponsorship Committee. LIFESAVING REQUIREMENTS All Under 15 to Open members shall be rostered to a patrol at the start of the season All members are required to attend their rostered patrols or arrange a substitute for that patrol All members not attending their patrol should advise their patrol Captain before the patrol so that we can ensure that we have correct numbers on all patrols All members must be in attendance before the start time of their patrol to assist with the set up in the morning and must be in attendance during the patrol and not leave unless approved by Patrol Captain All members must ensure that they have their full uniform on for the start and finish of the patrol and this also includes the skull cap as well as the red wide brim hat or cap that was supplied to all members before the end of the season NO MEMBER WILL BE ALLOWED TO SIGN ON IF NOT IN UNIFORM Members must ensure that they advise their patrol Captain when leaving the beach for any reason Members who miss a rostered patrol will have to make up that patrol plus a penalty patrol if no sub is found Members who miss 2 patrols will be asked to attend a Lifesaving Meeting to explain why they have missed Members failing to attend will be suspended from the club until such time they appear All members must ensure that they have done their annual proficiency before 31st December. If you are not proficient after this date. Members must be VIGILANT when on patrols and ensure that we are carrying out our duty of ensure that people are kept in flag area during patrols (patrols are not for catching up on your sleep) All members of the patrol must assist with the set up and pack down of patrols Request for leave for end of year exams must be applied for in writing to the Club Captain before the dates of the exams All members must ensure that they sign on for patrols in the patrol log and off at the end of the patrol so that your correct hours can be recorded in surf guard All members are reminded that every Sunday at 11.00am we conduct a surf race of which all members must complete at least 1 every month
