Creative planning, an organized agenda, and the teamwork of bride, groom, and several key vendors bring to life the most magnificent receptions. Set the stage for a successful celebration with a well thought-out â&#x20AC;&#x153;plan-of-action.â&#x20AC;? Planning experts suggest a bride and groom put the wedding day in perspective by drafting a planof-action that includes: potential ceremony and reception sites, date and time options, estimated number of guests, style, theme and budget. As your vision and expectations develop, continue to perfect your plan-of-action. Selecting a wedding venue should be the first task you take action on. Select locations are often booked one to two years out, and prime dates (Saturdays, afternoons and evenings, May through October) go quickly. Knowing this, once you find your dream site, book it immediately. THE GUEST LIST The greatest factor to effect your budget will be the number of guests invited, and all should fit comfortably within the venue space. PICK A SEASON AND THREE DATES The best suggestion is to start with a season of the year and then pick three dates that work for you, your fiancé, and close family and friends involved in the wedding. By having more than one date in mind, you will be more flexible when it comes to such considerations as venue availability and work schedules. THE RIGHT LOCATION The various forms of venues are endless, ranging from a hotel ballroom with stunning interior design and panache, to a vineyard transformed into a rustic chic setting, and everything in between. The wedding venue you select will no doubt help you decide what areas of the wedding planning you need to focus on next, and even help in the decision-making process about some details. Choosing a venue is a lot like hunting for a house. Having a list of your top desires will save you time. On-Site venues include private clubs, hotels, and restaurants. These locations provide the majority of services needed for a reception: tables, chairs, china, flatware, linens catering, beverages, and serving staff. Off-Site facilities encompass historic estates, wineries, private residences, galleries, event sites and community centers. These

locations offer the use of the facility for one flat fee, providing no other services. All-Inclusive venues offer packages to service the event from A-Z. With this type of venue, you can have your wedding and reception at one location, using the venue’s outdoor space for the ceremony and the ballroom for the reception. Theme Venues include your individual hobbies, interests, and passions into your celebration. Wineries, museums, train stations, and even breweries are all alternative options. Choose locations that tell your love story. If you meet in college, check for use of the facilities. Proposed on the beach; speak with state park representatives to book the site. By selecting a venue within your theme, you create a truly personalized celebration. CONDUCT A PHONE INTERVIEW There are a few initial criteria you can confirm over the phone before doing a site visit. Call to ask these basic questions: Is your preferred date available? Where do their prices per person start? Can they accommodate your guest list? If they fit these initial criteria, make an appointment to tour the reception site. INSPECT THE SITE PERSONALLY It may be love at first sight, but looks are not everything. Meet the staff you will be working with for your wedding and spend ample time touring the entire facility to

realize that people only plan an event like this once in their lifetime; they won’t be offended with questions. If you are working with a wedding consultant, ask them to accompany you as well. For a formal event, choose a location conducive to a formal occasion. THE RECEPTION FLOW A common mistake couples make is failing to orchestrate their reception. Timing of the key moments of your reception should be communicated to all your vendors and guests. The critical factor is to keep the event “flowing” and your guests comfortable and happy. After the ceremony your photographer will finish taking photographs, and you will take a limo ride. During this time, serve your guests appetizers and drinks, and have your DJ or musicians play soft background music as everyone waits for your arrival. The Master of Ceremonies (MC) announces that dinner will be served soon and asks your guests to be seated. The MC (usually your DJ) introduces the bridal party as they enter the room. Be sure to plan the path between the banquet tables, so you can easily get to your table. The bride’s father makes a short speech, welcomes everyone and thanks everyone for coming. The officiate blesses the meal and the food service begins. Each table, in turn, will move through the buffet line, or will be served by wait staff. Having

chat topics placed at each table is a good way to get your guests to mingle, socialize, and chat while they wait to be served. The best man presents a toast to the newly married couple. Additional speeches and stories can be told during and after dinner. At the planned time, the MC will announce the cake cutting. You and your groom complete the ceremonial cutting of the cake, and the MC will announce the couple’s first dance. The couple’s first dance may be followed by several additional special dances, and then the floor is opened for everyone to dance. The final reception event is the bouquet toss by the bride and garter throw by the groom. Remarks by the bride and groom. Though not necessary some brides and grooms like to take time to thank their parents, guests, and anyone who helped make the day possible. Congratulations! You have just thrown the biggest, and best party of your life.

Preparing the meal is just the beginning when it comes to catering a wedding. While taste will be your number one decision factor, following closely should be the quality of the meal presentation and service to your guests. Catering a meal requires a considerable amount of time for planning, preparation, serving, and clean up, not to mention, the cost of the food and equipment rentals. Keep in mind, if you are thinking about asking your relatives to help prepare and serve the meal, the time commitment you are asking for will interfere the most with your familyâ&#x20AC;&#x2122;s participation in the reception. For this reason alone, you should strongly consider hiring a professional caterer to take care of the food preparation and service for your wedding reception. ON-SITE OPTION OR HIRE YOUR OWN The venue you select will have some impact on the caterer you choose, as some venues require

CATERING that you use their on-site catering service, or work within their list of preferred vendors. If this is the case, many of your decisions have already been made. You will just select from the options in the price range that works for you. These sites typically include all of the china, flatware, glassware, service, clean up, and gratuity in their catering price range. A professional caterer will provide amazing food, a beautiful presentation, and excellent service. Their food services will include preparing the food in their professional kitchens, packaging it for wedding service, transporting it to the site, preparing and decorating the food service table, and the staff to attend to the food service. Ask if they require you to provide the serveware, or if it is included. Before starting the process of identifying and interviewing potential caterers, you will

want to determine your particular meal needs and preferences. WHATâ&#x20AC;&#x2122;S FOR DINNER? What are your favorite foods and what time of day will your meal be served? While most caterers can offer a variety of cuisine, there are those caterers that specialize in barbecue, ethnic cuisine, or vegetarian menus. Use the time of your reception to help narrow down your choices. If the meal will be served earlier in the day, a lighter meal is adequate, while a full meal is more common later in the day. CATERING SERVICE STYLES One basic catering question is the difference between the service style options. Here is a breakdown of four popular styles. Buffet Style. A buffet usually consists of long tables laden with both hot and cold

them on the table for the guests to share. This is perfect for a more casual style of entertaining and is easily coupled with the use of longer tables. There are pros and cons of each style. Your caterer will work with you to determine what is the best match for you.

Once you have decided on the cake flavor, you can begin to think about frosting. As a general rule, there are three types of icing—the traditional butter cream versus cream cheese versus fondant. If you need suggestions for pairing cakes and frostings ask the baker to share their ideas. DECORATIVE ASPECTS Find images that demonstrate your ideas. If you want to use fresh flowers, you can use a few as a cake topper or dozens as a cascade.
