A STEP BY STEP GUIDE


what is expected from us/you? Worcester Students’ Union is the key provider of student volunteering at the University of Worcester. As part of our provision we offer a brokerage service for volunteering organisations in the West Midlands (and to organisations near the University’s larger partner colleges in Devon and Cornwall). This guide is designed to support your partner organisations to register with us, upload opportunities and show you what to do when a student applies for an opportunity. What can you expect from Worcester Students’ Union Volunteering: • Worcester Students’ Union Volunteering will provide a recruitment portal to link our students with volunteer opportunity providers. • We will help and support both opportunity providers and volunteers during the course of their volunteering. • We will provide feedback to the providers from the student volunteers so the providers continue to improve the quality of the volunteering. What we ask of all organisations recruiting volunteers through Worcester Students’ Union Volunteering: • The organisation agrees to provide feedback on the service provided by Worcester Student volunteers and high quality volunteering placement opportunities with differing levels of commitment. • We will consider opportunities on a case by case basis from volunteering providers and other types of organisation, please contact us to find out more. • Worcester Students’ Union, in line with NUS guidelines, will not promote any opportunities which are described as unpaid internships.

Opportunities must meet the following criteria: • The purpose of the opportunity performed is for the broader benefit of society (educational WP or civic purposes). • Opportunities are entirely voluntary, with no direct or indirect pressure by the University, with no promise of direct advancement and no penalty for not participating in the volunteering. • The involvement of volunteers should complement and supplement the work of paid staff, and should not be used to displace paid staff or undercut their pay and conditions of service. • There should be no expectation of compensation (financial or other) either now or in the future for these services (except for travel, project resource and other approved out-of pocket expenses). To start uploading your volunteering opportunities, visit www.worcsu.com/volunteer

register your organisation Register your organisation The first step is to visit www.worcsu.com/volunteer and select the ‘Looking for Volunteers’ page. Select ‘Create an account’ on the ‘Looking for Volunteers?’ page in the ‘Volunteering’ section

The following page should appear. Complete the neccessary information and make sure you have access to your Public Liability Insurance number and document, Employers Liability Insurance number and document, and Health and Safety Policy.

upload your volunteering opportunities Firstly click the ‘Browse Providers’, which can be found as a sub page from the ‘Volunteering’ page. Then click ‘Already registered? Login to promote your opportunities’.

This should then take you through the following page, in which you will be required to input the email and password you used to create your account.

Once logged in you should end up on the following screen. Here you can see the activities you currently offer or activities you have previously offered. To add a new activity click ‘Add new opportunity’.

You will then have to fill in all the details in the separate tabs e.g. details, dates/applying etc. Once you have completed all the information for the activity you will need to save changes. Then someone from the volunteering team here at the Students’ Union will receive an email saying a new opportunity needs approving.

Viewing volunteering applications Once a volunteer registers an interest in one of your opportunities you should recieve an email that states who the volunteer is and what opportunity they have registered an interest in. You will then need to follow the link to your account.

If you click the link within the email you will be sent to the page to log into your account. Fill in your account details and click ‘Log in’.

Once logged in you will see a list of your organisation opportunities. Click on the opportunity that is stated in the email (the opportunity the student has shared an interest in.)

Once you have clicked the opportunity click the ‘Volunteers’ tab. This will show you who has registered an interest, alongside the students email address which you can use to contact that individual.
