GETTING STARTED WITH ENDNOTE X7 EndNote is a reference management software application which enables users to manage all the references that they need for their research in one place. Users can select a citation style from a large number of styles available on EndNote. EndNote also contains a ‘Cite While You Write’ (CWYW) feature. This allows users to automatically insert citations and build their bibliography while writing a paper in MS Word. References can be imported from a range of online databases that WIT subscribes to and from free online sources such as Google Scholar. References can also be entered manually. Images, figures and objects such as PDFs or spreadsheets can be attached to references. Endnote X7 has an online companion site called Endnote online. You can log in to your EndNote online account from any computer or device with an internet connection by going to www.myendnoteweb.com or from the library webpage library.wit.ie/Resources/databases. You can create and manage your references from this online account. Check our EndNote online guide for more information about EndNote online.

OPEN ENDNOTE •

From the Start Menu, choose Programs and select EndNote Program.

You may be asked at this stage whether you would like to integrate your EndNote Web account with your EndNote Desktop. For now choose Do Not Integrate with EndNote Web at this time. This can be changed later in the Preferences menu.

CREATE A LIBRARY •

Next, we’d like to Create a new Library

This will be our library for storing all of our references for later on

Name your Endnote Library and click Save

Usually, your EndNote Library is saved in My Documents. You can save your EndNote libraries anywhere you choose on your hard drive or network.

EndNote creates a folder name.data and a file name.enl. If you want to copy or move your EndNote library you need to copy both folder and file.

VIEWING YOUR LIBRARY

Search your library by typing your search term into the Quick Search Box at the top of the screen. If you need to do more complex searches click on the Show Search Panel just to the right of the Quick Search Box.

By clicking on the options to the left you can choose to view all references, references as per their assigned groups etc. They will appear in this pane. The bottom left hand corner tells you how many references are held in the library and how many are currently showing in the display box.

Reference: Quickly edit your references: Enter text in a field by clicking on the field Preview: Displays the selected reference as it is formatted in a bibliography PDF: Open and view PDF files attached to the current reference. Attach a PDF to a reference Change the layout of the panels to your own liking

ADDING REFERENCES TO YOUR LIBRARY There are a number of ways to add references to your EndNote Library. • Creating References Manually • Direct Export from Library Bibliographic Databases • Import References from Saved Files • Import PDFs • Search and Add References from Online Bibliographic Databases within EndNote

CREATING REFERENCES MANUALLY You create a new reference by clicking

on the toolbar (shortcut = Ctrl+N).

An empty New Reference Window opens

From the Reference Type drop down menu, choose the appropriate option for the type of reference you are creating

New references appear as Journal Articles, but this can be changed to the many other types available

Enter the reference details in the appropriate fields

When all the fields have been completed, choose File and Save

Your reference is now saved in your EndNote library

ENTERING TEXT/ATTACHING FILES IN INDIVIDUAL FIELDS

AUTHORS: • Author names can be entered either first name and then last name (e.g. Catherine Mary Truss) OR Last name, then a comma, then the first name (e.g. Truss, Catherine Mary). • Multiple authors must be entered on separate lines. Press Rtn/Enter after each one • EndNote will suggest and automatically enter names for you if they have been used before in the library. New names that have not previously been used will turn red. YEAR: • Enter in the year in the usual way (e.g. 2004). Text can also be entered if necessary such as “unpublished” or “in press.” JOURNAL: • EndNote will suggest and automatically enter a journal name that matches your typing if there is any in your library already • When what you are typing no longer matches any journal previously used in the library, the name will turn red PAGES: • Pages can be entered as a full range of pages (e.g. 125-128) or as a truncated range (e.g. 125-8) • EndNote will convert the format entered to the format required in the style • When entering page numbers there is no need to use p or pp, Endnote will format for you DATE: • This is actually a text field and will be shown in your bibliography exactly you enter it • Do not include the year here. If your style calls for date information, the year will be pulled from the year field KEYWORDS: • Enter keywords with a line break, semicolon (;) or a backslash (\) between each keyword. Keywords can be a single word or a combination of words (e.g. Risk Management) URL: •

URLs can be copied and pasted into the field or can be typed in manually. Clicking on the URL will link you to the website.

ATTACHING A FIGURE: • Open the reference, then select References > Figure > Attach Figure … • If the file inserted is a picture (i.e. .bmp, .jpg, .gif) you will see a thumbnail image of the picture • Only one file linked to the Figure field per record is allowed CAPTION: • This field is connected to the Figure field • The contents of the caption field will be used as the caption for the image when the image is inserted into a Word document.

ATTACHING PDF FILES TO REFERENCES •

You may wish to add pdf files to your references. Select the reference you want to add the pdf to and click the paperclip icon on the Tabs panel.

Choose the pdf you want to attach. It will now appear in the Attached PDFs tab.

Note

You can work with attached PDFs to add sticky notes, highlight text, print and email the document, etc. Hover over the icons in the PDF toolbar to view their functions.

Make sure RIS format is chosen under Export format, and click Export

Your references are added to the Imported References and the All References tabs.

After performing a search mark the checkbox in the results list of those items that you’d like to save in EndNote You can select more than one item at any one time For those items you wish to add to your EndNote library, choose Add to Folder When all items have been added, click the Folder icon from the top-right

Re-select the references to be saved, and choose Export

Next, choose Direct Export in RIS format (e.g. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero) Click Save If prompted, Open with Endnote.exe. Your references will be added to your EndNote library

From the results list, select the checkbox of those items that you would like to save to your EndNote Library. Please note: It is only possible to mark 10 items at a time in Emerald. To mark and save more than 10 items or save permanent lists, you need to register with Emerald for a Personal Account

When you have selected all your items, click GO at the top of the list to add the items to the marked list. Choose Marked Lists from the menu on the left. This displays only those articles that you have marked for saving Mark the checkbox next to those that you would like to save to EndNote Choose Export Options above your marked list

After performing a search mark the checkbox next to the items you’d like to save to your EndNote library in the results list When completed choose the Send to drop down menu option. Under Choose Destination, select the option Citation Manager Click Create File

The file will download in RIS format to the bottom of the screen

DIRECT EXPORT FROM GOOGLE SCHOLAR

To import references from Google Scholar (scholar.google.com), you first need to make some changes to allow you do this

From the menu at the top of the page, choose Settings

Scroll to the end of the screen to find Bibliography Manager.

Choose the option Show Links to import Citations into… and choose EndNote from the drop-down menu.

Click Save.

Click on Library links in Scholar Settings. Ensure that Waterford Institute of Technology is selected

Now, when you run a search on Google Scholar, you’ll notice a link Import into Endnote after each item

Choose this link for direct export of the reference into your EndNote library

The file will download to the bottom of the screen

Click on the file to open it

It will automatically save to the Imported References in EndNote

Remember

You can only import one reference at a time into your EndNote Library from Google Scholar

IMPORT A REFERENCE FILE FROM LIBRARY BIBLIOGRAPHIC DATABASES EXPORTING CITATIONS FROM THE COCHRANE LIBRARY • • •

A different approach must be used when saving references from databases such as The Cochrane Library After performing a search mark the checkbox next to the items you’d like to save to your EndNote library in the results list When completed choose Export Selected

Under Choose your export options choose whether it is PC, MAC etc. and which file type you prefer Click Export Citation This will create a small text file (notepad) that will be imported into EndNote shortly

Click on the downloaded file to open it. A text file opens up.

Save the file with a meaningful name. Saving the file to the Desktop is the most convenient.

Next, you will need to import the file into your EndNote library

From Endnote, choose Import and File

Next, select Choose File and locate the text file downloaded to your desktop

Click Open

Under Import Option, Choose Cochrane Library (Wiley), if this option isn’t available from the drop down menu, choose Other Filters and choose it from the menu.

Under Duplicates, choose Import All, and Text Translation: No Translation

Click Import

Note

If there is no specific import option for a particular database try choosing Reference Manager (RIS) from Other Filters.

IMPORTING PDFS You can easily import a single PDF or a collection of PDFs that you may have stored on your computer into EndNote and create references for them as you do so. To import a single file: • In your EndNote library select File > Import … > File • In the pop-up window Import File click on Choose … and select the saved PDF • Select the PDF under Import Option • Click on Import and your references will be imported into your library

To import a folder of PDF files: • In your EndNote library select File > Import … > Folder • In the pop-up window Import File click on Choose … and select the saved folder • If you wish to create a group set for the imported folder tick the appropriate box • If you wish to maintain any subfolder structure in place in the folder click the appropriate box • Select the PDF under Import Option • Click on Import and your references will be imported into your library

To set up automatic import of PDFs into EndNote EndNote can be set up to automatically import from a selected folder on your computer • Go to Edit > Preferences > PDF handling • Tick the option Automatic PDF importing and select your folder by browsing • From the options at the top of the dialogue box you can also choose to have the files re-named automatically upon import if you wish • PDFs added to the folder selected will automatically import to the Unfiled group

Note

NB: How successful you are when importing PDFs depends on how the PDF is formatted. EndNote imports the references by extracting Digital Object identifiers (DOI) from PDF files and if the DOI isn’t present it cannot bring in the references. The PDF file also needs to be “readable” and not a scanned document

SEARCHING WITHIN ENDNOTE • • •

It is also possible to search some databases and retrieve references from directly within Endnote. The example below shows how to search Web of Science within EndNote. Click the Online Search button on the top bar

This opens up the Online Search tab on the left hand menu

A number of databases are already configured for searching. To add additional search connections click More

Using the Quick Search option, or by scrolling, find and highlight Web of Science (TS)

Click Choose

This adds Web of Science (TS) to the Online Search tab, and can now be searched to find and add references.

Enter your search terms and options and click Search

When the search has completed, you’ll be notified of the number of results retrieved.

Click OK to add these directly to your EndNote Library.

Remember

Any search items you retrieve will automatically be added to your EndNote Library. Be careful not to add hundreds of irrelevant records because of loose search terms.

ORGANISING YOUR REFERENCES WITH GROUPS • • •

Adding lots of references to your library might make it difficult to locate the correct reference when you need to. Similarly, if you’re doing more than one writing project, you might find it easier to arrange your library separately Rather than creating multiple EndNote Libraries (not recommended by EndNote), you could arrange your references into different folders, or Groups within your Endnote library You can organise your references in two ways; through standard Groups, or Smart Groups

CREATING GROUPS

To create a group, from the top menu choose Groups and Create Group.

Your new group will be placed under the existing My Groups set You can name your Group typing the name, and hitting enter Your group is now created, and you can now add references to this group

To add references to you groups select and highlight the references that you’d like to add to your group. Press CTRL when clicking on each reference to select more than one item. Click and drag the highlighted items over to the Group and release your mouse. This adds the references to your group. You can create a number of different Groups per Group Set. You can also rename your Group Set. To rename My Groups, right click on the title and choose Rename Group Set. Type your new Group Set name and hit Enter on the Keyboard. 21

CREATING SMART GROUPS Smart Groups allow you to create groups that EndNote will automatically add references to, based on a set of conditions that you state. •

To create a Smart Group, from the top menu, choose Groups and Create Smart Group

A dialog box will appear. You can name your Smart Group, and set the conditions of your Smart Group. Here, I’m creating a Smart Group called Recent Publications that will automatically group together any items that are published in 2013.

When you’re done, click Create. You’ll see that the Smart Group is created, and any items already in your library will be added to this group automatically.

Any future items added to your library that match the criteria will also be added to the Smart Group.

CREATING GROUP SETS Creating a Group Set allows you to create multiple different groupings of Groups and Smart Groups. •

To create a Group Set, choose Groups and Create Group Set from the top menu.

Type your Group Set name and hit enter. You can now add Groups and Smart Groups to this set

Notes on Groups: • Items placed into groups will still be available from the All References tab • Adding items to groups will not remove them from the All References tab • Deleting a reference from a Group will only delete the reference from the Group itself. The item will still remain in the All References tab. To delete a reference from the entire library, go to All References and delete the required reference from there. • Deleting a reference from a Smart Group or Group Set will move the item in the ‘Trash’ folder. It will no longer be available in the All References Tab.

CREATING COMBINATION GROUPS

You may want to combine groups and smart groups in order to better organise your EndNote references. You can do this by using logic operators (AND /OR /NOT) to create combined group sets.

From the groups tab select Create from groups

A Create from groups dialog box appears

Give the combination group a name by entering the title in the Group Name

In the “Include References In” section select the groups and smart groups that you wish to combine connecting them with the AND/OR/NOT as appropriate

Click the Create button to save your changes.

Your combination group should appear in the Groups panel.

REFERENCING WITH ENDNOTE This section describes how to begin referencing your documents using Endnote. Before you begin to reference, you need to set a referencing style that EndNote will use to create your citations and reference list.

SETTING A REFERENCE STYLE •

Endnote has thousands of pre-created styles to choose from. The most commonly-used reference styles (AuthorDate, APA and Harvard) are available within EndNote

From the drop down Style Menu in the Tool Bar, select your preferred Style

Annotated is the default setting. You can choose from those listed. If the style you need isn’t listed (like APA), choose Select Another Style

From the Dialog Box, click APA 6th from the menu

Now click Choose

This will be added to your Reference Style drop down menu in your Endnote Library, and selected as default style

When you’ve selected your preferred referencing style, you can click any item in your library and Preview what your Reference list will look like with this style applied

The reference below is previewing the APA 6th style

When using EndNote for your thesis or assignment work, be sure to follow the referencing guidelines advised by your School or Department. WIT Libraries bases its referencing guides on information from the book: Pears, R. and Shields, G. (2010) Cite them right: the essential referencing guide. 8th edn. Basingstoke: Palgrave Macmillan. If you wish you can download this style for EndNote from the More for Researchers page on the WIT Library website. It will appear in your EndNote library as Harvard_WIT copy.

SYNCING YOUR DESKTOP LIBRARY WITH YOUR ONLINE ACCOUNT \

• • •

There is an online version of the EndNote desktop software. EndNote X7 gives you the ability to automatically back up references via EndNote online. You can sync one library with up to 100,000 references, 5000 groups and 5GB of attachments. You can only link one library to an EndNote Web account. You can link your EndNote online account to the desktop version by going Preferences menu option and selecting Sync and Enable Sync

Enter your EndNote Web username and password in the appropriate fields or create a new EndNote account

Complete the required fields to register with EndNote

Once you have clicked the “I agree” button at the end of the registration you are ready to sync your EndNote accounts. Click the sync button

You may be asked at this stage to create a compressed library backup

Click yes

Save the compressed library in an appropriate location

You have now completed the syncing process. To sync future changes from EndNote desktop to EndNote Web simply click on the sync button on the top toolbar

Once you have synced your accounts the Groups panel includes a Sync Status button

Clicking here allows you to view number of references and the number of file and figure attachments that EndNote updated during the last Sync process

Note

You can sync your accounts at any time by clicking the Sync button on the toolbar at the top of the screen in EndNote desktop

USING ENDNOTE WITH WORD 2010: CITE WHILE YOU WRITE •

When you open a Word 2010 file, you might notice a tab at the top menu for EndNote X7. When EndNote is installed it will automatically install two files in your Word Startup folder that allow EndNote and MS Word to communicate and enabling Cite While You Write (CWYW) in EndNote.

This Tab will allow the user to add references to a document, as well as create bibliographies and add citations. Each citation will be entered in the style that you have selected in your EndNote library.

As you enter a citation, the full reference is added to your bibliography as you go along. You can also insert images and objects that are attached to references in your library.

Any changes you make to references in MS Word will not be reflected in your EndNote library.

ADDING A CITATION TO A PIECE OF TEXT • •

Click the EndNote X7 tab in the top toolbar. Place the cursor of your mouse next to the section you’d like to add a citation. In this case, I’m going to add the citation details to the end of the quotation, after the word ‘group’.

To insert the citation, click Insert Citation and choose Insert Citation

Search for your reference using the Find command. Here, I’m searching for my citation by placing the author’s surname in the Find box

Once the reference has been located, click the Insert button

This places the citation in the text of my file, with the Authors and Date information included

In order to identify and deeply investigate the thoughts and opinions of Human Resource managers dealing with work life balance initiatives, a number of focus groups were conducted. A focus group is a group interview on a specific topic; which is where the ‘focus’ comes from. It is an open-ended group discussion guided by the researcher. (Robson, 2002) These focus groups were sound recorded, and transcribed immediately after concluding.

ADDING PAGE NUMBERS TO A CITATION

Place your mouse cursor on the citation you would like to add page numbers to. From the tool bar, choose Edit & Manage Citation(s) Enter the page details in the appropriate field. Note: there is no need to enter p. or pp. Endnote will add these according to the chose Reference Style. Click OK. Note: Typing the page numbers directly into the Word 2010 file won’t work. To add page numbers to your citations, remember to Edit Citations. 29

(Robson, 2002, pp. 284-285) These focus groups were sound recorded, and transcribed immediately after concluding. The analysis of the findings from these focus groups is discussed in Chapter 6.

EXCLUDING AUTHORS FROM CITATIONS Work life balance and male employees is often over-looked in research projects. Gregory and Milner described their research project, which looks at the impact of work life balance initiatives on male employees (2011).

If the author details are already mentioned within the body of the text that you are about to cite, then you can omit the author details from the citation itself, as per the example above.

When locating your Citation for entering, instead of choosing Insert, click the downward arrow to reveal more options and choose Insert & Exclude Author.

ADDING MULTIPLE CITATIONS FROM ENDNOTE INTO WORD •

When citing more than one reference in one citation, it is best to go to EndNote first

From your EndNote library, choose the references you’d like to place in one citation. Select and highlight those required. Use CTRL to select multiple items

Click on the ‘Go to Word Processor’ button on the top menu

Now, head back to your Word 2010 document. Place your cursor in the position that you wish to add the citation and click Insert Citation

Choose Insert Selected Citations

This adds all of those citations selected in EndNote into your Word document

Much has been written about work life balance initiatives in the workplace over the last number of years. (Baral & Bhargava, 2011; Crompton & Lyonette, 2006; Dunne, 2007; Gregory & Milner, 2011; Murphy & Doherty, 2011; Murthy & Guthrie, 2012)

Did You Know?

Every time you enter a citation from your EndNote Library into the text of your Word Document, EndNote also generates a reference list at the end of your Document, and updates it as you continue to reference?

CREATING A BIBLIOGRAPHY IN WORD 2010 WITH ENDNOTE •

To create a bibliography list of all or some of your references in your library, go to EndNote. Select those references to add to your bibliography.

Insert a figure or table citation in a document. Search open EndNote libraries to find citations.

Format or reformat your document according to the rules of the selected Bibliographic Output style. The EndNote formatting process replaces the temporary citations in your paper with formatted citations and builds a bibliography at the end of your document

Convert to Unformatted Citations Remove the bibliography or unformat citations in a document. Doing this removes style formatting for the selected citations and leaves temporary citations surrounded by delimiters. You can then use Update Citations and Bibliography to format the document later.

Convert to Plain Text Using this function allows you to save a copy of your document without formatted Cite While You Write field codes. Formatted citations and the bibliography are saved as text.

Instant Formatting Automatically updates your reference list as new citations are added to a document.

Turn Instant Formatting Off If you turn instant formatting off, you will need to use the Update Citations and Bibliography function to update your reference list having added new citations to a document

Configure Instant Formatting… Arrange how instant formatting behaves when editing a document

Export Travelling Library Create an EndNote library containing the references cited in the document.

Export Word Citations Create an EndNote library containing the Word citations in the document

Export Word Master List Create an EndNote library containing the Word master list of citations.
