Thank you for choosing to study at A2Z School of English. This student handbook is designed to give you an overview of all the important information you need to know, including rules, procedures, people and general advice. If you read it well you will be able to enjoy your time more, make better use of the resources for students and enjoy your lessons more. Whether you are in Dublin, London or Manchester, I hope you enjoy studying at our school. We promise to do our best to help you improve your English fast!

Emergencies If you have a medical emergency or need the Police, Fire Brigade or have any other serious emergency, the number to call, in both Ireland and the UK, is 999. This call is always free, from any phone. Under-18 students The minimum age to study at A2Z School of English is 16 years old in case of individual bookings. Under-16 students are accepted as part of closed groups for which special arrangements can be made. If you are under 18 years of age when you study at A2Z then there are some special rules that apply to you when you study at A2Z then there are some special rules that apply to you. Please see Appendix 1 of this document for more details.

Opening times Reception Opening Hours, for all schools are Monday-Friday from 8am to 8pm. When the school is closed for the Christmas holiday the reception of each school is open Monday-Friday 9am-5pm, except Christmas day (25th December), Boxing Day (26th December) and New Year’s Day (1st January) when it is closed. On national bank holidays the school is closed for lessons, but the reception of each school is open from 9am-5pm. Please note that Ireland has different bank holidays to the United Kingdom. How reception can help We try to always have someone at the reception to help you with your problems. At times the reception can be very busy, break times are very busy, so try to ask for help, advice and information while classes are happening. There may be a receptionist who speaks your language – that is fine. The reception is the only place in the school where you may speak your own language, but this is only allowed with a receptionist, not another student! At the reception you can: • Make general enquiries. • Make a payment. • Buy another course. • Request documents and letters. • Book your holiday. • Make an appointment with the school manager or academic manager. • Have your documents checked to extend your visa. • Request a CAS statement for the extension of your visa. • Complete student feedback and obtain your certificate. • Book your TOEIC, FCE, CAE, CPE and IELTS exam.

Payments If you need to pay money, always make your payment to a receptionist or the school or academic manger. Do not pay money to anyone else, including teachers or other students. In reception you can pay in cash or credit or debit card. We do not accept cheques. You can also make a payment online using PayPal or a credit/debit card at www.a2z-english.com/students/payment

Letters and documents Sometimes you might need a letter. We can make your various kinds of letters including: • Confirmation of studies • Bank account opening letter • Council tax (only available for students studying more than 21 hours per week) • Holiday letter, for when you travel abroad during your studies. • Job Reference • Progress report • Leaving certificate (see below) If you need any other kind of letter or document, please ask – we may be able to help. Your first version of any kind of letter is free. Subsequent letters of the same type are charged at £5 each (or €5 in Dublin), so make sure you get the details right the first time. There are two ways you can request a letter: • Speak with a receptionist, you may be asked to complete a paper form. • Submit an online application - Log in to the student zone of the a2z-english.com website (www.a2z-english.com/students/zone) - Visit www.a2z-english.com/students/documents and request your document. - You will receive an email telling you when your letter is ready to collect.

How to get a certificate On completion of your course and with an attendance rate of at least 80% and above you will receive a certificate. If you have an attendance rate of less than 80% you will not be entitled to a certificate.

How to update your details If you change your address, your phone number or your email address it is extremely important that you update your details with us. This can be done in two ways: 1. At any reception by speaking to a receptionist and completing a form OR 2. By logging in to our student zone and submitting the electronic form www.a2z-english.com/students/change-details Please note it is a Legal Requirement that A2Z School of English maintains up to date records of all your contact details. Please always inform Reception of any change in your circumstances.

Student cards Every A2Z student receives a free ID card. You should apply for your card on your first day and it will be sent to your home address. The card has three functions • You can use your card to open some doors in the school. • You should keep your card with you at all times you are in the school so you can prove you are a student and not a stranger. • You can use your card to get discounts in some shops, transport and cinemas etc. Don’t lose your card - you will be charged £5 for a replacement or €5 in Dublin!

Basic school rules • Switch Telephones Off in class! • Only English, no other language in class or corridors • Respect other students, even if you disagree with them or dislike them. • Listen to the Teacher; do not talk to other students except when the teacher tells you to. • Text books closed except for when the teacher tells you to open them. • Arrive on time, if you more than 5 minutes late you must wait for the mid lesson bell (After 25 minutes). If nobody comes to the class in the first 10 minutes the whole lesson will be cancelled.

Course Books If you are studying for more than 2 weeks you must buy the books for the course you study. You cannot study a course and not buy a book. If you are studying for less than 2 weeks you might be able to borrow a book from reception, but this is not possible for all courses, and you will have to pay a returnable deposit of £30/€30 and give the book back afterwards without any damage.

Punctuality and timekeeping Arrive on time The beginning of the lesson is indicated by the first bell, at half past the hour. In the first 5 minutes you may enter into the classroom. After 5 minutes the teacher will lock the door. You must then wait for the mid lesson bell (After 25 minutes) and the teacher will open the door for you to enter. You will be marked as late Lateness is only counted as half a class, so if you are late for two lessons then you will be marked as having been absent from one whole class. If no students arrive If no students come to the class in the first 10 minutes the whole lesson will be cancelled If you are regularly late If you are regularly late you may not be allowed to enter the class at the mid lesson bell. The academic and school managers may decide to remove you from the class register and put you in an alternative class. This is especially true for high demand oversubscribed classes. You may have to explain to the school or academic manager why you were late.

Attendance Missed lessons cannot be taken later If you miss lessons you cannot take them later. The only exception to this is if you arrange a holiday at least the week prior to your absence. Taking a holiday If you organise a holiday from lessons you will be able to take the lessons you miss at a later date. The length of holiday you take is limited to a number of weeks and is related to the total length of your course, as follows: • 1-6 weeks: 0 weeks* • 7-11: 1 week • 12-17: 2 weeks • 18-23: 3 weeks • 24-30: 4 weeks • 31-35: 5 weeks • 36+: 6 weeks *Note: Students at Dublin School may not normally take or request a break within the first 8 weeks of course.

Exceptions to the rules above can only be made for students who do not need a visa. If you want to take a permanent holiday and do not know when you want to come back we call this freezing your course. This is only permitted for students in special circumstances, e.g. long term sickness, a death in the family or pregnancy. The school manager and operations director make decisions about who is allowed to freeze their course. You must organise your holiday in the week before your holiday starts, which means the deadline for requesting a holiday is 8pm on Friday of the week before your holiday. For example, if you want to take a holiday from Tuesday 10th to Friday 13th you cannot request your holiday on Monday 9th, it is too late. The latest date you could book your holiday would be Friday 6th. To organise a holiday you must communicate with a receptionist, either • Face to face • By email You may be asked to complete a paper form. Leaving certificates and class registers To gain the most from your time at A2Z School of English it is important that you attend your classes regularly. We only issue Certificates, progress reports and academic reports for students that attend at least 80% of their classes. If you do not attend at least 80% of your classes you may be removed from the class.

Visa students Certain students studying in the UK and/or Ireland on a student visa must also remember that attendance is a requirement of their visa and, as such, it is closely monitored. The School is under obligation to inform the Home Office UK Visas & Immigration (UKVI) or the Irish Naturalisation and Immigration Service (INIS), if you fail to attend your lessons for two weeks (10 consecutive school days) in a row. The School will also inform UKVI or INIS if your attendance is too low (usually less than 60%) even if you have not missed 10 consecutive school days. In all cases, the School will warn you by e-mail when your absence or attendance approaches the level where we must report you. Remember, you may need proof of good attendance to renew your visa or transfer to another type of visa, so regular attendance is extremely important. If you are sick If you are ill and can’t come to school it is important that you get a letter from your doctor confirming that you should not attend class. If you submit this document to the reception they will take a copy of it and amend your attendance to show that you were sick, which is not the same as being absent. It is not enough just to claim you were sick, you need to produce a document to prove it. If you were sick and can prove it then we will treat your absence like a holiday and you can take the time you missed in addition to your existing course. You will not lose any time.

Progress Terms At A2Z School of English you can start to study on any day of the week and at any time of year. However, we also have regular terms to give structure to your learning. Each term is 10 weeks long and there are 5 each year. The first term of the year starts on the first day of school in January. You can see all the current terms by visiting www.a2z-english.com/when-can-i-start#terms Tutorials Once a term in week 6 students have tutorials with teachers. This is a private 5-10 minute conversation with your class teacher. Your teacher will ask you how you feel about your progress and whether you need any special help or advice. Your teacher may also encourage you to work harder or behave in a different way – they will give you constructive feedback including criticism. A2Z tests Our classes have regular tests. These tests are internal to our school and you do not have to pay extra for them. They are designed to give you and your teacher an accurate idea of whether you are progressing, and by how much. • Our A2Z Method classes have tests approximately every 6 weeks. Students who score more than 80% will be allowed to move up a level. • Our Skills classes have small tests every week on Friday and a longer test in week 9 of term. Students who score more than 80% in week 9 will be allowed to move up a level. • Our module classes have tests every 10 weeks in week 10. • Our exam classes practice one part of the exam each week, but have a full practice test in weeks 4 and 9. Students who score more than 80% in week 9 will be allowed to move up a level.

Changing class If you want to change class you should first speak to the academic manager. You can either speak directly to the academic manager or make an appointment via the school reception. Changing your type of class or time of day is usually allowed, but the final decision is made by the academic manager and we cannot always grant customers’ requests. If you change time of day you may have to pay extra if you transfer from a cheaper time of day to a more expensive time of day. If you move the type of class or time of day you must usually remain in the class you have moved to for at least 2 weeks before you can change again. Exceptions can be made, but the academic manager’s decision is final. To move up a level (e.g. from pre intermediate to intermediate) there are 3 general rules: 1. If the academic manager decides your current level is correct, the only way for you to move up is to achieve more than 80% in your week-9 test. 2. If you want to move to an examination class then you will usually be required to complete a short examination written test. 3. If 2 or 3 of your teachers agree that you should move up a level you can ask the academic manager to consider this as evidence that you should be moved up a level. Applying for an external exam In addition to our internal tests, we encourage all students to take an externally validated exam. The TOEIC test is the only externally validated exam you can do at A2Z School of English*, but BEC, PET, FCE, CAE, CPE and IELTS can all be taken at nearby test centres. To apply for such an exam please speak to a receptionist who will help you complete the appropriate form and take payment from you. We will then organise the test with the local test centre on your behalf. *TOEIC exams can be taken at the Dublin school only

How to maximise your chances of learning English General advice • Always speak English in the School’s classrooms and corridors. This is a school rule to help you improve. • Always do your homework and ask for MORE if you want. • Watch the news, listen to the radio, watch films and listen to songs. Improve your everyday listening skills. • Attend our social events and speak to teachers and students in English. • Always keep a record of new vocabulary and try and learn the words and USE them outside the classroom. Learning outside the school Twice a term your teacher will take the class outside to visit a local site of interest and learn English in that place. This might be a museum, library or shopping mall. This is not a social event, the purpose is to help you learn English in a different way, and you might need to do a survey, research or speak to someone new. Have fun! Resources for you to use Around the School you can find many facilities that are available for you to use free of charge that will help you learn English faster: • Computers with free internet connection. • Lounge areas with chairs and small tables where you can relax and chat with your friends (in English of course!). • Bookshelves displaying a lot of books, newspapers, magazines, dictionaries and textbooks that are free for you to borrow (please, just make sure that you bring them back!) Social programme Our social programme is designed so that there is an event nearly every day of the week. Most events are free, but some involve a charge. We will always tell you if there is a price to pay before the event. Social events are a great way to make friends with other students, teachers and local people. This will help you learn English faster! Our regular programme* is as follows: Monday: A guided walking tour Tuesday: An outing to a local place of cultural interest – museums, jazz clubs, galleries etc. Wednesday: A free film club with pop-corn and coca cola. Thursday: The famous A2Z afternoon tea party Friday: The A2Z Pub club Saturday: Football in the park To participate in a social event 1. Speak to a receptionist or 2. Register online at • Dublin - www.a2z-english.com/dublin/social-register • London - www.a2z-english.com/london/social-register • Manchester - www.a2z-english.com/manchester/social-register *Notice for under-18 students Some events are not suitable for under-18 students – e.g. those involving alcohol. We will always inform students if there are age restrictions for an event.Outside lesson time, 16 and 17 year olds enrolled on adult courses are supervised by a vetted member of staff only when taking part in social activities organised by the school.With regard to Junior Summer Camps and Junior Tailored Groups (i.e. closed groups of students aged between 12 and 17), specific levels of supervision outside classroom hours are agreed with parents/guardians on a case by case basis.

Teachers Make friends with your teacher We choose our teachers because of their personality, as well as their teaching skills. We believe that your relationship with your teacher should be about more than just learning English – your teacher is also a guide to the culture and lifestyle of the country you are visiting. So, try and make friends with your teacher, attend social events and try and speak with them about their hobbies and life outside of work. Friendship is a great way to improve your language skills! Complain about your teacher In the unlikely event you would like to complain about your teacher, please use the standard complaints procedure, i.e. start by speaking to the academic manager and school manager. We will do our best to match the right teacher with your class. If 3 or more students from the same class complain about the same teacher at the same time we will try and change the teacher of that class as soon as possible. If your teacher is absent If your teacher does not appear in your class within 5 minutes please report their absence to the school reception. If your teacher cannot teach your class because they are ill then we will do the following: • Try and find another teacher to teach your class. • If we cannot find a teacher, we will join 2 classes together of a similar type and level (this will be temporary until a replacement is found) • If you prefer you can join the same class at a different time of day. • We may give you extra lessons for any inconvenience caused.

Appointments with the Academic Manager Finally, the Academic Manager is always available for appointments to discuss your particular learning issues, including problems, skills and progress. The School Manager - your Welfare Officer The School Manager of your school is the Welfare Officer of your school. This means that if you have problems with your life in the UK or Ireland, or if you just want advice and information, you can speak to the School Manager and ask for help. The School Manager will do his/her best to help you. To speak to the School Manager either approach him/her directly or make an appointment by speaking to a receptionist or using the online form at http://a2z-english.com/students/meeting The School Manager holds weekly meetings at 2pm on Thursdays and 1pm on Fridays. Each meeting is 20 minutes long and you can ask about anything you like. Some of the issues you might want to ask for advice about are covered below, but don’t be afraid to ask for more help and information.

Your personal life Culture shock When you first arrive in the UK or Ireland, you will notice differences between the way things are done and what you are used to at home. These include the way people dress, speak and behave, teaching and learning styles, food - potentially all aspects of life. This can be frustrating and disorienting at first, as even something simple like buying a bus ticket needs figuring out - can I buy it on the bus, or from a shop or kiosk? Do I have to validate it? Does it cover a single trip, or a set period of time? You will soon learn the new “rules” to get by, but it may be reassuring to know that it is perfectly normal to find it hard at first. Your fellow international students will share the experience - but so will many British and Irish students who are away from home for the first time. It is important to stress that culture shock is entirely normal, usually unavoidable and not a sign that you have made a mistake or that you won’t manage. In fact there are very positive aspects of culture shock. The experience can be a significant learning experience, making you more aware of aspects of your own culture as well as the new culture you have entered. It will give you valuable skills that will serve you in many ways now and in the future and which will be part of the benefit of an international education. Toilet and toilet paper When you use the toilet put all dirty toilet paper in the water in the toilet bowl, not in the rubbish bin. We do not put dirty toilet paper in the bin. For women - if you use sanitary towels or tampons, but these in the special bins next to the toilet, do not put them in the water. After you use the toilet always flush and wash your hands well. Please leave the toilets in a good condition for other students and teachers. Sex Our School Managers can speak with you if you have any issues you would like to talk about. Condoms and other contraceptives are available in all chemists and many supermarkets. Find out more information from www.nhs.uk/livewell/sexualhealth. The minimum age for sex in the UK is 16 years old and 17 in the Republic of Ireland.

Alcohol 18 is the minimum age to buy and drink alcohol in both the UK and Ireland. It is illegal to drink alcohol if you are 17 or younger. If you don’t drink alcohol don’t feel pressured to begin drinking. In many cultures it is entirely normal not to drink, so don’t feel ashamed. However, both the UK and Ireland have a very old tradition of drinking alcohol, so you probably won’t be able to avoid this aspect of life. If you do drink, don’t drink too much – you could do something dangerous. No alcohol must be brought on to school premises. Visit www.drinkaware.co.uk for alcohol related advice or speak to the School Manager if you need help. Drugs Drugs include: Marajuana, Cocaine, Ecstacy, Heroin, Amphetimines, Magic mushrooms. These drugs are illegal and you must not take them. You will be immediately expelled from school if you are suspected of or found to have taken drugs. The school decision is final. For more information see www.talktofrank.com/drugs Smoking No smoking is allowed anywhere in any A2Z School of English buildings, including electronic cigarettes. You must not smoke at the front of the buildings next to entrances. Throwing used cigarettes on the floor is a crime and you might have to pay a fine. Use a cigarette bin instead. If you want to smoke please go to the special smokers zones for each building or at least 10 metres away from the building. Driving Before driving any vehicle (car, motorbike, van etc.) in the United Kingdom or Ireland you should check that you meet all of the legal requirements which apply (a) to the driver and (b) to the vehicle; and that you are aware of the correct procedures, which may be very different from your home country. The minimum driving age in the UK and Ireland is 17. It is illegal to drive a vehicle without a driving licence (recognised by the UK authorities) and insurance. Crossing the road Remember that in the UK and Ireland vehicles drive on the left of the road, which is probably different to your country. Take special care crossing the road near corners or on hills where drivers might not be able to see you easily.

The law Laws in the UK/Ireland may be different from those in your home country. In addition to laws about drugs, driving, alcohol and tobacco stated above, some other areas to note are: • It is illegal to carry any sort of weapon including knives, self-defence CS sprays, guns and stun guns. • Never buy property that you think might be stolen. • It is an offence to falsely report the theft of property. • It is an offence to discriminate or harass somebody based on their gender, sexuality, colour, religion, age or race. Personal safety Manchester, Wimbledon and Dublin are all relatively safe by international standards, but like anywhere else there are ways to protect yourself and behave wisely: • Carry your bag close to you. Keep it closed and make sure your wallet or purse can’t be seen. Don’t carry large amounts of cash. • Have your bags where you can see them. When in public places, such as a bar or restaurant, try to make sure a handle or strap is secured on a hook or under a chair leg, so that the bag can’t be easily taken away. • If you are wearing expensive jewellery or carrying other valuables, be discreet. Talking on your mobile, listening to music on headphones or carrying a laptop all show thieves you have things to steal. • Think about your route, especially if you’re going to be on your own or carrying lots of shopping bags late at night. Avoid dark areas such as alleyways or unlit passages. Use public transport or take a taxi. • Be aware of your surroundings. • Think about keeping your valuables in separate places so if you lose your bag you haven’t lost everything. • Keep your valuables in deep pockets or ones that fasten or close fully. • Do not accept drinks from strangers in bars or clubs • Be cautious about accepting invitations from strangers • Do not use unlicensed mini cabs. We recommend that you take a black cab or use a taxi company. • Always carry some cash in case you need to get a taxi • If you are travelling alone on public transport, try to avoid waiting at isolated bus stops, don’t sit in an empty compartment on a train or tube. • Don’t carry your passport with you when you don’t need to use it. • Carry your handbag in front of you, if the bag has a flap on one side keep this towards you. • Open a bank account, don’t carry a lot of cash. • Don’t leave anything valuable in the classroom between lessons. • If you are going out alone carry a personal alarm. • If you are threatened, set off your personal alarm, scream and shout, get away as quickly as possible, always ring the police once you are in a safe place. If a vehicle is involved try to note its registration number. • If you are a victim of crime report this immediately to a police station, you will be given a crime reference number which you will need if you are going to make an insurance claim. Health The UK and Ireland are different countries and have different laws about health and hospitals.

UK laws Cost and insurance Healthcare is free in the UK for British citizens. Visitors and international students often receive free treatment, but this is a grey area, so to be sure you should buy medical insurance before you travel to the UK. Medical insurance is not compulsory for visitors, but we strongly recommend that before you come to learn English you get some medical & personal insurance. We recommend Endsleigh www.endsleigh.co.uk/Travel/Pages/international-student-insurance.aspx In the UK you are eligible to use the NHS if you are either: • An EEA student • A non EEA student on a course lasting more than 6 months • A non EEA student from a country with a reciprocal arrangement with the UK. If you do not have an EHIC with you then apply through your home country’s healthcare system immediately for a Provisional Replacement Certificate. Doctors In the UK you can use a GP (a normal doctor) in an emergency without any charge, or you can go to the Accident and Emergency Department of a hospital (A&E), but in general, for nonemergency medical help you have to pay. Dentists Most people have to pay to see a dentist in the UK. If your dentist is registered with the National Health Service you can get a reduction in the cost. Full time students are eligible for this reduction but you have to ask your dentist for a special form which you have to fill in before treatment.

Ireland Cost and insurance Healthcare is not free in the Republic of Ireland, so you must normally get medical insurance. We can assist you with this through our school scheme – contact Dublin@a2z-english.com for details. You can pay for your medical insurance along with your course. If you are from a European Economic Area (EEA) country you may be able to pay nothing or very little. However, we still recommend that you take out medical insurance before you arrive. If you are not from an EEA country you must get medical insurance before you come to Ireland. Doctors In the republic of Ireland, if you have insurance, you can receive treatment at an accident and emergency department of a hospital. Dentists Most people have to pay to see a dentist in Ireland. Pharmacists If you have a minor illness such as headaches and colds you can get advice from a qualified pharmacist at any chemist rather than visiting a doctor. See reception for more information.

Accommodation

Relating to your host in a homestay If you are in homestay accommodation you will normally be living with a family. It is important to remember that this is completely different to a hotel or residence, and you should treat your host with respect. This includes the time you come in and go out and how clean and tidy you keep your bedroom and other areas of the house. On the other hand, your host has agreed to certain important conditions, including clean bed sheets, regular meals and friendship and English language conversation. If you feel that your host is not giving you these you should speak with the School Manager of your school who will try to help you solve the problem. Problems with accommodation If you have any problems with accommodation, the first person you should speak to is the manager of the accommodation (e.g. hostel manager). If you cannot solve the problem this way, speak to the School Manager of the school you are studying in who will try and solve the problem for you. Other help

Opening a bank account Opening a bank account is a very good idea because it will provide a safe place to keep your money. To open a bank account you will need to visit a bank with the following documents: • Passport or EU ID card • If you need a visa then you will need to show a valid current visa • A school letter from A2Z School of English confirming your course. We call this a “bank letter”. • You might also need some proof of address, like a bill (see below). To get your bank letter come to the school reception and ask for it. Your first bank letter is free. The letter will be posted to your home address – keep the envelope so you can prove you live at that address. Applying to University or colleges If you would like to apply to a University or college to study after your English course please speak to the school manager or make an appointment to see him/her. We will do our best to give you guidance and support in your application, and we have some informal connections with universities that could help you find out more about your desired course. Work: finding work, CVs, interviews and visas If you have the right to work in the UK our school manager will be happy to help you write a CV, prepare for interviews and search for jobs on the internet. Make an appointment to speak to the school manager at his/her weekly sessions – this is the best way to get the best support. National insurance number In the UK you will need to have a National Insurance (NI) number to work. To apply for an NI number you will need to telephone the Jobcentre Plus National Insurance helpline on +44 (0)845 600 0643. You can find more information on www.hmrc.gov.uk/nic. The reception team can help you with this. In the Republic of Ireland the equivalent of the NI number is the Personal Public Service (PPS) number. A PPS number can be obtained from the local Social Welfare office. For further information visit www.reachservices.ie Joining the library In the UK and Ireland joining libraries is free and open to all people. You might need some proof of address, in which case ask the reception for help. Joining the library is an excellent idea as they often have special books and CDs for people learning English which you can borrow completely free of charge. It is also a great place to quietly study. Register with the police We can help you register with the police. Normally you just need to walk into the police station with your identity documents and a copy of your address. You should also take your A2Z confirmation letter and money to pay the fees that the police charge. In the UK In the UK, you know if you need to register with the police because there will be a stamp in your passport saying so. In Ireland If you come to stay in Ireland for more than 3 months, and you are not a citizen of the European Union (EU), the European Economic Area (EEA) or Switzerland, you must register your presence in Ireland with An Garda Síochána (the Irish name for the police). Health and safety policy We believe the health & safety of our students and employees is very important. We ask that you take reasonable care of your own and other people’s health and safety. You should not do anything that could endanger yourself or somebody else. You must co-operate with the School to ensure the health and safety of you and others. If you see anything that you think could be unsafe around the School please tell a member of staff as soon as possible. Equality, bullying and discrimination A2Z School of English has an equal opportunities policy, which applies to both students and employees. Discrimination on the grounds of age, race, sexual orientation, gender, faith and belief or disability will not be tolerated. Students or employees who do discriminate will be subject to the School’s disciplinary procedure. Bullying is also not tolerated, in any form. If you think you are being bullied please speak to the school manager. Discipline procedure In order to ensure that all students obtain the most benefit from their studies, it is important that appropriate levels of behaviour are maintained. In exceptional circumstances the School may have to instigate the student disciplinary procedure. Whenever possible we will try to resolve any problems before this stage. The disciplinary procedure is as follows: • Stage 1: This will be a verbal warning to the student by the Academic or School Manager; a second A2Z employee will also be present. The warning will also be confirmed in writing. • Stage 2: This is a first written warning made to the student by the Academic or School Manager. • Stage 3: This is a second and final written warning made to the student by the Academic or School Manager. • Stage 4: In exceptional circumstances the student may be expelled from the School. You should also be aware that in certain circumstances, where a student’s behaviour poses a danger to themselves or to others, they may be suspended with immediate effect, subject to an investigation and expelled without stage 1-3 being completed. Grievance procedure If you have a problem with another student’s behaviour in school or the behaviour of a member of staff, you may complain about this to the School Manager and we will try to resolve the issue. All students have the right to seek redress for grievances relating to their studying experience at A2Z School of English. In order that students can raise grievances and have them settled fairly, promptly and without prejudice, the procedure outlined below must be followed: • Stage 1: A grievance must be taken up by the student with the School Manager in writing; • Stage 2: Within two working days, the School Manager will arrange a meeting with those involved to discuss the grievance. Students may have a classmate/friend present if they wish. Following the meeting, the School Manager will notify those involved of the decision and of the right to appeal against the decision if appropriate; Only in very exceptional circumstances is it expected that a grievance will not have been resolved prior to this stage. Each student has the right to appeal to the Operations Director in writing as a final resort if they feel so aggrieved. The Operations Director’s decision will be notified to the student in writing and will be final.

Refunds policy If you would like to request a refund of your course fees, you must complete an online application at www.a2z-english.com/refunds. Refunds are normally only given if you are refused a visa to study in the UK and are subject to an administration fee.

Appendix 1: Under-18 students As an under-18 student, you are strongly recommended to read this paragraph, which outlines the school’s main policy lines regarding children and gives you more information about your rights and responsibilities.

What you can expect from A2Z School of English A2Z School of English is committed to the following: • The welfare of the child is paramount. • All children, whatever their age, culture, ability, gender, language, ethnicity or religious belief, should be able to participate in A2Z lessons and other activities in a safe environment. • Taking all reasonable steps to protect children from harm, discrimination and degrading treatment and to respect their rights, feelings and wishes. • All suspicions and allegations of abuse will be taken seriously and responded to swiftly and appropriately. • A2Z has an appointed and qualified Child Protection Officer in each school. • It is the responsibility of A2Z School of English to act on any concerns regarding the well-being of a child. All suspicions and allegations must be shared with professional agencies that are responsible for child protection. A2Z School of English requires and ensures the following: • All A2Z School employees (including self-employed staff and trainees) who work with children are recruited with regard to their suitability for that responsibility, and are provided with guidance and/or training in good practice and child protection procedures. • All School staff (teachers and receptionists) have undergone an enhanced DBS check (Disclosure and Barring Service) in the UK and the equivalent Garda Vetting Disclosure in Ireland. • All school staff (including self-employed staff and trainees) have undertaken basic child protection training online which outlines signs and symptoms of abuse in children. The course informs the staff what to do if they have concerns about the well-being of a child or the behaviour of an adult towards a child. • The appointed Child Protection Officer has undertaken a more extensive and specific training in child protection and safeguarding. This training is refreshed every two years. What we expect from you Whilst being committed to ensuring that any under-18 student receives the same quality of experience as those aged 18 or above, A2Z School of English does not accept an “in loco parentis” responsibility for children. In other words, notwithstanding the aforementioned additional measures being in place to support students under the age of 18, you will not receive 24-hour supervision and, therefore, you are expected to demonstrate behaviour appropriate to studying and living independently alongside students over 18 from a wide variety of backgrounds.

Additionally, you MUST: • Provide A2Z School of English with a ‘parental consent form’ signed by one of your parents or your legal guardian. This form has to be handed in at the time of enrolment and you can ask for it at Reception or send an e-mail to your school’s Reception Team. • Bring your A2Z School of English Student card with you at all times. This card has the School’s emergency telephone number printed on it. • Always let your parents/legal guardian/host family know where you are and let them know if you are running late. • If you are staying with a host family provided by the School, you must be back at your homestay for dinner every evening. • If you go out in the evening or at weekends, tell your host family where you are going, and with whom. - Give your host family your mobile telephone number and keep your phone turned on at all times. - Remember that a designated time for you to return to your homestay at night must always be agreed with your host family and you must always let them know if you are running late. • Be very careful with your personal possessions and do not carry too much money with you. When travelling to and from the School, do not walk on your own. Especially at night, take a bus or a taxi if possible.

In case of problems during your stay If you are experiencing any issue, whether big or small, either at school or with your accommodation, please feel free to speak to someone at A2Z. You can speak to your teacher, to any one of the Receptionists or to the Academic Manager/School Manager. You can also ask your family/legal guardian/host family to talk to someone at A2Z, and if you wish you can book an appointment with the School’s Child Protection Officer. If you are not at the school and have a serious problem or need emergency advice and the school is closed, you can call the mobile number on your student card. If you have a problem and you do not want to tell anyone you know, you can call a counselling service for children and young people: • In the UK: ChildLine on 0800 11 11 (www.childline.org.uk/Pages/Home.aspx) • In Ireland: Reachout Childline on 1800 66 66 66 (ie.reachout.com/getting-help/online-and-telephone-help/ childline/)

Other important things to remember • The school’s social programme may sometimes include activities that are not suitable for under-18s. Please, always double-check on the school’s social calendar (www.a2z-english.com/social) or ask the school’s social events coordinator whether a specific activity is suitable for you. • You cannot enter a pub or a club, and you cannot buy or drink alcohol in the UK and Ireland if you are under 18 years of age. You cannot buy tobacco/cigarettes either. • All soft/hard drugs are illegal in the UK and Ireland. If someone offers you drugs, always say NO!
