Registration Procedure For your convenience, SEC Headquarters, located on our Toronto campus, will take care of all your booking / administration needs. 1. Upon the receipt of your registration form, SEC will send you an email to acknowledge the receipt. * You can use an SEC registration form, or if you prefer, you can use your company’s registration form. We do ask that students are made aware of SEC’s cancellation/refund policy which can be found on the second page of SEC’s registration form and the SEC Website. 2. You will then receive 2 invoices: - Agent Invoice: Invoice indicating your commission, or NET fees (Depending on the package) - Student Invoice You will find SEC Bank account information at the bottom of the invoice. 3. Payment Information SEC accepts payments by bank transfer, money order, or credit card.

4. Upon payment, SEC will send you the Letter of Acceptance. Students can apply for their visa using SEC’s Letter of Acceptance. 5. If reserved, at least 3 weeks prior to the student’s arrival, homestay and airport pick up information will be provided. SEC Refund Policy • Application Fee ($100) and Homestay Service Fee ($200) are non-refundable i) Registration Fee is non-refundable for all registrations ii) Homestay Placement Fee is non-refundable for cancellations 3 weeks or less before start date

• Promotional packages are non-refundable after the student has arrived and begun their course. • Specialized Programs (such as Business English or any program in transfer with UCCBT) do not qualify for a refund. • Homestay: A written cancellation notice must be provided to the school at least 30 days in advance in order to qualify for a refund. The below mentioned refund policy will be applied to homestay refunds, except for cases of abrupt homestay cancellation for which a penalty fee of two weeks homestay charge will be applied.

• Student Permit Rejection by Immigration Canada (does not apply for visitor visa applicants) i) Students who are denied their student visa are entitled to a complete refund less the registration fee and homestay placement fee where applicable. Homestay placement fee will be charged if the visa denial notice reaches SEC 3 weeks or less before the start date. ii) Students arriving from countries where a visa is mandatory to enter Canada, will be subject to the same refund procedure as Study Permit rejection.

• Students who wish to withdraw and do not present proof of Student Permit rejection from the Canadian Consulate will follow the refund policy below.

• Postponed or on-hold students will follow the same refund policy as stated below, and will be allowed an extension to their start dates on their Letter of Acceptance up to a maximum of 45 days from their original start date.

School Policies Policies and Deadlines for Changing Classes Class change / level change 1. Students are requested to complete a form on which they indicate the specific request and the reason for their request/change. 2. The forms must be submitted by Friday, in order for the change to occur on Monday.

Vacation Requests S tudents can request to take a vacation from their studies; however they must request the vacation by filling out SEC’s official Vacation Request form. Forms are available at the student service desk. Students must provide 2 week notice before taking vacation. Students are limited to a maximum 2 week vacation once during the enrolment period.

3. The forms are reviewed by the Academic Manager. 4. The reasons for changes/problems must be specifically indicated on the form for the review of the Academic Manager who will make the final decision. Requirements for Level Completion

English Only Policy S tudents must speak English at all times at SEC. If students are heard speaking a language other than English, the following penalties will apply:

A student is eligible to level up when: - T hey have completed a minimum of 4 weeks of the course AND have an 80% attendance rate (miss no more than 4 classes). They must have an 80% average on tests and presentations and have completed their homework assignments. - If a student feels the level is too low for them (when they first enter SEC) and want to move up early, they must take a level test and score at least 95%. In such cases, the teacher will be consulted and the final decision will be made by the academic team. Generally this is on a case by case basis and not all students who receive 95% will be granted permission to move up early. - I n a case where students don’t have 80% average, but have shown dramatic improvement in the class, they will be eligible to change level on a trial basis as they deserve to be rewarded for hard work.

Lateness S tudents cannot be late for class. If students arrive more than 10 minutes after the start of the class, they will not be permitted to enter the class until the next break (breaks are every hour). Late entry into class counts as half an absence.

1st offence: 1 day suspension 2nd offence: 1 week suspension 3rd offence: permanent dismissal from school S tudents are responsible for making up the assignments on their own time; if they don’t make up the assignments, they will receive a grade of 0 for their homework mark. No refund will be issued for lessons missed during the suspension.

Confirmation Letters S EC provides confirmation letters for students by request. Letters can be used to open bank accounts, apply for library cards, etc. Letters confirm students’ status in school, start dates, as well as the students’ current address in Toronto/Vancouver. Request forms can be found at the student services desk.

Certificate Requests ertificates for course completion are presented to students C by request. Request forms can be picked up from the student services desk. Students are required to receive teachers’ signatures to confirm that they are entitled to receive the appropriate certificate.

SEC First Day of School SEC “English Policy” Agreement

Orientation Day Testing & Orientation: Students are asked to arrive at SEC at approximately 8:45 am on the first day of school for level testing and an orientation session, followed by a meeting with Academic Advisors. Classes will begin the following day.

Academic Level Testing: Students will take a placement test beginning at approximately 9am. The test sections include grammar, vocabulary, writing, and speaking. The students have 2 hours to complete the test.

If you are heard speaking another language (which is not English) you will face the following penalties: 1st Offence: 1 day suspension 2nd Offence: 1 Week Suspension 3rd Offence: Permanent dismissal from school ** The name of those who have violated this policy will be displayed by the front desk** Please Note: 1. No refund will be given to any student 2. Diploma Students: on 2nd offence, student will not be granted the diploma 3. ESL Students: on 2nd offence, student will not be able to advance to higher levels 4. ESL Students: Certificates will only be granted for fully completed levels 5. During lunch or break times, if a student is caught speaking their language in a group, the whole group will be penalized. 6. Absolutely “no excuses” will be tolerated I, as a student in SEC Inc. fully agree with the above mentioned “English Only Policy”. Orientation Session: Students will receive an orientation to SEC, Toronto/Vancouver, and Canada in general. The orientation session will help students feel more comfortable in their new surroundings and at SEC. Students will take 2 tours: - Tour of SEC facilities - Neighborhood tour Students will be introduced to all staff at SEC and to their designated Advisor whom they will have their First Day Individual Counseling Session. Students are informed about all SEC policies, including our English Only Policy, and will sign the following contracts: - Student Contract - Notice of Collection of Personal Information and Consent (Ministry of Training, College and Universities & Citizenship and Immigration Canada) - SEC’s English Only Agreement - Activity Waiver - Photograph Release Consent Form

1. I promise to speak English at all times here at SEC. I understand that if I speak any language other than English, I will be given an immediate 1 day suspension. If I speak any other language than English a second time I will be suspended for a week, and will not receive a Diploma or Certificate from SEC. On the third violation, I will be dismissed permanently from SEC with no refund. (Please refer to the English-only Policy Agreement) 2. I promise to treat staff, students and the homestay families with the same respect that I expect from them. 3. I understand that I will not receive any refund if it is more than 10 days from the commencement of my course. 4. I understand that I can only take a vacation if I am registered at SEC Inc. for 4 weeks or more and that I must submit my request for a vacation 2 weeks before the start of my vacation. Please be advised that each student is allowed to take a vacation at one time only, for a maximum of 2 weeks. 5. I understand that I will not advance to the next level of my chosen course of study if I do not attend eighty percent (80%) of my classes. 6. I understand that I will also not advance to the next level if I do not attain an eighty percent (80%) average on weekly Skills assessments. 7. I understand that I must be on time and prepared for all my classes, and that if I arrive more than 10 minutes late, I will not be admitted. 8. I promise to treat the facilities at SEC with the utmost respect and will only use the computer area for school work and emailing. I will not eat or drink near the computers, nor will I download anything off the internet. 9. I will not smoke anywhere inside the school. I will smoke only in the designated area, located at the back of the building. 10. All class change requests must be submitted to the office by the student no later than Friday morning. If a student does not request the change, they must wait until the start of a new session. The change will be granted ONLY if the requested class is available. PHOTOGRAPH RELEASE CONSENT FORM SEC is constantly in need of few, up-dated photograph displaying what SEC offers to prospective students. In order to illustrate life at SEC, volunteers and staff are encouraged to take a variety of photos from classroom, social, and school-related excursions. Consent and Release: I understand that any photograph taken of, or submitted by me may be used for marketing and publication purposes. I hereby grant permission to SEC Inc. To use any photograph taken of me on campus, or during school-related excursions, or freely submitted by me for purposes of publication and marketing benefits. The Cambridge FCE Preparation Course prepares a student for successful completion of the FCE exam. Students are taught all aspects of the language that will be on the test – speaking, listening, grammar, writing and reading. The student’s progress is monitored through a series of weekly mock tests. Teachers work closely with the students on their weaknesses and further develop their strengths. SEC graduates score higher than the national average!

Through close work with the teacher, students will develop greater fluency and confidence that will surely contribute to a brighter future. Cambridge BEC Preparation Course readies students for successful completion of the BEC examination. Students are taught business vocabulary as well as basic grammar and conversation skills. Students write weekly mock tests which are used to track their improvement and to identify their problematic areas. Teachers work closely with students to ensure optimal results. SEC’s Cambridge BEC Preparation Course equips students with the knowledge and confidence required to receive a high score on the BEC examination!

SEC Pathway Programs SEC offers a great English for Academic Preparation course which prepares students for post-secondary education in North America. SEC has a large number of partners under the EAP agreement, to which the students can apply upon the successful completion of the program. Successful graduation from the course will count as an English Proficiency credit to our select partners and the student will not have to supply extra TOEFL or IELTS scores.

SEC Homestay Program and Procedures At SEC, we believe homestay experience is an important part of a student’s wellbeing. SEC’s Homestay coordinator carefully selects and monitors the quality of SEC homestays, therefore providing students with the best choices. If students choose a homestay service through SEC, we ask that you send us an application fully completed regarding the homestay requests. We encourage you to send us additional information by e-mail as well.

We offer 2 meal plan options (meal plan is mandatory and included in the price of homestay): All meals are home cooked, and healthy. Lunch is packed to go for school, and usually consists of a sandwich, snack and a drink. Many families will speak directly with the student about what kind of food they like to eat. Students are encouraged to talk with the family. If the student does not feel comfortable addressing his dietary concerns directly with the hosts, the SEC homestay coordinator can do that on the student’s behalf. 1. Full Board - Three (3) meals a day: breakfast, lunch and dinner 2. Half Board - Two (2) meals a day: breakfast and dinner Each homestay will provide the students with these standard services: - An English speaking environment; all homestay families are English Speakers - Private/shared Room; rooms are equipped with a bed, study desk/table, chair, study lamp, closet and/or dresser. - Clean bed sheets, and free access to laundry facilities

The most important areas to focus on/request are: - Allergies - Medical Conditions - Preference to be placed with or without kids - Preference to be placed with or without pets - Internet access - Food preference/ religious preference SEC will do its best to satisfy most requests, however, requests are not guaranteed. Requests which are health related will be given priority.

Homestay Room Options We offer 2 room options for students: 1. Private Room

SEC Homestay Selection Process 1. T he SEC homestay coordinator visits families who are interested in SEC’s homestay program 2. T he coordinator then interviews the family and takes pictures of the house 3. I n order to monitor and underline SEC homestay standards, the homestay agreement is presented to the family, specifying the family’s responsibility and school policies 4. T he family signs the agreement and returns it to SEC homestay coordinator 5. O nce the student is placed with a homestay family, the family receives a confirmation letter for the particular student. This letter is signed by the family and then returned to SEC 6. D uring the student’s stay with the family, they regularly complete a homestay evaluation form.

2. Shared Room – students booking a stay together have priority with the shared option. Individual bookings are on a secondary basis, upon availability.

SEC Homestay Program and Procedures Homestay Evaluations:

SEC Package for Students

Students are asked to fill out homestay evaluations during their stay.

3 weeks prior to arrival, a detailed homestay package will be sent to the agent, in order to provide the package to students. SEC Homestay Package includes:

A. The first evaluation is given to students during the first week. This evaluation focuses on the following: 1. Student’s well-being 2. Household details such as: - Cleanliness of the house - Details about the student’s room - Details about the meals - General house atmosphere during the first days in the family 3. Additional Comment section for further details The evaluations are reviewed by our homestay coordinator. If necessary, the coordinator/counselor discusses the evaluation with the student. At this time, questions and concerns are addressed. B. The second evaluation is given to students in the middle of the student’s stay at SEC. If the student is in homestay longer than 12 weeks, multiple evaluations will take place.

This evaluation focuses on student satisfaction regarding the following: 1. Cleanliness 2. Laundry and Showers 3. Meals 4. House and Routine 5. General comments

SEC Homestay Nationality Rule SEC does not place 2 students of the same nationality in the same household, unless it is directly requested by the students/agent. Homestay families are also aware of this rule; therefore do not accept students from different schools from the same nationality.

1. Homestay Letter Letter includes homestay address, airport pick up information (if requested), SEC Airport pick up locations in Toronto and Vancouver, information about the city and a section on “Students’ Expectations from Homestay Program.” 2. Homestay Profile The profile outlines in detail information about the family, how many family members live in the house, the professional occupations of the family members, as well as the specific family details such as pets, internet, etc. 3. Airport Pickup Letter We ask that all flight details are sent to SEC at least 2 weeks before the start date. SEC’s Airport Letter explains the procedures associated with airport pickup. The locations of the airport pickup locations at the airport are also described in the letter. At the airport, students will be greeted by an SEC driver. Students should look for an SEC sign, with the students’ name or group name. SEC has a designated waiting area for students who have requested airport pickup service.

IMPORTANT NOTE Students cannot leave the airport if they do not see or cannot find their driver. Students must call the emergency telephone numbers in both cities to report the issue. If the student leaves the airport without calling the emergency telephone number and discussing the matter with an SEC coordinator, SEC will not be liable for any consequences.

Activities at SEC We provide students with extra-curricular programs at both campuses. Monthly activity calendars are created on both campuses and are available for students’ use. All weekday activities are an extension of the students’ learning experience due to the fact that all activities are led by SEC teachers. Therefore, students are practising English during all tours/activities and may ask teachers any questions they might have. Student Service Coordinators at SEC provide students with detailed information about daily activities. SEC Seasonal Camps We organize summer and winter campus for youth. Camps can be customized to your request. Reservations can be made for individuals as well as groups. Camps are held at SEC, with SEC Homestay accommodations. Please enquire about camp details and customized packages.
