Reception Site Selection
ne of the first decisions to make as you begin planning your wedding is selecting your reception site. It will be much easier to book your other wedding services after you have a wedding date selected and booked with the site you have chosen. Consider the following items as you prepare: YOUR DATE. Together with your fiancé come up with some possible wedding dates. Consider your own schedules, as well as the schedules of important people, without whom your wedding could simply just not take place. Contact these special guests soon after your engagement, tell them your preferred dates, and identify dates that work for them. Now you have a few potential dates to begin your quest. You likely have a single preferred date in mind, but try to stay flexible, since your dream setting may be booked that day. SIZE NEEDS. to invite or are there 125 on your list? Lower guest counts allow you more options, as sites have a maximum capacity that the facility can handle. Do not fill the site to the maximum allowed, as you want plenty of space for your guests to mingle comfortably. YOUR VISION. Every couple envisions the “ideal” venue in their own way. Factors like wedding style, the over-all budget, the guest count, the season of the year, and if you want an indoor or outdoor wedding, will all have some effect on your decision. Fortunately, with the various venues available, you have several options to choose from to fulfill your vision. Venues your dreams. It is what guests talk about the most—the food, the music, the dancing...you get the idea...a memorable reception. FACILITY TYPES. No two venues are exactly alike, each varying in size, formality, and the extent of services they offer. Some wedding reception sites are formal, with ballrooms, while others are on a ranch, at a winery, in a garden, or at an outdoor location with breathtaking views. At some locations, you rent the location, or an empty room, and you completely transform it with tables and decorations. Other facilities provide everything you need, they have the decorating, lighting, and other rental items for you to choose. Most facilities fall somewhere in between.

MEALS. As one of the main parts of a reception, the food and drink to be served need consideration. Ask if the venue has in-house catering service, or if you need to select your own caterer. You will likely have several menu options, and be able to choose food that suits your needs. If possible, request a tastetest of your preferred menu to ensure you like the meal’s quantity, and quality of presentation. PHONE INTERVIEW. Before making an appointment with the venue, request the following information over the phone to confirm your initial criteria: Is your preferred date available? What do their prices per person start at? Can they accommodate your guest list? If they fit these initial criteria, make an appointment to tour the reception site. u

SITE VISIT. It may be love at first sight, but looks are not everything. Meet the staff you will be working with for your wedding. There should be chemistry between you and the property’s staff members. Spend ample time touring the entire facility. Make sure the site’s design, decor, and ambiance complement the style you have envisioned for your wedding. Ask to visit when another wedding is being set up, to accurately assess what the site can accommodate. Ask to see photos of events similar in size to your wedding reception. Bring your camera, a notebook, and the list of questions provided in this section with you, and don’t be afraid to be thorough. The site’s event coordinators are professionals, and realize that people only plan an event like this once

in their lifetime; they won’t be offended with questions. SET THE DATE. After settling on the venue, grab it before it gets away! Book the facility as far in advance of your wedding day as possible. It is not uncommon to have your site booked a year or more in advance. Reputable venues will have a contract that covers all of the details. Read the clauses and fine print. Clarify anything confusing before you sign. Most sites require a deposit, and will need the balance paid at least one week in advance. Elements of Your Reception

T’S OFFICIAL, you made it! You are husband and wife now, so shake off the last of your nerves, and simply enjoy your celebration. With all of your planning behind you, this is indeed the fun part! To personalize your reception, exclude any of the following reception elements that do not appeal to you: Create a map of the room and identify where each component of the reception should take place. Include the receiving line, buffet tables, bar, wedding cake, DJ or musicians, head table, immediate family tables, guest tables, guest book table, and the gift table. Your reception site coordinator has the experience of numerous receptions held at the location—experience that will help
you plan your logistic options. You will want to prevent congestion, so locate key elements apart from each other. Have your DJ or musicians play soft background music to allow your guests to mingle. Serve appetizers and drinks as they wait for your arrival. Your photographer may finish taking photographs of the wedding party and family, or you may even choose to take a limousine ride throughout this time. The wedding party arrives at the venue discretely, and the guests are asked to take their seats. The emcee (usually your DJ) announces the grand entrance of each of the members of the wedding party as they enter the reception and make their way to the head table.

Venues The maid of honor and the best man are introduced just before the bride and groom, who are introduced last. Be sure to plan the path between the banquet tables, so you can get to your table. All members of your wedding party will sit at the head table, with the exception of the children. Most head tables consist of long rectangular tables where the wedding party sits, facing all of the guest tables. An alternative to this is the “Sweetheart” table, a small, round table for only the bride and groom. This table allows the couple a bit of privacy for their first meal, and makes it easier for guests to visit the couple without the barrier of the large table. It also allows wedding party members to join their spouses, who may otherwise be at a table with a group of strangers.

Each table, in turn, moves through the buffet line, or is served by wait staff. Once everyone is served, the best man presents a toast to the couple, which may be followed by additional toasts. After dinner, walk around the reception room to visit each table. Greet each of your guests and thank them for coming. At the planned time, the emcee announces the cake cutting. You and your groom complete the ceremonial cutting of the cake, and the emcee will announce the couple’s first dance. This dance may be followed by several additional special dances, and then the floor is opened for everyone to dance. The final reception event is the bouquet toss, and garter throw. Everyone can then dance and celebrate the night away. Congratulations! You have just thrown the biggest, and best party of your life. o

CONSIDER THIS. Catering a meal requires considerable time for planning, preparation, serving, and clean up. This is an undertaking that, if you do it yourself, will interfere the most with your family’s participation in the reception. For this reason, consider hiring others to prepare and service the meal for you. WHAT YOU GET. Professional food services include: preparing food in professional kitchens, packaging for wedding service, transporting food to the site, and preparing and decorating the food service table. Find out if you have choices for the china, flatware, and glassware that will be used. FLAVOR. While most caterers offer a variety of cuisine, if you want barbeque, or an ethnic cuisine, find a caterer who specialize in that particular menu. Discuss any special needs you and your guests may have (e.g. vegetarian, sugar-free, food allergies, etc.), and the costs associated
with them. To avoid disappointment, make sure you test the meal you decide upon before confirming it. TIME OF DAY. What time of day will your meal be served? If earlier in the day a lighter meal is adequate, while a full meal is more common later in the day. Use time to narrow down your choices. INTERVIEW. Start the interview process, and book your caterer early in your planning process. Complete a contract with the caterer you choose that includes, a listing of the foods selected, services to be provided, and the cost. Most caterers will require a final guest count about two weeks in advance. Find out about all deadlines and due dates. Regardless of the food that you choose, a festive event is the goal of every couple. Looking out into the room, and seeing your family and friends who are celebrating this day with you, is a feast for you to behold.o

If you need to plan and provide the food service there are many talented caterers who are highly qualified to meet your every catering need. Use this set of questions to guide you when selecting a caterer: • What style of food or special menu items are your specialties? Can we see pictures of previous events along with references? • Can we include a sentimental family recipe in the menu? • Given the style, time, and date of my wedding, what menu items do you suggest? Will there be a tasting of the menu we choose? • What is your cost-per-person of a buffet compared to a sit-down dinner? • How much per person should I serve? • Do you offer a children’s menu? Do you offer vegetarian or vegan options? • Have you worked at my reception site before? • What service costs are included and what costs are additional? Are setup and cleanup included and how much time is needed for setup and cleanup? • Do you provide the wait staff? What will they wear? How much is overtime if the reception runs long? How are gratuities figured?

o obtain a marriage license for use anywhere in Wyoming, the couple must appear together at any Wyoming County Clerk’s office, with proper photo identification (Driver’s License, Military ID, Passport, or a certified copy of birth certificate). This website lists Wyoming Clerk of Court offices: http://soswy.state.wy.us/Elections/CountyClerks.aspx
Fees. $25.00, be prepared to pay in cash. You will need a certified copy of the marriage license for your new Wyoming driver’s license and any other legal proof of name change needed. Fees are required for certified copies. Waiting Period and Use. No waiting period; license can be used immediately, and expires one year from issued. Residency Requirement. Available to residents and non-residents. Blood Tests. No blood tests are required in Wyoming. Minimum Age for Marriage. Must be 18, those 16 or 17 with notarized parental consent and birth certificate. Previous Marriages. Provide how marriage ended; by divorce or death, and date. Documents may be required.
Who Can Solemnize. Any licensed or ordained minister or bishop, district judge, county judge, federal judge, court commissioner, or a Justice of the Peace may perform the service. What to Do With the License. The officiator completes the license (also signed by the couple and two witnesses), and then returns it to the County Clerk’s office within ten days of the wedding. The license remains on file permanently in the issuing County Clerk’s office. Please Note. State and county marriage license requirements often change. ransportation on a wedding day used to be fairly basic. However, these days couples are making arrangements for more of their guests, and have more options available to them. To help you make decisions, take these ideas into consideration when booking your transportation: CONSIDERING ALL. You are responsible for providing transportation for your wedding party and both sets of parents the day of the wedding. Typically, the best man is in charge of getting the groom and the other groomsmen to the ceremony site on time. After the ceremony the groom then joins the bride on the way to the reception. If you choose to ride alone as a couple you will need to arrange a second option for the wedding party. SELECTION. Different varieties
of limousines, vans, trolleys, and even horse-drawn carriages are available. You will want to include the cost in your budget, so start researching and checking the local options early. Book your transportation six months in advance—especially if you are getting married during prom season or on a very popular wedding day. ASK QUESTIONS. Talk to several rental companies. Rides conditioning. Find out how many people fit in each vehicle as it gets awkward and uncomfortable when fourteen people squeeze into a vehicle meant for ten! TIME TO RIDE. If your ceremony and reception site are close to each other, you might want to stay simple with your choice, since you won’t be in it for long. However, if you want to be chauffeured around for an extended time, check out an option with all the bells and whistles, go ahead and splurge! SAFE AND ON TIME. If you have several out-of-town guests without their own transportation, you may want to consider providing transportation to get them to and from the ceremony and reception locations as well. Providing a shuttle service to pick them up and deliver them would be a nice touch, and
ensures that they won’t be late because they got lost. It is a good idea to have cab information, or the same shuttle service available to your guests following the reception. This is especially true if alcohol has been served. You do not want any tragedy to occur on this day, and planning ahead for these circumstances will help to ensure only happy memories. GET IT IN WRITING. As with any reservations you make, you want to be sure to get a written contract outlining all of the specifics, including the specific vehicles for each purpose, and all financial information including rates, deposits, gratuities, taxes, and any other fees. Make sure it specifies the exact number of people that can comfortably fit in each vehicle. o

If you picked a first song months ago, but on the way to the wedding you heard a more perfect song on the radio, can they change your first dance with this little notice? Most DJs tend to have a ton of popular music in their book of albums and can accommodate your change. If you ask your DJ to act as master of ceremony, discuss the level of involvement you want, and work closely with them in planning, so they can keep your reception on schedule. INTERVIEW. Have a phone interview with them first to determine if they are available on your wedding date. Ask about their experience level, their equipment quality, and if they have a back up system. Determine the variety and versatility of their song list, the cost of their services, amount of the deposit, and the due date for the final payment. Be sure to ask for references. It is a good idea to ask your band or DJ to contact the reception site to discuss specifics to avoid potential disasters. Your reception venue may have time or volume level restrictions, and limited electrical usage. It is best to get these issues addressed before the day of your wedding. Like a waterfall, flows downward, often with larger flowers at the top, using smaller blooms as it begins to taper down and lands gracefully over the bride’s hands. HAND-TIED. A selection of flowers that are wired or loosely gathered together and tied with a satin ribbon or a combination of ribbon and lace. This has more of a natural, garden look. NOSEGAY. Consists of a densely packed mound of flowers and greenery tied together with a wire, ribbon, or other item. POSY. Here are some basic considerations to factor in before making your final choice: COLOR. All-white bouquets are the most traditional choice for brides. The use of color in your bouquet is a beautiful way to express your personality. Consider using accent flowers in the hue of your bridesmaids’ dresses, or in your wedding colors. BODY TYPE. In general, a petite bride should pass on the grandiose and opt for a smaller bouquet so she is not lost behind a sea of flowers. A voluptuous or taller bride should select a bigger style of bouquet, because a small
nosegay might seem out of proportion. And the average size bride should select a medium-sized bouquet that presents a nice proportion when held in front of her body. GOWN. Consider the scale of your gown also. A common rule is, the bigger the gown, the bigger the bouquet. A simple sheath gown wouldn’t be able to hold its own against an overflowing cascade bouquet, however, a ball gown would. You will also want to consider any embellishment and not obscure the beautiful beading or lace with a large bouquet. he wedding is over and you do not want to simply hang your beautiful gown in the corner of your closet and not think about it again. Even in a seemingly safe storage area, the elements will begin working at discoloring and even decomposing the fabric, particularly if kept in a plastic bag. A properly cleaned and stored dress can last for many years. After the wedding, many bridal gowns are put into a plastic garment bag with good intentions of cleaning and preserving it soon. Keeping your gown in a plastic bag exposes it to the most harmful environment possible - plastic fumes. Most plastic gives off chemical fumes that cause the yellowing of bridal gowns over time. Also, your dress may look clean, but it’s the invisible stains such as white wine, clear soda, perspiration, hairspray, perfume, frosting, etc., that must be removed permanently so they do not oxidize with time, turn brown, and become more difficult to remove later. Wanting to keep your dress in good condition for many years to come involves hiring a professional to clean and preserve it. The goal of bridal gown preservation is to prevent yellowing, reduce the risk of mold and mildew, prevent oxidation spots, and protect the
gown from light and dust elements. If you know of anything that got on your dress, be sure to let the professional know what and where the stains are. Preserving your wedding gown will clean it to such a degree that even the smallest invisible stain has been totally and permanently removed. EGistering for gifts is a socially acceptable way to let your guests know what gifts you want or need. Here are a few basic tips to help you through the process: Set up your registries soon after your engagement, as friends and family will look to it for gift-giving ideas for en-

gagement parties and showers. At least one of your registries should be available for purchases made online for guests who do not live in the area. Before you register, spend some time with your fiancé thinking about the
items you could use the most, and the ones you already have. Plan on spending several hours cruising your favorite stores to pick out just the right items. Registering can be fun, and can create a nice break in the hectic wedding planning process. Register for items at several stores and price points to give your guests flexibility in shopping. Include items from the kitchen, bedroom, and bathroom and don’t forget to include items your groom wants. You might even register for lingerie. If there is a rule of thumb on wedding gifts, this is it: whether the gift is what you registered for or comes from the gift-givers attic, always, always say “Thank you.” Show you care by being prompt when sending notes and try to have them in the mail within a month after your honeymoon. Make them personal and write them together, after all you are a married couple now. o

sharing the cost In terms of wedding planning, the bride’s family once paid virtually all of the nuptial expenses. Societal changes have loosened this rule a bit. Probably the most useful approach for a bride and groom and their families to take when making wedding plans is to be communicative, realistic, and courteous. Weddings are expensive and there are times when tradition should bow to practicality. Some expenses the bride and groom can assume themselves, and perhaps the groom’s family is willing to help out. Budget thoughts A realistic wedding budget is absolutely essential and should be one of the first things you do. Know how much money you have to spend and on what it should be spent. By keeping budget in mind you will be able to make the right decisions when making choices. Here are a few questions you may want to discuss before developing your final budget.
