Student Etiquette and Guidelines

IN-CLASS AND COMMUNICATION ETIQUETTE

ATTENDANCE

Students are expected to comply with the following guidelines when attending lectures and interacting with lecturers and administrative staff in Griffith College:

Your success on your chosen Griffith College programme is enhanced by a variety of learning supports both in-class and through online resources. Your participation and attendance at lectures are critical to ensure you are benefiting from these supports through the duration of your studies, Activities including in-class discussions, simulation exercises and workshops, for instance, depend on participants’ attendance. So, while each learner has a responsibility for organising and managing aspects of their own learning, enrolment on a programme also entails commitment to participation. The nature of participation - whether it is face to face, via the internet, or by some other means - and its scale, will differ between programmes. Full information about the time and location of teaching and assessment arrangements as well as information about your programme’s attendance requirements will be provided by your faculty. We ask that you:  Make sure that you understand and fulfil the attendance requirements for your programme  Keep in contact with your faculty regarding any attendance difficulties

 All mobile phones must be switched to ‘silent’ mode or switched off during lectures and may not be used or viewed during lectures  You are prohibited from recording lectures or any staff or student activity on campus without consent.  Students are asked to respect the start time of lectures as late arrivals can disrupt the concentration of others.  All emails between you and academic/administrative staff of the College are formal in nature. T As lecturers have varied working hours, please be aware that there may be a delay in their response. Lecturers normally publish contact hours to indicate when they are available to meet with learners.  You are expected to be courteous and polite to others inside and outside of the classroom at all times while on Griffith College grounds or engaged in an activity with the College.  Should you need to leave a lecture early, it is polite to excuse yourself to your lecturer (preferably before the commencement of the lecture)  It is not permissible to come to lectures intoxicated.

Understand that any sustained period of unexplained or unauthorised absence or lack of participation will have to be investigated and may be subject to disciplinary procedures and / or reported to the relevant authorities if applicable.

Registration

The function of registration is to ensure that Griffith College has full and accurate records for each student. All students must register online before programme commencement. Online registration allows students to pay fees, seek tax relief and access essential college resources such as Moodle. It also ensures you are registered with the validating body. Students who do not register cannot successfully participate in college life, cannot take examinations and will not be able to graduate. Registration can be completed by logging to www.my.griffith.ie. Once you have completed registration and paid your fees, you will be entitled to access the services provided by the College to its students. New students can log in to www.my.griffith.ie using the 7 digit reference number found on your offer letter. Your password is your date of birth in the format day/month/year. For example, if your date of birth is the 1st of June 1990 you would use 01/06/1990 including the forward slashes. Returning students can log in to www.my.griffith.ie using your Moodle username and password. Should you have any queries in relation to the registration process please email registration@griffith.ie.

Personal Details If you find an error in your personal details after registering, or something changes after you have completed registration, you can update much of your personal details on www.my.griffith.ie. If you are unable to update your details on www.my.griffith.ie, inform your faculty programme administrator. They will issue you a Learner Record Amendment Form (LRAF) to facilitate your request and will liaise with the registration on your behalf to update your records. You can also download LRAFs from Moodle. Please note that your name will appear on your graduation certificate, or parchment, as it currently appears on your college platforms such as MyGriffith.ie, Moodle etc. Your parchment is a valuable legal document produced by our awarding body, QQI. It is very important that your personal details are accurate.

The Right to Refuse Admission The College reserves the right to refuse admission to any of its programmes of study at its absolute discretion. The College reserves the right to make all appropriate enquiries of any applicant and of any student who has been admitted. If an applicant or student fails to disclose any information that in the view of the College could affect the health and safety of others, the College reserves the right to refuse admission or to require the student to withdraw from a programme of study, as the case may be. De-registration The College reserves the right to de-register or withdraw students in the case of poor attendance, inadequate or inappropriate participation in class, or if found in breach of any College regulation or policy. Once deregistered, you forfeit all claims to a place in class and to College facilities. Deferrals If you wish to apply for a deferral you must complete a LRAF and submit it to your faculty programme administrator to be approved by your Programme Director. If approved, your Programme Director will outline the conditions of the deferral and submit your LRAF to your faculty Programme Administrator for processing. There are a few different types of deferral: 1. Programme Deferral; if you wish to defer your full programme of study until the next academic year. 2. Module Deferral; if you wish to defer one module of your programme until the next academic year. 3. Component Deferral; In the event that you need to defer your assessment to the next exam sitting due to extenuating circumstances such as illness you will need to seek a component deferral. In the event that your deferral request is unsuccessful you will have the right to appeal the decision. You can find more information on the appeals process in section QAE15 of the Griffith Quality Assurance and Enhancement manual available on Moodle. Registration for Supplemental Exams and Assignments If you have failed or did not complete a subject during the academic year, you are required to retake the subject at the supplemental sitting that is normally held in August. You will be automatically re-registered by the College for this sitting and invoiced for any relevant repeat fees by the Student Fees Office.

Reception The College’s Reception team provides assistance and direction to students in relation to room locations and scheduled classes. Reception is open from 8.30am-8:30pm Monday-Friday, and 9.00am-3:00pm on Saturdays and Sundays during semester. Opening hours vary outside term-time. Please note that Reception staff cannot accept coursework on behalf of a Faculty, nor can they provide a messaging service on behalf of students, except in emergency situations. GETTING AROUND DUBLIN AND GETTING TO GRIFFITH COLLEGE DUBLIN

Dublin Bus services operate 7 days a week from 6:30am and run until approximately 11.30pm Monday to Saturday. Times can vary on Sundays and Bank Holidays. For details on timetabling and fares you can visit www.dublinbus.ie. The 68 and 122 buses stop right outside Griffith College. The 9, 16, 49 and 54a also stop near the

college.

Dublin Bus also operates a late night bus service called Nitelink. Tickets can be bought with coins only or can be prepaid on the Dublin Bus website.

The Luas is a tram service which has two stops within 15 minute walk of the college on Harcourt St and in Rialto. More information can be found at www.luas.ie.

The DART is a suburban rail service with three main stations in the city centre; Pearse Street Station, Tara Street Station and Connolly Station. For more information, please visit www.dart.ie. Taxis can be hailed on the streets or booked through services such as MyTaxi. For safety, always ensure that any taxi you get into has the drivers’ Taxi License, including photo, clearly displayed. responsibility for all academic matters in relation to the delivery and assessment of your programme. Programme Faculty Head/Programme Director Directors and Faculty Heads in conjunction with your Faculty Administrator handle all requests for deferrals and student progression issues. Most class groups are appointed a Year Head from the academic faculty staff. The Year Head is responsible for the smooth delivery of your programme. In particular, they Year Head

maintain strong communication links between the faculty, students and lecturers in a particular year. Year Heads assist Programme Directors/ Faculty Heads by providing a similarly supportive role to students within a particular class/group. Lecturers have primary responsibility for delivering the individual modules of your programme. Should you encounter

ACADEMIC STUDENT SERVICES The Academic Student Services office provides a range of academic administrative supports, to both staff and students, in dealing with the student life cycle including admissions, registration, exams, graduation and student records. Award Verifications, Educational Verifications for career screening and duplicate academic documents can be requested through the Student Services Office which can be contacted at studentrecords@griffith.ie. Drop him a line on sean.martin@griffith.ie and arrange to meet with him to review your career. Student Fees The Student Fees office manages all student accounts and payment of fees. We have a number of policies that govern fee-payment procedures in the College. All of our Student Fees policies and procedures are briefly outlined below. The Student Fees Office (D006) is open Monday to Friday between 9.30am and 5.30pm. STUDENT FEE POLICIES AND PROCEDURES  Payment is due in full before commencement of term, unless you have an approved Direct Debit arrangement with us.  A Registration Fee of €250.00 is applicable each academic year.  Fines are strictly imposed for late payment of fees.

Should your account remain in arrears, further sanctions may be imposed by the College, including but not limited to removal from class, non-correction of assignments and denial of access to examinations. The College also retains the right not to register you with the relevant awarding body.  It is college policy not to refund fees under any circumstances.  Should you commence a programme and subsequently withdraw or defer from the programme at any stage of the academic year, full fees remain due at that point. In the event that you have to repeat a full year of a programme, the fee applicable will be the standard programme fee for the academic year in which the student repeats the year. REPEAT MODULES 

In the event that you are repeating one or more modules and are required to attend class for that module/s, the standard module fee is applicable.

In the event that you are repeating one or more modules and are not required to attend class for the module/s, the fee applicable is €120.00 per module.

Students classified for fee purposes as Non EU on application shall retain that fee status and continue to pay Non EU fees for the duration of their programme following admission, whether studying full-time or part-time and irrespective of holding a work permit or change of status of visa.

Counselling A counselling service is available to all students. The first 6 sessions are free of charge. The meetings take place off campus on the Crumlin Road (Dublin 12) providing anonymity for students who wish to avail of this service.

International Office The International Office is located on the ground floor of the Academic Facilities Building (AF105). The International Office acts as a resource for international students in the College. You can e-mail the International Office at international@griffith.ie or visit the office during their contact hours (9.30-17.30 Monday - Friday). The International Office will assist you in applying for a PPS number, opening a bank account and renewing visas. SPECIAL NOTE ON ATTENDANCE FOR INTERNATIONAL STUDENTS Apart from College regulations on attendance, the Irish Department of Justice Guidelines outline that International students must maintain an attendance level of 80% or more for the duration of their programme. Any attendance level lower than 80% is not acceptable. The International Office also monitors attendance on a regular basis to ensure that all International students adhere to this regulation. If there is a valid reason for non-attendance, you are required to provide an explanation along with any relevant documentation to your Faculty Administrator and also send a copy of this documentation to the International Office. In this case, certified or documented absences will not affect your attendance record. VISA EXTENSION LETTER REQUESTS This service is only provided by the International Office. Students must apply for a Visa Extension letter using the on-line letter ordering systemwww.gcdinternationaloffice.ie. Having completed the letter ordering process, you will automatically receive an email giving the date you must call to the International Office to sign off on your request. When doing so, you will be given your attendance rate and the date after which you may go to the Garda National Immigration Bureau to renew your visa. It is imperative that you have a valid email address when using the on-line letter ordering system. You should apply for a Visa Extension letter a minimum of 21 days prior to your visa expiring. Catering on Campus Arthur's Bar & Restaurant is located on the ground floor of the Academic Facilities building and is run by Compass Group Ireland. Several healthy, nutritious and well balanced meal options are available to suit all budgets and lifestyles. Daily menu choices include the "Classic Counter" serving traditional home cooked foods, such as casseroles, Lasagne, Pies; "Healthy Options" for the Calorie conscious, including a daily fresh Salad Bar and Juicer; "Live Action" for stir fry, chargrilled and theatre style cooking. Our “Global Counter” touches on foods from around the world, Asian, Indian, Mexican, Caribbean, & European. Arthur’s “Sandwich Deli Bar” serves freshly prepared sandwiches, wraps, baps and bagels with great daily Meal Deal Offers. Arthurs Café Bar houses a Starbucks Coffee Counter and a Subway Sandwich Counter. A prepaid Meal Plan account is also available at Arthurs. The Library All the library staff are there to help with your information needs during your time as a Griffith College student. They can assist you with sourcing information for your assignments and dissertation including access to books, journals and databases. They are there to facilitate you, so please feel free to consult them at any time. The Library Collection includes books, journals, dissertations, music manuscripts, CDs, videos, DVDs and computer software as well as online journals and databases for all faculties. Colour printing, scanning and photocopying facilities are also available within the library. Please note: Library opening hours may change from time to time, so keep an eye on new notices in the Library, on our information page on Moodle and on Facebook STUDENT CARDS You will be given a new student card at the beginning of the academic year. As part of the online registration process, you are asked to upload a recent photograph of yourself, taken in the last 6 months. This photo will be used to produce your student card. Once your student card has been printed, you will receive an email advising you to collect your card from the College Library. You will be asked to present your student card to gain entry to the examinations halls and you should carry your card with you whilst on campus. IT Services IT Services aims to provide efficient and professional IT support to staff and students at Griffith College. Griffith College IT Services encompasses a dedicated Support team running the IT Help Desk and a 2nd level support team which manages all hosted services for all students (including Cork and Limerick), for e.g. Moodle our learning management system, student email, websites etc. Your Griffith Username and Password Once you are fully registered you should be able to log on to all of the Griffith College systems. Your username is your student number and your password is your date of birth e.g. 28/05/1983. Note that if you change your password on one system this will not be reflected in the others. MyGriffith, Student Intranet, College Website and Email MyGriffith will be your central resource for all your online college needs during your time with us. Through this site you will be able to access all your Griffith Online services including Moodle, student email, and online payments. The site will also provide you with access to your current and past exam results. You will be able to update your personal information. For example, in the event of a change of address or phone number simply update your details online here. Moodle is Griffith College’s Student Learning Management System. It is the main resource for your programme information. Here, you will find all the information on your programme and subjects including past exam papers, class notes and exam timetables, assignments, access to information databases and college regulations. You will also find procedures and academic forms. Student Email All students are assigned a college email account. This account will be for not only for the duration of your attendance at Griffith, but will continue as a Griffith Alumni member. Computers, Printing & Photocopying Currently over 250 Windows PCs, 135 Mac PCs and 50 laptops located across 14 computer laboratories, offer industry standard software for student tuition. W004 - OPEN ACCESS PCS W004 is commonly referred to as the 'open lab'. It has 20 Dell PCs that are available for general use by all students in the college. All PCs are configured to print to the print centre W003. There are also 20 laptop stations with power sockets and Wi-Fi available.

Students’ Union and Sports at Griffith College Griffith College Students’ Union is the representative body for all Griffith College students. As the largest independent College in Ireland, Griffith has placed an emphasis on expanding the Students’ Union in line with the expansion of the College. All students are actively encouraged to become involved so that they can directly influence and organise activities and events. The SU Officers hold full-time sabbatical appointments for a period of one academic year and they are elected by their fellow students every year. Griffiti Griffiti is a magazine produced by the Students’ Union. It is produced by the students and with the students’ interests in mind. It concentrates on the activities of the SU, upcoming events, how previous events went, popular culture and issues pertaining to student life. The magazine was founded in 2004 and has been a huge part of the SU ever since.

Sports and Societies Griffith College Dublin has a range of sports clubs and societies, many of which are organized by students. Current sports clubs include basketball, rugby, soccer (men’s and women’s), volleyball, table tennis, pool, darts, and cricket. To become a member of any Club or Society, just sign up during Freshers’ Week, or contact any Students’ Union Officer for more details. Freshers’ Week takes place in the first week of term, and details for the array of events are available from the Students’ Union Officers. Students are encouraged to approach the Clubs & Societies Officer with any ideas for new clubs and societies. Schedules for all societies and clubs are available from the SU office and are posted on the SU website. Sporting Facilities Griffith College Dublin has use of the nearby Iveagh Grounds sports facilities, which are available to Griffith College students There is also a fitness room on campus that all Griffith College students can avail of. It’s equipped with treadmills, bikes, step-masters, leg curls, rowing machine, abs machines etc. You will be asked for a €50-euro membership fee to join the fitness room (€ 10 deposit and 40 membership/annual fee). You will then be issued a ‘key fob’ and you will also be asked to sign a ‘conditions of use’ form. The fitness room is unsupervised and therefore you must have knowledge of how to use the machines and must take responsibility for your own safety. There is a pool hall on the top floor of the Meagher Building and the SU also has sporting goods available for student use on campus including footballs, basketballs, rugby balls etc. To organise access to the fitness room or borrow any sporting goods (goods may not be borrowed overnight – only during Students’ Union opening hours) from the SU Office simply contact su.sports@gcd.ie or telephone +353 1 4150 460 or by drop into the Students’ Union. You will be asked to leave your student card with the SU Office until the borrowed items are returned

Assessments and Examinations Your academic progress at Griffith College is generally assessed through a combination of assignments and examinations. It is the responsibility of every student to acquaint themselves with the College’s rules and regulations governing examinations. All forms and policies referred to in this section are available to download from Moodle. If you have any further questions relating to college assessment procedures, please contact Student Services or the examinations office at examinations@griffith.ie or +353 1 4150 485. Assignments and Projects All course work must be submitted by the appointed deadline. It is college policy not to grant extensions other than in exceptional circumstances. It is important to make and keep a copy of every assignment/ project/ dissertation you submit to the college. Assignments will not be accepted without a signed Assignment Cover Sheet. This coversheet is available on Moodle and should be attached to both hard copy assignments and soft copies submitted through turn-it-in. Examinations For programmes that are divided into semesters, examinations typically take place in January and May. Examinations for linear based programmes are typically held in May. A supplemental examination sitting normally takes place in August. Please refer to Moodle for a full listing of all college regulations regarding examinations, including guidelines on procedures before, after and during examinations. PAST EXAM PAPERS Griffith College is launching a new way to view past exam papers during 2018. Better Examinations Exam Management system allows users to see past papers which have been made available generally to students and staff. You also may not write notes of any kind on your person. Any unauthorised material found in your possession will be confiscated immediately and your actions may be construed as an attempt at cheating. A full investigation will take place, which may result in disciplinary action. 20 | P a g e


Your Results Examinations results are normally available within 4 weeks of the completion of the examinations. You may access your results on my.gcd.ie using your student number and password. Please note that semester results remain provisional until they have been approved at the relevant Exam board at the end of the academic year. Transcripts of results are only issued in hard copy on completion of your programme. It is your responsibility to ensure that the College has your correct address. Any changes to your contact details can be made on mygcd.ie or by contacting your faculty administrator. INTERPRETING RESULTS HOW A MODULE RESULT IS CALCULATED? Each assessment component completed is marked out of 100%, with the minimum pass mark normally set at 40%. This is possible when the mark achieved is between (35% - 39%) or (45-49) or according to the pass mark of the programme. Exam Boards Examinations Board meetings are normally held twice a year, in June and September. The purpose of the Examinations Board is for External Examiners to review student work and to approve students’ provisional results. WHAT TO DO IF YOU FAIL AN EXAM? WHAT CONSTITUTES A FAIL For most programmes, the pass mark is 40%. If you receive less than 40% in your overall assignment mark and/or your overall examination mark you must resubmit the assignment /retake the exam of the failed component for consideration by the supplemental Exam Board in the autumn at the next available sitting. However, two very important consequences should be noted: Regardless of how well you perform in your repeat exam or assignment the results of that component will be capped at the minimum pass mark. • For most full time programmes, failure in the repeat attempt in any module automatically means you are not normally permitted to progress to the next stage of the award. REVIEW OF RESULTS Students are afforded the opportunity of discussing their assessment results with their lecturer(s). Such consultations or review feedback meetings are aimed at giving guidance to improvements to future performance, and can be very beneficial for revision and repeat preparation. Such requests must be made directly to the Faculty Office within 10 days of the release of results. ADMINISTRATIVE RE-CHECK OF ASSESSMENT RESULTS A re-check refers to the operation of checking the administrative recording and addition of marks and that all attempted parts of the question were marked and that no computational error occurred during the marking process or in the transfer of marks to the results sheet or database; it does not involve any review of assessment performance or the merit of the mark awarded. Request for re-checks must be lodged within five days after the results have been released to MyGriffith by the Examinations Office. The request must be submitted on the appropriate form to the Faculty Administration Office, along with the fee of 100e. In the event of an error being found, which would result in a change to the mark awarded, the fee will be refunded. For more details and access to forms referred to in these sections, please refer to section QA E15 of the Griffith College Quality Assurance and Evaluation Manual or the Exam Papers/Information Section of Moodle.

Appeal of Results A student wishing to appeal the decision of an Examination Board may do so in accordance with the following conditions: 1.

The learner believes that there was a non-academic irregularity in the manner in which his/her assessments were conducted

2.

The learner wishes to present information of mitigating circumstances which were not known to the Examinations Board. In this case the learner must also show good reason why such circumstances could not have been made known prior to or at the Examination Board meeting.

3.

There is a breach of natural justice.

It is important to note that disagreement with the academic judgement of the Examination Board cannot in itself justify grounds for appeal. All approved marks go through a rigorous internal and external checking and moderation procedure in adherence with Griffith College’s Quality Assurance Controls

Graduation This year more than 1,000 students will graduate from Griffith College with Quality Qualifications Ireland (QQI) ICM, BTEC and Griffith College qualifications. The 2018 Graduation Ceremonies will take place oncampus in the Griffith College Conference Centre where, on the day, graduates can look forward to celebrating their achievements with family, friends and staff. HEALTH AND SAFETY Maintenance As a student of Griffith College, you are asked to treat the College buildings and the campus with respect and in accordance with the Student Code of Conduct. The maintenance team provides an ongoing service to ensure that the College grounds and classrooms are maintained to a high standard for both our day and evening students. Please assist them by disposing of your litter in the bins provided and by noting that eating and drinking is NOT permitted in classrooms, computer laboratories or in the Library. Accidents and Emergencies It is extremely important that any accident or injury is immediately reported to a member of staff in order to facilitate prompt medical attention. In the absence of a member of staff in the vicinity of the incident, Reception should be notified, Security may also be contacted at +353 1 4150 495. Evacuation and Fire Alarm Response All College buildings are equipped with fire alarm systems and fire extinguishers. The fire alarms will be activated and the buildings evacuated if a fire or other incident occurs that endangers persons inside the buildings. As stated in the College’s Safety Statement whenever a fire alarm is activated you are required to evacuate the building, go to your nearest assembly point and do not return to the building until the all clear is given by a Fire Marshall or designated member of staff. If you discover a fire or other incident that endangers the people inside a building, raise the alarm by breaking the nearest available break glass point and then follow the evacuation procedures. Do not attempt to tackle a fire. Please co-operate with all instructions from a Fire Marshall or designated member of staff. Please note: Fire drills are conducted from time to time. As with actual fire alarms, fire drills require immediate evacuation of the building and outdoor assembly. Please make yourself aware of your nearest means of escape. Property and Equipment You must not intentionally or recklessly interfere with or misuse any equipment etc. provided for the safety, health or welfare of students and staff. Should you become aware of any defect in equipment, or of property, place of work or system of work that might endanger safety, health or welfare you are requested to report this to a member of staff.

Cars and Parking on Campus Parking facilities are available on campus. If you wish to park on campus, you must have a valid (2018-2019) College Parking Permit. You can request a parking permit as part of online registration. If you change your vehicle during the academic year, please remember to transfer your parking permit to your new vehicle and update your vehicle registration details at www.my.griffith.ie. Gender Neutral Toilets Following feedback from our student body, and in keeping with the College’s ambition to provide a welcoming and inclusive environment for all its students, gender neutral toilet facilities are being introduced at our South Circular Road campus. The facilities will be located at Arthur’s restaurant, the 1st floor of the AF building, and the ground floor of the Link block.
