WAYS TO PAY

Payment is accepted by cash, check and credit card (Visa, MasterCard, Discover and American Express).

REGISTRATION DEADLINE

Campers must be registered by 5:00 pm, Wednesday, 2 weeks prior to the camp week they are attending.

WAITLIST

All camps, with the exception of Flex Camp, will have a waitlist option. Waitlist placements are reserved for campers not currently enrolled in a camp for the week. Each eligible camper may be waitlisted for one camp per week.

CAMP TRANSFER REQUESTS

Campers enrolled through payment in full must submit any transfer request no later than 5:00 pm, Wednesday, 2 weeks prior to the start of the camp week. Campers enrolled through a payment plan must submit any transfer request by May 22. All transfer requests must be submitted via the online form on the camp web page. The first three (3) approved transfer requests are free of charge. Any additional transfer requests will have a $10 service fee per transaction.

CAMP REFUND REQUESTS

Campers enrolled through payment in full must submit a withdrawal request no later than 5:00 pm, Wednesday, 2 weeks prior to the start of the camp week. Campers enrolling through a payment plan must submit any withdrawal request no later than May 22. All withdrawal requests must be submitted via the online form on the camp web page. A $25, per transaction, service fee is applied to all approved refund requests.

PAYMENT PLANS

Payment plans are available to campers attending a minimum of 3 weeks of 5-Day Adventure, 5-Day Sports, Art, or CIT Camp. Any extended care registration fees will be included in the payment plan for campers attending eligible camps. Families interested in payment plans must register, in person, no later than May 15. Payment Plan schedules are determined based on the date of approval and final date of attendance.

FINANCIAL ASSISTANCE

Wheeling Park District residents may apply for financial assistance. The Financial aid/Scholarship Application can be found on the district webpage. The deadline to apply for camp financial assistance is 5:00 pm, Wednesday, three (3) weeks prior to the camp week they wish to attend, if space allows. All financial assistance inquiries and applications are completely confidential.

NWSRA REQUESTS

If your child is in need of NWSRA inclusion assistance please contact Bella Licciardello Allen by email at ilicciardello@ wheelingparkdistrict.com to make a request. Please note that NWSRA requires a minimum of 2 weeks for all requests.

CAMP GROUPS

All camp groups will be made based on grade with the exception of Little Campers. Groups are subject to change week to week due to flexible enrollment options.

FRIENDSHIP REQUESTS

Friendship Requests are available to 5-day campers only. Friendship requests will only be considered if both participants submit a request online no later than 2 weeks prior to the camp week and are in the same grade. Requests are limited to 2 other campers for the entirety of the summer. All requests are considered but not guaranteed. No requests will be accepted after June 12. Siblings will not automatically be put together.

PARENT HANDBOOK

Parent Handbooks will be available on the camp webpage and at the CRC. The handbook covers everything you need to know about our camp program including lunch information, swimming information and swim days, what to bring, codes of conduct, medical information and more.

EPACT

ePact is the health and safety software the district uses for summer camp. Invites will be sent to the person who registered the camper. ePACT must be completed before the first day of camp. Campers will not be allowed to attend camp if ePACT registration is not fully completed. Any tech support must be done via ePact NOT WPD Staff.

Little Campers

Age: 3-5 years old (Must be 3 by September 1, 2023)

Location: CRC

Through themes like nature, music, animals and more, explore, discover, create and make friends. Visits to the Splash Pad at the Family Aquatic Center are also part of the fun. Designed and supervised by early childhood education teachers, Little Campers is the perfect camp for your 3-5 year old! Campers must be fully toilet trained.

Junior Adventure Camp

It’s an excellent adventure! Great facilities, experienced counselors, fun activities and creative crafts make for a memorable summer just for kids. This camp spends most of the day outdoors. Campers participate in theme weeks, attend on-site special events and swim at the Family Aquatic Center Mondays, Tuesdays, and Thursdays. AM and PM Camp Care is available; see pages 12-13 for more information.

Art Camp

Grades: K-6 (Entering in Fall 2024)

Location: CRC

Get creative! Experience several art mediums while learning new skills and techniques. Artists enjoy weekly themes, on-site special events, and swim at the Family Aquatic Center Mondays, Tuesdays, and Thursdays. AM and PM Camp Care is available; see pages 12-13 for more information.

Counselor in Training

Grades: 6-9 (Entering in Fall 2024)

Location: CRC

This unique leadership opportunity is designed to teach motivated young adults to work with campers. CITs assist counselors in supervising campers, preparing supplies, leading games and, most of all, learning leadership skills. CIT is perfect for those who aspire to become camp counselors. CITs will be assigned to work with Adventure Camp, Sports Camp or Art Camp. All assignments will be made by the CIT Leader.

AM Camp Care

Need flexibility? AM Camp Care offers a convenient program for those attending camp. Caring, responsible staff conduct activities and ensure each camper’s safety in a controlled setting until camp begins. Light snacks are provided. Activities include games, arts and crafts, playground time and more.

IMPORTANT INFORMATION

The Wheeling Park District is committed to conducting its recreation programs and activities in a safe manner and holds the safety of participants in high regard. The Wheeling Park District continually strives to reduce such risks and insists that all participants follow safety rules and instructions that are designed to protect the participants’ safety. However, participants and parents/guardians of minors registering for this program/activity must recognize that there is an inherent risk of injury when choosing to participate in recreational activities/ programs.

You are solely responsible for determining if you or your minor child/ward are physically fit and/or adequately skilled for the activities contemplated by this agreement. It is always advisable, especially if the participant is pregnant, disabled in any way or has recently suffered an illness, injury or impairment, to consult a physician before undertaking any physical activity.

WARNING OF RISK

Recreational activities are intended to challenge and engage the physical, mental and emotional resources of each participant. Despite careful and proper preparation, instruction, medical advice, conditioning and equipment, there is still a risk of serious injury when participating in any recreational activity. All hazards and dangers cannot be foreseen Depending on the particular activity, certain risks, dangers and injuries may exist due to inclement weather, slips and falls, poor skill level or conditioning, carelessness, horseplay, unsportsmanlike conduct, premises defects, inadequate or defective equipment, inadequate supervision, instruction or officiating and other risks inherent to the particular activity. In this regard, it is impossible for the Wheeling Park District to guarantee absolute safety.

WAIVER AND RELEASE OF ALL CLAIMS AND ASSUMPTION OF RISK

Please read this form carefully and be aware that in signing up and participating in this program/activity, you will be expressly assuming the risk and legal liability and waiving and releasing all claims for injuries, damages or loss which you or your minor child/ward might sustain as a result of participating in any and all activities connected with and associated with this program/activity (including transportation services and vehicle operations, when provided).

I recognize and acknowledge that there are certain risks of physical injury to participants in this program/activity and I voluntarily agree to assume the full risk of any and all injuries, damages or loss, regardless of severity, that my minor child/ward or I may sustain as a result of said participation. I further agree to waive and relinquish all claims I or my minor child/ward may have (or accrue to me or my child/ward) as a result of participating in this program/activity against the Wheeling Park District, including its official, agents, volunteers and employees.

How to Register Online!

Step 1: Visit https://webtrac.wheelingparkdistrict.com

Step 2: Enter your Username and Password.

New User: If you are brand new to our district, please click the ‘Create an Account’ button and enter in your information and the information of all household members that reside at your address.

Registered User: If you or anyone in your household has EVER registered for any Wheeling Park District program or membership, you have an active park district account.

Do NOT create a new account. If you do not know your password, please select ‘Forgot Password’ to reset your password. If further assistance is needed please contact us at 847.465.3333 or frontdesk@wheelingparkdistrict.com.

Step 3: Select “Summer Camps” to view all camps. If you know the specific camp you’d like, type in the 6-digit activity number under Activity Code.

Step 4: 5-Day Camps Option: Select the Checkbox(es) then select the “Add to Cart” from the bottom pop-up. Skip to Step 7.

Flex Camps Option: Select the “Go To Calendar” to bring up the dates for the camp you are choosing.

Select the dates the camper will be attending. All selected options will pop up at the bottom of the screen. Once you finish selecting all days for that camp, click on “Add to Cart” at the bottom of the screen.

Step 5: Check the box next to each desired registrant(s) and select “Continue”.

Step 6: Complete waiver form by checking on the waiver agreement box and select “Continue”.

Step 7: The days you are registering each participant for will appear in your shopping cart. To add more camps, select Continue Shopping. If done shopping, click Checkout.

Step 8: Review the Summary.

Step 9: Enter payment information and select Continue to complete.

Step 10: Once your registration has been completed, a receipt will be sent to your email frofrontdesk@wheelingparkdistrict.com. You may need to check your spam folder following your first transaction.
