Where we are We have already started the journey

• Previous engagement captured lots of great information • Now need to drill down, prioritise and deliver • Will work on defining the long term strategy, while working on some quick wins

abertay.ac.uk

How will we engage? • • •

• • • •

Suggested vision tagline, that we all recognise – e.g. The Abertay Experience etc. Principles that we want agreed High level plans for next 3 years for • Customer, • Data, • Learning Technology Plan, • Building technology, • Research Face to face presentations with all teams Specific place on the intranet for updates Go round the loop several times till the strategy is fully developed and understood Eventually specific website or section of Abertay website for the strategy, not a document

Anything missing? How can we get the benefit of specific academic disciplines into this plan? Gamification, sociology, psychology, cyber etc?

abertay.ac.uk

Ambitions Need a clear set of ambitions, which we will develop through consultation • Personalised experience. Students can set their own pace and choose their own delivery methods. • We will use more hybrid working • We will make data-driven decisions

Foundations - Systems •

What are our top 20 or so systems?

Are they the right systems (functionally and technically)?

Are we making the most of them?

Are we committed to them (contractually)?

How is the data quality?

Who is the system owner?

We will use this to decide which systems we need to “work with” and which ones we should consider retiring

abertay.ac.uk

Foundations - Principles Need to agree some principles to get and keep our systems in the best order, we will develop these as we continue to engage • Re-use, buy, then build • Single source of truth systems (i-Trent for staff, SITS for students) • Key systems that we will look to first (Pure, Myday, SITS, i-Trent) • All future requests for new/upgraded systems to be agreed at a board that ensures we continue to meet our strategy

Customer Plan Storyboard for each customer group to show prioritised list of developments • All Staff (general) • Academics • Researchers • Students (inc international and transnational) • Applicants • Active • Alumni • Execs • Student Association • Student Support • Residents • Partners abertay.ac.uk

Active Student Storyboard Currently: Inconsistent experience off and on-site. Lack of access to software or devices where it suits. Lack of support when it suits. No compelling reason to stay on campus. Digital skills lacking in some groups. Feeling disconnected from peers. Lack of motivation. Not enough feedback. Year 1

Single log-on, personalised news feeds and communities, wayfinding, gaming wall on-site. Every lesson accessible on-line or on-campus. AI for initial stages in student experience. Digital champions from student body. Attendance monitoring integrated with room booking and cards. Timetable will link to on-line classes where available. Personalised learning – what technology do we need?

Year 2

BI platform accessing open data for every course. Transnational students have access to everything a Dundee student has. Hubs around Dundee for joint working. Initial AR/VR pilots. Online onboarding programme that continues into freshers week. 24/7 access to assignment support and feedback. Integrated assistive technology.

Year 3

AI powered teaching and feedback. Digital assistant to provide access to learning resources and nudge with reminders.

Researcher Storyboard

Currently: No access to BI data or specialists. Too much bureaucracy. Pure to track research, but very little to aid research. Grant applications difficult to manage. Year 1

Early IT involvement in grant applications to ensure needs are met. Which systems “need to be integrated”? End of life and maintenance alerts on research technology.

Year 2

Access to additional data streams. Easier access to share data between institutions. Machine learning to pull together narrative from different sources into stories. Predictive modelling BI.

Year 3

VR virtual rooms for experiments.

abertay.ac.uk

All Staff Storyboard Currently: Can see names of systems and tools that might be useful but don’t know what they are. Feel like a lot of time spent doing tasks which could be automated. Using Teams but not sure if using it to its best advantage. Don’t know where to save files. Difficult to collaborate outside the organisation. Find it difficult to get the information I need to do my job. Year 1

All staff to have the technology to work from anywhere. Staff have access to training for all systems. Promotion of new systems/functionality is routine so staff can have best use of everything we have. Routine tasks are automated. Staff have access to information needed to do their jobs, without asking for access, reports etc.

Year 2

Improved ways to collaborate outside of the organisation.

Year 3

Advanced AV technology to feel like everyone in the same room – holograms etc.

abertay.ac.uk

Learning Technology Plan Already being delivered by Content Capture project? • Improved video recording and editing and integration with MyLearningSpace Can already do without more technology? • Flexible teaching on-line or on-campus. • Online collaboration through MLS. (does it need to be via MLS – can we use the tools we have better?) • Flexible assessments. • Students able to shape their learning. Already happened/happening? • Micro courses and some fully on-line • Devices for those that can not afford them. • Workflows for programme module development/changes. • More learning and assessment technologies with gamification, interactive experiences. • Interface with SITS for setting up Assessment boards. Workflows for appeals and complaints.

To be delivered by Digital Strategy Programme • Increase the amount of engagement data in learner analytics, including use of physical environments. • BI data on student circumstances – e.g mature, direct entrants etc. for all courses. • Online labs using VR. Wearables. • Additional data provided to staff to shape teaching strategies towards students learning strengths (once micro courses deliver the information) • Avatars for staff and students. (where and to what end?) • Improved Personal Development Planning (Pebblepad) • Remote proctoring.

Building Technology Plan • • • • • • • • •

• • •

Recording of physical usage of campus facilities for space management and student analytics. More flexible teaching spaces. Outdoor wifi and power. More digital signage for announcements but also to promote student work. Automatic monitoring and alerting of building systems. Flexible workspaces and booking, multi-purpose. Live stream ability. Hybrid teaching with video walls. User-friendly, plug and play AV. Technology which automatically sets up a room for teaching. 24/7 digital security to allow 24/7 access. Carbon footprint personal monitoring. Facial recognition, contactless access. Automated security.

Data Not making enough of our dashboards. Need to be a data-driven decision-making organisation Staff planning data: Qlikview/Qliksense Move to a centralised team, bureau service Front end dashboard, better graphics, drill down, infographics All reports/dashboard requests through here Easy to use Self service Real time applicant and recruitment information Consistent data sets across platforms. Move through trusted data, to real-time data to predictive data. Will require teams to tell us what dashboards they require, and to work on improving datasets Learner analytics: JISC Engagement Tracker Integrate with Myday, notifications Diagnostic results into learner analytics Learner analytics – push student to bits they've not used What is the best system for research staff to use, and teaching of BI to students?

Skills Staff Year 1

Training available in relevant applications to all staff: Pure, Teams, Microsoft apps, etc. Short face to face courses where requested, or signposting to relevant on-line content. Staff more aware of what we already have that could save them time. Full IT induction for new starts.

Year 2

Mandatory training for different roles. Compliance checking. Evaluation and review of training needs/provision.

Year 3

Students Year 1

Create digital champion programme to help other students.

Year 2

All students able to understand the processes of big data and AI, and technology to support this. Linkedin Learning or similar to allow students access 24/7 to additional useful courses.

Year 3

abertay.ac.uk

Innovation Need an innovation culture, governance for staff to try ideas, and to fail fast if not suitable Will need to try some of these during the strategy development phase. How can we involve students? • • • • • • •

BI platform for students AI powered teaching VR/AR Hololens Gaming wall Sentiment analysis Telepresence robots

abertay.ac.uk

Vision Tag-line • We need a tag-line for this programme, that summarises what we are trying to achieve • My suggestion - The Abertay Experience • The same state of the art, connected experience whether on-campus, off-campus, at the esports arena, or at a partner site. Needs to be catchy – what else does everyone suggest?

abertay.ac.uk

Possible Quick Wins •

Reduced logins and accounts

Will require specialist IT skills for a short time, will also make systems easier to manage, and allow us to start segmenting students into groups for personalised content

Making more out of what we have – Qlikview, JISC, Myday, OneNote etc

Requires more resource across IT/Training to push how these tools could help staff be more productive

Data Strategy can be agreed and executed

Recommend we get specialist resource to help us redesign our dashboards, get more data sources. Will need to engage with staff about what they need, and will need more resource in planning team longer term

Where do we save files, how do we share information

This is an organisational risk right now, in the short term need clarity and a comms campaign, longer term need a records management approach

MI – ref/tef athena swan, make it easier to get that info

BAU task – Frazer taking forward

Join up timetabling and resource booking

Will need support from suppliers.

Better induction

No IT induction happening for staff at all right now

Staff training

Ongoing programme of short courses, signposting to relevant content to give all staff skills they need in non-academic software – potentially linkedin learning or similar

Newsletter •

Regular customer-friendly newsletter from IT to tell staff whats going on and why

Business partner meetings •

IT staff to attend departmental management team meetings monthly for updates and to gather and report on issues, and business objectives

Process change to involve IT early

Research grant clarity

What else needs resolving in the short term? abertay.ac.uk
