Log Into The Student Management System (SMS) To Complete Your Admissions Documents
You should have already received a separate email with login information for SMS.
In the email, select "Click here to set your own password" and then create your password in SMS. You will then be asked to log in with your username (XA ########) and the password you created.
Once you are logged in to SMS, click "Admission Forms" on the left side panel. You will need to complete the folllowing:
Click the red "Student Handbook" link. Review the handbook and sign on the last page via DocuSign. Answer the question "Please tell us how you heard about Xavier" and click "Confirm" at the bottom of the page.
Click the red "Acceptance Letter" link and sign your acceptance letter on the last page. Please make sure you add your name, date, and signature via DocuSign.
Click the red "Contact Information / Billing Contact Information" link and complete all of the information on the next page. When you are done, click "Save" at the bottom of the page.
Click the red "Admissions Documents" and complete all of the documents. State Medical Licensure Notice Memorandum of Understanding Statement of Understanding for International Students Transfer Credits Photo and Video release Clinical Rotation Location Acknowledgement

Pay Your Seat Deposit
Once you have signed your admissions forms, you will be able to pay your seat deposit by credit card online.
You are required to pay a $1,000 USD seat deposit by the date specified on your acceptance letter.
This payment is non refundable and will be deducted from your first semester’s tuition fee. If you have applied for financial aid or a scholarship, it cannot be certified until we receive your paid seat deposit and signed acceptance letter.

Immigration
All students are required to obtain a Student Resident Permit in order to attend Xavier.
It is very important that you submit the documents in a timely manner as to not delay the processing of your Student Resident Permit.
The following documents will be required:
6 passport photos
Full color copy of your passport (cover to cover; you must scan each page, including front and back)
Original birth certificate or a certified copy / affidavit (MUST BE be apostilled or legalized, depending on where you are from)
Police clearance (MUST BE be apostilled or legalized, depending on where you are from)

Depending on your country of citizenship or specific situation, additional documents might be required and you might need to obtain a Caribbean Visa to enter Aruba. There will also be an Immigration Fee (amount depending on your country of citizenship) as we process your paperwork.

If you arrive earlier than these two dates, we will gladly pick you up from the airport and bring you to the you will be staying before move in, but please be aware that you cannot move into the residential campu September 4, 2023.
If you are living off campus, you will have to arrange your move in date with your landlord.

The reason why we ask for this information is so that we can plan with our welcome team to pick up you airport. Whether you will be staying on-campus or off-campus, our team will be there to welcome you!

COVID-19 Information
We take the health and safety of the entire Xavier University School of Medicine community very seriously. The following COVID-19 protocols and guidelines have been put in place.
Submission of COVID-19 Proof of Vaccination
We require all our students and staff to be fully vaccinated against COVID 19 for the protection of everyone on campus. Please submit your vaccination card to covidinfo@xusom.com. For information on the COVID 19 vaccine and where to get vaccinated, visit the website of your national, state, and local public health departments.
Vaccination Exemptions
Do you have a medical or religious exemption for the COVID 19 vaccine? You can submit all documentation supporting your exemption via email to appeals@xusom.com.
If You Test Positive For COVID-19
During your time in Aruba, it can happen that you will get COVID 19 symptoms and will need to get tested. When you feel sick please stay home and let Dr. Prasad know that you are sick. He will give you instructions on how to proceed with testing.
If a student tests positive for COVID 19, students should immediately contact Dr. Elizabeth Carey, Assistant Dean of Student Affairs, via phone at +297 597 7771 or via email at ecareyphd@xusom.com.
Current protocols mandate that you and anyone in your household (with the exception of those who are fully vaccinated or have tested positive in the last 4 weeks) will need to quarantine for 5 days starting from the moment you get your test results. However, please be mindful that COVID protocols are constantly changing. For the most up to date information, please visit arubacovid19.org.
Masks & Physical Distancing
While on campus you are no longer required to wear a mask indoors however, we do encourage mask use and maintaining physical distancing whenever possible.

Registering For Classes
During orientation week, you will need to register for your classes. This is a simple and straightforward process; you will need to log in to SMS, proceed to the courses tab, and accept your classes.

Typical Class Schedule
The typical class schedule for students at Xavier starts at 8:00 AM and ends at 3:00 PM.
After every class, students get a 10-minute break. There are no classes during the lunch break between 12:00 PM and 1:00 PM.

Climate
Aruba has some of the best weather conditions in the world. The average temperature is 82° F / 28° C, and the cool breeze provides a nice relief. The climate is dry so it rarely rains, and Aruba is outside of the hurricane belt.
What makes Aruba different?
With its Dutch heritage and Latin flair, Aruba is a sight to be seen. Just off the coast of Venezuela, Aruba is famous for its poster-perfect sugary-white beaches, some of the Caribbean s top wreck diving, and thanks to nearly constant trade winds, world class windsurfing and kite boarding.
Traveling to Aruba
Getting to Aruba is easy, with direct flights coming in and out of the country to major North American cities on a daily basis.
Connectivity
Aruba has a well developed infrastructure for connectivity, including phone, internet, and cable television. Students who live in the residential campus receive free internet and TV.
All electrical outlets in Aruba are the same as in the U.S. and Canada. It is a good idea to bring along a surge protector as added protection for any electronic equipment.
Currency & Banking
The currency in Aruba is the Florin. The U.S. dollar is accepted everywhere on the island, as well as all major credit and debit cards. ATM machines are readily available throughout the island. It is easy for students to open bank accounts in Aruba. All they need is a valid identification and a letter from the Xavier University School of Medicine Registrar.
Healthcare
Aruba has a full service Emergency Center (Centro Medico San Nicolas) which handles emergency situations on the east side of the island. Aruba also has a full service hospital (Dr. Horacio E. Oduber Hospital) with 325 beds and 14 specialist departments.
Judicial Services
The safeguarding of the fundamental rights and freedoms, legal certainty, and proper administration of the law, is under jurisdiction of the Kingdom of the Netherlands with the cooperation of the Aruban Minister of Justice. Judges of the Common Court in Aruba are appointed by the Queen. Appeals may be made to the Supreme Court, sitting in the Netherlands.

Student uniforms consist of your white Xavier polo shirt and khaki pants.
While on school grounds during weekdays from 8:00 AM to 5:00 PM, students are expected to wear their uniforms and have their student ID at all times. Outside of these hours, students should be sure to have their student ID with them at all times.
TIP: Students sometimes have a hard time finding khaki pants on the island so we suggest that students bring this with them.

The Xavier Library
The campus library at Xavier University School of Medicine is a great place for students to study and work on assignments by themselves or with their fellow classmates. The library provides students with study strategies, tips on how to appraise research articles, and a place to hold tutoring sessions.

Students attending Xavier University School of Medicine can receive a student loan through the Medinvest private loan program.
Details and eligibility requirements include:

No payments while in School and during approved Residency program
Borrower must be U.S. Citizen or U.S. Permanent Resident
Students who do not meet the credit criteria may apply with a credit ready co-signer. However, students must still meet certain credit criteria even with a co-signer.

The Government of Canada, and most provincial or territorial governments, work together to deliver federal and provincial student loan and grant programs.
