INTRODUCTION First and foremost thank you again for booking a stand with The Rare Brand Market, your business is appreciated. We spend a lot of time on this information pack, because we want you to know that we take our job as the venue hirer, and event organizer very seriously. We also do it with so much care because we want you to have all the information you need to trade successfully and smoothly. If there are mistakes concerning your booking or any information quoted about your brand in this document that is incorrect, please be assured that this an internal information pack and is not publicized on our website. Please just contact us ASAP via email to enquiries@therarebrandmarket.co.uk As our advertising states – we believe we are West Sussex’s most stylish Christmas Market and we aim to make Christmas shopping “Elegantly Easy” for the West Sussex local lady. The market will have circa x120 Bijou Brands from Clothing, Accessories, Gifts, Home-wares, Children’s goodies, Toiletries, Food and Drink. The break down should be approximately 25% Food and Drink and 75% is the rest of the categories, so the customers really can get all their Christmas shopping done under one roof, plus enjoy a social coffee or light lunch/afternoon tea thus making Christmas shopping more of a pleasure. Please see the list of brands booked on the following page. This will be our 9 th year at Goodwood, and our 10 th Christmas market. We moved to Goodwood following on from the success of our 2009 Christmas Market at “Farbridge Barns”. We outgrew this venue as we really have become West Sussex’s most stylish Christmas Market: The Rare Brand Market decided to secure a larger venue with better facilities and parking, plus The Goodwood Estate have agreed to help us with the Marketing by allowing us to mail-shot their huge database of local Goodwood members. By having the bigger event space The Rare Brand Market can offer a larger table exhibition space. The Racecourse is the kind of larger venue we were after and The Charlton Stand provides the best event space within The Goodwood Racecourse complex. We have two spacious levels with views on one side to the South Downs and the other to the South coast. You can see why countless Corporate Groups and Weddings hire the space to ensure their event is successful. The Double Trigger is now our food hall and homes the main reception where the public will enter through to the event, This year we are delighted to have Luckes running the Rare Brand Café in the Horsewalk and they will be providing a wonderful selection of Breakfast and Light Lunch options. Coopers Beans and Leaves will be back with us again in the Charlton Stand offering a fabulous selection of Barista coffees/Teas and a lovely selection of cakes and small snacks. So again this year in, with improved venue space, the 3-day package and with the benefit of the Goodwood Marketing support we are truly hoping the 2018 Christmas Market proves to be our greatest to date. We hope the weather, which we can’t control, will be kind to us! As you should know following your conversations with us to date, the Goodwood market will be 9am to 4pm trading hours. The market seems to be most busy from opening at 9am to 1pm, with the majority of trade being done in this time window, 1pm to 4pm is still steady, but by 4pm and because of the darkness at that time of the year we believe 4pm is a good time to close. Enjoy reading the pack, any comments let us know. The Rare Brand Market team will certainly be spending all of our time on “shouting from the rooftops” about the Market to ensure we are firmly posted in peoples diaries as the must-do Christmas shopping event in West Sussex. This started some weeks ago when we emailed our database, therefore ensuring over 2000 people will have received a ‘save the date’ e-shot into their inboxes!

HOW TO GET TO THE RACECOURSE GET TO GOODWOOD...By road Goodwood is located just outside Chichester, only 60 miles from London, 30 miles from Brighton and Southampton. FROM LONDON Follow the A3 (Junction 10 on the M25) south towards Guildford. About 3 miles past Guildford, at the Milford turning, take the A283 to Petworth, then the A285 to Chichester for about 6 miles. Just beyond Upwaltham, turn right at the brown Goodwood sign. Continue 3 miles along the road to the racecourse. FROM THE EAST Follow the A27 towards Chichester. At the Tangmere roundabout before Chichester, turn right following signs for Boxgrove & Halnaker. Go through the village and straight over at the crossroads, (there is a flint wall on your right). Continue on this road for about half a mile, turn right at the T-junction and continue on for 2 miles. Turn left at the next junction and the racecourse is on the right. FROM THE WEST Follow the A27 to Chichester. At Chichester, stay on the A27 By-Pass/Ring Road. After the only set of traffic lights, take the second exit at the next roundabout signposted Goodwood. At the next roundabout take the second exit. You will pass the Motor Circuit on the left, until you reach a small roundabout. Go straight over this roundabout and continue straight on and follow signs for Goodwood Racecourse. Turn right into the Racecourse and follow the road round and you will find a gate entrance on the left hand side, as you drive though the gates to the right hand side is the Racecourse offices, park anywhere in this area and report to the Racecourse Reception. YOUR STAND LOCATION, STAND COSTS, INVOICES AND FINAL PAYMENTS Your stand location: At the point of booking we aim to agree a stand location with you. Sometimes the stand number changes because of venue layout changes and the numerical layout of the venues, but your stand position should stay as agreed from the outset, e.g. the booking stage. Please make sure that you look at the floor plan carefully and ensure you are happy with your position that was booked. We will not be able to adjust anything on the actual event days as this is too logistically challenging. Your stand costs: We sell stand space at our event in the form of 6ft and 4ft trestles (both 2ft6” depth) and via specially agreed “space only” pitches. Each type of space/stand sold has a price tag according to what you have told us you need. Some brands who book early to get the best spots, in the best location’s and with the best space have paid a premium for this. With regards to the space you have been allocated…If you end up coming with roller rails, furniture or other display kit in addition to your stand space then WE HAVE TO KNOW about this. We need to allocate space to you in accordance with how you need to set up your stand. Please make sure you inform us about your space requirements accurately, so that if you need more than your booked table, we know about it. Different charges may need to be applied. TRBM is VAT registered. So 20% does get applied to all our charges. Power or EXTRA Lighting for your stand is charged EXTRA – please make sure you have booked it with us. If we have had a booking from you for Electrics then we will have marked your stand with a BLUE P SYMBOL– please double check to make sure the plan had this for you, if it does not then please email enquiries@therarebrandmarket.co.uk Receipts and Invoices: You should have received your receipt/invoice to confirm your stand purchase (deposits and final balances) this would have come by email. OVERVIEW OF MARKETING CAMPAIGN qAdverts in carefully selected lifestyle magazines and newspapers – see slide 14 for examples qPR + Editorial Coverage – we have an in-house PR manager who spends her time securing useful PR and editorial coverage to promote the event and the brands booked qDatabase Marketing – we do various forms of database marketing, through our own database (circa 2000) and also the databases of other businesses that we network with who also serve customers that are ABC1 demographic qAssociated Marketing – we negotiate with other businesses who serve the same customer as the one coming to our markets and try and work together with them on associated marketing opportunities. qFlyers / Leaflets – we distribute thousands regionally on the run up to the events. Sometimes the leaflets also have offers on them for example 2 for 1 on entry tickets. qPosters – we put up A4 and A3 portrait posters on carefully selected notice-boards regionally. Once again concentrating on areas where we know potential footfall will see them. qRoad Signs – 50 to 75 of these go out on major road junctions (council’s permitting, some areas are not permitted and so we have to be careful as fines can be charged!) qRoad Banners – TRBM have negotiated some key road side locations for banners to be put up, usually about 6-8 get put up, they range in size. qCharity Support – At each event we raise money on the door for a chosen charity, we work with the charity on any associated marketing work we can do together. qViral Marketing – Facebook, Twitter, Blogging – we do it all!! And we ask Brands to help us with this too.

This years market is bigger than ever, and Emma has also put together a collection of products that she feels really stand out from the crowd, which will be showcased at the market. The event will also help raise money for the children’s charity Winston’s Wish. With ample free parking on-site and barista coffee, breakfast, lunch, light bites and tea and cake on offer, The Rare Brand Christmas Market is a great day out and the perfect opportunity to get your Christmas shopping sorted – imagine come mid November and your christmas shopping list is done – WOW! STAND PRESENTATION As we have been called ‘‘West Sussex’s’’ most stylish Christmas Market we like to think that we live up to our name. Our venues and our brand selection do most of the work for us on this front but your stand presentation helps too. This year we are supporting
Winston's Wish is the leading childhood bereavement charity and the largest provider of services to bereaved children, young people and their families in the UK. They offer practical support and guidance to families, professionals and anyone concerned about a grieving child. They believe that the right support at the right time can enable young people to live with their grief and rebuild positive futures. On the day we will be charging £10 entry, and £1 of every entry fee will go straight to Winston’s Wish. Our last two events raised close to £2000 for this charity.

IMPORTANT – PLEASE READ LOAD IN AND OUT INFORMATION: You can either load in and set up the day before i.e Wednesday 21st November from 2pm-6pm or the morning of the 22nd November between 6am-8am. Its up to you. BUT if you do wish to do the day before then PLEASE let us know and we can ensure TRBM have the appropriate levels of staffing to assist you. We will have x2 HSS Hire Goods Trolley’s to help with anything heavy, and Goodwood Racecourse is well serviced with lifts/ramps etc, being a public events venue. FOR LOAD IN AND TO PARK UP – PLEASE GO TO THE EAST ENTRANCE, DO NOT GO TO THE WEST ENTRANCE AS YOU WILL HAVE TO LOAD UP SOME STAIRS, SO TO AVOID THIS, WE REPEAT, GO TO THE EAST ENTRANCE. At the east entrance a Rare Brand Market team member will be waiting with luminous jackets and clipboards to check you off our list!! We will give you special passes to enter the site and we will give you a window of “un-loading” time of approximately 30mins, we will then ask you to get back in your car and take it round to park up for the day at the car-park which is behind the Charlton stand, which is off Kennel Hill, just after the west entrance, see maps this slide, and on slide 12. We will direct you on the day, at every point possible, with TRBM team members wearing luminous jackets, but in a nutshell the exhibitor parking is the 2nd right, after the Main West Entrance off Kennel Hill in the direction of Singleton. To see the Goodwood Racecourse Site locations that I have mentioned please see the site map below – the Charlton Stand is pink on the map – SEE THE KEY….. Load Out of the market will commence at 4.15pm on Saturday 24th of November, unless we communicate otherwise on the event day itself. We will be providing some traffic control for the exit of the car-park, in case we have a lot of cars wanting to leave at the same time.

THE RARE BRAND MARKET TERMS AND CONDITIONS
Each Exhibitor has been allocated a pre-agreed space within the venue and will be provided with the agreed number of tables /spacing as confirmed when booking the event. Please note x1 chair per pitch, sufficient white table covering and an A5 sign will be allocated to you. Please check the venue plan with stand-layout and please email us if you have a query ASAP. Any queries must be sorted out prior to the event. We cannot sort out queries during setup for the event, that is why we agree your stand position ahead of the event. Please note – if you are in the horse-walk room you are on the lower level and if you are in trigger building you are in a separate building to room 1, 2 and horse-walk. Once deposit or full payment is made for your stand, we are unable to give full refunds as we reserve space for you exclusively: - 12 wks or more 10% admin fee - 8-12wks 20% admin fee - 4-8wks 75% admin fee - Under 4 wks - non refundable We are unable to assist with load in. Please bring a trolley or specialist equipment if you have particularly heavy items. Each Exhibitor is responsible for the removal of all packaging and refuse generated from their stand and should ensure this is not left anywhere inside or outside the venue, we will provide you with bin liners. Exhibitors are not allowed to make any alterations to the flooring or walls and the cost of any damage caused will be charged to the Exhibitor. Each Exhibitor should expect a Risk Assessment to be undertaken by The Rare Brand Market prior to trading to ensure no escape or key routes are obstructed. TRBM have their own Event/Public Liability insurance and Goodwood obviously have theirs, but each Exhibitor needs to have their personal stock insured for loss and damage, and please make sure this includes “stock in transit” and off-site from your base premises/storage facilities. TRBM will not take any responsibility for Exhibitor stock and stand equipment. Each Exhibitor should ensure that their stand is manned throughout the 9am-4pm trading hours and work with other Exhibitors to have breaks. Each Exhibitor should allow for sufficient carrier bags to support their sales. Each Exhibitor will be offered access to a power point at an additional cost but should specify this on the booking form or advise us whether this is required in advance of the event. Any equipment used must be PAT tested and comply to current electrical standards. Each Exhibitor should try to be able to offer either mobile EPOS/Streamline or the ability to accept cash and cheque as payment for goods. The purchase of all goods is a transaction between an individual customer and that Exhibitor. WIFI is available at the venue for web or wifi assisted transactions. Each Exhibitor should ensure that their terms and conditions of sales are made available for customers to view and that any recourse or refund is dealt with directly with the individual customer. All retail transactions made at the event are made by the Booked Exhibitor and the customer, the responsibility to the consumer is the Exhibitor’s, so if there are terms and conditions to your sales please remember it is YOUR responsibility to make sure the paying customer is aware of them. If you have only paid a deposit on your stand your final payment is now due and you MUST contact us immediately with a method of payment.
