Faculty Salary and Effort on Sponsored Projects 1 October 2012

Faculty Contract Full-time Emmanuel College faculty hold 12-month contracts, and the teaching load is three, four-credit semester long courses per semester over the 12-month calendar year period, unless other arrangements are made with approval by the Department Chair and the Dean of Arts and Sciences.

Budgeting for Faculty Salary/Effort on Proposals Faculty salary on proposals for sponsored projects should be expressed in percentages of effort over the calendar year, whenever possible. If asked by a sponsor to express effort in person-months on a proposal budget, the person-months should be listed as calendar year. Budgeting for faculty salary on sponsored projects should reflect the faculty member’s best estimate of the effort that he or she will be devoting to the project over the calendar year and must be in accordance with sponsor requirements, federal regulations, and College policies.

Charging Faculty Salary on Sponsored Projects Faculty salary may be direct-charged to a sponsored project in accordance with the funding for faculty salary approved by the sponsor in the award budget. Working with the faculty Principal Investigator (PI), OSP will establish a project budget via a Notice of Award form at the time that the award document is received from the sponsor in OSP. The Business Office will charge salaries to the project budget as indicated in the Notice of Award. At the end of each academic term, the faculty PI will be asked to certify his or her effort on sponsored projects. In order to perform work on a sponsored project, the faculty PI may request released time over the 12month calendar year, resulting in a reduced course load. The faculty PI salary would be direct-charged to the sponsored project – in accordance with the approved award budget, and the College may hire an adjunct instructor to teach the course not being taught by the faculty PI that term. Note to Faculty PIs: 

If you are planning to request a reduced teaching load to perform work on a sponsored project, your request for released time must be reviewed and approved by your Department Chair, prior to submitting your proposal to OSP. If you are not requesting a reduced teaching load, will you be requesting a salary supplement from the College? If so, your request for a salary supplement must be approved by your Department Chair, prior to the submission of your proposal to OSP.

Time & Effort Certification The faculty PI salary will be direct-charged to a sponsored project in accordance with the funding approved by the sponsor in the award budget document and as indicated by the faculty PI when the Notice of Award is created. At the end of each term, the faculty PI will be asked to certify their effort on sponsored projects where their salary is directly charged.
