How to enroll. It’s important to understand how to use Duke’s Learning Management System - Saba. The Duke Learning Management System (LMS) is a tool that Duke uses to manage employee training. Employees can use the Duke LMS to determine learning needs or requirements, register for courses, launch online content, and view and maintain a transcript.

STEP 1:

Go to https://lms.duhs.duke.edu/Saba/Web/Cloud. Log in with your NETID and PASSWORD. If you need NetID help, email help@oit.duke.edu.

Waitlist

L&OD strongly recommends using the waitlist feature in the LMS for two reasons: ✓ If someone drops the class, individuals on the waitlist will be offered the seat in the order in which they registered. The waitlisted person can accept or decline the offer online or by phone. If they decline, the next person on the waitlist will then be contacted. ✓ When there are enough participants on a waitlist, we do our best to schedule another class as soon as possible. Those individuals will be invited to participate in the new offering before it is opened to everyone.

Payment Information

Upon registration, the LMS will send an automated confirmation email prompting you to provide your department’s cost object number (a.k.a. fund code). A personal check or money order made out to “Duke Learning and Organization Development” is also acceptable. Please submit checks inperson at L&OD’s offices located at 402/406 Oregon Street no later than five business days before the offering date.

NOTE: Failure to provide a method of payment at the time of registration does not cancel your enrollment.

If a method of payment is not provided prior to the start of the course, the employee’s default department cost object number will automatically be charged.

Drop/Cancellation and No-Show Policy

The drop period closes three business days before the course date; therefore, if you can no longer attend the registered offering, you must drop the course in the LMS at least four business days before the offering date to avoid a late cancellation fee. For example: If your class is on Wednesday the 17th, the drop period closes on Friday the 12th, making Thursday the 11th the last day that you can drop the course without penalty. Remember to account for any official Duke holidays, and be careful with transitions from one month to the next when figuring out your last drop day. If you do not drop your course before the drop deadline, the course fee will be charged. Emergency drop and cancellation after the drop deadline is at the discretion of L&OD.

Reaching your goals. Let Duke Help.

Duke is committed to providing employees with engaging and effective individual growth and professional development. L&OD supports this commitment with research, curriculum design, and program facilitation of professional development courses designed to provide learning experiences and insight that can be immediately applied in the workplace. Whether you are just beginning your career with Duke University and Health System, have recently taken on new responsibilities, need to learn new skills, or are seeking opportunities to expand the overall depth and breadth of your professional knowledge, L&OD courses can help you achieve your goals.

Continuing Education Units (CEU)

You can obtain Continuing Education Unit (CEU) credits for most Learning and Organization Development courses by meeting the following requirements:

ACCREDITED

✓ Sign the roster at the beginning of the session. ✓ Attend 90% of the session to receive CEU credit.

PROV I DER

✓ Engage fully in classroom activities and satisfactorily complete assignments. ✓ Complete the course evaluation at the end of the offering. Participants are not required to use, bring, or provide any special materials or technological devices for participation in or completion of classroom activities, unless otherwise notified prior to the session. A participant will not receive CEU credit for the course if they fail to sign in and/or attend less than 90% of the class. Each participant will receive a printed certificate at the conclusion of the class after successful completion. After the instructor has marked attendance in the LMS, participants can print a transcript showing all course completions.

Duke University Learning and Organization Development has been approved as an Authorized Provider by the International Association for Continuing Education and Training (IACET). For more information about IACET and which organizations accept IACET CEUs, visit IACET.org. IACET encourages individuals to check with their specific regulatory boards or professional organizations to confirm that the CEUs received from courses taken from IACET Authorized Providers will be accepted. 1760 Old Meadow Road, Suite 500, McLean, VA 22102.

Consulting Organization Development & Consulting Services

The first step in engaging our services is to contact a member of our team for an initial consultation. If you are not sure what you need, that is okay – that is why we are here. Our goal is to facilitate organizational transformation, collaborating with you in a way that keeps you engaged in the process and provides you with the knowledge and skills to support ongoing development once we conclude our work together. For more details about any of these services, please visit: hr.duke.edu/training/consulting-organization-development.

Transform Your Whole Organization

Learning and Organization Development (L&OD) focuses on developing, improving, and sustaining organizations and teams. Our experienced practitioners consult with you and assess your needs, and then research, design, deliver, and evaluate learning solutions. Our areas of expertise include strategic planning and implementation, organizational assessments, change management, competency development, team development, performance improvement, and retreat design and facilitation around organizational priorities. STRATEGIC PLANNING & IMPLEMENTATION Gain a deep appreciation for the components of strategic planning and implementation in order to achieve strategic results. Develop leaders’ knowledge, skills, and behaviors so you can effectively utilize key components of strategic planning for best results: external environment, strategic intent, innovation, business model, processes, organization design, workforce talent, and culture. ORGANIZATIONAL ASSESSMENTS Understand and apply tools such as interviews, focus groups, surveys, and assessments to identify and address key issues and opportunities for improving your team, department, or organization. CHANGE MANAGEMENT Collaborate with teams and organizations to design, develop, and deliver a change management and leadership plan to respond to external or internal changes impacting the team or organization. COMPETENCY DEVELOPMENT Partner with managers to identify required core competencies (knowledge, skills, & behaviors) for individuals to achieve business and organizational goals. Getting Started | 9

MEETING FACILITATION Partner with managers in their planning sessions for important upcoming meetings, and when the stakes are high, we facilitate the session, allowing you to fully participate. CUSTOMIZED WORKSHOPS Adapt open enrollment classes or create new workshops for teams, departments, or entities—optimizing the time teams are away from work. EXECUTIVE & LEADERSHIP COACHING Organization-wide concerns, as well as individual customer needs, bring significant responsibility. Partner with executives and leaders to ensure success no matter the goal. RETREAT DESIGN & FACILITATION AROUND ORGANIZATIONAL PRIORITIES Partner with managers and teams to achieve objectives and optimize results through designing, facilitation, and evaluating the retreat.

Fees

The initial consultation is provided at no cost to you. If after our consultation you decide to engage our services, our fee is $150 per hour. Rates for facilitation, training and performance improvement initiatives will vary based on contextualization. Although we are a fee-for-service operation, as an internal department serving the greater Duke community, our fees are priced well below market value as compared to external providers offering similar services. In addition, you will benefit from working with professionals who are not only well-versed in the field of Organizational Development and effectiveness, but also familiar with the operation of higher education and health systems. Proposals are valid for 30 days. If not agreed upon and signed within 30 days, the terms of the proposal expire.

Contact Us

L&OD has worked with more than 100 departments and administrative units from across Duke University and Duke University Health System. All services are customized to meet the specific needs of your organization. The first step in engaging our services is to meet with a member of our team to discuss your situation and goals. If you are not sure what you need, that is okay, that is why we are here. We will discuss the challenges or opportunities you have identified and recommend a plan to achieve your goals by utilizing our research-based resources and proven consulting services. WHO’s WHO? Meet your facilitators!

Keisha Williams

AVP LEARNING & ORGANIZATION DEVELOPMENT

Why is it important to have a learning structure in place at an organization? Learning is an investment that should be made for everyone regardless of position, title, or advancement. In Duke Learning and Organization Development we created a staircase of learning that offers educational opportunities to our workforce at all levels. Offering this structure is important to create consistency in the way we grow our employees and allows everyone to have freedom and see the ability to grow in their own journey of learning.

How do you know what learning is needed for the organization? We perform a needs assessment to query what employees feel are their gaps or where they need development. We also query supervisors, managers and senior leaders to better understand what is needed in today’s workforce. To further support our assessment, we take a look across our peer institutions to see what’s trending for skill sets needed for our future workforce. All of the data is pulled together to assist in the development, design, and deployment of our learning modules annually.

Best advice that you would give to someone looking to explore learning opportunities? Become comfortable seeking developmental feedback. Know that you will always be the leader of your own learning journey, do not look for others to designate a map for you. Be intentional about what you are building for, i.e. skill gaps, performance, behavior, etc. Have conversations with your supervisor/manager regarding your professional development and opportunities to stretch and grow in your learning journey.

WHO’s WHO? Meet your facilitators! Donald Shortslef SENIOR PRACTITIONER

What is Crucial Conversations training and how has it impacted individuals in the workplace? Crucial Conversations teaches skills needed to have open and honest dialogue that results in alignment and agreement when facing opposing opinions, strong emotions, and high stakes. People in the workplace who have open/honest dialogue are more productive, communicate more clearly, and have greater self-confidence. Knowing these skills prevents misunderstandings that lead to avoidance and/ or resentment. People who have attended this class tell me how it has improved their relationships and communication with their peers and their managers.

What is the most attended course that you teach? Why do you think there is a great need for this class? Communicating with Diplomacy & Tact 1 continues to be one of the most attended classes that I facilitate. As important as it is to get the work done, it is equally important how the work gets done. Without effective communication skills, we miss out on a lot of information, and we can impact others in negative ways even when we don’t intend to. Learning basic communications skills such as active listening, and being aware of our body language can make a huge difference in how effective we are with people in the workplace.

Discuss the need to create the course on Navigating Challenging Personalities: Detect and Defuse Difficult Interactions. This class came about as a request from several participants of other classes we teach at L&OD. We all encounter “challenging personalities” from time to time. Learning some skills of how to meet these challenges is very important to people in the workplace. The first step though, is to take a look at ourselves and ask, “Is it really them, or is it me? Or a combination of both?” It is easier to change my response than it is to try and change someone else. These skills are practical and can be applied to situations in the workplace as well as at home.

WHO’s WHO? Meet your facilitators!

Abaina Farrell SENIOR PRACTICE PARTNER

What do you like most about building eLearning modules at Duke? Admittedly, part of the attraction of working on eLearning projects is the ability to work on a variety of projects and learn about the different organizational units that exist here at Duke. The beauty of being an instructional designer is that you aren’t limited to being a subject matter expert in any one area; therefore, it fosters a learning environment for all team players. All eLearning modules are different! Each assignment gives me the ability to tap into and build on different instructional design skills that are required to deliver the product that is best for the line of business. It’s a job that is never the same, and that’s a massive benefit.

What is the importance of project management in your professional career? Project management is not just a job, it’s a life skill. You can use a project plan for pretty much anything, both personally and professionally. When you have project management skills, I think you become more organized, more structured in the way you approach tasks and more able to take on responsibility for coordinating with groups. From the outside, a role in project management looks like telling everyone else what to do; that’s part of it, but it is by far more about relationship building and teamwork. Project management is about the planning, delegating, monitoring & control of all aspects of a project, and the motivation of those involved, to meet the objectives within the expected performance targets. It’s about collaboration and teamwork, setting and achieving goals, and providing an outcome that not only meets, but exceeds the needs and expectations of the customer!

Tools for Talking W H E N S TA K E S A R E H I G H

Whenever you’re not getting the results you’re looking for, it’s likely a crucial conversation is keeping you stuck. Whether it’s a problem with poor quality, slow time-to-market, declining customer satisfaction, or a strained relationship—whatever the issue—if you can’t talk honestly with nearly anybody about almost anything, you can expect poor results.

What Is Crucial Conversations® Training? Crucial Conversations teaches skills for creating alignment and agreement by fostering open dialogue around high-stakes, emotional, or risky topics—at all levels of your organization. By learning how to speak and be heard (and encouraging others to do the same), you’ll surface the best ideas, make the highest-quality decisions, and then act on your decisions with unity and commitment.

What Is a Crucial Conversation? A crucial conversation is a discussion between two or more people

where the stakes are high, opinions vary, and emotions run strong. These conversations—when handled poorly or ignored—lead to strained relationships and dismal results.

What Does Crucial Conversations Training Teach? Crucial Conversations teaches participants how to: • • • •

Speak persuasively, not abrasively Foster teamwork and better decision making Build acceptance rather than resistance Resolve individual and group disagreements

Who Needs Crucial Conversations Training? Does your organization suffer from taboo topics, deference, disagreement, analysis paralysis, information hoarding, offce politics, or alienation? Is your organization battling declining productivity, safety violations, low morale, reduced quality, poor customer satisfaction, or other bottom-line concerns? Then you, your team, or your organization needs Crucial Conversations Training.

Leadership & Management Development

The single biggest way to impact an organization is to focus on leadership development. There is almost no limit to the potential of an organization that recruits good people, raises them up as leaders and continually develops them. – JOHN C. MAXWELL, author of The 21 Irrefutable Laws of Leadership

WHO’s WHO? Meet your facilitators!

Joy Birmingham ASSISTANT DIRECTOR OF LEADERSHIP & PROFESSIONAL DEVELOPMENT

What is the difference between management and leadership? I have taught management and leadership skills development for over 30 years. Many people often juxtapose these two roles in the workplace today. Management has been described as those individuals who have the operational knowledge and skills to meet the organization’s goals and objectives by getting the work done. Leadership has been described as those individuals who have the people knowledge, skills, motivation and influence needed to inspire and encourage individuals.

What does Duke want from our Leaders? Duke encourages leadership skills at all levels in the organization, no matter the position. The truth is Duke would not run without the leadership of all employees immersed in the work they do daily. People who are in leadership positions must master both operational skills and people skills. They must have the total package.

What do you love about your work at Duke? My commitment to Duke is to support leadership at every level and to ensure managers can run the business. Learning and Organization Development has the Duke Management Academy for our entry to mid-level leaders. This is Duke’s investment in our community of learners, a yearlong program to ensure operational excellence across all entities. WHO’s WHO? Meet your facilitators!

Gina Rogers ASSISTANT DIRECTOR OF ORGANIZATION & WORKFORCE DEVELOPMENT

How does the work that you do add value for individuals, teams and organizations? Actually, the value of the consulting intervention is that inherent in the process is the potential to tap into latent talent. It has been my experience that working at the micro level of departments offer a richer opportunity to explore ongoing utility of content. Departments that support team development yield benefits for individuals that position individuals to enhance team performance and ultimately, organizational performance.

How do you help clients’ explore development opportunities beyond what they have in mind? By listening to the need. My approach is to see the value in what is being requested and to get curious about where that request is emanating from. More often than not, clients have experienced or heard about a particular framework, model or tool, and what they may not have had is an opportunity to consider the technologies in the context of other variables. As we explore the concern broadly, other mediating and moderating variables may surface, and the conversation may begin to trend towards another framework, model or tool that may provide better utility.

WHO’s WHO Meet your facilitators Srini Iyengar

SENIOR TECHNOLOGY PARTNER

Why is technology important at Duke in the work that we do? Well, not just at Duke but, this is a fundamental question and I will point out the opposite. What would we be or do without technology? How efficient would we be? How would we advance? Technology is a part of everything that we do today and without embracing it, we risk getting left behind. During my service in the USAF, our squadron motto was “Lead, Follow or Get out of the way.” I am often reminded of that motto when I think about technology. The unfortunate thing is that when we don’t lead (or follow those who lead the way in technology), we just don’t get out of the way, we often get left behind. Technology is the fundamental ingredient that shapes our work processes in our daily lives, in both professional and personal areas. The systems and software get more sophisticated each day. If we don’t embrace them, we will not be able to function efficiently. In the business or professional world, it is detrimental not to incorporate the latest and greatest.

What is the most common misconception about technology at Duke? The most common misconception is that you have to be incredibly smart to master technology. It has nothing to do with being smart and has everything to do with acceptance and exposure to it. Our parents and grandparents did not own smart phones, smart TVs or even general appliances, yet all of us operate these things with ease and efficiency. We have all accepted and adapted to the new technology. It did not require any deep intelligence, it just needed to be incorporated it into our lives. There is so much instructional material at our fingertips today that there is no excuse for not learning. There are plenty of people and resources to help. Yes, everyone may have a different learning curve, but the hardest thing is just getting started. Once you start, you build momentum, and build on what you learn and know...the more you learn the faster you get.

As the technology expert how would you suggest that individuals get acclimated in new technology or stay current? There are plenty of online resources to learn technology. As an experienced Technology Trainer, I am fully aware of many learning styles. People not only need hands-on training but also appropriate examples to learn many new features or functions. That is one of the key aspects in our L&OD technology courses; you get both. Others also learn shorter methods of performing various complex tasks. It is a combination of instructor-led classes and online learning (whether you do it on your own or through a program), that will help you to acclimate and learn technology. Good training helps you to overcome fears and go forth to conquer the work or tasks you need to perform. Don’t give yourself a choice of whether or not to learn, instead accept and embrace technology and just keep learning. Keep your eyes and focus on moving forward.

The session will provide tips on writing a strong resume for Duke’s online applicant tracking system. Session Two: Recruitment and the Transfer Process - An active job search is much more than a resume posted online at hr.duke.edu/careers. Understanding job descriptions, networking, and how to identify the right jobs are key to being successful in your search. Staff from HR recruitment will provide insight on finding another job or career opportunity at Duke. Session Three: Interviewing 101 - You’ve prepared your resume, clarified your focus, and applied for jobs, and then you get the call for an interview! What now? Interviewing 101 shares tips on how to prepare for an interview, how to navigate typical interview scenarios, and how to follow-up after an interview. Learn suggestions on what TO DO and what TO AVOID. Visit: https://forms.hr.duke.edu/training/career/ for more information on this program.
